A Kelowna skincare founder gets an email with a subject line that makes her stomach drop: her Shopify Payments account is under review. She has nine open disputes, a Black Friday rush behind her and a supplier invoice due Monday. She searches the web, and finds forum threads that range from "it was sorted in a day" to "I lost my payouts for a month". Nobody agrees, and nobody quotes Shopify. A Shopify Payments account review is one of the most searched worries among merchants, and one of the least documented. This guide takes a narrow approach. It sets out what Shopify's own pages say about chargeback monitoring, reserves and program enrolment, which signals those pages say Shopify watches, what they do not say, and what you can do in the meantime. It also gives you a self audit, a reply template, an evidence pack and a 30 day plan. It does not promise a timeline or an outcome, because Shopify does not publish one.
Quick answer: Shopify does not publish a standalone Shopify Payments account review process with steps or timelines. What its Help Center does say is that chargeback monitoring tracks your rate, that a high rate can lead to a reserve, enrolment in its network dispute resolution program or an account health notification, and that reserves follow a risk assessment. So the safest approach is to lower your dispute rate, keep refunds and delivery gaps in check, answer every Shopify email inside its window and keep a clean paper trail.
This guide is for you if:
- You sell on Shopify in Canada with Shopify Payments and you worry that disputes could trigger a Shopify Payments account review.
- You received a review, risk or account health email and want a calm plan.
- You want to know what you can control before anything arrives.
Last updated: 24 October 2026
Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. ChargeFix cannot start, stop or influence a review, because Shopify decides that. The Shopify details come from Shopify's Help Center, listed at the end. Our own suggestions are marked as ours. This guide is general information and not legal advice, and where no source says, this guide says so rather than guess.
TL;DR
- Shopify publishes no step by step account review process, so nobody outside Shopify can promise a timeline.
- What it does publish: chargeback monitoring, reserves and a dispute program that all depend on risk signals.
- Disputes are one signal. Refunds, delivery gaps and sales surges are others.
- Winning a dispute does not remove it from your rate.
- Your best moves are fewer disputes, fast replies to Shopify and a tidy evidence pack.
Do this today
- Open your Shopify Payments settings and read any account notice in full.
- Compute your 90 day dispute rate with the formula below.
- List every open dispute with its due date.
- Gather proof that your orders are real: fulfilment, tracking and customer messages.
- Write down every Shopify email deadline in your calendar.
The Shopify Payments account review in one table
| Question | What Shopify publishes | What it does not publish |
|---|---|---|
| Is there a review process page? | No standalone page found | Steps, stages, a timeline |
| What does monitoring track? | Your chargeback rate over 90 days | A numeric "too high" line |
| What actions can follow a high rate? | A reserve, program enrolment, an account health notification | Which action applies when |
| Can a reserve be appealed? | Some can, by replying to the email | A success rate or a day count |
| Can a decision be appealed? | Chargeback decisions are final | Any account review appeal route beyond the email |
| Who handles complaints? | Shopify Payments (Canada) complaint process | Whether it changes a risk decision |
What is a Shopify Payments account review?
There is no single page in Shopify's Help Center that defines a Shopify Payments account review. Merchants use the phrase for several different events: a request for more information, a reserve placed after a risk assessment, an account health notification or enrolment in a dispute resolution program. Each one has its own page, and each depends on signals Shopify tracks about your business.
| What merchants call a review | What Shopify's pages describe |
|---|---|
| A reserve on my payouts | A reserve after a risk assessment (reserves page) |
| A warning about my chargebacks | An account health notification when the rate is high (monitoring page) |
| Disputes resolved without my input | Network dispute resolution program enrolment (program page) |
| A request for documents | Not described in the pages we found |
We use "review" in this guide to mean any risk check Shopify runs on a Shopify Payments account, and every Shopify Payments account review claim here stays inside what the pages above say. Our reserve guide covers the first row in depth, and our program guide covers the third.
Why do forum stories about a Shopify Payments account review disagree so much?
Because each store's risk signals, history and timing differ, and because Shopify does not publish a process that would make cases comparable. A forum post tells you what happened to one store in one month. Treat it as a story, not a rule. Our guide to how decisions take time shows how even the dispute side has fixed windows that merchants often misread.
