A pottery studio in Winnipeg ships a C$140.00 serving set with Canada Post. The tracking page says "item processed" in Regina on day two and then says nothing for three weeks. The customer emails twice, gets a slow reply, and on day 23 tells her bank the order never arrived. The studio now has a decision to make with a deadline attached: refund the set and move on, or fight a dispute it may not be able to win. This guide helps you make that call for every lost parcel chargeback in Canada, and shows how the Canada Post claim fits in.
Quick answer: A lost parcel chargeback is a dispute on an order whose parcel never reached the customer, almost always filed as product not received. If your tracking shows no delivery, the dispute is usually not winnable, so refund early and claim against Canada Post as the sender. If your tracking shows a drop at the right address, fight with the carrier record. The refund window closes the moment a chargeback begins, so act while the complaint is still an email.
This guide is for you if:
- You ship Shopify orders in Canada and sometimes see parcels that stop scanning.
- A customer has disputed an order and your tracking shows no delivery event.
- You want a clear rule for when to refund, when to reship and when to fight.
Last updated: 23 October 2026
Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center and the claim rules come from Canada Post's own pages, both listed at the end. Where a page does not say, this guide says so rather than guess.
TL;DR
- If the parcel is truly lost, a fight rarely works. Evidence that you shipped is not evidence that it arrived.
- A full refund while the matter is an inquiry blocks a chargeback. After a chargeback starts, you cannot refund.
- Only the sender can request and receive a Canada Post claim payment, so keep the claim in your own name. Domestic parcels have a 90 day clock.
- Many Canada Post services include base coverage of C$100, so a pricey order may leave a gap.
- If tracking shows a drop at the right address, the dispute is worth defending.
Do this today
- List every order shipped more than 10 days ago with no delivery scan.
- For each, check Canada Post Track and the service alerts.
- Email those customers before they email you.
- For confirmed losses, refund or reship, then open a Canada Post claim.
- Save the claim number on the order.
Lost parcel chargeback in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | Shopify gives 7 to 21 days and no extensions |
| 2. Read the tracking | Last scan, delivered or not | It tells you whether the parcel is lost |
| 3. Check the address | Compare to the order | A typo changes the story |
| 4. Contact the customer | Ask them to check neighbours and building staff | Many parcels turn up |
| 5. Decide | Refund or fight | A refund is impossible once the chargeback begins |
| 6. Claim from Canada Post | Sender files | Payment goes to the sender only |
| 7. File or concede | Strongest proof first | The fee is not returned if you miss the date |
What is a lost parcel chargeback?
A lost parcel chargeback starts when a customer says a parcel did not arrive and asks the bank to take the money back. On Shopify Payments the reason is nearly always product not received. The customer may be right: the parcel is stuck, misrouted or gone. They may also be wrong: the parcel was left somewhere and not noticed.
| What the customer says | What your tracking may show | What it means |
|---|---|---|
| "It never came" | No scan after the first one | Probably lost or stuck |
| "It never came" | Delivered, address matches | Possibly left somewhere, or a false claim |
| "It never came" | Delivered, address differs | A typo or redirect may be the cause |
| "It never came" | Notice card left | Waiting at the post office |
| "It never came" | Returned to sender | It is back with you |
Not every lost parcel chargeback is the same case. The first row is a loss. The others may be defended. Sorting the case before you spend time is the whole skill.
How do you tell whether a parcel is lost?
Canada Post's page on missing packages says to use Track to confirm that the due date has gone by, check that the address was correct and search the delivery location, look for service alerts, and then open a support ticket. It adds that most packages are delivered no later than 5 business days after the expected delivery date. So a parcel one or two days late is not yet a lost parcel.
| Sign | Reading |
|---|---|
| Expected delivery date not yet reached | Not lost; tell the customer the date |
| Past expected delivery date by 1 to 5 business days | Late; Canada Post says most arrive in this period |
| Past by more than 5 business days, no new scan | Likely lost or stuck |
| Last scan shows another city or "item processed" | Stuck in the network |
| Service alert for your region | A delay, not a loss; keep the alert page as a PDF |
Treat the five business days as a guide from Canada Post's own wording, not a rule. For a customer who has waited three weeks, the label does not matter. The parcel is missing in every sense that counts.
