Canada Post Proof of Delivery Chargeback: Evidence Kit (2026)

ChargeFix guide cover with a parcel icon: Canada Post Proof of Delivery Chargeback: Evidence Kit

The parcel went out with Canada Post on a Tuesday. Tracking says delivered. Seven weeks later the customer's bank says it never arrived, and the dispute window on your side is a few days. You open Canada Post's Track page, enter the tracking number, and find that the delivery confirmation you need is no longer online. A Canada Post proof of delivery chargeback is won or lost on the day of delivery, not the day of the dispute.

Quick answer: For a Canada Post proof of delivery chargeback on Shopify Payments, the best evidence is the delivery confirmation PDF from Canada Post's Track page (Delivery details, then the delivery confirmation link, with the destination postal code). Canada Post says it is online for 45 days after delivery, so download it when the parcel arrives. Add a signature record for higher value orders, match it to the shipping address and tracking number, and file with Shopify before the due date.

This guide is for you if:

  • You ship Shopify orders from Canada with Canada Post.
  • You want a routine that has the delivery record ready before any dispute arrives.
  • You need to know what Canada Post gives you, what it does not, and how to attach it.

Last updated: 22 October 2026

Disclosure: ChargeFix publishes this guide and sells an app for Shopify Payments disputes. Canada Post details come from Canada Post's own pages and Shopify rules from Shopify's Help Center. We did not verify rules for delivery photos, safe drop or leave at door service, so this guide does not state any. Check your own service options with Canada Post.

TL;DR

  • The delivery confirmation is a PDF in Track, reached through Delivery details, and it needs the destination postal code.
  • A proof of delivery chargeback is decided by the record you saved on delivery day.
  • Canada Post keeps it online for 45 days from delivery. Save it at delivery.
  • Signature is chosen at shipping. It records a name and signature, and carries no extra fee on Priority and Xpresspost Certified.
  • The proof must cover each disputed item, because a Canadian ombudsman case turned on exactly that.
  • File with Shopify before the due date. The window is 7 to 21 days with no extensions.

Do this today

  1. Pick five recent Canada Post orders and open their delivery confirmation.
  2. Download the PDFs that are still inside 45 days.
  3. Name each file by order number and save it with the order.
  4. Write down which service levels include a signature for you.
  5. Set a daily reminder to save confirmations for parcels delivered yesterday.

What is a proof of delivery chargeback from Canada Post on Shopify?

It is a card dispute where the customer says the order never arrived, and Canada Post carried it. Each Canada Post proof of delivery dispute you win starts with the page you saved earlier. On Shopify Payments the reason is usually Product not received. Shopify's guidance for that reason is to submit proof of delivery before the chargeback, along with the fulfillment date and time, billing information, shipping and tracking details, and for digital products an activity log.

Canada Post matters because it is the carrier on a large share of Canadian parcels, and because its records are specific. Every proof of delivery chargeback tied to Canada Post is less about arguing and more about producing the right page at the right time.

What the customer says What the record has to show
"It never arrived" Delivered, with date, time and place
"Someone else took it" A signature or notice card record, if one exists
"It went to the wrong address" The destination matches the order
"I only got one of my two items" A record for each item
"I was not home" What Canada Post did when no one answered

Shopify also tells you to contact the customer first. Sometimes the parcel is at a neighbour's, at the post office under a notice card or with a household member, and a short message ends the dispute.

What does Canada Post's delivery confirmation contain?

Canada Post provides delivery confirmation as a PDF in Track. Canada Post's instructions are to enter the tracking number, select the Delivery details link, then select the delivery confirmation link. You are asked for the destination postal code and a verification step.

Item What to know
Format PDF you can view and download
How to reach it Track, tracking number, Delivery details, delivery confirmation link
What it needs Destination postal code and verification
Online window 45 days after delivery
Signature items If the signature is not online, Canada Post says to contact them

Canada Post's own wording sets the clock: "Delivery confirmation is available online for 45 days after your package is delivered." That sentence is the reason this guide exists. It does not say what happens after the window, so plan as if the page may be gone.

