A Burnaby store that sells espresso machines gets an order for C$1,240.00. The card is billed to an address in Surrey. The goods are to be shipped to a unit in Calgary, to a name the card does not carry. The buyer wrote one line: "please ship as soon as possible." The owner has a decision to make before the courier arrives. A billing and shipping address mismatch is not proof of fraud. It is also the most common feature of orders that become fraud disputes. This guide helps you tell the harmless ones from the risky ones, check them in minutes and answer the dispute if one follows.
Quick answer: A billing vs shipping address mismatch means the address on the card differs from the address you ship to. Many honest orders look like that: gifts, work addresses, students, people who have moved. Treat the mismatch as a prompt to check, not a reason to cancel. Shopify's guidance is to look into suspicious orders before packing them, and to write to the buyer when the address fails an AVS check. If a dispute follows, the strongest answer is proof that the goods reached the address on the order, backed by a confirmation from someone who knows the buyer.
This guide is for you if:
- You ship Shopify orders in Canada and see billing and shipping addresses that differ.
- You have lost a fraud dispute on an order that shipped to a new address.
- You want a simple rule for when to ask a question before you ship.
Last updated: 23 October 2026
Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center and the card network details come from a processor FAQ, both listed at the end. Where a page does not say, this guide says so rather than guess.
TL;DR
- Billing vs shipping address mismatch is common and often innocent. Gifts and work addresses are the usual reasons.
- Risk rises when a mismatch comes with a first order, a high value, a failed AVS check and a rush shipping request.
- Shopify says to check suspicious orders first and to write to the customer when AVS fails.
- A reply from the cardholder that confirms the ship to address is acknowledgment, and it is worth saving.
- Never reship to a new address after a dispute opens.
Do this today
- Pull your last 20 orders with different billing and shipping addresses.
- Note which became disputes and what they had in common.
- Write a short rule for when you ask the buyer a question first.
- Add a gift note field at checkout if you do not have one.
- Draft a "please confirm your delivery address" email.
Billing and shipping address mismatch chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is 7 to 21 days with no extensions |
| 2. Compare addresses | Billing vs shipping, name, city, province | You need to know what differed |
| 3. Check the signals | First order, value, AVS result, shipping speed | The combination decides risk |
| 4. Find the confirmation | Customer email, gift note, phone call | Acknowledgment from the cardholder side |
| 5. Pull delivery proof | Tracking and delivery record to the shipping address | Direct proof the goods arrived there |
| 6. Decide | Fight or concede | No refund is possible once a chargeback begins |
| 7. Build and file | Strongest proof first | The fee is not returned if you miss the date |
What is a billing and shipping address mismatch?
Every card has a billing address on file with the issuer. When a buyer checks out, they enter the address where they want the goods. If the two differ, you have what the trade calls an address mismatch. It is not an error. It is simply two addresses.
| Reason for a mismatch | How common | Risk |
|---|---|---|
| Gift to a friend or relative | Very common | Low |
| Ship to work | Common | Low |
| Student, address at school | Common | Low |
| Recent move, bank not updated | Common | Low to moderate |
| Hotel or short term rental | Occasional | Moderate |
| Freight forwarder or reshipper | Occasional | Moderate to high |
| Stolen card, thief's address | Rare overall, common in fraud disputes | High |
The last row is why the signal matters, and why every address mismatch chargeback needs a short explanation in your reply. Among fraud disputes, billing shipping address mismatch is common. Among all orders, it is just as common for innocent reasons. The task is to separate them, and the checks below do that.
What does Shopify say about checking a mismatch?
Shopify's page on preventing chargebacks gives the process. Investigate suspicious orders before you fulfill them. For physical goods going to the United States, the United Kingdom or Canada, consider shipping only orders that pass an AVS check. You can also contact the customer before shipping to an address that fails an AVS check.
