A Lethbridge pet supply store learns the cost of refund before chargeback timing on a Tuesday. It gets an angry email: the bag of dog food arrived split open, and the customer wants their money back. The owner replies the same afternoon, "I'll refund you Friday, just need to check with the supplier". On Thursday, a chargeback lands. The C$64 order and a C$15 fee leave the next payout, and when the owner opens the order on Friday to keep the promise, the refund will not go through. The owner did nothing dishonest and still paid twice, once in goods and once in fees. The lesson sits in a single idea, and it is the subject of this guide: a refund before chargeback is cheap, quick and fully in your control, while the same refund after a chargeback is not possible at all. Here is when the window is open, how to use it, what not to do with it and what to do once it has closed.
Quick answer: In Shopify, a refund before chargeback works only while no chargeback is open. If the customer's bank has opened an inquiry, Shopify says a full refund ends it, but a partial refund does not stop a chargeback from following. Once a chargeback is open, no refund is possible, and the amount plus the C$15 or US$15 fee come out of your next available payout, returning only if you win. So refund promptly from the Shopify admin when you owe the money, keep the record, and never promise a refund "on Friday" while a customer is angry on Tuesday.
This guide is for you if:
- You sell on Shopify in Canada with Shopify Payments and have a customer asking for money back.
- You have promised a refund and wonder whether a dispute can still arrive before you pay it.
- You want a rule for when to refund at once, when to refuse and how to write it down either way.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, and the provincial refund timing comes from a Quebec consumer protection page and an Ontario legal education page, all listed at the end. This guide is general information and not legal advice. Where a source does not say, this guide says so rather than guess.
TL;DR
- A refund before chargeback is possible only while no chargeback is open. Shopify blocks refunds once one is.
- Refunding in full ends an inquiry. A refund of only part of the amount does not prevent a chargeback.
- If you owe the money, refund from the Shopify admin the same day. A promise to refund later is not a refund.
- If you do not owe the money, do not refund to make the dispute go away. Keep your evidence and decline in writing.
- Whatever you decide, keep a dated record, because a refund record is direct proof in a later dispute.
Do this today
- List every customer who is waiting on a refund or a reply, with the date they first asked.
- For each one, decide today: refund, decline in writing or ask for a return first.
- Issue every refund you owe from the Shopify admin, not by another route.
- Email each customer the amount, date and payment method refunded.
- Save a dated PDF of each refund record and each message.
Refund before chargeback in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the request | Note the order, amount and the customer's reason | You need the claim in one line |
| 2. Check for a dispute | Look for an open inquiry or chargeback on the order | The type decides whether a refund is possible |
| 3. Decide | Refund, decline or ask for a return first | Do not leave it open |
| 4. Refund from the admin | Issue it in Shopify, not elsewhere | Shopify keeps the record and includes refunds in its dispute data |
| 5. Tell the customer | Amount, date, payment method | A dated email ends most follow ups |
| 6. Save proof | Refund record and messages as PDF | Direct proof if a dispute arrives anyway |
When can you still do a refund before chargeback in Shopify?
You can refund as long as no chargeback is open on the order. The state of the order decides which action works, so check it first.
| State of the order | Can you refund? | What happens |
|---|---|---|
| No dispute open | Yes | Settles the complaint before a bank is involved; keep the record |
| Inquiry open | Yes | A full refund ends the inquiry; a partial one does not stop a chargeback |
| Chargeback open | No | Shopify blocks refunds; you can only file evidence or accept |
| Chargeback closed, you won | Not needed | Amount and fee returned in your next payout |
| Chargeback closed, you lost | Not applicable | The amount and the fee stay with the card company |
The whole refund before chargeback question reduces to the first three rows. You hold a free action in the first two and lose it in the third. That is why speed matters more than generosity.
Why does the refund before chargeback window close without warning?
Because the customer controls the timing. A customer can ask their bank about a charge while you are still replying to their email. The Shopify pages we read do not give a limit on how soon after a purchase a customer may do this, so we will not state one. The sensible rule is to treat every unhappy customer message as the start of the refund before chargeback clock, and to settle it the day you decide.
Why does a refund before chargeback cost less than a chargeback?