Keep the destination postal code on the order record. If the person downloading the PDF has to ask a customer for it, the step will be skipped.

Downloading the confirmation (step by step)

1. Open Canada Post Track.
2. Enter the tracking number from the order.
3. Select "Delivery details".
4. Select the delivery confirmation link.
5. Enter the destination postal code and complete the verification.
6. Download the PDF.
7. Save as: order-[number]-canada-post-confirmation.pdf
8. Check: tracking number, date, address and signer (if any) are visible.

Why does a proof of delivery chargeback depend on saving the confirmation on delivery day?

A proof of delivery chargeback arrives weeks after the parcel does. The cardholder's bank decides the timing, not you, and the Shopify response window then runs from the notice. If you wait for the dispute to look for the record, the 45 days may already have passed.

Day Event Risk if you wait
Day 0 Parcel delivered None yet
Day 1 You download the PDF Safe
Day 20 Customer contacts you Still inside the window
Day 45 Online window ends Record may need a request to Canada Post
Day 50 and later Dispute opens Online route may be closed

A daily routine costs a few minutes and removes the usual cause of a lost proof of delivery chargeback. Once a day, take the orders marked delivered since yesterday, open each confirmation and save it.

Daily delivery routine (10 minutes)

[ ] List Canada Post orders delivered since yesterday
[ ] For each: open Track > Delivery details > confirmation
[ ] Download the PDF and rename it by order number
[ ] Drop it in the order folder
[ ] Flag any order where the confirmation is missing or unclear
[ ] Message the customer on flagged orders before they message you

For a low volume store this is a coffee-break task. For a busy store, assign it to one person and make it part of the shipping checklist. The aim is that no Canada Post order older than a day is missing its confirmation.

What does a signature record add in a proof of delivery chargeback?

Canada Post's signature option gives proof of a personal hand-off. The recorded name and signature of the signer are what make it stronger than a tracking scan. Canada Post says the shipper must choose the option at shipping. It is no charge on Priority and Xpresspost Certified, and it is required for Additional Liability Coverage.

Signature situation What Canada Post records What it means for your case
Someone signs Name and signature Strong direct proof of hand-off
Recipient refuses Marked "SIGNATURE REFUSED" Shows delivery was attempted
No one answers Delivery Notice Card left Parcel waits at the post office
Child at the door Signature items are not delivered to children Delivery is not completed

If no one answers, Canada Post uses a Delivery Notice Card that directs the addressee to the post office, where photo ID matching the address is required. A parcel waiting at the post office has not been delivered, so it is not proof of delivery. If a customer says they never received it, find out whether a card was left and whether the parcel was collected.

A hard copy of the name and signature is available from Canada Post. Canada Post's pages do not state its cost, so ask before relying on it for many orders.

When is a signature worth choosing to head off a proof of delivery chargeback?

A signature adds friction, and it changes your odds if a proof of delivery chargeback follows. Some customers dislike it and some parcels get returned because no one is home. The decision is a trade-off, and you can price it.

Signature decision (per order value band)

Order value = V
Chance of a not-received dispute without signature = p1 (your own history)
Chance with signature = p2 (your own history)
Fee + lost goods if you lose = V + C$15
Signature cost = S (zero on Priority and Xpresspost Certified)

Choose signature when: (p1 - p2) x (V + 15) > S + cost of failed deliveries

You do not need exact figures. Look at your last 12 months of disputes by order value. If most Canada Post disputes sit above a certain value, make signature the default above that line.

Order value band Suggested approach
Low value Standard service, confirmation PDF saved
Mid value Standard service plus confirmation, consider signature for repeat disputers
High value Signature at shipping, and keep the signature record
Age restricted items Proof of Age option, if you qualify

The bands are yours to set. The point is to decide in advance rather than at checkout.

What is Proof of Age and who can use it?

