Product Not Received Chargebacks in Canada: Win With Proof (2026)

ChargeFix guide cover with a parcel icon: Product Not Received Chargebacks in Canada: Win With Proof

The tracking page says "delivered." The customer says nothing arrived. Their bank has already taken the money back, and you have a few days to prove a parcel reached a front door in Moose Jaw or Mississauga. A product not received chargeback is the most winnable dispute on Shopify, but only for stores that have the right proof in hand before it arrives.

Quick answer: For a product not received chargeback, Shopify says to contact the customer first. If that does not settle it, submit proof of delivery dated before the chargeback: when it was fulfilled, how the buyer paid, and the shipping and tracking record, plus an activity log for digital products. Shopify adds a PDF of fulfillment events for you. The proof that wins is specific to each item, shows where and when it was delivered, and, for pricey orders, shows who signed.

This guide is for you if:

  • You sell physical goods on Shopify Payments from Canada and a customer says an order never arrived.
  • You ship with Canada Post, or another carrier, and want delivery proof that holds up.
  • You want a simple routine that saves the right records at the right time.

Last updated: 22 October 2026

Disclosure: ChargeFix publishes this guide and sells an app for Shopify Payments disputes. Shopify rules come from Shopify's Help Center, and Canada Post details come from Canada Post's own pages, all listed at the end. Where a rule is not published, this guide says to check your own service rather than guess.

TL;DR

  • Contact the customer first. If the parcel is lost or late, a refund or reship may be cheaper than a fight.
  • Shopify's evidence for this reason is delivery proof that predates the dispute, plus fulfillment, billing and tracking details.
  • Canada Post delivery confirmation is online for 45 days after delivery, so save it when the parcel arrives.
  • Delivery proof must cover each disputed item, not just the order. A Canadian ombudsman case turned on exactly this.
  • If you do nothing, Shopify sends whatever order data is saved when the case falls due, which is the bare minimum.

Do this today

  1. Open the dispute and note the due date, amount and items disputed.
  2. Look up the tracking number for each item in the carrier's system.
  3. Download the delivery confirmation PDF, and the signature record if you have one.
  4. Contact the customer through the email on the order.
  5. Build the response around each disputed item, and file before the due date.

What is a product not received chargeback?

A product not received chargeback is a dispute where the customer tells their bank that the goods or services never arrived. Shopify's reasons page puts it simply: the customer says they did not receive the goods or services.

A product not received chargeback looks like a clean question: did the parcel arrive? In practice there are several different stories behind a single reason code, and each needs different proof.

What really happened Example What helps
Delivered, customer denies Tracking says delivered, customer disagrees Delivery confirmation, signature if any
Delivered, someone else took it Porch theft, neighbour, building mailroom Delivery location, customer contact
Late, not lost Parcel is still moving Tracking history, customer message
Truly lost Carrier lost it Fold or refund, and claim from the carrier
Part of the order arrived One of two parcels is missing Per item tracking
Wrong address Customer typed an old address Address at checkout, customer confirmation
Digital product not received No download or access Activity log

The best response depends on which story you are in. A case with a clean "delivered" and a signature is a strong fight. A truly lost parcel is a loss, and the faster you accept that, the cheaper it is.

What does Shopify say to submit for a product not received dispute in Canada?

Shopify's reasons page is the starting point. It tells you to try to resolve the matter with the customer first, and if it is resolved, to include evidence of their agreement to drop the chargeback. If not, send delivery proof from before the chargeback, such as when you fulfilled it, the billing information, and the shipping and tracking details. For digital products, add an activity log.

Shopify also says its system attaches a PDF of fulfillment events on its own. That is helpful, but it is the starting point, not the finished case.

Evidence What it shows Where to find it
Fulfillment date and time You shipped on a given day Shopify order timeline
Billing information The buyer who paid Order details
Shipping address Where you sent it Order details
Tracking number and history The route and the final scan Carrier tracking page
Proof of delivery That it arrived, and where Carrier delivery confirmation
Signature record Who accepted it Carrier signature record
Customer messages What they said and when Email, saved as PDF
Activity log (digital) That they accessed the product App or download records

Files must be PDF, JPEG or PNG, up to 2 MB each and 4 MB combined, with one file per evidence type and no links, audio or video. Because links are not allowed, a link to a tracking page proves nothing. Save the page or the delivery PDF itself.

How does Canada Post delivery confirmation work?