Because a chargeback adds the fee, locks up the money for weeks and removes your option to refund. Compare the outcomes for the same C$64 order.
Same C$64 order, three paths (illustrative figures)
Path 1: refund before chargeback, same day
Money out: C$64.00 (refund)
Fee: C$0.00
Time: about 15 minutes
Case ends.
Path 2: chargeback arrives first, you file evidence and lose
Money out: C$64.00 + C$15.00 fee = C$79.00
Time: about 30 minutes plus up to 75 days of waiting
Case ends with no money back.
Path 3: chargeback arrives first, you file evidence and win
Money out: C$0.00 once the amount and fee are returned
Time: about 30 minutes plus up to 75 days of waiting
If you owe the refund anyway, path 1 is the only path where the C$15 is never at risk. The difference between path 1 and path 2 is exactly the fee, plus the hours, plus the weeks of uncertainty. Our Shopify Payments chargeback fee guide covers the fee in more detail.
When should you do a refund before chargeback and when should you not?
Refund when the complaint is fair. Do not refund when it is not, unless the order is so small that a refund costs less than a fight. A rule you write once beats a mood you have each time.
| Situation | Refund before chargeback? | Why |
|---|---|---|
| Parcel lost, tracking shows no delivery | Yes | You cannot prove delivery, and a lost fight costs the fee as well |
| Wrong item sent | Yes | The complaint is fair |
| Item arrived damaged, photos match | Yes, or replace | The complaint is fair |
| Duplicate charge caused by your store | Yes, refund the duplicate | Your error |
| Delivered with a door photo and the customer emailed thanks | No | You hold strong direct proof |
| Customer wants to return after the stated window | Usually no, offer store credit if you choose | Your policy is the argument |
| Order flagged as fraud and not yet shipped | Cancel and refund | Prevents both the loss and the dispute |
| Customer vague, no evidence of a problem | Ask a question first | A refund is not owed yet |
When the answer is "yes", do it at once. When the answer is "no", decline in writing, politely, with the facts. Never let a customer wait in silence. Silence leaves the customer one obvious next step, their bank, and our customer emails guide shows why the replies you send also become evidence.
What about a lost parcel?
It is the hardest category, because you may not be at fault but you cannot prove delivery either. Our lost parcel guide covers it. The short rule: if tracking never shows delivery, refund before chargeback and claim against the carrier separately. If tracking shows delivery to the right address, hold your ground and reply with the record.
How do you issue a refund before chargeback in Shopify?
Shopify's chargeback pages say that if you owe a refund, you should issue it from the Shopify admin. That matters for a practical reason. Shopify Payments includes refunds in the data it holds for a dispute, so a refund issued in the admin is visible to the reviewer, while a refund sent by some other route would not appear there.
| Do | Do not |
|---|---|
| Issue the refund in the Shopify admin on the order | Send money by another route and hope it shows up |
| Refund the full amount if the complaint is fair | Offer part of the money to see if the customer drops it |
| Email the customer with the amount and date | Say "refund on its way" with no figure |
| Save a PDF of the refund record | Rely on memory |
| Note the refund on your dispute list | Forget to close the loop |
We found no source for how long a bank takes to show a refund on a customer's statement, so this guide states no figure. The practical line for the customer email is that the refund has been issued on your side, and that their bank sets how soon it appears.
Refund email (adapt to your case)
Subject: Your refund for order #[number]
Hi [name],
We have refunded C$[amount] for order #[number] to your original
payment method today, [date]. Your bank decides how soon it appears on
your statement. If anything is not right, reply to this email and we
will look at it the same day.
[Your name], [store]
Does a partial refund count as a refund before chargeback?
No. Shopify says a partial refund does not prevent a chargeback. The customer questioned the whole charge, and a partial refund leaves the rest of it open. The pages we read do not describe how a partial refund is netted against a later chargeback, so ask Shopify Support rather than assume.
| Refund type | Ends an inquiry? | Stops a chargeback? |
|---|---|---|
| Full refund | Yes | Not applicable; it is only possible before one starts |
| Partial refund | No | No |
| Store credit | Not a refund | Does not remove the card charge |
Store credit deserves its own note. It can be a fair outcome when the customer agrees to it, but it leaves the card charge in place. If the customer has already told their bank the charge is wrong, store credit does nothing to the dispute. Use it only after the customer has agreed in writing, and keep the agreement.