Canada Post offers Proof of Age at 18, 19 or 21. It is a paid option for Solutions for Small Business cardholders and for commercial shippers using an approved electronic shipping system. The agent asks for photo ID when the receiver appears under 30, and the shipper has to select the correct age at shipping.

Point Detail
Cost For a fee
Who Solutions for Small Business cardholders and approved commercial shippers
Ages 18, 19 or 21
ID check Photo ID when the receiver appears under 30
Shipper's job Select the correct age when shipping

It fits age restricted goods better than ordinary orders. For a Shopify store selling such products, a Proof of Age delivery is both a legal safeguard and a strong record in a dispute. For everything else, the signature option is the simpler choice.

How do you check that the proof of delivery matches the order?

A delivery confirmation only helps if it matches the order. Before you save it, compare four things.

Check Order record Canada Post record
Tracking number On the Shopify order On the PDF
Address and postal code Shipping address Destination on the PDF
Delivery date After the fulfillment date On the PDF
Signer Customer or household member Name on the signature record, if any

If the destination postal code on the PDF differs from the order, find out why before a dispute arrives. A mismatch can mean a typing error, a redirected parcel or a wrong label. If the parcel went to the wrong place, the customer is right and a refund is cheaper than a lost dispute.

Match check (copy for each order)

Order #: ______
Tracking number: ______ matches PDF? [ ]
Ship-to postal code: ______ matches PDF? [ ]
Fulfillment date: ______
Delivery date on PDF: ______ after fulfillment? [ ]
Signer (if any): ______ plausible? [ ]
Items in this parcel: ______ all disputed items covered? [ ]

How do you handle the usual exceptions to a proof of delivery chargeback?

Most proof of delivery chargebacks are clean. A few arrive with a twist, and it helps to decide your response before the twist shows up. Each row below describes a situation, what the record can and cannot show, and the safest first move.

Situation What the record can show First move
Someone else signed A name that differs from the cardholder Ask the customer whether a household member or neighbour took it
Parcel left with a building contact Depends on the service chosen Check your service options with Canada Post, then ask the customer
Customer moved after ordering Delivery to the address on the order Show the address matches what the customer entered at checkout
Parcel returned to sender A return scan, not a delivery Refund or reship; this is not a fight
Delivery marked, customer insists no Delivery confirmation without signature Ask for details, then weigh the cost sheet
Customer says "wrong item" Delivery proof does not cover contents Treat as a different dispute reason

The last row matters. A proof of delivery chargeback turns on one question, "did it arrive". It does not answer "was it what I ordered". If the customer's complaint moves from not received to not as described, the evidence you need changes, and our guide to product not as described chargebacks covers that case.

For the second row, this guide does not state what Canada Post does with a parcel when no one is home beyond the Delivery Notice Card, because Canada Post's pages did not describe other methods. Check what your chosen service does before you tell customers.

How do you organise files so a case takes minutes?

When a notice arrives, the slow part is finding things. A fixed folder structure turns a hunt into a drag and drop.

/disputes-evidence
  /2026-10
    /order-1042
      01-canada-post-confirmation.pdf
02-signature-record.pdf (if the service included one)
      03-order-and-fulfillment.pdf
      04-shipping-policy-checkout.png
      05-customer-messages.pdf
      notes.txt (dates, who did what)
    /order-1043
      ...

The numbering matches Shopify's evidence order, so the files go into the response in the same sequence. Keep every file under 2 MB and the set under 4 MB.

Habit Payoff
Name files by order number No guessing which PDF belongs to which order
Number files in evidence order Direct proof first, as Shopify ranks it
Keep a notes file Dates and actions in one place
Store a copy of the shipping policy Policy documentation ready
Back up the folder A lost laptop does not lose the case

A tidy folder is half the work of any proof of delivery chargeback, and it also helps with the audit side. At the end of a quarter you can count how many Canada Post orders had a saved confirmation and how many did not.