If you ship with Canada Post, the delivery record sits in Track. Canada Post's guide says to enter the tracking number, select the Delivery details link, then select the delivery confirmation link. You enter the destination postal code and complete a verification when prompted. The confirmation is a PDF you can view or download.

One line decides your routine. Canada Post says: "Delivery confirmation is available online for 45 days after your package is delivered." If a signature was obtained but is not online, the page says to contact Canada Post to access the delivery confirmation. It does not say how long Canada Post keeps records beyond the online window.

A dispute can arrive weeks or months after delivery, since a cardholder may have up to many weeks to file. So waiting for a dispute before you look for the record is risky. Download the confirmation when the parcel is delivered, or at the latest within the 45 day window.

Canada Post fact Why it matters
Confirmation is a PDF in Track You can save and attach it
Needs the destination postal code Keep it with the order
Online for 45 days after delivery Save it early
Signature record may need a request Ask Canada Post if it is not online
Hard copy of name and signature exists Useful for high value cases
Delivery proof routine (do this for every order that matters)

Day of shipping:
[ ] Tracking number saved to the order
[ ] Service level noted (signature or not)

Day of delivery (or the next day):
[ ] Track the parcel with the destination postal code
[ ] Open Delivery details, then the delivery confirmation link
[ ] Download the PDF; name it order-[number]-delivery.pdf
[ ] Save signature record if the service included one

If tracking stalls for 5 days:
[ ] Contact the carrier and the customer, and note both

Before day 45:
[ ] Anything still missing is requested from the carrier

How do signature and delivery services change your proof?

Not every parcel needs a signature, but high value orders do. Canada Post's signature option gives proof of a personal hand-off. The name and signature of the signer are recorded, and the shipper must select it at shipping. According to Canada Post, it is no-charge for Priority and Xpresspost Certified, and it is required for Additional Liability Coverage.

Several details matter for a dispute.

Detail What it means for evidence
Name and signature recorded The strongest proof a person accepted the parcel
Refused signature is marked A refused delivery is documented
Not delivered to children The signer is an adult
No answer leads to a Delivery Notice Card The parcel may wait at the post office
Pickup needs photo ID matching the address Strong proof of who collected
Hard copy of name and signature is available You can request it if the PDF lacks it

Canada Post also offers a Proof of Age option, for a fee, for eligible commercial shippers, which asks for photo ID and records the signatory's name and signature. It fits age-restricted goods more than ordinary orders.

This guide does not state rules about delivery photos, safe drop or leave-at-door delivery, because they are not covered in the pages we reviewed. Check your own service's options in Canada Post's shipping tools before you promise them to customers.

The cost of signature is friction, since some customers dislike it, and failed first attempts. Use it by order value. A typical split is no signature on small orders, signature above a value you choose.

Order value Suggested approach
Low Standard tracked delivery, save the confirmation
Medium Tracked delivery, save the confirmation, watch for stalls
High Signature on delivery, save the signature record

The thresholds are yours to choose. Base them on the cost of a lost dispute, which is the amount, the C$15 or US$15 fee and the goods.

Why must proof cover each disputed item?

A recent Canadian case shows how this plays out. In May 2026 the Ombudsman for Banking Services and Investments (OBSI) published a case in which a customer bought two items, a pair of headphones and a perfume bottle, each with its own tracking number. The bank closed the chargeback without a refund because the merchant had proof Canada Post delivered the goods. OBSI found that the shipping evidence supported delivery of the perfume only, not the headphones, and that the bank had not checked whether the merchant had shown delivery of all the disputed goods. It upheld the complaint and recommended the bank reimburse the cost of the headphones.

OBSI is a consumer-side ombudsman, so read it as a view from the customer's side. The practical point is for you: a merchant's evidence has to cover each disputed item. Do not send one tracking number for an order with several parcels.

Order shape What to send
One item, one parcel One tracking record and confirmation
Two items, two parcels Two records, each tied to its item
Two items, one parcel One record, with a packing note listing both
Split shipment, partly delivered Records for delivered parts, honest note on the rest

When only part of an order is in dispute, say which items are disputed and which are not, and attach proof for the disputed ones. A clear, narrow response is more credible than a broad one.

How do product not received disputes differ from similar reasons?

A customer's story does not always match the reason they select. Knowing the neighbours of a product not received dispute helps you answer the right question.

