A Vancouver jeweller ships a C$1,240 sapphire pendant to a first-time buyer in Calgary. The parcel is marked delivered, left at the door. Ten days later the cardholder tells the bank the pendant never arrived, and the store loses the sale, the stone and the C$15 dispute fee in one go. Jewellery chargebacks in Canada hurt more than most because the orders are small to carry and large to lose. A single missed signature can erase a month's margin on a line. This guide shows what Shopify wants to see in each kind of jewellery dispute, how signature and shipping cover change the odds, and how to build a response that a reviewer can check in two minutes.
Quick answer: Jewellery chargebacks usually arrive as fraud, product not received or product unacceptable. Shopify's guidance for product not received is to lead with tracking and delivery confirmation, signed or photographed where possible, and to ask for signature confirmation when an order is worth a lot. For goods not as described, show the listing as it appeared, pre-shipment photos and quality control records. Because high value parcels invite theft and disputes, add a signature rule, keep photos of every piece before it ships and know what Canada Post's coverage does and does not pay.
This guide is for you if:
- You sell rings, necklaces, watches or loose stones on Shopify in Canada.
- A buyer has disputed a jewellery order as not received, fraudulent or not as described.
- You want a signature rule, a photo routine and a reply template that fit high value orders.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, the claims and delivery details come from Canada Post's own pages, and the signature and coverage options come from a shipping plugin vendor's article that we label as such. Where a page does not say, this guide says so rather than guess.
TL;DR
- Shopify recommends a signature on delivery for pricey orders, and tracking with delivery confirmation as the lead proof for product not received.
- For goods not as described, the strongest files are the listing at purchase, packing photos and quality control records.
- Canada Post coverage for jewellery is limited, according to a vendor article, so check your cover before you ship.
- A safe drop is at Canada Post's discretion for items without signature, so do not rely on it for valuable parcels.
- Fight when the file is strong, and refund early when tracking shows no delivery.
Do this today
- Set a rule: every jewellery order above your chosen value ships with signature.
- Photograph each piece before it ships and name the file with the order number.
- Save the listing page and the size, metal and stone details with the date.
- Check what your carrier covers for jewellery and what you buy on top.
- Write down who opens dispute notices and how fast.
Jewellery chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is usually 7 to 21 days, with no extensions |
| 2. Sort by reason | Fraud, not received or not as described | Each reason has a different lead file |
| 3. Pull delivery proof | Tracking, signature, delivery photo if given | Direct proof comes first |
| 4. Pull product proof | Listing, pre-shipment photos, certificate | Shows what was sold and shipped |
| 5. Gather messages | Emails, chat, support tickets | Acknowledgment from the buyer |
| 6. Decide | Fight, refund or concede | No refund is possible once a chargeback begins |
| 7. Build and file | Strongest proof first, labelled files | The fee is not returned if you miss the date |
Why are jewellery chargebacks different?
Three features set jewellery apart. The value per parcel is high, so a single dispute costs more than most products. The goods are small and valuable, so they attract fraud and theft in transit. And buyers judge the product by feel, colour and sparkle, so "not as described" is a subjective claim that needs hard facts to answer.
| Feature | Effect on disputes | What to do |
|---|---|---|
| High value per order | One loss is expensive | Apply stricter checks and signature rules |
| Small, portable goods | Attractive to fraudsters and thieves | Review first-time and rush orders |
| Subjective quality | Buyers say it looks different | Publish exact specs and clear photos |
| Gifts | Buyer and recipient differ | Record gift intent at checkout |
| Custom work | Long lead times, no resale | Set terms in writing before the sale |
The practical lesson is that jewellery chargebacks are won or lost on the day you ship, not the day you respond. Most jewellery chargebacks that go badly had no signature and no packing photo. A photo taken at packing and a signature rule set at checkout are worth more than any letter.
What reasons sit behind jewellery chargebacks?
| Reason | What the buyer says | Typical cause |
|---|---|---|
| Fraudulent | "I did not make this purchase" | Stolen card, family member, forgotten gift |
| Product not received | "It never arrived" | Parcel left at the door, theft, wrong address |
| Product unacceptable | "It is not what I ordered" | Size, metal, stone colour, flaws, damage |
| Credit not processed | "I returned it and got no refund" | Slow return handling |
| Duplicate | "I was charged twice" | Authorization hold mistaken for a charge |
| Subscription canceled | "I cancelled the club" | Monthly jewellery boxes |
Shopify lists seven categories of dispute reason on its chargeback page, and each has its own evidence list. We cover three of them in detail below because they account for most jewellery chargebacks, and the same logic helps with the rest.
