A Guelph home decor store sells a C$120 lamp. Three weeks later the customer's bank disputes the charge, and the owner sees one line in the Shopify admin: C$120 plus a C$15 fee. "That's C$135," she thinks. It is not. She also paid C$38 to make the lamp, C$14 to ship it, C$9 in card processing on the original sale and C$22 in ads to find the customer. She lost the lamp, she will spend forty minutes on evidence and, if she loses, she has paid C$210 or more to give a lamp away. The cost of a chargeback in Canada is nearly always larger than the number in the dispute email. This guide builds the full figure line by line, shows where Shopify's own numbers stop and ours begin, gives you a calculator you can copy and shows what changes the maths: winning, accepting, preventing and picking your fights.
Quick answer: The visible cost of a chargeback is the order amount plus Shopify's fee of C$15 or US$15, both taken from your next available payout. The fee comes back only if you win. The hidden cost is everything else you spent on that sale: product, shipping, payment processing, ads, your time and the damage to your dispute rate. A C$120 order can cost a store C$200 or more when it is lost. A LexisNexis study reported by Digital Transactions puts the cost of each dollar of fraud at 5.23 dollars in Canada, which shows how far past the sticker price a dispute can reach.
This guide is for you if:
- You sell on Shopify in Canada with Shopify Payments and want the full cost of a chargeback, not just the fee.
- You need a number to decide whether to fight, accept or prevent.
- You want a calculator you can paste into a spreadsheet.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, listed at the end. Product, shipping, ad and time figures are examples we made up to show the method; replace them with yours. This guide is general information and not legal advice, and where a source does not say, this guide says so rather than guess.
TL;DR
- Shopify takes the order amount and a C$15 or US$15 fee together, and the fee returns only on a win.
- The lost product, shipping, processing and ad spend are on top of that.
- Your time is a cost too: 30 to 60 minutes a case is common.
- A lost C$120 order can cost C$200 or more once all lines are counted.
- The cheapest chargeback is the one you prevent.
Do this today
- Open your last three lost chargebacks.
- For each, fill in the calculator below with your real product, shipping and ad costs.
- Average the three results.
- Compare that average with what you spend on prevention.
- Decide which one reason you will fix first.

What does Shopify say about the cost of a chargeback in Canada?
Shopify says a chargeback withdraws the disputed amount and a fee from your next available payout, and an inquiry withdraws neither at the start (see Shopify's chargeback process and Chargebacks and inquiries). The fee is C$15 or US$15, matching your payout currency. If you win, the amount returns, and the fee returns too. If you lose or accept, neither comes back. Our chargeback fee guide covers the fee in detail, and our fee refund guide shows how to check it came back.
| What Shopify publishes | What it leaves to you |
|---|---|
| Amount and fee taken at once | Your product, shipping and ad costs |
| Fee returned on a win | The value of your time |
| Review up to 75 days | How long cash is tied up |
| Decisions are final | The effect on future disputes |
Neither Shopify nor the card networks put a price on your own costs or your own time when you handle a dispute, so the rest of this guide prices the full cost of a chargeback for you.
Is the cost of a chargeback identical on every product?
No. A digital product with no shipping, a dropshipped item and a made to order piece all cost different amounts to lose. Use your own numbers for each product line, and keep the calculator in a spreadsheet so you can reuse it.
How do you calculate the cost of a chargeback per order?
Add every line you spent to earn that sale, then add the fee. Work in Canadian dollars and use your payout currency for the fee.
Cost of a chargeback calculator (adapt to your case)
Order amount taken = A
Shopify fee = F (C$15 or US$15)
Product cost (COGS) = P
Outbound shipping paid = S
Payment processing on sale = M
Ad spend per order = D
Your time (hours x rate) = T
Total cost if lost = A + F + P + S + M + D + T
Note: A is revenue you no longer hold. P, S, M and D are costs you
already paid for a sale that no longer counts. If the item is
returned and resold, P and S may be partly recovered.
Not every line is a pure addition in an accountant's sense, because the amount taken and the product cost both reflect the same sale. The calculator is a decision tool, not a ledger entry. Its job is to show what you gave up by losing the case, compared with the cash you would hold if the sale had stood.
| Line | C$ | Where to find it |
|---|---|---|
| A: order amount | 120.00 | Shopify order |
| F: fee | 15.00 | Shopify dispute |
| P: product cost | 38.00 | Your supplier invoice |
| S: shipping | 14.00 | Your carrier invoice |
| M: processing | 9.00 | Shopify Payments rate on the sale |
| D: ad spend | 22.00 | Ad account, spend divided by orders |
| T: time | 27.00 | 40 minutes at C$40/hour |
| Total if lost | 245.00 | Sum |
Worked example (illustrative figures)
Total if lost = 120 + 15 + 38 + 14 + 9 + 22 + 27 = C$245.00
Revenue you do not hold = C$120.00
Costs you cannot recover = 125.00 (fee 15 plus the five lines above)
Read it this way: losing the case costs C$125 you cannot recover,
plus C$120 of revenue you do not hold.
