A Mississauga store sells a C$899 refurbished laptop. Nine days after delivery the buyer says it will not charge, ships it back and, before the store has even received the parcel, disputes the payment as product unacceptable. The returned box arrives with a laptop that looks the same, but nobody wrote down the serial number before it shipped. Was this the unit the store sent? The store cannot say, and neither can the reviewer. Electronics chargebacks in Canada combine high prices, easy resale and technical claims that are hard to judge from a photo. The records that win these cases are made at the warehouse: a serial number, a test result and a sealed box photo. This guide shows what Shopify wants to see, how to build those records without slowing fulfilment and how to decide when to fight.
Quick answer: Electronics chargebacks arrive as fraud, product not received, product unacceptable (defective or not as described) and credit not processed disputes. Shopify's evidence lists ask for tracking and delivery confirmation (signed where possible), the listing at purchase, order and fulfilment records, pre-shipment photos, quality control records, customer messages and the return policy. For electronics, add the serial number or IMEI recorded at packing, a dated test result and photos of the sealed box. Require signature on high value orders and refund early when tracking shows no delivery.
This guide is for you if:
- You sell phones, laptops, audio gear, cameras or accessories on Shopify in Canada.
- A buyer has disputed an electronics order as defective, not received or fraudulent.
- You want a serial number log, a test routine and a reply template that suit high value goods.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, the delivery and claims details come from Canada Post's own pages, and the signature options come from a shipping plugin vendor's article that we label as such. Warranty law and manufacturer terms fell outside our research, so this guide states no warranty rules. Where a page does not say, this guide says so rather than guess.
TL;DR
- Record the serial or IMEI of every unit at packing, and compare it when a return arrives.
- For defect claims, Shopify asks for the listing as sold, packing photos, quality control records and your resolution process.
- For delivery claims, Shopify asks for tracking and delivery confirmation, and recommends signature on high value orders.
- Canada Post compensation is the lowest of item value, insurance bought or included coverage, and many services include C$100, so insure expensive items.
- Refund early when tracking shows no delivery, and fight when your records are strong.
Do this today
- Add a serial number or IMEI field to your fulfilment log.
- Write a short test checklist for each product type and run it before packing.
- Photograph the unit, its accessories and the sealed box for every order above your threshold.
- Set a signature rule for high value orders.
- Rewrite your listing so condition (new, open box, refurbished) and what is in the box are stated plainly.
Electronics chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is usually 7 to 21 days, with no extensions |
| 2. Sort by reason | Fraud, not received, defective, refund | Each reason has a different lead file |
| 3. Pull delivery proof | Tracking, signature, delivery photo | Direct proof comes first |
| 4. Pull unit proof | Serial number, test record, packing photos | Shows what was sold and shipped |
| 5. Check any return | Compare returned serial with shipped serial | Detects swaps and wrong units |
| 6. Decide | Fight, refund or concede | No refund is possible once a chargeback begins |
| 7. Build and file | Strongest proof first, labelled files | The fee is not returned if you miss the date |
Why are electronics chargebacks different?
Four things set electronics apart. The goods are expensive, so one lost dispute hurts. They are easy to resell, so they attract fraud and theft. Faults are technical, so "it does not work" is hard to prove or disprove from afar. And buyers often have both a store and a manufacturer to turn to, which creates confusion about who handles a problem.
| Feature | Effect on disputes | What to do |
|---|---|---|
| High price | Each loss is large | Apply stricter checks and signature rules |
| Easy resale | Fraud and theft in transit | Review first-time and rush orders |
| Technical faults | Claims are hard to judge | Record tests and serial numbers |
| Returns | Swaps and wrong units | Compare serials on arrival |
| Manufacturer involvement | Buyer unsure who to call | State your support route in the listing |
| Accessories | Missing items claimed | List box contents and photograph them |
The practical conclusion is simple. Electronics chargebacks are won on records made before shipping, and most lost electronics chargebacks lacked one: the serial number, the test and the photos. Writing a good letter later cannot create them.
Which dispute reasons drive electronics chargebacks?
| Reason | What the buyer says | Typical cause |
|---|---|---|
| Fraudulent | "I did not buy this" | Stolen card, family member, forgotten purchase |
| Product not received | "It never arrived" | Parcel left at the door, theft, wrong address |
| Product unacceptable | "It is defective" or "not as described" | Dead on arrival, wrong model, missing accessory |
| Credit not processed | "I returned it and got no refund" | Slow return handling, rejected return |
| Duplicate | "I was charged twice" | Authorization hold mistaken for a charge |
| Subscription canceled | Rare | Warranty plans or subscriptions |
Shopify lists seven categories of dispute reason, each with its own evidence. We cover the first four in detail below because they cover most electronics chargebacks.