Reason What the customer says How it differs from product not received
Product not received "It never arrived" The test is delivery
Product unacceptable "It arrived damaged or not as described" The test is the product itself
Credit not processed "I returned it and got no refund" The test is your refund records
Duplicate "I was charged twice" The test is whether charges were separate
Unrecognized "I do not know this charge" The test is the merchant name

If a customer files a product not received dispute for a parcel that did arrive damaged, the proof of delivery still helps, but the real issue is condition. Say so in the response, calmly, and attach product photos from before shipping if you have them. If a customer returned an item and files product not received on the replacement, attach the return and replacement records.

What does a strong product not received file contain?

Picture a case you would expect to win. A customer in Calgary says a C$140 order never arrived. The response contains:

File Content
1. Delivery confirmation Canada Post PDF: delivered, date, time, destination
2. Signature record Name and signature of the person who accepted it
3. Order and fulfillment Order number, items, fulfillment date and time
4. Address match Checkout shipping address equals the delivery address
5. Customer emails Two messages, one saying "thanks, got it" before the dispute
6. Policy Shipping policy as shown at checkout

Every file answers a question the reviewer might ask: did it ship, did it arrive, did it go to the right place, did the buyer acknowledge it, and did the buyer see the rules. That is the standard to aim for with each product not received dispute you fight.

A weak case is the reverse: a tracking number with no delivery scan, no signature, a shipping address the customer says was wrong and no emails. Compare your file with the strong one before you file, and decide honestly which you hold.

What are the common product not received scenarios, and how do you answer each?

Different scenarios call for different tactics.

Scenario Your best move
Tracking shows delivered with a signature Fight, lead with the signature record
Tracking shows delivered, no signature Fight, use delivery confirmation and customer emails
Delivered to a post office after a notice card Show the notice and pickup record if available
Tracking stalled for weeks Refund or accept, then claim from the carrier
Customer gave a wrong address Show the address entered at checkout
Customer is travelling and received it late Contact them; the dispute may be withdrawn
Parcel returned to you undelivered Accept, and refund or reship
Pre-order that has not shipped yet Show the stated ship date and the order terms

For pre-orders, the key evidence is what you told the customer at checkout about timing. If the dispute arrives before the stated ship date, a record of the agreed date answers it. If you promised a date and missed it, a refund may be the cleaner option.

How do you speed up a response to a product not received dispute?

A product not received dispute can be answered in under an hour if the records are organized. The delay is almost always searching.

Fast response kit (keep one folder per month)

orders/
  order-1042/
    order-1042-delivery.pdf Canada Post confirmation
    order-1042-signature.pdf if signature was selected
    order-1042-tracking.pdf full tracking history
    order-1042-customer.pdf customer emails
policies/
shipping-policy.pdf as shown at checkout (dated)
  refund-policy.pdf

With this folder, a product not received response is a matter of attaching four files and filling a template. Without it, you are searching the carrier's site, your inbox and your order notes on day six. A tool that reads your order data does the same job faster, but the habit works without any tool.

When should you refund instead of fighting?

Timing decides what is possible with a product not received dispute. Shopify says you cannot refund once a chargeback has begun. For an inquiry, which takes no money, you can issue a refund. A full refund on an inquiry stops a chargeback from following, while a partial refund does not.

So when an inquiry arrives about an undelivered parcel, you have a window to decide cheaply. If the tracking shows the parcel is lost or stalled, a full refund or a reship ends the matter for the cost of the goods. If tracking shows delivery, you may prefer to hold your ground and answer.

Once a chargeback has begun the choices narrow: fight it, accept it, or ask the customer to withdraw it. The route for a withdrawal is a letter from their bank on letterhead, showing the case number and confirming the charge and cancellation, and it can take 30 to 90 days.

Stage Options
Inquiry, parcel lost Full refund or reship
Inquiry, parcel delivered Reply with proof, or refund in full
Chargeback, parcel delivered Fight with proof
Chargeback, parcel lost Accept, then claim from the carrier
Chargeback, customer now has it Ask for a withdrawal letter, and still submit evidence

How do you write the response to a product not received dispute?

Lead with the delivery facts, then add the order and communication. Keep it short and in order.

Draft reply to a product not received chargeback (adapt to your case)

What mistakes cost the most in a product not received chargeback?

Most losses on product not received disputes trace back to a few repeated errors.

Product not received checklist (before you file)

[ ] Every disputed item has its own tracking record
[ ] Each record shows a delivered scan with date, time and place
[ ] Delivery confirmation PDF saved (not a link)
[ ] Signature record added if the service had one
[ ] Shipping address matches checkout address
[ ] Customer contacted and the reply saved
[ ] Files under 2 MB each, 4 MB combined, PDF/JPEG/PNG
[ ] High contrast, readable without zooming
[ ] Filed before the due date, with a day to spare

If the checklist has a gap, fill it before you file. You cannot add evidence after you respond, and the decision, once made, is final.