What signals does Shopify say it watches?
Shopify's monitoring page says it tracks your chargeback rate, one of the risk signals in a Shopify Payments account review, and that the rate counts only chargeback eligible transactions, with payments through third party processors excluded. It also says that winning a chargeback does not remove it from your rate and that disputes resolved through its network program count. Its reserves page lists other risk factors.
| Signal | Source page | What it means for you |
|---|---|---|
| Chargeback rate over 90 days | Monitoring | Fewer disputes lower it; wins do not |
| Network program disputes | Monitoring and program | They count even though you could not contest them |
| Increased refund rate | Reserves | A jump in refunds can raise risk |
| Extended billing cycles | Reserves | Annual plans carry more future refund risk |
| Long delivery timelines | Reserves | Custom orders and pre-orders carry gap risk |
| Volume surges | Reserves | Sudden growth gets a second look |
Account signal self audit (adapt to your case)
90 day dispute count (chargebacks + automatically resolved) = d
90 day eligible orders = n
Rate = d / n x 100
Refund rate, last 90 days vs the 90 days before: [up / flat / down]
Average days from order to delivery: [number], was [number]
Sales vs the 90 days before: [x times]
Open disputes with due date inside 7 days: [count]
Each answer maps to one of the signals above. If two or more point up, expect more scrutiny and start the fixes below now. The rate guide shows how to read the rate each week.
Do wins help when a Shopify Payments account review looms?
Winning recovers the amount and, on a win, the fee, but the monitoring page says the chargeback stays in your rate. So wins protect your cash, not your rate. Fewer disputes are what lower the risk signal. That is why prevention work, such as clear descriptors and shipping updates, matters as much as evidence. See the billing descriptor guide and the order confirmation guide.
What actions can follow a high chargeback rate?
Shopify's monitoring page says that when your rate becomes high, actions can include a reserve on payouts or enrolment in the network dispute resolution program, and that you may get an account health notification. The program page adds the specifics.
| Action | Detail from Shopify's pages |
|---|---|
| Account health notification | Warns that your rate is high; no numeric line given |
| Reserve | Temporary hold on payouts; fixed amount or percentage |
| Program enrolment | A rate of 1.5% or higher over the last 90 days, or a regular account review |
| Program reserve | 10% on payouts, can lift early on exit |
| Program exit | Below 1.00% for 30 consecutive days while processing on Shopify Payments |
| Further holds | If the 90 day rate stays above 1% after the reserve's first expiry |
Note the phrase "a regular account review" in the enrolment row. Shopify itself uses that wording on its program page, but it does not describe the review's steps. This is the only place our research found Shopify naming an account review, and it does so in passing.
What if a Shopify Payments account review ends in suspension or termination?
Shopify's program page says suspended or terminated merchants might be ineligible for the exit route, and that after termination, disputes on earlier orders still go through the program with a fee. Orders created after termination are not eligible. Termination terms sit in your Shopify Payments agreement, which we do not summarise here, so read the agreement and the email you received.
How do you respond to a Shopify Payments account review email?
Treat every Shopify Payments account review email as time limited and read the exact wording. Use the extract below before you reply.
Review email extract (adapt to your case)
Received: [date, time]
Subject line: [text]
What Shopify asks: [documents / information / nothing]
Deadline stated: [date, or "none given"]

| Keep a copy of every message | Rely on memory |
Reply template (adapt to your case)
Subject: Re: [original subject], store [name]
Thank you for the notice dated [date]. Here is what we found.
Cause we can see: [for example "nine disputes in 90 days, six of them
'product not received' from one carrier delay in November"].
What we changed: [for example "added tracking emails, switched the
slow service, refunded the three late parcels"].
Current numbers (last 30 days): [orders, disputes, refunds].
Records attached: [list of 3 to 5 files].
Please tell us if you need anything else.
The reply asks for nothing it cannot get. It states a cause, a change and a number. Reviewers can act on that, and you have a record.
What evidence pack proves your store is real?