What does Shopify say about fraud behind electronics chargebacks?
For a fraudulent transaction, Shopify's list includes AVS and CVV matches, device and IP consistency, 3D Secure records, prior successful orders, delivery to the verified billing address and customer messages acknowledging the order. Its advice on preventing chargebacks says to investigate suspicious orders before you fulfill them, to consider shipping only orders that pass an AVS check for goods going to Canada, the US or the UK, and to reach out to the customer before sending goods to an address that fails the check.
| Signal | Lower risk | Higher risk |
|---|---|---|
| History | Repeat buyer | First order, high value |
| Address | Billing matches shipping | Forwarder, hotel, storage unit |
| AVS and CVV | Match | Mismatch |
| Shipping | Standard | Rush or overnight |
| Quantity | One unit | Several of the same high value item |
| Email and phone | Looks like a person, reachable | Random characters, silent |
| Contact | Replies to your check | No reply |
Two or three higher risk signals together are a reason to hold the order and email the buyer. If the customer confirms the charge is valid, that statement is the strongest evidence you can have. Our guides to AVS and CVV checks, IP address evidence and billing and shipping address matches cover each check.
What does Shopify say about electronics chargebacks for product not received?
For physical goods, Shopify's list is tracking information, delivery confirmation (ideally signed or photographed), proof the address matched checkout and carrier delivery notifications. For high value orders it recommends signature confirmation at delivery.
A vendor article from PluginHive (last modified June 2026) describes Signature Required, where the package is handed to someone at the address, and Adult Signature, which adds age verification. It notes that signature and insurance add to cost, that not every Canada Post service supports signature and that high-risk goods have limited coverage. It gives no prices or caps.
| Delivery type | What happens | Risk for electronics |
|---|---|---|
| No signature | Safe drop at Canada Post's discretion | Theft and "not received" claims |
| Signature | Handed over, or a card is left and the item is held 15 calendar days | Delay, but a stronger record |
| Condo with concierge | Staff may sign under a Letter of Authorization | Valid signature, not the buyer's |
Canada Post's delivery options page describes safe drop and the notice card process. For a C$899 laptop, safe drop is not a plan. Our guide to signature required orders covers the rules in more depth.
What does Canada Post pay if an electronics parcel is lost?
Only the sender receives claim payment. Domestic claims must start within 90 days of shipping, once the item is past its expected delivery date. Many services include C$100 of base coverage, and compensation is the lowest of the item value, the insurance bought or the included coverage.
| Order value | Included coverage (many services) | Gap you carry without insurance |
|---|---|---|
| C$150 | C$100 | C$50 |
| C$450 | C$100 | C$350 |
| C$899 | C$100 | C$799 |
| C$1,800 | C$100 | C$1,700 |
Set an insured value when you create the label for anything above the base coverage, and check what the service covers. The vendor article adds that coverage depends on the service and declared value, and that prohibited and restricted items are never insured. Our lost parcel guide covers when to refund first and claim later.
What does Shopify say about electronics chargebacks over defective goods?
On product unacceptable, Shopify's list runs through the listing as it appeared at purchase, then fulfilment records, photos taken before shipment, quality control records, customer communications, the return policy and support ticket history. It adds that it can help to show the customer never contacted you, if that is true, and to describe your resolution process.
| Shopify item | Electronics application |
|---|---|
| Listing at purchase | Dated PDF with model, specs, condition grade and box contents |
| Order and fulfilment records | Order page and pack record with serial number |
| Pre-shipment photos | Unit, accessories and sealed box |
| Quality control records | Dated test checklist with pass results |
| Customer communications | Emails, chat, support tickets |
| Return policy | Policy as shown at checkout |
| Support ticket history | Any earlier contact |
A buyer who says "it does not turn on" is making a claim a test record can answer. A dated checklist that says the unit powered on, charged, passed a battery check and had no cracks is not proof it worked after the courier, but it shows what left your hands. Be careful to claim only what you tested.
How do you build a serial number log?