Does Shopify Payments allow jewellery stores?
Shopify's Payments eligibility page lists prohibited business categories. The categories are regulated or illegal products, financial products, adult products, pseudo pharmaceuticals, gambling and counterfeit products. Jewellery does not appear in the list, and the page says the list is not exhaustive and varies by region, so check the Shopify Payments terms for Canada and Shopify's Acceptable Use Policy for your own catalogue. The practical point is that counterfeit goods are prohibited, so a store selling branded pieces needs paperwork that shows where the goods came from.
| Question | What the page says |
|---|---|
| Is jewellery listed as prohibited? | No |
| Is the list complete? | No, it varies by region and is not exhaustive |
| Are counterfeit products prohibited? | Yes |
| What should you check? | The Canada terms and the Acceptable Use Policy |
What does Shopify say about product not received?
For physical goods, Shopify's list is clear. It asks for tracking information, a delivery confirmation that is signed or carries a photo where possible, proof that the address matched checkout and carrier delivery notifications. For orders of high value its advice is to require a signature on delivery.
| Shopify evidence for product not received | Jewellery application |
|---|---|
| Tracking information | Download the tracking PDF the day of delivery |
| Delivery confirmation with a signature or photo | Signature confirmation on every high value parcel |
| Proof the address matched checkout | Screenshot of the order address |
| Carrier delivery notifications | Save the emails and the notice card record |
| Recommended: signature on delivery for pricey orders | Make it a rule, not a choice |
A vendor article from PluginHive (last modified June 2026) describes two signature options in a Shopify shipping setup. Signature Required means the package is handed directly to someone at the delivery address. Adult Signature adds age verification, and the article notes that it is commonly used for regulated or age restricted goods. Eligibility varies by service, so not every Canada Post service supports signature confirmation, and signature and insurance add to shipping cost. The article gives no prices.
How does a safe drop affect a jewellery dispute?
Canada Post's delivery options page says that for items without signature, safe drop is at Canada Post's discretion. For items with signature, an attempt is made at the door and a card is left if nobody is there, and the item is held for 15 calendar days before it is returned to the sender. That means a parcel with signature may sit at a post office, while a parcel without signature may sit on a porch.
| Delivery type | What happens | Risk for jewellery |
|---|---|---|
| No signature | Left in a safe place at Canada Post's discretion | Theft or a claim of non-delivery |
| Signature | Handed over, or a card left and a 15 day hold | Delay, but the record is stronger |
| Condo with concierge | Staff may sign under a Letter of Authorization | The signature is valid but is not the buyer's |
For high value orders, a signed delivery does not guarantee a win. If the signature belongs to a concierge, show the Letter of Authorization concept to the reviewer and the building address on the order. But a signature turns "left at the door" into "someone took custody", and that is a better story. See our guide to signature required orders for more.
What does Canada Post cover for jewellery?
The PluginHive article says Canada Post liability coverage depends on the service chosen and the declared value. Most domestic parcel services include automatic liability coverage, premium services generally include more, and merchants can add insurance by setting an insured value when they create the label. It adds that high-risk goods, including cash, jewellery, precious metals and collectibles, have limited coverage, and that prohibited and restricted items are never insured. It gives no dollar caps.
Canada Post's own claims page adds the mechanics. Only the sender receives claim payment. Domestic claims must start within 90 days of shipping, once the item is past its expected delivery date. Many services include C$100 of base coverage, and compensation is the lowest of the item value, the insurance bought or the included coverage.
| Question | Answer | Source |
|---|---|---|
| Who is paid on a claim? | The sender | Canada Post |
| How long to start a domestic claim? | Within 90 days of shipping | Canada Post |
| What is base coverage on many services? | C$100 | Canada Post |
| What decides the payment? | Lowest of value, insurance bought or included coverage | Canada Post |
| Is jewellery fully covered? | Limited for high-risk goods | Vendor article, no amounts given |
The lesson for a jeweller handling high value orders is to read the coverage terms for the exact service before shipping a valuable piece, and to ask Canada Post or a specialist insurer what applies to your goods. We found no source that states a Canada Post coverage cap for jewellery, so this guide states none.
What evidence helps in a jewellery chargeback?