The word "illustrative" matters for the cost of a chargeback maths. The C$38 product cost, C$14 shipping and C$22 ad spend are made up. The method is the useful part, and your own invoices supply the real numbers.
How does winning change the cost of a chargeback?
On a win, the cost of a chargeback drops to your time, since the order amount and the fee return. Everything else stays spent, but you keep the sale, so the product, shipping and ad spend did their job.
| Outcome | Amount | Fee | P + S + M + D | Time | Net result |
|---|---|---|---|---|---|
| Win | Returned | Returned | Already earned the sale | Spent | You keep the sale; time is the cost |
| Lose | Gone | Gone | Wasted | Spent | Full loss |
| Accept | Gone | Gone | Wasted | Little | Full loss, less time |
| Prevent | Never taken | Never taken | Earned the sale | None | No loss |
Same C$120 order, three outcomes (illustrative)
Win : you keep the sale; cost = time only = C$27.00
Lose : cost = fee + product + shipping + processing
+ ads + time, and the revenue is gone
= 125 of costs you cannot recover = C$125.00 unrecoverable
Accept : the same as a loss, with about 5 minutes of time
= 15 + 38 + 14 + 9 + 22 + 3 (time) = C$101.00 unrecoverable
The gap between winning and losing is about C$98 on this order, which is why a well built file can pay for itself. Our guide to winning a Shopify chargeback shows how to build one, and our evidence template speeds up the work.
Does accepting lower the cost of a chargeback?
Accepting saves your time, but not the fee. Shopify's chargeback process page says the fee is returned only on a win, so an accepted chargeback leaves the fee gone too. Accept when your best evidence is thin and your time is worth more than the chance of a win. Our decision time guide covers what the wait costs.
How does order size change the cost of a chargeback?
The cost of a chargeback has a fixed piece, that flat fee, so it weighs more on small orders. The hidden costs scale with the product and the ad spend.
| Order | Fee as % of order | Product + shipping + processing + ads | Total if lost (with C$20 time) |
|---|---|---|---|
| C$30 | 50% | C$20 | C$85 |
| C$60 | 25% | C$35 | C$130 |
| C$120 | 12.5% | C$83 | C$238 |
| C$250 | 6% | C$150 | C$435 |
| C$500 | 3% | C$280 | C$815 |
Row check for C$60 (illustrative)
Total if lost = 60 + 15 + 35 + 20 = C$130
Share lost beyond the order = (15 + 35 + 20) / 60 = 117%
A C$60 order costs C$130 to lose, more than twice the sale. That is why small disputes are not "too small to matter."
How does cash tied up add to the cost of a chargeback?
Shopify says a chargeback review takes up to 75 days. For that time the amount and fee are out of your balance. If you would otherwise use the cash for stock or ads, the delay has a cost. Our negative balance guide covers what happens if the held total exceeds your balance.
Cost of holding cash (illustrative)
Held = C$135.00 (120 + 15)
Return you earn on stock or ads = 3% a month (illustrative)
Months held = 2.5
Cost of waiting = 135 x 0.03 x 2.5 = C$10.13
This is a small number per case. It adds up if you have many cases open at once, and it is a real cost only if you would have used the cash profitably.
Where does the cost of a chargeback show up in your dispute rate?
Each dispute counts toward the rates that card networks and Shopify watch. Shopify says winning a chargeback does not remove it from your rate (chargeback monitoring). Its Network Dispute Resolution Program page says a rate of 1.5% or higher over the last 90 days can lead to automatic enrolment, with a 10% reserve on payouts and a C$15 or US$15 fee on every automatically resolved dispute in Canada. Our VAMP and ECM guide explains the card network side.
| Rate effect | Cost |
|---|---|
| Below any program threshold | No direct cost |
| Over a program threshold (reported) | Possible reserve on payouts |
| Repeated high rates | Possible account review |
The takeaway: the cost of a chargeback includes a rate effect even on a win, so prevention is worth more than the fight.
What does research say about the wider cost of fraud and a chargeback?
LexisNexis Risk Solutions, in a study reported by Digital Transactions on 26 June 2026, found that every dollar of fraud cost 5.13 dollars in the United States and 5.23 dollars in Canada. The report describes the measure as the actual cost beyond the item's value, and the article does not say which components are included (Digital Transactions, LexisNexis fraud cost study). The figure covers fraud, not every chargeback, so we do not apply it to your store. It supports the direction of this guide: the visible loss understates the full cost.
| Source | Figure | How to use it |
|---|---|---|
| Shopify | Amount plus the flat fee | Exact, per case |
| LexisNexis via Digital Transactions | 5.23 dollars per dollar of fraud in Canada | Direction only |
| Your calculator | Your own total | The number to act on |
What is the cost of a chargeback by dispute reason?