What does Shopify look for in a lost parcel chargeback?
Shopify's guidance for product not received disputes lists shipping and tracking information, proof of delivery and communication with the customer. Its suggested order of evidence is direct proof, acknowledgment, policy and context.
For a truly lost parcel, direct proof does not exist. A tracking number that stops scanning proves that you shipped. It does not prove that the customer received anything. The dispute reviewer sees a shipped parcel with no delivery event and a customer who says it never came.
| Order | Evidence | Lost parcel reality |
|---|---|---|
| Direct proof | Delivery confirmation | Missing |
| Acknowledgment | Customer says they got it | Unlikely |
| Policy | Shipping policy | Helps only if delivery occurred |
| Context | Order timeline, tracking | Shows shipment, not arrival |
Shopify Payments fills in some data automatically, such as product details, billing and shipping addresses, and shipping and tracking information. That helps you shape a response. It does not change what the tracking says.
Should you refund or fight a lost parcel chargeback?
The answer depends on what your tracking shows and where the case stands. Use this table before you do anything else.
| Situation | Case stage | Best move |
|---|---|---|
| No delivery scan, customer complains | Email only | Refund or reship now, claim from Canada Post |
| No delivery scan | Inquiry | Full refund; it blocks a chargeback |
| No delivery scan | Chargeback | Concede; you cannot refund now |
| Delivered, address matches | Any stage | Fight, with the carrier record |
| Delivered, address differs | Any stage | Check for a typo; likely concede |
| Held at the post office | Any stage | Tell the customer, send the card details |
Shopify's prevention guidance says to issue refunds quickly. Its dispute pages say you cannot refund once a chargeback has begun, and that a full refund on an inquiry blocks a chargeback while a partial refund does not. If the parcel really is lost, the cheapest lost parcel chargeback is the one that never gets filed.
The rule is blunt: if the parcel is lost, refund or reship before the customer goes to the bank. If the parcel was delivered, defend it.
How does a Canada Post claim work for a lost parcel?
The claim is separate from the chargeback. It recovers money from Canada Post. The customer's dispute is between the customer and their bank.
Canada Post's missing packages page sets the rules.
| Rule | What Canada Post says |
|---|---|
| Who can start an inquiry | Sender or receiver |
| Who receives claim payment | Only the sender |
| Domestic deadline | 90 days from the shipping date, and only once the parcel is overdue |
| US and international deadline | Within 6 months of the shipping date |
| Xpresspost or Tracked Packet | Wait 1 day after the expected delivery date |
| Registered Mail or International Parcel (Air) | Wait 30 days after shipping |
| International Parcel (Surface) | Wait 60 days after shipping |
| Included coverage | Many services carry C$100 as standard |
Compensation is the lowest of the item's value, the insurance bought or the coverage included with the service. A package that was not insured may still qualify for a postage refund.
So the studio's C$140.00 serving set, shipped on a service with the C$100 base coverage and no extra insurance, can recover at most C$100 from Canada Post. The rest of the loss is the studio's, which is one more reason to refund quickly and not pay a C$15.00 dispute fee on top.
What documents does a Canada Post claim need?
Canada Post lists what to have ready when you open a ticket. It says you can open a support ticket without signing in, but then you cannot track its progress.
| Item | Where you get it |
|---|---|
| Tracking number | Your shipping label or Shopify order |
| Sender name and address | Your shipping account |
| Receiver name, address and contact details | The order |
| Additional insurance bought | Your shipping receipt |
| Description of contents | The order |
| Date of last contact with the receiver | Your email thread |
| Confirmation you contacted the receiver about non-receipt | Your email thread |
| Proof of value or payment, if requested | Order receipt |

A claim payment goes to you, not the customer, so open the claim the day you confirm the loss. For domestic parcels the 90 days count from the shipping date, not from the day you notice the problem. A parcel shipped 80 days ago leaves you ten days.
What if the customer received a notice card instead?