How do you run this routine as a team for proof of delivery chargebacks?

If more than one person touches shipping, write the routine down and give each step an owner. Proof of delivery chargebacks are easiest to win when nobody has to ask who was meant to save the PDF.

Task Owner When
Choose service level and signature Whoever ships At shipping
Save tracking number to the order Whoever ships At shipping
Download delivery confirmation One named person Daily
Flag mismatches and missing records Same person Daily
Respond to disputes Owner or support lead Within 2 days of notice
Review missed confirmations Owner Monthly
Monthly check (15 minutes)

Canada Post orders delivered this month: ____
Orders with a saved confirmation: ____
Orders missing a confirmation:                ____  -> why?
Disputes opened this month: ____
Disputes where the saved record decided it: ____
One change for next month: ______________________

A monthly number keeps the habit honest, and it shows whether proof of delivery chargebacks are trending up. If missing confirmations rise, the routine is slipping, and the next proof of delivery chargeback will find the gap.

What if a proof of delivery chargeback covers more than one parcel?

This is the case that catches stores out. A recent Canadian ombudsman case shows why. In May 2026 the Ombudsman for Banking Services and Investments (OBSI) published a case about a missing delivery. The bank closed a chargeback in the merchant's favour, saying the merchant had proof that Canada Post delivered. OBSI found that the shipping evidence covered only one of two invoiced items, each with its own tracking number, and upheld the customer's complaint.

The lesson is plain. Proof of delivery has to cover each disputed item.

Order shape What to save
One item, one parcel One confirmation
Two items, two parcels Two confirmations, one per tracking number
One parcel, several items One confirmation plus a packing list
Split shipment, different dates Each confirmation with its own date
Replacement sent later Both tracking numbers and the reason
Multi-parcel evidence sheet

Order #[number], items invoiced: 2

Item 1: ______ tracking ______ delivered ______ PDF: file 1
Item 2: ______ tracking ______ delivered ______ PDF: file 2

Statement: "Both items on the invoice were delivered under the tracking
numbers above, to the postal code on the order."

Name each PDF by order and item. A reviewer should be able to match each invoiced line to a delivery record without guessing.

What if the 45 days have passed on a proof of delivery chargeback?

Plan for it, because it will happen. Canada Post says that if a signature was obtained but is not online, you should contact Canada Post to access the delivery confirmation. The pages we reviewed do not state how long records are kept beyond the online window, so do not promise yourself a particular date.

Situation What to do
Inside 45 days Download the PDF now
Past 45 days, signature item Contact Canada Post and ask for the confirmation
Past 45 days, no signature Contact Canada Post, and use the tracking events saved in your store
Dispute due in a few days Start the request immediately and file with what you have
Nothing available Weigh a refund against the fee and time

Shopify's chargeback process also saves order data on the due date, but that is a bare minimum rather than a case. If the only evidence is the tracking history and the order record, be honest in your cost sheet about the chance of a win.

How do you turn Canada Post records into evidence for a proof of delivery chargeback?

Shopify accepts PDF, JPEG or PNG files up to 2 MB each and 4 MB combined, with one file per evidence type and no links, audio or video. Shopify ranks evidence from direct proof to customer acknowledgment, then policy documentation and supporting context.

Evidence Rank File
Canada Post delivery confirmation Direct proof PDF
Signature record Direct proof PDF or image
Customer messages saying it arrived Acknowledgment PDF
Shipping policy shown at checkout Policy PDF or image
Order and fulfillment record Supporting PDF

If your files are too large, scan at a lower resolution, use high contrast black and white and combine related pages into one PDF. Shopify's own tip is to use images that print well in black and white and are readable without zooming.

Response to a not-received dispute (adapt to your case)

Order #[number], C$[amount], shipped [date] with Canada Post,
tracking number [number].

Summary
Canada Post's delivery confirmation shows the parcel delivered on [date]
to postal code [code], matching the shipping address on the order.
[A signature was recorded for [name].]