Shopify's evidence guidance for a fraudulent dispute lists billing information, the IP address and country, shipping and tracking, and the fulfillment date and time. Shopify Payments fills in product details, billing and shipping addresses, and shipping and tracking information automatically.
| Shopify says | What it means for a mismatch |
|---|---|
| Investigate suspicious orders before fulfilling | Check the signals before you pack the box |
| Consider shipping only when AVS passes | A failed AVS plus a mismatch is a stop sign |
| Contact the customer before shipping | A short email settles most cases |
| Billing and shipping addresses are included | The reviewer sees the mismatch whether you mention it or not |
That last row is the one to remember. A reviewer will see two different addresses, and in an address mismatch chargeback that is the first thing they notice. Silence about it looks like you did not notice. A sentence that explains it shows you did.
Which signals make a billing vs shipping address mismatch risky?
No single signal decides. Count them.
| Signal | Lower risk | Higher risk |
|---|---|---|
| Customer history | Repeat buyer, prior orders undisputed | First order |
| Order value | Typical for your store | Unusually high |
| AVS result | Match | No match |
| Shipping speed | Standard | Rush or overnight |
| Shipping address type | House or apartment | Freight forwarder, hotel, warehouse |
| Name on shipping vs billing | Same surname or clear relation | Entirely unrelated |
| Email address | Looks like a person's name | Random string or throwaway |
| IP region | Near billing or shipping address | Another country |
Two or three high risk signals together are reason to ask. One alone rarely is. A first order, shipping to a different province, with rush delivery and a failed AVS check is a pattern. A repeat customer sending a gift to their sister in another province is not.
Quick scoring rule (example, adapt to your store)
Give 1 point for each: first order; value above C$300.00; AVS fails;
rush shipping; shipping name unrelated; forwarder or hotel address;
IP region far from both addresses.
0 to 1 points ...... ship
2 to 3 points ...... email the buyer, ship after a reply
4 or more points ... call or email, hold until confirmed, consider cancel
Adjust the numbers to your margins. A C$25.00 candle store can ship at 3 points. A store that sells C$1,240.00 espresso machines cannot.
How do you contact the buyer about a mismatch?
Shopify says you can contact the customer before shipping. Do it quickly and politely, and ask something only the real cardholder can answer.
Message about a different shipping address
Subject: Quick check on your order #[number]
Hi [first name],
Thanks for your order. I see the delivery address is different from the
billing address on the card. That is often a gift or a work address, and
it is fine. For orders of this size I confirm the address before I ship.
Could you reply with the delivery address and the billing address as they
appear on your card statement? We will ship the same day.
Your statement shows this charge as [statement name], and my number is
[phone number].
[Name], [store]
A genuine buyer replies within hours, and an address mismatch chargeback is much less likely after a reply like that. A fraudster often does not, or replies with details that do not match. Either way, the reply or the silence is something you can use.
Save the reply as a PDF. It is acknowledgment from the cardholder side and ties the buyer to the address.
What if the buyer changes the address after ordering?
A request to change the delivery address after the order is placed is a classic warning sign, especially after payment clears. It is also a normal request from someone who made a typo.
| Request | Reading | Move |
|---|---|---|
| Fix a typo in the same street | Normal | Update and note it |
| Change to a different city | Suspicious | Ask for confirmation by phone or the original email |
| Change to a forwarder or hotel | Higher risk | Ask for ID of the cardholder and hold |
| Change after the parcel shipped | Hard to action | Tell the buyer to contact the carrier |
Keep a log of every change: date, time, who asked, how you verified. A note on the order takes a minute. Without it, a dispute turns into your word against theirs.
Address change log (one line per change)
Order #: ________ Changed on: ________ By email/phone from: ________
Old address: ______________________ New address: ______________________
How verified: [ ] reply from the order email [ ] phone call [ ] other: ________
Approved by: ____________ Customer confirmation saved? [ ] yes
What is a freight forwarder, and why does it matter?
A freight forwarder or reshipper receives parcels on behalf of a customer and sends them on. Canadians sometimes use US forwarders, and buyers outside Canada may use a Canadian one. They are legal and useful. They also break the link between the buyer and the delivery address, so they appear in disputes.
| Feature | What it means for a dispute |
|---|---|
| Delivery to a business address | The signer is not the buyer |
| Many unrelated parcels at the same address | No direct tie to the cardholder |
| A suite number that looks like a mailbox | You cannot show the buyer lives there |
| Evidence of delivery | Strong for delivery, weak for identity |
If you ship to forwarders, say so in your policy and ask the buyer for the forwarding account name. If you do not, consider whether you will accept the risk. Delivery to a forwarder proves the parcel reached the forwarder, not the customer.