Sometimes the parcel is not lost. It is waiting at a post office because nobody answered. Canada Post's delivery options page says a Delivery Notice Card shows the item is available for pickup at a nearby post office, that the item is held for 15 calendar days, and that a Final Notice Card goes out after 5 calendar days.
In that case your tracking will show a card event, and a lost parcel chargeback becomes a different dispute: the customer was told to collect the parcel. Your evidence is the card event, plus your message telling the customer where to go. If the 15 days ran out, the parcel returns to you. Refund or reship it then, and tell the customer in writing.
Message to a customer whose parcel is held
Subject: Your order #[number] is waiting for you
Hi [first name],
Canada Post's tracking shows a notice card was left on [date] and your
parcel is waiting at [post office]. It will be held for 15 calendar days
from the card, so please collect it before [date]. Bring the card and
government issued photo ID.
If you cannot get there, reply today and we will arrange a reship. Your
statement shows this charge as [statement name], and my number is
[phone number].
[Name], [store]
How do you write to a customer before they dispute?
The best defence against a lost parcel chargeback is a message that reaches the customer before their bank does. Shopify's prevention page says to contact the customer when shipping is delayed, and to give accurate delivery estimates or carrier tracking.
Message to a customer whose parcel has stalled
Subject: An update on your order #[number]
Hi [first name],
Your parcel's last scan was on [date] in [city], and it has not moved
since. I have opened a trace with Canada Post. You have two choices:
1. We reship today at no cost.
2. We refund C$[amount] to your original card.
Reply with 1 or 2 and I will do it today. Your statement shows this
charge as [statement name], and my number is [phone number].
[Name], [store]
Notice what the message does. It names the problem, offers two clear fixes and gives a deadline of today. A customer who sees that does not need a bank.
Is it worth fighting? A worked example in C$
Take the Winnipeg set. The order was C$140.00. The tracking shows no delivery scan.
Case A: no delivery scan, chargeback filed
Disputed amount = A = C$140.00
Fee = F = C$15.00 (returned only on a win)
Your time = T = 45 minutes, call it C$22
Chance of winning = c = 0.05 (illustrative: shipped, never delivered)
Concede: A + F = C$155.00
Fight: (1 minus c) x 155 + 22 = 0.95 x 155 + 22 = C$169.25
169.25 > 155.00, so concede.
Fighting costs more than conceding because the win chance is too small to pay for your time. Now the same set, delivered.
Case B: delivered, address matches, chargeback filed
Chance of winning = c = 0.55 (illustrative)
Concede: A + F = C$155.00
Fight: 0.45 x 155 + 22 = 69.75 + 22 = C$91.75
91.75 < 155.00, so fight.
And the best case: refund before the dispute.
Case C: no delivery scan, refund on day 12 before any dispute
Refund = C$140.00
Fee = none
Canada Post claim (if sender qualifies) = recovers up to C$100.00
Net loss = C$40.00 plus the cost of the goods you no longer hold
The win chances are illustrative, not a Canadian statistic. We found no Canadian win rate for lost parcel disputes, so use your own history. The structure is what matters: a refund plus a claim beats a lost fight.
How do you handle a lost parcel chargeback after the dispute opens?
Sometimes you miss the window. The customer filed on day 9 and you only noticed on day 11. Here is what remains.
- Concede if the parcel is lost. You cannot refund now, and the customer keeps the money returned by the bank.
- Keep the Canada Post claim open. The claim runs on the sender's rights, not on the dispute.
- Ask the customer for a withdrawal if the parcel turns up. The letter must be on bank letterhead and can take 30 to 90 days.
- Fight only with delivery proof. If the claim or tracking later shows delivery, send it.
If the parcel arrives after the dispute and the customer admits it, ask for the withdrawal. If they do not respond, the decision still comes from the card company, up to 75 days after you submit, and it is final.
How do you answer a lost parcel chargeback when the parcel was delivered?
When the carrier record shows delivery to the right address, lead with it.
Draft reply to a lost parcel chargeback where delivery is recorded
Order #[number], placed [date] for C$[amount].
Summary
The customer says the parcel was not received. Canada Post's record shows
delivery on [date] to [address]. The address matches the shipping address
on the order.