1. Delivery confirmation (file 1)
2. Signature record, if any (file 2)
3. Fulfillment and billing details (file 3)
4. Shipping policy shown at checkout (file 4)
5. Customer messages (file 5)

Each invoiced item is covered by a tracking number listed above.

Do not pad your reply in this kind of case. A reviewer reads for the delivery page first, so put it first.

When should you refund instead of fight a proof of delivery chargeback?

Use the same cost sums as for any other proof of delivery chargeback. A lost dispute costs the amount, the C$15 or US$15 fee (charged at filing, returned only on a win) and your time.

Fight or refund: not received

Amount                         = A
Fee                            = F  (C$15 or US$15, back only on a win)
Time                           = T
Honest chance of winning = c

Refund now: loss = A
Fight: expected loss = (1 - c) x (A + F) + T

Fight when (1 - c) x (A + F) + T < A
Your record Usual call
Confirmation plus signature, address matches Fight
Confirmation only, address matches Fight for mid and high value
Confirmation shows another postal code Refund
Parcel at the post office on a notice card Contact the customer first
No record at all Refund or fight on cost, not hope

A fraud coded dispute is a different case. If the customer claims they did not make the order, the evidence is closer to the Shopify fraudulent list, and delivery proof is only part of it.

How does ChargeFix help with Canada Post proof of delivery chargebacks?

ChargeFix works with Shopify Payments disputes. It reads your order, the fulfillment and tracking details and the billing data, then tells you what is strong and what is missing.

  1. Dispute fetched. ChargeFix fetches the chargeback when it opens.
  2. Order read. It reads the order, fulfillment, tracking number and addresses from your store.
  3. Evidence scored. Each item is checked and gaps get a fix beside them, such as a missing delivery confirmation or a postal code that does not match.
  4. Plain verdict. Worth fighting, improve the evidence first or weak evidence.
  5. Letter from facts. The response is drafted only from verified facts.
  6. You approve. Manual mode is the default. Auto mode, on Starter plans and above, is off until you turn it on and confirm. Its default rule is product not received with delivery confirmed, and everything else is saved as a draft.

On every proof of delivery chargeback you still bring what only you can: the Canada Post PDF and signature record, saved at delivery. ChargeFix cannot download them from Canada Post for you, and it cannot promise a win. It stores minimal data: case ID, amount, reason, status, dates and shop settings, not customer names, addresses, emails or letters. The free plan covers 2 filings a month, and every paid plan starts with a 14 day trial.

What does a dated plan for a proof of delivery chargeback look like?

The plan below, built around one proof of delivery chargeback, assumes the shortest window, 7 days.

Day What you do Done when
Day 0 Dispute opens. Note amount, reason, due date Deadline is written down
Day 1 Find the confirmation PDF in your order folder File located or request sent
Day 2 Run the match check on address, tracking and items Every line ticked
Day 3 Contact the customer Message sent and saved
Day 4 Prepare files under 2 MB each Files ready
Day 5 Draft the response in Shopify's evidence order Every claim has a file
Day 6 File Confirmation in admin
Day 7 Spare day Nothing left to do
Up to 75 days later Card company decides Record the result

What is different about proof of delivery chargebacks from Canada Post?

Most guides to a proof of delivery chargeback assume US carriers. For a Canadian store on Shopify Payments, a few points change.

Topic What applies What to do
Carrier records Canada Post confirmation online for 45 days Save at delivery
Fee currency C$15 or US$15 by payout currency Cost disputes in your payout currency
Signature Chosen at shipping Decide per order value in advance
Cross-border parcels Different carrier records may apply Check your carrier's pages for those parcels
Complaints Code of Conduct for the Credit and Debit Card Industry Raise a complaint with your processor first
Ombudsman OBSI handles consumer complaints against banks Know that banks must justify closing a dispute
Benchmarks Mostly US or global Compare yourself with your own history

Shopify Payments complaints. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code but is not a dispute resolution agency for individual cases.