What if you want to refund part and keep part?
Do it only when your written policy says so, for example a restocking fee that the customer was shown at checkout. Our return policy guide covers how to write that clause. Put the reason in the email, because a reviewer who sees a partial refund without an explanation sees an unresolved complaint.
What should you not do while a refund before chargeback is pending?
Waiting is the usual cause of a missed refund before chargeback. Four patterns appear again and again.
| Pattern | Why it hurts | Fix |
|---|---|---|
| "I'll refund Friday" | A chargeback can arrive first | Refund today or tell them plainly why not |
| Waiting for the supplier | The supplier is not your customer | Refund first, claim from the supplier after |
| Waiting for the return | You may be waiting for something that never comes | Refund on proof of shipment, or hold only if your policy says so |
| Testing the customer with a part payment | It does not stop a chargeback | Offer a full refund or a clear decline |
If you hold a refund pending a return, say so in the policy before purchase, not after the complaint. A return condition that appears for the first time in the reply looks like a delay tactic.
What if the customer disputes after your refund before chargeback?
It can happen, for example when the refund has not yet shown on the customer's statement. This is where a clean refund record earns its keep. The refund shows in the data Shopify Payments holds, and it is the strongest direct proof for a credit not processed claim. Our credit not processed guide covers the evidence in depth.
| Evidence | Why it works |
|---|---|
| The refund record from the Shopify admin | Shows the money was returned and when |
| Your email to the customer with the amount and date | Shows they were told |
| The customer's earlier messages | Shows the complaint was handled |
| Your refund policy in force on the order date | Shows the terms |
File it before the due date, because after that no evidence can be added. If the customer says they cancelled the dispute, still file. Shopify's page says to submit evidence even then.
What happens on the bank side after a refund before chargeback?
We found no page describing the bank side in detail, so this guide stays with what Shopify's pages say. An inquiry ends when you refund it in full. A chargeback blocks refunds. Withdrawal of a chargeback by the customer needs a letter from their bank on letterhead and can take 30 to 90 days, with 5 to 10 business days afterwards for the bank to process the refund.
How do provincial refund rules fit with a refund before chargeback?
Two sources in Quebec and Ontario describe refund timing in particular situations, and both are narrow. The Quebec consumer protection office says that when a consumer validly cancels a distance purchase, the merchant has 15 days after the cancellation notice to reimburse and covers reasonable return fees. That page was updated on 5 October 2026. A legal education page for Ontario, last modified in January 2025, says a seller has 15 days after the cancellation notice to refund. It is older than the Quebec page, so check the current rules.
| Province | When it applies | Refund timing described |
|---|---|---|
| Quebec | A valid cancellation of a distance purchase | Merchant reimburses within 15 days of the notice |
| Ontario | A valid cancellation after missing information or a late seller | Seller refunds within 15 days of the notice |
Neither source gives a blanket right to a refund for any reason, and we found nothing on other provinces. This is not legal advice. The practical point for a refund before chargeback is that a customer can open a dispute at any point, so 15 days is no safe waiting time. Do not use the legal limit as your refund deadline.
Is a refund before chargeback worth it on a small order?
Often yes, when you owe it. The comparison is the refund against the amount plus the fee, with your time added.
Small order test, C$30 order (illustrative)
Refund now: C$30.00, no fee
Fight and lose: 30 + 15 = C$45.00, plus your time
Fight and win: C$0, plus your time
Your time: 30 minutes, call it C$15
Chance of winning = c
Expected cost of fighting = loss chance x 45, plus 15 for time
Fighting beats refunding only when that total is below 30
So loss chance x 45 must be below 15, which means a loss chance
under 0.33, which means a win chance above 0.67
On a C$30 order you need about a two in three chance to prefer a fight.
The win chance is illustrative, and we found no published Canadian rate. The shape is the point: on a small order, the fee and your time are large next to the amount, so a refund you owe is almost always the cheaper move. On a C$300 order the same test needs only a win chance above about one in ten, which is why the answer depends on the size and the proof.