A serial log is the cheapest strong evidence an electronics store can make against electronics chargebacks. It takes seconds per order and answers three kinds of dispute: wrong item, swapped return and "it was never new".
| Field | What to record | When |
|---|---|---|
| Order number | From Shopify | At pick |
| SKU and model | From the listing | At pick |
| Serial number or IMEI | From the unit label or settings screen | At pack |
| Condition | New, open box, refurbished, grade | At pack |
| Accessories | Charger, cable, case count | At pack |
| Test result | Pass or fail with date | Before pack |
| Photos | Unit, label, box | At pack |
Fulfilment log line for electronics (adapt to your system)
Order #[number] Packed: [date], [initials]
SKU: [code] Model: [name] Serial/IMEI: [number]
Condition: [new / open box / refurbished grade B]
Box contents: [unit, charger, cable, manual]
Tests: powered on Y/N, charged Y/N, screen check Y/N, battery [%]
Photos: unit [file], serial label [file], sealed box [file]
Carrier: Canada Post [service] Tracking: [number]
Signature required: yes / no Insured to: C$[amount]
Store the log where you can find it by order number, such as a spreadsheet, a notes field or your inventory app. When a return arrives, photograph the serial label and compare it with the log the same day.
How do you handle returns and swaps that cause electronics chargebacks?
Returned electronics deserve a careful look, because swaps are a hidden cause of electronics chargebacks. The unit you receive might be defective, might be undamaged but unwanted, or might not be the unit you sent.
| Step | What to do | Why |
|---|---|---|
| 1. Photograph on opening | Parcel, box, contents, serial label | Dated condition record |
| 2. Compare serials | Returned serial against the shipped serial | Catches swaps |
| 3. Test the unit | Run your checklist and note results | Separates defect from damage |
| 4. Email the buyer | State what you found and your next step | Acknowledgment |
| 5. Decide quickly | Refund, replace, repair or decline with reasons | Speed prevents disputes |
| 6. Log the refund date | Admin record and email | Direct proof for credit not processed |
If the serial does not match, do not accuse. State the facts: the serial shipped, the serial received and the dates, attach both photos and ask the buyer to explain. A mismatch is strong evidence in a dispute, and it may be a mix-up rather than fraud.
How should the listing describe condition and contents?
A vague listing loses disputes about electronics, because the buyer's reading of "refurbished" may differ from yours.
Condition and contents block (adapt to your catalogue)
Condition: [New, sealed] / [Open box, tested, no marks] /
[Refurbished grade B: light wear on lid and base, screen perfect]
Included: [unit, charger, cable, case] / Not included: [original box]
Battery: [health percentage or "new"] Storage: [GB] Colour: [name]
Tested on [date]: powers on, charges, screen, ports, wireless, camera.
Support: contact us at [email or phone] first; we replace or refund
within [30] days of delivery for faults on arrival.
Return terms: [window, condition, accessories needed, restocking fee]
Save a dated PDF of the page at publication and after any change. Put the same block in the order confirmation. Our guide to product not as described chargebacks covers wording that holds up.
What return rules reduce electronics chargebacks?
Shopify's return rules let you choose a return window (14 days, 30 days, 90 days, unlimited or custom) counted from delivery, free return shipping, a flat rate or a customer-purchased label, a restocking fee as a percentage and final sale items by collection or product. Changes apply to future orders only.
| Rule | Electronics choice to consider |
|---|---|
| Return window | A short window for opened items, counted from delivery |
| Return shipping | Customer buys a tracked and insured label, or you send a prepaid one |
| Restocking fee | A stated percentage on non-defective returns, deducted manually |
| Final sale | Clearance, opened software, custom builds |
| Condition | Original packaging and all accessories |
Shopify says return fees are not automatically deducted from refunds, so you must deduct the restocking fee when you create the refund and record it. The written policy shows in the checkout footer once saved, and Shopify's template does not include your configured rules, so make the two match. We found no Canadian rule on returns of opened electronics in our sources, so your policy is your own.
What evidence helps in electronics chargebacks overall?
Think in layers. Shopify's suggested order is direct proof, acknowledgment, policy, then context.
| Layer | Evidence | Why |
|---|---|---|
| Direct proof | Tracking, delivery confirmation, signature | The goods arrived |
| Direct proof | Serial number log entry and returned serial photo | The right unit was shipped |
| Direct proof | Refund record, if refunded | The credit was issued |
| Acknowledgment | Customer emails, support tickets | The buyer engaged |
| Policy | Return policy and listing, dated | The terms in force |
| Context | Test checklist and packing photos | Condition at shipping |
| Context | Earlier orders by the same buyer | An established customer |
Shopify Payments includes some evidence on its own when available: product details, customer name and email, billing and shipping addresses, IP address, fulfilment and tracking details, refunds and prior undisputed orders. You add the serial log, the test record and the photos. Files go in as PDF, JPEG or PNG, 2 MB each and 4 MB combined, one per evidence type, with no links.