Think in layers. Shopify's suggested order is direct proof, acknowledgment, policy, then context.
| Layer | Evidence | Why |
|---|---|---|
| Direct proof | Tracking PDF, delivery confirmation, signature record | The parcel reached the address |
| Direct proof | Pre-shipment photos of the exact piece | Shows what was sent |
| Acknowledgment | Buyer emails, thank you notes, support tickets | The buyer engaged |
| Policy | Return and shipping policy, as seen at checkout | The terms in force |
| Context | Listing at purchase with specs | What was promised |
| Context | Earlier orders by the same buyer | An established customer |
| Context | Certificates, hallmark photos, serial numbers | Authenticity |
Shopify Payments includes some of this on its own when available: product details, customer name and email, billing and shipping addresses, IP address, fulfilment and tracking details, refunds and prior undisputed orders. You add the photos, certificates and carrier PDFs.
How should you photograph jewellery before it ships?
A packing photo routine takes two minutes and answers three kinds of jewellery chargebacks. Take the photos on the day you pack, before the item goes in the box.
| Photo | What it shows | Dispute it answers |
|---|---|---|
| The piece on a plain background with a ruler or scale | Size and finish | Not as described |
| Close up of hallmarks or engraving | Metal mark and personalisation | Not as described |
| The piece next to the order slip with the order number | That this piece was packed for this order | Not received, not as described |
| The sealed parcel with label visible | That the parcel left your hands correctly | Not received |
| The packing slip and certificate in the box | What documents went with it | Not as described |
Name every file with the order number and the date. For product unacceptable cases Shopify asks for pre-shipment photos plus quality control records, so this routine is directly aligned with its guidance. Keep file sizes small, because Shopify accepts PDF, JPEG or PNG, with 2 MB per file and 4 MB combined, and one file per type.
What does Shopify say about goods not as described?
For product unacceptable disputes Shopify's list covers the listing at purchase, order and fulfilment records, photos taken before shipment, quality control records, customer communications, the return policy and support ticket history. It adds that it can help to show the customer never contacted you, if that is true, and to describe your resolution process.
| Shopify item | Jewellery application |
|---|---|
| Listing at purchase | Dated PDF of the page with specs and photos |
| Order and fulfilment records | Order page and packing record |
| Pre-shipment photos | The packing photos above |
| Quality control records | A checklist signed on the day |
| Customer communications | All emails and chat |
| Return policy | The policy shown at checkout |
| Support ticket history | Any earlier contact |
A buyer who says "the stone is a different colour" is making a claim that a photo can only partly answer. Lead with exact written specs, such as metal, stone type, size and weight, and show what you shipped matches them. Our guide to product not as described chargebacks covers wording.
How do you write listings that survive a dispute?
A listing is evidence. If it is vague, the buyer's reading wins.
Listing specification block (adapt to your catalogue)
Item: [name] SKU: [number]
Metal: [e.g. 14k yellow gold] Weight: [g]
Stone: [type, shape, carat weight, colour grade if known]
Size: [ring size / length in cm] Finish: [polished / brushed]
Made: [in stock / made to order in X weeks]
Photos: taken in [natural light / studio]; colours can vary on screens.
Return terms: [window, condition, final sale items listed]
Put the same block in the order confirmation email. Save a dated PDF of the page when you publish it and again when you change it. If you sell made-to-order pieces, state the lead time at checkout, because the pre-order and backorder guide shows how timing disputes start.
How do you handle custom and engraved pieces?
Shopify's return rules let you mark final sale items by collection or by product. You cannot mix products and collections, and bundles cannot be final sale. Changes apply to future orders only. So put engraved and made-to-order pieces in a final sale collection before you sell them, and say so on the product page and at checkout.
| Piece | Suggested handling |
|---|---|
| Engraved or personalised | Final sale collection, written approval of the engraving text |
| Made to order | Final sale or a restocking fee, lead time stated |
| Ready stock | Normal return window |
| Resized rings | Say whether a resize voids the return |
Restocking fees are not deducted automatically from refunds in Shopify, so you must deduct them yourself when you refund. Whatever you decide, write it in plain words where the buyer sees it before paying. We found no Canadian rule on returns of custom goods in our sources, so your policy is your own.
How do you spot fraud behind jewellery chargebacks?