What should your policy say so a refund before chargeback is easy to settle?
A refund before chargeback is easiest when the customer already knows what to expect. Most of the delay in a refund conversation comes from questions the policy could have answered: how long do I have, who pays the return, when will the money arrive. Our return policy guide covers the full clause list. For this purpose, four lines matter most.
| Clause | Example wording | Why it speeds up a refund |
|---|---|---|
| Who decides | "We review every refund request within one business day" | The customer knows a reply is coming |
| Evidence we need | "For damaged items, email photos within 7 days of delivery" | You can say yes quickly when the photos arrive |
| How we pay | "Refunds go to the original payment method" | No debate about method |
| When we pay | "We issue the refund within 3 business days of approval" | A number the customer can hold you to |
A policy cannot guarantee that no customer ever opens a dispute. What it does is give you a document to point to in the reply, in the file and in the review, and it shortens the gap between request and refund, which is where disputes grow.
How do you decline a refund without triggering a chargeback?
Decline in writing, with facts, with a path forward. A flat "no" invites a bank dispute. A reasoned "no" that cites the delivery record and offers a next step often ends the matter, and it gives you a dated message to attach if it does not. Declining is part of the refund before chargeback decision, not a separate skill.
Decline email (adapt to your case)
Subject: Your request about order #[number]
Hi [name],
Thank you for your message about order #[number] for C$[amount].
Our carrier record shows delivery on [date] at [time] to [address],
with a photo of the parcel at the door. Our shipping policy in force on
the order date is attached.
Because the order was delivered as shown, we are not able to refund it.
If you believe the parcel was taken or the contents are wrong, reply
with photos or details and we will look again within one business day.
[Your name], [store]
| Do | Do not |
|---|---|
| State the delivery facts with dates and times | Say "our records show it was delivered" and stop |
| Attach or quote the policy | Quote a policy you have not published |
| Offer one clear next step | Leave the door open to an endless thread |
| Reply within one business day | Wait for the customer to chase you |
| Save the email as a PDF | Rely on your inbox alone |
If the customer then opens a dispute, the decline email is acknowledgment evidence, and the rest of the file is the same as for any dispute. Our customer emails guide shows how to package it.
How do you keep a log that proves your refund before chargeback record?
A refund before chargeback only helps if you can show it later. Keep one log with a row per request, and update it the day you act. The log also shows you patterns: which products, carriers or periods produce most requests.
Refund request log (one row per request)
Received: [date and time] Order: [#number]
Customer asked: [one line] Amount: C$[amount]
Dispute open: none / inquiry / chargeback Checked on: [date]
Decision: refund / decline / return first
Decided on: [date] By: [name]
Refund issued: [date] Admin record saved: yes / no
Customer told: [date] Email saved: yes / no
| Habit | How | Why |
|---|---|---|
| Check for an open dispute first | Look at the order before replying | The state decides whether a refund is possible |
| Decide the same day | Write the decision in the log | A promise for later is the usual failure |
| Save two PDFs | The admin refund record and the customer email | Direct proof plus acknowledgment |
| Review monthly | Fifteen minutes on patterns | Fix the product page or carrier that keeps causing requests |
How does ChargeFix help with a refund before chargeback?
ChargeFix cannot issue refunds for you, and it does not claim to. What it does is tell you quickly whether you hold the proof to refuse. It is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the dispute when it opens, so you see the type and the due date on one list.
- Records read. It reads the order, addresses, fulfilment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence. A weak verdict on an inquiry is a signal to refund.
- Letter from facts. If you fight, the response is drafted only from verified facts, including the refund record if there is one.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan look like for a refund before chargeback?