How do you answer an electronics chargeback?
Lead with the file that answers the reason. Keep it short and write only what the files show.
Draft reply to an electronics chargeback (adapt to your case)

If the returned serial differs, add a line with both serials and attach both photos. Never write that a test proves the unit worked after delivery. Write that it worked when it left you.
Is it worth fighting? A worked example in C$
Take the Mississauga laptop at C$899.00. Case A: shipped with signature, serial logged, test record and photos on file, return serial matches, buyer's claim is vague. Case B: shipped without signature, no serial recorded, no test record.
Case A: strong unit and delivery records
Disputed amount = A = C$899.00
Fee = F = C$15.00 (returned only on a win)
Your time = T = 60 minutes, call it C$30
Chance of winning = c = 0.60 (illustrative)
Concede: A + F = C$914.00
Fight: (1 minus c) x 914 + 30 = 0.40 x 914 + 30 = C$395.60
395.60 < 914.00, so fight.
Case B: no signature, no serial, no test record
Chance of winning = c = 0.15 (illustrative)
Fight: 0.85 x 914 + 30 = C$807.10
807.10 < 914.00, so fighting is still cheaper in expectation,
but the loss is likely. The fix is prevention: log the serial, test and
require signature on every order of this value.
The win chances are illustrative, not Canadian statistics. We found no published Canadian win rate for electronics disputes, so use your own history. At this price level, almost any case is worth a filing if you have anything to show, which is why prevention carries the real value in electronics chargebacks.
Which electronics chargebacks are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Signed delivery, serial logged, test record, vague claim | Strong | Fight, lead with the signature and unit record |
| Returned serial differs from shipped serial | Strong | Fight, lead with both serial photos |
| Delivered, safe drop, repeat buyer | Reasonable | Fight, show history |
| Defect claim, no test record, no serial | Weak | Offer a fix, or refund and claim if damaged |
| No delivery scan | Weak | Refund early, claim from the carrier |
| First order, rush, forwarder, no contact | Weak | Fight if value justifies it |
| Return received, no refund issued | Not a fight | Refund now |
If you owe the refund, issue it from the admin. Shopify says you can refund while a case is an inquiry and that a full refund on an inquiry blocks a chargeback. After a chargeback begins, no refund is possible.
How do you ship electronics to the US after the duty change?
For Canadian stores selling south of the border, Canada Post's FAQ says the US de minimis exemption was suspended on 29 August 2025, so postal parcels valued under US$800 need prepaid duties and a Declaration ID. It lists options including Zonos Prepay (10% plus C$3.99), a Zonos Verified Account (C$1.99 plus 10%) and Shopify's Canada Post integration. The FAQ we read covers shipments under US$800, and many electronics orders exceed that, so ask your carrier what applies to higher values.
| Question | What the Canada Post FAQ says |
|---|---|
| What changed? | The US de minimis exemption was suspended on 29 August 2025 |
| What is needed under US$800? | Prepaid duties and a Declaration ID |
| Options listed | Zonos Prepay, Zonos Verified Account, Shopify's Canada Post integration |
| Orders above US$800 | Not covered by the FAQ we read |
A buyer who is surprised by a duty bill is a buyer who calls the bank, and that is how cross-border electronics chargebacks begin. Show duties at checkout, and read our cross-border and duties guides before you open a new market.
How does ChargeFix help with electronics chargebacks?
Electronics chargebacks involve a lot of small records: serials, tests, photos, signatures and emails. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, addresses, fulfilment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no signature or no prior orders, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a test result your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not contact your customers or your carrier. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for an electronics chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Open the order, note reason, find the log entry and messages | Story written down |
| Day 2 | Pull tracking and signature as PDF | Delivery shown |
| Day 3 | Pull serial log, test record, photos and listing PDF | Unit proof ready |
| Day 4 | Decide: fight, refund or concede | Decision written down |
| Day 5 | Draft the response, strongest proof first | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Note what mattered |
If the buyer agrees the charge was valid, ask them to request a withdrawal through their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for American Express disputes or Visa disputes with a Fraudulent reason code, so file your evidence without waiting.
How do you prepare for the next round of electronics chargebacks?
- Start the serial log. Every unit, every order.
- Write test checklists. One per product type.
- Set the signature threshold. High value orders always ship with signature.
- Insure to value. Do not rely on C$100 base coverage.
- Tighten listings. Condition, contents and support route.