Fraud is a big share of all jewellery chargebacks, and high value orders are the favourite target. Shopify tells merchants to investigate suspicious orders before they fulfill them. The fraud evidence it lists includes AVS and CVV matches, device and IP consistency, 3D Secure records, prior successful orders, delivery to the verified billing address and customer messages acknowledging the order.
| Signal | Lower risk | Higher risk |
|---|---|---|
| History | Repeat buyer | First order, high value |
| Address | Billing matches shipping | Forwarder, hotel or storage unit |
| AVS | Match | No match |
| Shipping speed | Standard | Rush or overnight |
| Looks like a person | Random characters | |
| Contact | Replies to your email | Silent |
Two or three higher risk signals are a reason to hold the order and email the buyer before shipping. If the address fails the AVS check, Shopify's advice for goods going to Canada, the US or the UK is to reach out first. See our guides to AVS and CVV checks and to billing and shipping address matches.
How do you answer a jewellery chargeback?
Lead with the file that answers the reason. Keep it short, number the files and write only what the files show.
Draft reply to a jewellery chargeback (adapt to your case)
Order #[number], placed [date] for C$[amount].
Summary
We shipped [item, SKU] on [date] with signature required. Canada Post
records delivery on [date] at [city, province], signed by [name]
(record attached). The shipping address matches the address entered at
checkout.
1. Delivery record
Canada Post tracking and signature PDF (file 1).
2. What was shipped
Pre-shipment photos dated [date], including hallmark close up (file 2).
3. Listing at purchase
Dated PDF of the product page with specifications (file 3).
4. Messages
Emails with the customer, including [date] confirmation (file 4).
5. Policy
Shipping and return policy shown at checkout (file 5).
Do not write that the buyer confirmed anything unless a file shows it. If the signature is a concierge's, say so and show the building address. If tracking shows a safe drop with no signature, say that plainly and lead with the other files.
Is it worth fighting? A worked example in C$
Take the Vancouver pendant at C$1,240.00. The buyer says it never arrived. Case A: shipped with signature required, delivery signed, packing photos on file. Case B: shipped without signature, left at the door.
Case A: signed delivery, packing photos, listing PDF
Disputed amount = A = C$1,240.00
Fee = F = C$15.00 (returned only on a win)
Your time = T = 60 minutes, call it C$30
Chance of winning = c = 0.65 (illustrative)
Concede: A + F = C$1,255.00
Fight: (1 minus c) x 1,255 + 30 = 0.35 x 1,255 + 30 = C$469.25
469.25 < 1,255.00, so fight.
Case B: no signature, safe drop, no photo
Chance of winning = c = 0.25 (illustrative)
Fight: 0.75 x 1,255 + 30 = C$971.25
971.25 < 1,255.00, so still fight, but the expected loss is much higher.
Better: have shipped with signature in the first place.
The win chances are illustrative, not Canadian statistics. We found no published Canadian win rate for jewellery chargebacks, so use your own history. At this price level, even a weak case is worth fighting, which is why prevention carries the real value in jewellery chargebacks: the signature rule changes the odds before the dispute exists.
Which jewellery chargebacks are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Signed delivery, packing photos, address match | Strong | Fight, lead with the signature |
| Delivered with safe drop photo, repeat buyer | Reasonable | Fight, show history |
| Not as described, specs match listing and photos | Reasonable | Fight, lead with specs and photos |
| Not as described, listing vague | Weak | Consider a refund or exchange |
| No delivery scan | Weak | Refund early and claim from the carrier |
| First order, rush, forwarder address, no contact | Weak | Fight if value justifies, or concede |
If you owe a refund, issue it from the admin. Shopify says you can refund while a case is an inquiry and that a full refund on an inquiry blocks a chargeback.
How does ChargeFix help with jewellery chargebacks?
Jewellery chargebacks involve a lot of paper: the tracking record, the signature, the listing, the photos and the emails. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, addresses, fulfilment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no signature or no prior orders, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a signature your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not contact your customers or your carrier. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a jewellery chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Open the order, note reason, check signature and tracking | Intake note filled in |
| Day 2 | Download the tracking and signature record as PDF | Delivery shown |
| Day 3 | Pull packing photos, listing PDF and certificate | Product proof ready |
| Day 4 | Decide: fight, refund or concede | Decision written down |
| Day 5 | Draft the response, strongest proof first | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Note what mattered |
If the buyer agrees the order was theirs, ask them to request a withdrawal through their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for American Express disputes or Visa disputes with a Fraudulent reason code, so file your evidence without waiting.
How do you prepare for the next wave of jewellery chargebacks?
- Set the signature threshold. Pick a value above which high value orders always ship with signature confirmation.
- Run the photo routine. Two minutes per order.
- Save listing PDFs. Dated, with specs.
- Review your cover. Ask what Canada Post and any insurer actually pay.