How do you prevent a product not received chargeback?

The cheapest product not received chargeback is the one that never happens. These steps cut the count.

Step Why it helps
Send tracking numbers promptly Customers stop wondering
Message the customer when a parcel stalls You catch problems before the bank does
Validate addresses at checkout Fewer wrong address deliveries
State shipping times clearly Late is not lost
Offer signature on high value orders Stronger proof
Respond fast to "where is my order" emails The dispute route is less tempting
Use a recognizable name on the statement Fewer unrecognized charges

Prevention also protects your rate. Visa's excessive line is 1.5% from April 2026 in the US, Canada, the EU and Asia Pacific, according to chargeback.io, and Shopify can enrol a store at 1.5% over 90 days. Winning does not remove a dispute from your rate, since Shopify counts a resolved dispute and the bank can dispute a won case again.

What does a product not received chargeback cost a Canadian store?

Cost Detail
Disputed amount Taken when the dispute is filed
Fee C$15 or US$15, returned only on a win
Goods Lost if the parcel is truly gone
Shipping Already paid
Time Hours on the response
Rate Counts even if you win
Fight or fold: product not received (fill in)

Disputed amount = A
Fee (C$15 or US$15) = F (returned only on a win)
Goods and shipping already spent = G
Time to respond = T (hours x your hourly value)

Fold: loss = A + F + G
Fight, win: loss = T
Fight, lose: loss = A + F + G + T

Worth fighting when your chance of winning x (A + F + G) is larger than T.
With confirmed delivery and a signature, the chance is usually high.
With a stalled or lost parcel, it is near zero.

For a product not received dispute, confirmed delivery with a clear confirmation is the best case. A stalled parcel is the worst, and the honest move is usually to accept and claim from the carrier.

How does ChargeFix help with product not received chargebacks?

Product not received is the dispute type ChargeFix automates first, because the proof sits in your tracking and order data.

  1. Dispute fetched. ChargeFix fetches the chargeback when it opens.
  2. Records read. It reads the order, payment details, addresses, tracking and delivery status from your store.
  3. Evidence scored. Each item is checked, with a fix beside every gap, such as a missing signature record or an order with a second parcel.
  4. Plain verdict. Worth fighting, improve the evidence first or weak evidence.
  5. Letter from facts. The response is drafted only from verified facts, so it does not invent a delivery date.
  6. Your choice of mode. Manual mode is the default: you approve every filing. Auto mode, on Starter plans and above, is off until you turn it on and confirm. Its default rule is product not received with delivery confirmed. Everything else is saved as a draft.

Left alone, Shopify files what it has saved at the deadline, but that is the bare minimum. ChargeFix gets a complete case in before the clock runs out, with the extra proof you attach, such as signature records and customer replies.

ChargeFix works with Shopify Payments disputes only. It cannot promise a win, since the card company decides, and it cannot create proof that does not exist. It stores minimal data: case ID, amount, reason, status, dates and shop settings, not customer names, addresses, emails or letters. The free plan covers 2 filings a month, and every paid plan starts with a 14 day trial.

What does a dated plan for a product not received chargeback look like?

This plan assumes the shortest window, 7 days.

Day What you do Done when
Day 0 Dispute opens. Note items, amount, due date. You know the deadline
Day 1 Check carrier tracking for every parcel. Download confirmations. Proof is saved as PDF
Day 2 Contact the customer. Save their reply. Reply is on file
Day 3 Decide to fight, accept or ask for a withdrawal letter A decision is written down
Day 4 Draft the response in Shopify's evidence order Every claim points to a file
Day 5 Check file sizes and clarity Under 2 MB each
Day 6 File the response Confirmation shows in admin
Day 7 Spare day Nothing left to do
Up to 75 days later Decision arrives Record the cause for your audit

What is different about product not received chargebacks in Canada?

Most guides assume US carriers and US rules. Several points change for a Canadian store on Shopify Payments.