If a Shopify Payments account review asks for information, speed matters. Build a pack once and update it each month.
| Document | What it shows | Where it lives |
|---|---|---|
| Order and fulfilment log | Orders are real and shipped | Shopify admin export |
| Tracking and delivery records | Parcels arrived | Carrier pages; see the Canada Post guide |
| Customer messages | You respond and resolve | Your inbox; see customer emails as evidence |
| Policies | Clear terms | Your store pages; see the refund policy guide |
| Supplier invoices | Stock is real | Your files |
| Dispute log | You track and answer cases | See the audit guide |
Monthly pack check (adapt to your case)
[ ] Export last 90 days of orders with fulfilment dates
[ ] Export tracking numbers and delivery statuses
[ ] Save 5 sample customer threads that ended well
[ ] Save current policy page URLs and dates
[ ] Save last supplier invoice per top product
[ ] Update dispute log with outcome per case
How do you lower the risk before a Shopify Payments account review?
Match each risk signal to a fix, and note that a Shopify Payments account review can start from any of them.
| Signal | Fix | Guide |
|---|---|---|
| Disputes | Clear descriptors, shipping updates, strong files | Prevention emails |
| Fraud disputes | Review risky orders before fulfilment | Fraud guide |
| Friendly fraud | Evidence of use and delivery | Friendly fraud guide |
| Refund rate | Fix causes; refund fast on real problems | Refund before chargeback |
| Delivery gaps | Show real lead times; message early | Pre-order guide |
| Surges | Ramp promotions in steps | Black Friday guide |
| Open disputes | File before the due date | Deadline guide |
Shopify's monitoring page also suggests checking patterns such as unrecognized names, high risk orders, not received, damaged or not as described, and subscription issues. Use those five as your weekly checklist.
How do you handle open disputes while a Shopify Payments account review runs?
Keep filing while a review runs. An unanswered dispute is a loss and still counts in the rate. A filed one at least has a chance, and filing on time shows Shopify an active, careful merchant. Our evidence order guide shows what to include, and the file limits guide keeps your uploads inside Shopify's size rules.
What does a Shopify Payments account review look like for three kinds of store?
Shopify publishes no case studies, so these three are invented to show how a Shopify Payments account review can start from different signals. They are patterns, not predictions.
| Store | Signal that moved | Sensible first fix | Guide |
|---|---|---|---|
| Skincare, Kelowna | Nine disputes in 90 days, six "not received" in one carrier delay | Tracking emails; switch slow service | Not received |
| Jewellery, Halifax | Refund rate doubled after a sizing problem | Fix the size guide; refund fast | Jewellery guide |
| Electronics, Mississauga | Sales jumped fourfold in a sale week | Stagger promotions; add fulfilment help | Electronics guide |
The pattern is that the signal differs and the fix follows the signal. Treat a Shopify Payments account review as a prompt to find your own pattern, and write it down. Merchants who keep a dated log answer faster, because the cause and the fix are already on paper.
How do you build a risk signal dashboard for your Shopify Payments account review?
A risk signal dashboard is a weekly sheet of the numbers a reviewer is likely to care about. It takes ten minutes to update and shows a trend before an email does.
| Metric | Where to find it | Weekly target (our own) |
|---|---|---|
| Disputes opened | Orders, chargeback and inquiry status | Falling or flat |
| 90 day rate | Analytics, Reports, "Chargeback rate" | Under 0.5% |
| Refund rate | Orders, refunded | Flat or falling |
| Days to deliver | Fulfilment and tracking data | Inside what you promise |
| Open disputes due in 7 days | Orders, chargeback status | Zero overdue |
| Sales vs last 90 days | Analytics | Growth you can fulfil |
Weekly risk signal row (adapt to your case)
Week of: [date]
Disputes opened: [n] (last week [n])
90 day rate: [x.xx%]
Refund rate: [x.x%]
Median delivery: [n days] promised [n days]
Overdue disputes: [n]
Note on any change: [one line]
The 0.5% target is our own cushion, and it echoes the level at which some vendors suggest looking closer. Shopify publishes the 1.5% enrolment line and the 1.00% exit line, and a target well under them leaves room for a bad week.
How should you talk to customers during a Shopify Payments account review?