- Keep delivery proof. The Canada Post confirmation is online for 45 days, so download it early.
- Log every dispute. A simple sheet shows patterns by product and region.
| Habit | Time | Effect |
|---|---|---|
| Packing photos | 2 minutes per order | Answers three dispute types |
| Listing PDF | 5 minutes per product | Fixes what was promised |
| Signature rule | 30 minutes once | Changes the odds |
| Monthly log review | 30 minutes | Patterns you can act on |
Our chargeback audit guide shows how to turn the log into a short fix list for your jewellery chargebacks.
What is different about jewellery chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery proof | Canada Post confirmation online for 45 days after delivery | Download it early |
| Shopify Protect | US stores only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Cross-border. For parcels to the US, Canada Post says postal shipments under US$800 need prepaid duties and a Declaration ID, since the US de minimis exemption was suspended on 29 August 2025. The FAQ we read covers shipments under US$800, so for a more valuable piece ask your carrier what applies. Our cross-border guide explains the options.
Condos and concierges. Canada Post's page on condominiums says a security guard or concierge may sign for the resident under the condominium agreement and a Letter of Authorization. The signature is valid, but it is not the buyer's, so record the building address.
Quebec. If you sell to Quebec buyers, remember that French language rules apply to websites and contracts. Our Quebec guide covers what we found.
Consumer law. Consumer protection law differs by province. We found no source that sets a Canadian rule for jewellery returns or valuations, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with jewellery chargebacks?
- Shipping high value orders without signature. Shopify recommends signature confirmation for pricey orders.
- No packing photos. You cannot show what you sent.
- Vague listings. The buyer's reading wins.
- Assuming full carrier cover. Coverage for jewellery is limited, per a vendor article.
- Ignoring AVS failures on big orders. Contact the buyer before you ship.
- Not marking custom pieces final sale. Changes apply to future orders only.
- Writing claims without files. Every sentence needs a file behind it.
- Refunding after the chargeback began. Shopify does not allow it.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. Jewellery chargebacks give no extensions, and the fee is not refunded.
Frequently asked questions
What are jewellery chargebacks?
Jewellery chargebacks are card disputes on jewellery orders. The usual reasons are fraudulent, product not received and product unacceptable. They cost more than most because of the order value, and they are won on evidence made before shipping, such as signatures, photos and exact specifications.
Should I require signature on jewellery orders?
Shopify recommends signature confirmation in its product not received guidance when an order is worth a lot. A signed record is stronger than a safe drop, which Canada Post allows at its discretion for items without signature. Pick a value threshold and make signature confirmation the rule above it.
Does Canada Post insure jewellery?
A vendor article says Canada Post coverage depends on the service and declared value, and that high-risk goods, including jewellery, have limited coverage, with no amounts given. Canada Post's claims page says compensation is the lowest of item value, insurance bought or included coverage. Ask Canada Post what applies to you.
What evidence wins a not as described dispute?
Shopify lists the listing at purchase, order and fulfilment records, photos from before shipment, quality control records, customer messages, the return policy and support history. For jewellery, add exact specifications, hallmark close ups and certificates where you have them, and keep the files small enough to meet the size limits.
Can I refund a jewellery order after a dispute opens?
You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. Once a chargeback begins, Shopify does not allow a refund. The buyer can ask their bank for a withdrawal letter, which can take 30 to 90 days.
How do I handle custom or engraved pieces?
Put them in a final sale collection before you sell them, because Shopify applies return rule changes to future orders only. State the rule on the product page and at checkout, and get written approval of engraving text. We found no Canadian rule on custom goods returns.
What if the parcel was signed for by someone else?
Show the signature record and the address on the order. A concierge may sign under a Letter of Authorization at a condominium, according to Canada Post, and the delivery is still recorded. Lead with the signature and add history or messages that tie the buyer to the order.
Is it worth fighting jewellery chargebacks?
Compare the cost of conceding, the amount plus the C$15 fee, with the expected cost of fighting, including your time. Because jewellery orders are large, fighting jewellery chargebacks usually pays when you have a signature or packing photos. Use your own win history for the odds.
Are there Canadian rules for jewellery disputes?
We found no source that sets a Canadian rule for jewellery returns or valuations, so we state none. Consumer protection law differs by province. Shopify's fee, window and file rules apply to Shopify Payments stores, and Shopify Payments (Canada) handles complaints.
How does ChargeFix help with jewellery chargebacks?
ChargeFix reads the order, addresses, tracking and refund data, flags missing proof such as a signature, and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.