What should you check first on an address mismatch chargeback?
Start with five questions, in this order. They take under fifteen minutes and tell you whether the case is worth the rest of the work.
- Did the goods arrive at the shipping address? If tracking shows no delivery, this is a delivery case, not an address mismatch case.
- Did anyone confirm the address? A reply from the order's email, a phone call or a gift note counts.
- Is the buyer known? Past undisputed orders to that address are the best history.
- Did the signals line up? First order, value, AVS result and shipping speed together.
- Is there a gift or work reason? A checkout gift note or a business name explains many cases.
| Answer pattern | Reading | Next step |
|---|---|---|
| 1 yes, 2 yes, 3 yes | Strong address mismatch chargeback | Build the file and fight |
| 1 yes, 2 no, 3 yes | Reasonable | Fight, lead with history |
| 1 yes, 2 no, 3 no | Weak | Fight only if value justifies it |
| 1 no | Delivery case | Use the lost parcel rules |
An address mismatch chargeback is rarely lost on the mismatch itself. It is lost because nothing ties the cardholder to the delivery. Every item on the list above is a way to build that tie.
How do gift orders fit in?
A gift order is the most common innocent billing and shipping address mismatch. The buyer paid, the recipient has the goods, and the two names differ. Disputes on gift orders usually come from one of two causes: the recipient did not get it, or the buyer's partner sees the charge and does not recognize it.
| Gift signal | What helps |
|---|---|
| Gift note at checkout | Shows the buyer intended a gift |
| Different surname | Explained by the gift note |
| Gift message in the order | A record of the intent |
| Recipient confirms | Acknowledgment from the receiving end |
We cover this in depth in our guide to gift order chargebacks. For now, add a gift option at checkout so intent is recorded when the order is placed.
What does an address mismatch chargeback look like?
The customer says they did not make the purchase, or does not recognize it. The reviewer sees two addresses. Your reply decides whether they treat the mismatch as normal or suspicious.
| Dispute reason | How a mismatch shows up | What helps |
|---|---|---|
| Fraudulent | "Not my order", shipped to an address not the cardholder's | Confirmation from the cardholder, delivery proof, history |
| Unrecognized | Cardholder does not know the charge, goods went to another person | Gift note, buyer's reply, receiver's acknowledgment |
| Product not received | Goods went to an address the cardholder says is wrong | Delivery to the address on the order, the buyer's chosen address |
If the cardholder says they never ordered and the goods went to someone else's address, the address mismatch chargeback is hard. If the cardholder placed the order for a relative, the case is easier but needs proof: a message, a gift note or the relative's confirmation.
How do you answer an address mismatch chargeback?
State the mismatch, explain it with whatever you have and show delivery.

3. Delivery record

4. History
Earlier undisputed orders that shipped to this address, if any (file 4).
If you did not ask the buyer, say what you did check. Do not write "the customer confirmed" unless a message shows it. Reviewers can tell.
When earlier orders shipped to the same address, say so. The Visa Compelling Evidence 3.0 rules, as described in an Adyen FAQ, look for at least two prior undisputed transactions on the same payment method, settled 120 to 365 days before the dispute, with matching data such as the delivery address and the IP address. On Shopify you fill in Shopify's form, so treat those rules as a description of the history that helps, not as a code you can cite.
Is it worth fighting? A worked example in C$
Take the Burnaby order of C$1,240.00. Suppose you emailed the buyer and a reply confirmed the Calgary address. The goods were delivered and signed for.
Case A: reply from the buyer confirms the address, delivered and signed
Disputed amount = A = C$1,240.00
Fee = F = C$15.00 (returned only on a win)
Your time = T = 1 hour, call it C$30
Chance of winning = c = 0.50 (illustrative)
Concede: A + F = C$1,255.00
Fight: (1 minus c) x 1,255 + 30 = 0.50 x 1,255 + 30 = C$657.50
657.50 < 1,255.00, so fight.