Carrier options we did not verify. This guide does not describe delivery photos, safe drop or leave at door options because we could not confirm them. Check your service's current options on Canada Post's site before you tell a customer how a parcel will be left.

What are the 10 mistakes to avoid with a proof of delivery chargeback?

These are the slips that turn a winnable proof of delivery chargeback into a loss.

  1. Waiting for the dispute to find the record. The online window is 45 days.
  2. Skipping the signature on high value orders. It cannot be added afterwards.
  3. Treating a notice card as delivery. A parcel still held at the post office is not yet delivered.
  4. Not matching the postal code. A mismatch is a loss in waiting.
  5. One confirmation for two parcels. The second parcel has no proof.
  6. Oversized files. Shopify limits files to 2 MB each and 4 MB combined.
  7. Links instead of files. Shopify does not accept links.
  8. Ignoring the customer. Contacting them first ends many disputes.
  9. Promising delivery options you have not checked. Photos and safe drop are not covered here.
  10. Fighting without a cost sheet. A weak record plus the fee costs more than a refund.

FAQs

What is a proof of delivery chargeback with Canada Post?

It is a card dispute where the customer says a parcel never arrived and Canada Post carried it. On Shopify Payments the reason is usually Product not received. Your best evidence is Canada Post's delivery confirmation PDF, plus a signature record where you chose one, matched to the order's address and tracking number.

Where do I find Canada Post delivery confirmation?

Open Canada Post Track, enter the tracking number, select Delivery details, then the delivery confirmation link. You will enter the destination postal code and complete a verification. The confirmation is a PDF you can download, so rename it by order number and keep it with the order.

How long is it available online?

Canada Post says delivery confirmation is online for 45 days after delivery. That is why the habit of saving it the day after delivery matters. If a signature was obtained but is not online, Canada Post says to contact them to access the confirmation.

Do I need a signature to win a proof of delivery chargeback?

No. Signature is chosen at shipping and costs nothing extra on Priority and Xpresspost Certified. It adds friction, so many stores use it for higher value orders. Look at your own dispute history by order value and set a line above which signature is the default.

What does a signature record show?

It records the name and signature of the person who received the parcel, which is direct proof of a personal hand-off. If the recipient refuses, Canada Post marks it SIGNATURE REFUSED. A hard copy of the name and signature is available, though the cost is not stated in the pages we reviewed.

What if no one answered the door before the proof of delivery chargeback?

Canada Post leaves a Delivery Notice Card that directs the addressee to the post office, where photo ID matching the address is required. A parcel held at the counter is not yet delivered, so do not present it as proof of delivery. Contact the customer and find out.

What if my proof of delivery chargeback involves two parcels?

Save a confirmation for each tracking number. A Canadian ombudsman case in May 2026 turned on shipping evidence that covered only one of two invoiced items. Each disputed item needs its own record, so match each invoiced line to its own record.

What if the 45 days passed before the proof of delivery chargeback?

Contact Canada Post and ask for the confirmation, especially for signature items. Nothing we read says how long records are kept after the online window, so start the request at once and file with what you have. Weigh a refund against the fee if the record is thin.

How does ChargeFix help?

ChargeFix fetches the dispute, reads your order, fulfillment and tracking data, scores the evidence and drafts the letter from verified facts. It does not download Canada Post files for you, so save the PDF at delivery. It stores minimal data and cannot promise a win.

Should I fight every proof of delivery chargeback?

No. Run the cost sheet for each proof of delivery chargeback. Fight when you hold a confirmation that matches the order and, for higher value orders, a signature record. Refund when the postal code does not match, the parcel sits at the post office or you have nothing but a tracking history.

Start free trial with ChargeFix

You now have a delivery routine, a match check and a response template for any Canada Post proof of delivery dispute. What most stores lack is the time to assemble a clear case before the due date. The free plan includes 2 filings every month, and every paid plan starts with a 14 day free trial. There is no cut of what you win, and no contract.