| When | What you do | Done when |
|---|---|---|
| Hour 0 | Read the customer's message; note order, amount and reason | Claim written in one line |
| Hour 4 | Check the order for an open inquiry or chargeback | State confirmed |
| Hour 8 | Decide: refund, decline or ask for a return | Decision written down |
| Hour 24 | If refunding, issue it from the admin and email the customer | Refund record saved |
| Hour 24 | If declining, send the reasons and the facts in writing | Message saved |
| Day 2 | If a dispute arrives anyway, read the type and due date | Clock started |
| Day 3 to 5 | Build the file: refund record, messages, policy, tracking | Every claim points to a file |
| Day 5 | File by your cutoff | Confirmation in admin |
| Up to 75 days later | Card company decides | Note what mattered |
What is different about a refund before chargeback in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency, returned only on a win | Cost each case in your payout currency |
| Response window | Typically 7 to 21 days, no extension process found | Plan for the shortest |
| Provincial refund timing | Quebec and Ontario sources cite 15 days after a valid cancellation notice | Do not treat 15 days as your deadline |
| Language | Quebec buyers may write in French | Reply in kind and keep the original |
| Shopify Protect | US stores only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Payout currency. A store paid out in US dollars loses a US$15 fee, so run the small order test in your payout currency.
French. If a Quebec customer writes in French, reply in French if you can and keep the original message in your file. Our Quebec customers guide covers the language rules we found.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes. A complaint does not move a due date.
What are the 10 mistakes to avoid with a refund before chargeback?
- Promising a refund for later. A chargeback can arrive first.
- Offering part of the money. It does not prevent a chargeback.
- Refunding outside the Shopify admin. The record may not reach a reviewer.
- Refunding what you do not owe. Decline in writing and keep your evidence.
- Fighting what you do owe. A lost fight costs the fee as well.
- Waiting for the supplier. Refund first, claim after.
- Offering store credit unprompted. The card charge stays in place.
- Skipping the customer email. A dated message ends most follow ups.
- Forgetting to save the record. It is direct proof if a dispute arrives.
- Assuming a refund is possible after a chargeback starts. Shopify does not allow it.
Frequently asked questions
Can I refund a customer after a chargeback has started?
No. Shopify does not allow a refund while a chargeback is open. Your options are to file evidence or accept the loss, and the C$15 or US$15 fee is not refunded if you accept. If you owe the money, refund before a chargeback opens, ideally the same day.
Does a refund before chargeback stop the dispute?
If the dispute is still an inquiry, a full refund ends it. If no dispute exists yet, the refund removes the reason for one. A part refund does not stop a chargeback, so offer a full refund or a clear decline. Always refund from the Shopify admin so the record is visible.
What if I refund and the customer disputes anyway?
File the refund record as direct proof, with your email to the customer and your refund policy. Shopify Payments includes refunds in the data it holds, and the record is the strongest evidence for a credit not processed claim. File before the due date, because nothing can be added afterwards.
Is a partial refund better than nothing?
Not under Shopify's rules as we read them. It leaves the chargeback risk in place, and we found no page describing how it is netted against one. If the complaint is fair, refund in full. If it is not, decline in writing with the facts.
Should I wait for the customer to return the item?
Only if your policy says so before purchase. Otherwise waiting is risky, because a chargeback can arrive first and block the refund. For lost or damaged parcels, refund first and pursue the carrier or supplier separately. For returns, state the condition clearly in the policy.
Can I give store credit instead?
Only if the customer agrees in writing. Store credit is not a refund, and it leaves the card charge in place. If the customer has already told their bank the charge is wrong, store credit does nothing to the dispute, so do not offer it as a way to avoid one.
How long do I have to refund in Quebec or Ontario?
A Quebec consumer protection page says the merchant has 15 days after a valid cancellation notice, and an older Ontario page says the same for sellers. Neither gives a blanket right to a refund. Treat the 15 days as a legal limit, not your target, because disputes open much faster.
Is it worth refunding a small order to avoid the fee?
Usually yes, if you owe it. On a C$30 order, you need about a two in three chance of winning before a fight beats a refund, once the fee and your time are counted. On a larger order with strong proof, the answer can reverse. Use your own win history.
Does the fee come back after a refund before chargeback?
If you refund before a chargeback, no fee is taken. If a chargeback has already started, you cannot refund. The fee comes back only if you win the dispute. Shopify says that when you accept a chargeback, the fee is not refunded.
How does ChargeFix help with a refund before chargeback?
ChargeFix reads your order, tracking and refund data, flags what is missing and gives a verdict that tells you whether you hold the proof to refuse. It cannot issue refunds or promise a win. In Manual mode, the default, you review and file each response yourself.