2. Order and address

3. Customer communication
[Date]: we asked the customer to check with neighbours and building
staff. [Date]: customer replied [summary] (file 3).
4. Policy

Write only what the files show. If the customer says the parcel was never at their door, say what you asked them and what they replied.
Which lost parcel chargeback cases are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Delivered, address matches, customer admits someone lives there | Strong | Fight, lead with the record |
| Delivered, address matches, customer says nothing | Reasonable | Fight, add your messages |
| Delivered, address differs | Weak | Check for a typo; likely concede |
| No delivery scan | Weak | Concede or, better, refund before it starts |
| Notice card left, still held | Reasonable | Send the card details and your message |
| Returned to sender | Not a fight | Refund and tell the customer |
A lost parcel chargeback is strongest when you can point to a delivery event that matches the order. It is weakest when your best exhibit is a label.
How does extra insurance change a lost parcel chargeback?
If your average order is under C$100, the base coverage on many services already covers it, and the claim payment can match what you refund. If your orders run higher, there is a gap between what Canada Post pays and what you lose.
| Order value | Included coverage | Gap you carry |
|---|---|---|
| C$60.00 | C$100 | None |
| C$100.00 | C$100 | None |
| C$140.00 | C$100 | C$40.00 |
| C$320.00 | C$100 | C$220.00 |
Work out whether the gap above base coverage justifies buying more cover. A rough test: if one lost parcel in 100 leaves a C$220.00 gap, the expected gap per parcel is C$2.20. If extra insurance costs more than that per parcel, you are better off carrying the risk. If it costs less, buy it. Your loss rate will differ, so use your own stall report. We did not find a Canadian figure for how often parcels are lost, so do not borrow one.
Insurance break even for a lost parcel
Gap per loss = G = order value minus C$100 coverage
Loss rate = r = lost parcels / parcels shipped (your own history)
Cost of extra cover = k per parcel
Buy cover when: k < r x G
Example: G = C$220.00, r = 0.01, so r x G = C$2.20. Cover at C$1.50 pays.
What should you say when a lost parcel turns up later?
Parcels do reappear. The customer finds it with a neighbour, or Canada Post delivers it on day 30 after you refunded. Handle that with care.
- Do not ask for the refund back unless your terms say so. It rarely works and often triggers a dispute.
- If a claim is open, tell Canada Post the parcel was found.
- If the customer was refunded and keeps the goods, note it on the order.
- If a chargeback is open and the parcel arrives, ask the customer to request a withdrawal from their bank.
A found parcel changes the evidence. If the customer admits they have the goods, that statement is acknowledgment, the second tier in Shopify's suggested order, and it may help a defence even after the dispute opened.
How do you reduce lost parcel chargebacks in Canada?
A few habits cut the number of lost parcels that become disputes.
- Check addresses before printing. A missing unit number sends parcels astray.
- Choose tracked services. Without tracking you cannot tell lost from late.
- Run a weekly stall report. List parcels with no scan in 5 business days.
- Email on day 7, not day 21. The customer who hears from you rarely calls the bank.
- Keep claim numbers on the order. It saves a search when a dispute lands.
- Price insurance honestly. If your orders run above C$100, consider extra coverage on the label.
| Habit | Cost | Effect |
|---|---|---|
| Weekly stall report | 15 minutes | Finds losses early |
| Day 7 email | 5 minutes each | Moves the customer's trust to you |
| Extra insurance | A fee per parcel | Narrows the gap above C$100 |
| Address check | 1 minute per order | Cuts misdirected parcels |
How does ChargeFix help with lost parcel chargebacks?
These disputes depend on your order, your tracking and your messages. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, the fulfillment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no delivery event, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a delivery your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it cannot file your Canada Post claim for you. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a lost parcel chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Read the tracking. Delivered, stalled or returned? | Status written down |
| Day 2 | Check the address against the order | Match or mismatch noted |
| Day 3 | Contact the customer; open a Canada Post ticket if lost | Message sent and ticket saved |
| Day 4 | Decide: fight or concede | Decision written down |
| Day 5 | Draft the response if you are fighting | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Record the cause for next time |
If you concede a truly lost parcel, still open the claim. The claim payment is your route to recovering part of the loss.