Now the same order, shipped without any check, with no reply and no history.
Case B: no contact, first order, shipped to a new address
Chance of winning = c = 0.10 (illustrative)
Concede: A + F = C$1,255.00
Fight: 0.90 x 1,255 + 30 = 1,129.50 + 30 = C$1,159.50
1,159.50 < 1,255.00, so a fight is cheaper on paper, but the odds are poor.
The probabilities are illustrative, not Canadian statistics, and every address mismatch chargeback differs. We found no Canadian win rate for address mismatch disputes, so use your own history. The comparison shows why the pre-shipping email is worth the ten minutes. It moves a hopeless case to one with a real chance.
Which billing and shipping address mismatch cases are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Buyer confirmed the address in writing, delivered | Strong | Fight, lead with the reply |
| Repeat buyer, same ship to address as past orders, delivered | Strong | Fight, list the earlier orders |
| Gift note at checkout, recipient acknowledged | Reasonable | Fight, attach both |
| First order, no contact, delivered | Weak | Fight only if value justifies it |
| Shipped to a forwarder, no contact | Weak | Concede or accept the risk |
| Address changed after payment, no verification | Weak | Concede and fix your process |
An address mismatch chargeback is strongest when the cardholder's own words tie them to the delivery address. It is weakest when nobody ever spoke to them.
What should your checkout and policy say about addresses?
Clear rules reduce address mismatch chargebacks. They also give you something to point to.
- A gift option. A checkbox and a message field.
- A hint on billing address. "Enter the billing address as it appears on your card statement."
- A shipping policy line on address changes. "Changes after payment need confirmation from the order email."
- A forwarder rule. "We ship to forwarding services only with a confirmed account name."
- A phone number field. It lets you reach the buyer fast.
Shipping policy line about addresses
Orders ship to the address entered at checkout. If the delivery address
differs from the billing address on your card, we may email you to confirm
it before shipping. Changes to the delivery address after payment need a
reply from the email on the order. We cannot redirect a parcel once it has
shipped, and we cannot reship an order that is delivered to the address you
gave.
Save the policy as a dated PDF each time you change it. If a customer says no one told them, the dated policy and the checkout screenshot answer that.
How does ChargeFix help with address mismatch chargebacks?
Address mismatch chargebacks rest on records your store already holds. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, the billing and shipping addresses, the fulfillment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no buyer confirmation of a different address, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a confirmation your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not screen orders before they ship. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for an address mismatch chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Compare billing and shipping addresses; check the signals | Mismatch described in one sentence |
| Day 2 | Find any buyer confirmation, gift note or address change log | Files saved |
| Day 3 | Pull the tracking PDF and the signer, if any | Delivery to the address shown |
| Day 4 | Decide: fight or concede | Decision written down |
| Day 5 | Draft the response, strongest proof first | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Update your hold rule |
If the cardholder realizes a relative made the order, ask them to request a withdrawal from their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for Visa disputes with a Fraudulent reason code or for American Express disputes, so file without waiting.
How do you prepare before the next address mismatch chargeback?
- Write the scoring rule. One page, signed off by the owner, covering every billing vs shipping address mismatch you see.
- Add the gift option. It explains many mismatches before they happen.
- Keep an address change log. A shared sheet is enough.
- Download delivery proof early. The Canada Post confirmation goes offline 45 days after delivery.
- Review monthly. Which orders with billing shipping address mismatch turned into disputes, and why?
| Habit | Time | Effect |
|---|---|---|
| Scoring rule | 30 minutes once | Consistent decisions |
| Gift option | 10 minutes | Explained mismatches |
| Change log | 1 minute per change | A record for disputes |
| Monthly review | 30 minutes | Better rules over time |
What is different about address mismatch chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery proof | Canada Post confirmation online for 45 days after delivery | Download it early |
| Shopify Protect | US stores only, fraud and unrecognized reasons only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Large provinces, many addresses. Canadians move between provinces for work and study, so address mismatch chargebacks are not rare here. A billing address in Ontario with a delivery to Alberta can be entirely normal. Judge by the combination of signals, not the distance.