- Download delivery proof. The Canada Post confirmation is online for 45 days.
| Habit | Time | Effect |
|---|---|---|
| Serial and test log | 1 to 2 minutes per order | Unit proof for every order |
| Signature and insurance rule | 30 minutes once | Changes the odds on theft claims |
| Listing rewrite | 15 minutes per product | Fewer description disputes |
| Monthly dispute log | 30 minutes | Patterns by product and region |
Our chargeback audit guide shows how to turn the log into a short fix list.
What is different about electronics chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery proof | Canada Post confirmation online for 45 days after delivery | Download it early |
| Shopify Protect | US stores only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Duties into Canada. A third party summary of CBSA rules reports a C$20 duty and tax free threshold for mail and non-US courier, and Canada Post charges a C$9.95 handling fee on assessed mail. If you ship electronics into Canada from abroad, buyers may meet these costs, so tell them before they pay.
Condos and concierges. Canada Post's page on condominiums says a security guard or concierge may sign for the resident under the condominium agreement and a Letter of Authorization. Record the building details on large orders.
Quebec. If you sell to Quebec buyers, remember that French language rules apply to websites and contracts. Our Quebec guide covers what we found.
Consumer law and warranties. Consumer protection law differs by province, and warranty rules fell outside our research. We found no source that sets a Canadian rule on electronics returns or warranties, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with electronics chargebacks?
- No serial number recorded. Electronics chargebacks then turn on opinion, not proof.
- No test record. A defect claim goes unanswered.
- Shipping valuable items without signature. Shopify recommends it for high value orders.
- Relying on C$100 base coverage. Insure to value.
- Vague condition wording. The buyer's reading wins.
- Not comparing serials on returns. Swaps go unnoticed.
- Writing claims without files. Every sentence needs a file behind it.
- Refunding after the chargeback began. Shopify does not allow it.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What are electronics chargebacks?
They are card disputes on orders for phones, laptops, audio gear and similar items. The usual reasons are fraudulent, product not received, product unacceptable and credit not processed. They are costly because of the order value, and they depend on records made before the item ships.
Why record serial numbers?
A serial number or IMEI ties the unit you shipped to the order. If a buyer returns a different unit, claims the item was not new or says it is the wrong model, the serial log and photos give you a checkable answer. It takes seconds per order.
What does Shopify want to see for a defective item dispute?
Shopify's product unacceptable list covers the listing, fulfilment records, packing photos, quality control records, customer messages, the return policy and support history, plus a note that you can show the customer never contacted you if true. For electronics, a dated test record and a serial photo fit the quality control and fulfilment items, and you should add the listing PDF.
Should electronics ship with signature?
Shopify recommends signature confirmation at delivery for high value orders. Canada Post may leave items without signature in a safe place at its discretion, which weakens your proof. Not every service supports signature, so check the service before you promise it to a buyer, and say so at checkout.
How much does Canada Post pay on a lost parcel?
Only the sender is paid, and compensation is the lowest of the item value, the insurance bought or the included coverage. Many services include C$100 of base coverage. Domestic claims must start within 90 days of shipping, once the item is past its expected delivery date.
Can I refund after an electronics dispute opens?
You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. Once a chargeback begins, Shopify does not allow a refund. The buyer can ask their bank for a withdrawal letter, which can take 30 to 90 days.
What if the returned unit has a different serial number?
State the facts: the serial shipped, the serial received and the dates. Attach both photos and ask the buyer to explain. A mismatch is strong evidence in a dispute, and it may be a mix-up, so avoid accusations and let the files speak.
Is it worth fighting electronics chargebacks?
Compare the cost of conceding, the amount plus the C$15 fee, with the expected cost of fighting, including your time. Because electronics orders are large, fighting usually pays when you have a signature, a serial log or a test record. Use your own win history for the odds.
Are there Canadian rules for electronics returns or warranties?
We found no source that sets a Canadian rule on electronics returns or warranties, so we state none. Consumer protection law differs by province, and manufacturer terms vary by brand. Your published policy and the Shopify return rules you set are what a reviewer reads.
How does ChargeFix help with electronics chargebacks?
ChargeFix reads the order, addresses, tracking and refund data, flags missing proof such as a signature, and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.
Start free trial with ChargeFix
You now have a serial log, a test checklist, a listing block and a reply template. What most electronics sellers lack is the time to find the signature record, the log entry and the photos before the deadline. ChargeFix reads your Shopify order data, shows what is missing, writes the letter from verified facts and leaves the filing to you in Manual mode, with Auto mode there for the cases your own rules cover.
The free plan includes 2 filings every month, and every paid plan starts with a 14 day free trial. There is no cut of what you win, and no contract.