Topic What applies in Canada What to do
Carrier records Canada Post confirmation online for 45 days Save at delivery
Signature Selected by the shipper at shipping Decide by order value
Fee currency C$15 or US$15 by payout currency Cost disputes in your payout currency
Shopify Protect US stores only, and covers fraud reasons only Does not cover this reason
Complaints Code of Conduct for the Credit and Debit Card Industry, supervised by FCAC Raise a complaint with your processor first
Distances Remote areas can mean slow delivery State shipping times clearly

Shopify Protect does not apply. It covers only fraudulent and unrecognized reasons, and only for US stores, so it would not cover a product not received dispute in any case.

Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code but is not a dispute resolution agency for individual cases.

Unverified carrier details. This guide does not state Canada Post rules on delivery photos, safe drop or leave-at-door delivery. Check your own service before you promise customers anything about them.

What are the 10 mistakes to avoid with product not received disputes in Canada?

  1. Waiting for the dispute to find the delivery record. Canada Post confirmation is online for 45 days.
  2. Sending one tracking number for several parcels. Proof must cover each disputed item.
  3. Linking to a tracking page. Links are not allowed. Save the PDF.
  4. Skipping the customer. A reply that the item arrived is direct acknowledgment.
  5. Refunding after the chargeback began. Shopify does not allow it.
  6. Ignoring stalled tracking. A parcel stuck for days becomes a dispute.
  7. Fighting a truly lost parcel. Accept it and claim from the carrier.
  8. No signature on high value orders. The strongest proof is a recorded signature.
  9. Missing the window. There are no extensions, and the fee is not refunded.
  10. Never checking the pattern. Repeat disputes on one route or service point to the cause.

FAQs

What is a product not received chargeback?

It is a dispute where the customer tells their bank the goods or services never arrived. Shopify's advice is to contact the customer first. If that does not settle it, submit proof of delivery from before the chargeback, with an activity log for digital products. The card company then decides.

What proof does Shopify want for product not received?

Shopify asks for delivery proof that predates the dispute, such as the fulfillment date and time, billing details and the shipping and tracking record. For digital products, add an activity log. A PDF of fulfillment events is attached for you. Files must be PDF, JPEG or PNG, up to 2 MB each.

How long is Canada Post delivery confirmation available?

Canada Post says delivery confirmation is available online for 45 days after the package is delivered. You enter the tracking number, open Delivery details, then the confirmation link, and enter the destination postal code. Download the PDF early, because a dispute can arrive after the window closes.

Does a signature help in a product not received dispute?

Yes. Canada Post's signature option records the signer's name and signature, and is the strongest proof of a personal hand-off. The shipper must select it at shipping. It is no charge for Priority and Xpresspost Certified. Use it by order value, since some customers dislike the friction.

Can I refund a customer after a chargeback has started?

No. Shopify says you cannot refund once a chargeback has begun. For an inquiry you can, and a full refund on an inquiry stops a chargeback from following. After a chargeback, the route is a customer withdrawal letter from their bank, which can take 30 to 90 days.

What if only one item in the order did not arrive?

Provide proof for each disputed item, with its own tracking record. A Canadian ombudsman case in 2026 turned on a bank accepting delivery proof for one item while the other disputed item had none. Say which items are disputed and attach delivery proof for those.

What if the tracking shows delivered but the customer says no?

Contact the customer, then use the delivery confirmation, including the delivery details and any signature record. Ask whether a neighbour, building staff or household member took it. If they agree it arrived, they can ask their bank to withdraw. You still submit evidence.

Should I fight a lost parcel dispute?

Usually not. If tracking stalled or the carrier lost the parcel, you have no delivery proof to submit. Accepting and claiming from the carrier is often the honest and cheaper route. Use the fight or fold sum with your own numbers before you decide.

Does Shopify submit evidence automatically?

Shopify files saved or automatic order data at the deadline when you do nothing, and attaches a PDF of fulfillment events for this reason. That is the bare minimum. Adding delivery confirmation, signature records and customer replies makes a stronger case, and you cannot add evidence after you respond.

How does ChargeFix help with product not received?

ChargeFix fetches the dispute, reads your order, addresses, tracking and delivery status, scores the evidence and drafts the letter from verified facts. Its Auto mode on Starter plans and above can file product not received with delivery confirmed once you turn it on. It cannot promise a win.

Start free trial with ChargeFix

You now have the proof list, the Canada Post routine and a response template for product not received chargebacks. What most stores lack is the time to gather it all before the deadline. ChargeFix reads your Shopify order data, shows what is missing, writes the letter from verified facts and files when you approve it, or by the rule you set.

The free plan includes 2 filings every month, and every paid plan starts with a 14 day free trial. There is no cut of what you win, and no contract.