Condos and concierges. A parcel delivered to a building's front desk may be signed for by staff. Canada Post's delivery options page says a security guard or concierge may sign for the resident under the condominium agreement and a Letter of Authorization. The signer may not be the buyer, and the delivery can still be valid.
Quebec. If you sell to Quebec customers, send the address confirmation email in a language they read. A message a customer cannot read is weak evidence that you checked.
Consumer law. Consumer protection law differs by province. The sources we used set no Canadian rule on how a merchant must handle a different delivery address, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with billing and shipping address mismatch orders?
- Treating every mismatch as fraud. Gifts and work addresses are normal.
- Ignoring a mismatch on a big first order. Ask before you ship.
- Not saving the buyer's reply. It is acknowledgment.
- Letting address changes slip by. Log and verify them.
- Shipping to a forwarder without a question. You cannot show the buyer received it.
- Writing "the customer confirmed" with no proof. Reviewers see through it.
- Reshipping after a dispute opened. You lose the goods twice.
- Refunding after the chargeback began. Shopify does not allow it.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What does billing and shipping address mismatch mean on an order?
It means the address on the card differs from the address the buyer wants the goods sent to. Many honest orders look like this: gifts, work addresses and recent moves. It becomes a concern only when it comes with other risk signals.
Is a different shipping address a sign of fraud?
Not on its own. Fraud disputes often involve different addresses, but so do many genuine orders. Count the signals: first order, high value, failed AVS check, rush shipping and an unrelated name. Two or three together are reason to ask the buyer a question.
What does Shopify say about suspicious orders?
Shopify advises checking suspicious orders before fulfillment, shipping to Canada, the US or the UK only after an AVS pass, and emailing the buyer when the address fails. It does not give a score or a cut off, so write your own rule and apply it the same way every time.
Should I cancel an order with mismatched addresses?
Not as a first step. Email the buyer, ask them to confirm the delivery and billing addresses and give a deadline. If they reply and the details fit, ship. If they do not reply, or the details do not match, you can cancel and refund before shipping.
Can I reship after a dispute opens?
You should not. Reshipping to a new address after a dispute puts the goods at risk a second time and does not stop the case. Shopify says you cannot refund once a chargeback begins. File your evidence for the original delivery, or concede.
What evidence helps most in a mismatch dispute?
A written confirmation from the cardholder or the order's email address, a delivery record at the shipping address, and history of earlier undisputed orders to the same place. Shopify Payments fills in the addresses and tracking, so you add the confirmation and history.
Do gift orders cause address mismatch disputes?
Yes, often. The buyer's name and the recipient's name differ, and a partner who sees the charge may not recognize it. A gift option at checkout records intent, and a reply from the buyer or recipient can end the case.
What about shipping to a freight forwarder?
A forwarder receives parcels for the customer and sends them on. It breaks the link between buyer and delivery address, so delivery proof shows only that the parcel reached the forwarder. Ask for the account name, state your rule in your policy and weigh the risk.
Are there Canadian rules on mismatched addresses?
We found no source that sets a Canadian rule on how a merchant must handle a different delivery address, so we state none. Consumer protection law differs by province. Put your own rule in writing and ask an adviser if you need certainty.
How does ChargeFix help with address mismatch chargebacks?
ChargeFix reads the order, the billing and shipping addresses, tracking and refund data, flags missing confirmations and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.
Start free trial with ChargeFix
You now have a scoring rule, a customer message, an address change log and a response template for an address mismatch chargeback. What most stores lack is the time to find the buyer's reply, pull the delivery record and write the letter before the deadline. ChargeFix reads your Shopify order data, shows what is missing, writes the letter from verified facts and leaves the filing to you in Manual mode, with Auto mode there for the cases your own rules cover.
The free plan includes 2 filings every month, and every paid plan starts with a 14 day free trial. There is no cut of what you win, and no contract.