Keep service normal and honest. Reply fast to "where is my order" messages, because an answered question is a dispute that never opens. Offer a refund when the order is truly lost, since our lost parcel guide shows when a refund costs less than a fight. Never ask customers to avoid disputing, or to contact their bank on your behalf, because that can look worse than the dispute itself.
| Customer message | Helpful reply | Avoid |
|---|---|---|
| "Where is my order?" | Tracking link and an honest date | "It will come eventually" |
| "I do not recognize this charge" | Order number, items and your descriptor | Arguing about their memory |
| "I want to cancel" | A fast cancel or refund path | Slowing the reply |
| "My parcel is damaged" | Photo request and a clear fix | Blaming the carrier in writing |
How do you review your own store like a reviewer would?
Walk through your store as a stranger. Does the storefront show a real business address and a working contact route? Are shipping times stated before payment? Do policies exist and match what you do? Does your billing descriptor look like your store name? These checks cost nothing and answer the first questions anyone reviewing a Shopify Payments account review style file would ask. The descriptor guide and the return policy guide show how to tidy two of the most common gaps.
Stranger test (adapt to your case)
[ ] Business name, address and email visible in the footer
[ ] Shipping times and costs stated before checkout
[ ] Return and refund policy linked and dated
[ ] Billing descriptor matches the store name
[ ] Order confirmation sent within minutes
[ ] Shipping email with tracking sent when fulfilled
[ ] Support reply inside one business day
What should you do if a review email asks for documents you do not have?
Say so plainly and send what you do have. A short honest reply beats silence or a guess. If a record is missing, state why and what you will do to get it, with a date.
| Missing item | Honest reply | Fix for next time |
|---|---|---|
| Carrier proof for one order | "Carrier page shows no scan; refunded on [date]" | Save tracking pages weekly |
| Supplier invoice | "Invoice requested on [date]; expected [date]" | Keep a folder per supplier |
| Customer thread | "Customer used phone; call note attached" | Log calls in a sheet |
| Policy history | "Policy live since [date]; screenshot attached" | Date every policy change |
Gap note (adapt to your case)
We could not provide: [item]
Reason: [short, factual]
What we have instead: [item]
What we are doing: [action] by [date]
Reviewers are people reading many replies. A clear gap note shows you track your own records, which is itself a sign of a careful store.
What does a 30 day plan look like?
| Day | What you do | Done when |
|---|---|---|
| 1 | Read every Shopify email; fill the extract | Deadlines in your calendar |
| 1 | Compute the 90 day rate | Number written |
| 2 | List open disputes by due date | Order of work set |
| 3 | Build or update the evidence pack | Pack in one folder |
| 4 | Reply to Shopify if a reply is due | Sent inside the window |
| 5 | Choose the top cause and one fix | Fix scheduled |
| 7 | Make the fix | Live |
| 14 | Recompute the rate and refund rate | Compared with day 1 |
| 21 | Review open disputes; file anything due | Nothing overdue |
| 30 | Recompute everything; update the log | Trend written down |
How will a Shopify Payments account review change your cash plan?
Even if nothing is held, a sensible Shopify Payments account review plan assumes some money might be. Add a buffer to your cash view and know your next two bills.
Cash cushion (our own rule of thumb, adapt to your case)
Cushion = 2 weeks of payouts + next two supplier bills
Example: weekly payouts C$5,000; bills C$3,000 and C$6,500
Cushion = 10,000 + 9,500 = C$19,500 of cash or credit room
If you cannot reach the cushion, split a stock order, ask suppliers for longer terms or slow ad spend. Our reserve guide has a calculator for the held amount, and the negative balance guide explains what happens when debits exceed your balance.
How does ChargeFix help with a Shopify Payments account review?
We want to be plain: ChargeFix cannot start, stop or shorten a review. What it does is the dispute work that feeds the signal.
- Dispute fetched. ChargeFix fetches each chargeback as it opens, so the reason, amount and due date sit in one list.
- Records read. It reads the order, addresses, fulfilment and tracking data, and refund history.