What is different about lost parcel chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Canada Post claims | Sender only; 90 days domestic; 6 months for the US and abroad | Open the claim the day you confirm the loss |
| Included coverage | C$100 on many services | Check the gap for pricey orders |
| Shopify Protect | US stores only, fraud and unrecognized reasons only | It does not cover lost parcels |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Service alerts. Canada Post publishes service updates. If an alert explains a delay in your region, save the page as a PDF and send it to the customer. Shopify gives no extension for carrier delays, so the alert helps your message, not your deadline.
Rural addresses. Parcels to rural addresses can take longer. Add a day or two to your estimate for those postal codes.
Quebec. If you sell to Quebec customers, send the stall email and the policy in a language they read. A message a customer cannot read is weak evidence that you reached out.
Consumer law. Consumer protection law differs by province. The sources we used set no Canadian rule on who bears the risk of a lost parcel in an online sale, so this guide states none. Ask your provincial consumer office or a lawyer before you rely on absolute terms in your policy.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with a lost parcel chargeback?
- Waiting for the customer to call the bank. Email on day 7.
- Fighting without a delivery event. A label is not delivery.
- Refunding after the chargeback began. Shopify does not allow it.
- Forgetting the 90 day claim clock. It runs from the shipping date.
- Assuming the claim pays full value. Many services cover C$100.
- Skipping the address check. A typo explains many losses.
- Letting the customer claim twice. Record the refund and the claim on the order.
- Ignoring service alerts. Save them as PDFs.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What is a lost parcel chargeback?
It is a card dispute on an order where the parcel never reached the customer. On Shopify Payments the reason is usually product not received. If your tracking shows no delivery event, the case is hard to win, so refund early.
Should I refund or fight a lost parcel?
Refund when tracking shows the parcel is missing, ideally before a chargeback begins. A full refund on an inquiry blocks a chargeback. Fight when the carrier record shows the parcel reached the address on the order and you hold a copy.
Can I refund after the customer disputes?
No. Shopify says you cannot refund once a chargeback has begun. You can refund while it is an inquiry. After that, the customer can ask their bank for a withdrawal letter, which can take 30 to 90 days, and you can still file a Canada Post claim.
Who can file a Canada Post claim?
Either the sender or the receiver can start an inquiry, but only the sender can request and receive a claim payment, according to Canada Post. For domestic parcels the claim must start inside 90 days of shipping, and only after the parcel is overdue.
How much does Canada Post pay for a lost parcel?
Base coverage of C$100 is part of many services. Compensation is the lowest of three numbers: the item's value, the insurance you bought and the coverage built into the service. A parcel with no insurance may still qualify for a postage refund. Check your own service's terms.
How long should I wait before calling a parcel lost?
Canada Post says most packages arrive no later than 5 business days after the expected delivery date. For Xpresspost or Tracked Packet, you can start a claim 1 day after that date. Other services have longer waits, such as 30 days for Registered Mail.
What does Shopify want for a product not received dispute?
Shopify lists shipping and tracking, proof of delivery and your communication with the customer. Its suggested order is direct proof, then acknowledgment, policy and context. Files must be PDF, JPEG or PNG, up to 2 MB each and 4 MB combined, with no links.
Does Shopify extend the deadline for a carrier delay?
No. The response window is 7 to 21 days with no extensions, and Shopify submits saved evidence on the due date. A carrier delay is a reason to message the customer early, offer a reship or a refund, and save any service alert as a PDF, not a reason to expect extra time.
Are there Canadian rules on lost parcels in online sales?
We found no source that sets a Canadian rule on who bears the risk of a lost parcel in an ordinary online sale, so we state none. Consumer protection law differs by province. Ask your provincial consumer office or a lawyer if you need certainty.
How does ChargeFix help with lost parcel chargebacks?
ChargeFix reads the order, fulfillment, tracking and refund data, flags a missing delivery event and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above. It cannot promise a win.