- Evidence scored. It shows what is present and what is missing, with a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it never claims a delivery or message your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, and a win does not remove a chargeback from your rate. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What is different about a Shopify Payments account review in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days and decides in writing within 45 days | Use the complaint route for service issues |
| Oversight | The Financial Consumer Agency of Canada supervises the Code of Conduct but does not decide individual disputes | A complaint does not overturn a risk decision |
| Payout timing | Minimum settlement of 3 days; no payouts on weekends or holidays | Add it to your cash view |
| Chargeback fee | C$15 or US$15, returned only on a win | See the fee guide |
| Program fee | C$15 or US$15 on each automatically resolved dispute | See the program guide |
| Language | Quebec customers may expect French | See the Quebec guide |
Using the complaint route. Shopify Payments (Canada) publishes its complaint handling terms. A complaint is separate from replying to a review email. It is a route for service concerns, and we have no source showing it changes a risk decision, so do not count on that.
What are the 10 mistakes to avoid during a Shopify Payments account review?
- Panicking over forum stories. They describe one store, not yours.
- Missing an email deadline. Windows are stated in the message.
- Sending a long history. Answer what is asked.
- Stopping dispute filing. Unanswered cases still count against you.
- Assuming wins fix the rate. Winning does not remove a chargeback from it.
- Opening a second account. It risks worse trouble.
- Ignoring refunds and delivery gaps. They are listed risk factors.
- Skipping the cash cushion. A held payout arrives before a release does.
- Sending five messages. One clear reply with records is easier to act on.
- Keeping no log. A dated record of fixes makes the next conversation easier.
Frequently asked questions
What is a Shopify Payments account review?
Shopify publishes no standalone page that defines a Shopify Payments account review. Merchants use the phrase for a reserve, an account health notification, program enrolment or a request for information. Each has its own Shopify page, and each rests on risk signals such as your chargeback rate, refund rate, delivery timelines and sales surges.
How long does a Shopify Payments account review take?
Shopify does not publish a Shopify Payments account review timeline, so no honest guide can give one. Forum stories range widely and describe single stores. Read the email for any stated deadline, reply inside it and plan your cash as though a hold could last for weeks, then adjust when you hear more.
Do chargebacks trigger a review?
They can contribute to a Shopify Payments account review. Shopify's monitoring page says a high rate can lead to a reserve, program enrolment or an account health notification. Its reserves page also lists refund rate, billing cycles, long delivery timelines and volume surges, so chargebacks are one signal of several rather than the only trigger.
What chargeback rate is too high?
Shopify gives no numeric line on its monitoring page. Its program page ties enrolment to a rate of 1.5% or higher over the last 90 days and exit to below 1.00% for 30 days. Treat those as the lines Shopify has published, and act well before them.
Does winning disputes protect my account?
It protects your cash but not your rate. Shopify's monitoring page says winning a chargeback does not remove it from the rate, and disputes resolved through its program count too. The way to lower the signal is to receive fewer disputes, so prevention and clear communication matter as much as evidence.
Should I keep filing disputes during a review?
Yes. An unanswered dispute is a loss, and it still counts in your rate. Filing on time gives you a chance to recover the money and shows an active merchant. Keep to each due date, use strong, accurate evidence rather than guesses and log the outcome of every case.
Can I appeal a review decision?
Shopify's pages describe a reply route for some reserves, within the period the email gives, and chargeback decisions are final. They describe no wider appeal route for risk decisions. Reply inside any stated window with counts, a cause and a fix, and keep the record.
Will a complaint to Shopify change a review?
We found no source showing that. Shopify Payments (Canada) acknowledges a complaint within 5 business days and decides in writing within 45 days, but that route handles service concerns, not risk decisions. Reply to any review email separately, inside its own window, and keep both records.
What should I send if Shopify asks for documents?
Send exactly what is asked, labelled and short: order and fulfilment logs, tracking and delivery records, customer messages, policy pages and supplier invoices as relevant. A pack you update monthly means you can answer within hours rather than days, and it keeps your reply calm.
How does ChargeFix help with a Shopify Payments account review?
ChargeFix cannot start, stop or shorten a review, but it fetches each dispute, reads your order and tracking data, scores the evidence and drafts the letter from verified facts, so you fight winnable cases well. In Manual mode, the default, each response waits for you.