The reason changes which lines matter most. A not received claim puts shipping and product at risk. A fraud claim puts the full order at risk, usually with the product already in a stranger's hands. A credit not processed claim is often a refund you owe anyway. Use the table to see where your cost of a chargeback concentrates, then go to the guide for that reason.
| Reason | Lines that hurt most | Win depends on | Guide |
|---|---|---|---|
| Product not received | Product, shipping, amount | Delivery record, signature | Not received guide |
| Fraudulent | Amount, product, shipping | Address match, order history | Fraudulent guide |
| Product not as described | Amount, return shipping | Listing at purchase, photos | Not as described guide |
| Credit not processed | Amount, fee | Refund record | Credit not processed guide |
| Duplicate | Amount | Two separate order records | Duplicate charge guide |
| Subscription | Amount, repeat billing | Cancellation records | Subscription guide |
Reason mix check (adapt to your case)
Last 12 lost chargebacks:
Reason Count Avg total if lost Total
Not received 5 C$210 C$1,050
Fraudulent 3 C$260 C$780
Credit not processed 2 C$95 C$190
Other 2 C$140 C$280
Total cost of lost chargebacks = C$2,300
Largest bucket = not received (46% of cost)
The figures are invented. The use is the percentage on the last line: it tells you which fix repays the most. Here the owner would start with delivery proof, because not received claims are the largest share of the bill.
How do you find your own reason mix?
Export your disputes from the Shopify admin for the last 12 months, group them by reason and multiply each group by the average total from your calculator. A spreadsheet takes about twenty minutes. Our chargeback audit guide shows a fuller version.
What is the monthly cost of a chargeback programme for a small store?
A store rarely loses one case. It loses a few a month, so the number to watch is the monthly total.
| Disputes a month | Share lost | Average total if lost | Monthly cost |
|---|---|---|---|
| 2 | 50% | C$150 | C$150 |
| 5 | 50% | C$150 | C$375 |
| 10 | 50% | C$150 | C$750 |
| 10 | 30% | C$150 | C$450 |
| 10 | 30% after prevention cuts volume to 6 | C$150 | C$270 |
Yearly view (illustrative figures)
Monthly cost today = 10 x 0.50 x 150 = C$750
Yearly cost today = 750 x 12 = C$9,000
After a loss rate cut to 30%: 10 x 0.30 x 150 x 12 = C$5,400
Saving = 9,000 - 5,400 = C$3,600 a year
These are made up to show scale. Even a store with five disputes a month and a 50% loss rate carries a yearly bill near C$4,500. That is the number to hold against the price of any tool, any hire and any hour of your own time.
How do you review the cost of a chargeback each quarter?
A quarterly review keeps the numbers current. Prices, ad costs and shipping rates all move, and an old calculator drifts.
| Step | What to do | Output |
|---|---|---|
| 1 | Refresh product, shipping and ad costs | New line values |
| 2 | Recount disputes and losses | Volume and loss rate |
| 3 | Recompute the average total if lost | One number |
| 4 | Compare with last quarter | Trend |
| 5 | Pick one lever | A single change |
Quarterly note (adapt to your case)

Average total if lost: C$[x]
Total cost this quarter: C$[y]

What can you recover when a chargeback is lost?
Sometimes something. If the customer returned the item, you may resell it. If the carrier lost the parcel, a carrier claim may apply. These recoveries sit outside Shopify's dispute process, so check the carrier's claim terms and your own insurance. Our lost parcel guide walks through the decision between refunding and fighting, and our Canada Post strike guide covers delays.
| Recovery | When it applies | Reality check |
|---|---|---|
| Resale of a returned item | The item came back in good condition | Not possible while a chargeback is open and unresolved |
| Carrier claim | Carrier lost or damaged the parcel | Depends on the carrier's terms and your documents |
| Supplier credit | Dropshipped item | Depends on the supplier's terms |
| Insurance | Policy covers it | Read the policy |
We do not give recovery rates for these, because we found no reliable Canadian figures.
What if you sell digital products or services?
The calculator still works, with the product and shipping lines near zero. That raises the share of the cost that is pure revenue loss. With nothing to resell and nothing to recover, a lost dispute on a C$80 digital item costs the C$80, the C$15 fee, the ad spend and your time. For digital goods, evidence of access, downloads or usage is the direct proof, and delivery records do not apply.
| Product type | Lines that are near zero | Lines that stay |
|---|---|---|
| Digital | Product cost, shipping | Amount, fee, processing, ads, time |
| Dropshipped | Your own shipping | Supplier cost, amount, fee, ads |
| Made to order | Resale value | Materials, labour, amount, fee |
| Stocked physical | Nothing | All lines |
How do you reduce the cost of a chargeback in Canada?
Cut the cost of a chargeback by picking the lever that hits the largest line. For most stores that is either the number of disputes or the loss rate on the ones that happen.
| Lever | Lines it cuts | Guide |
|---|---|---|
| Better delivery proof | Loss rate on not received claims | Canada Post proof of delivery |
| Clear order and shipping emails | Number of disputes | Order confirmation emails |
| Clear billing descriptor | Unrecognized charge disputes | Billing descriptor guide |
| Refund early when fair | Escalation from inquiry | Refund before chargeback |
| Understand friendly fraud | Repeat claims | Friendly fraud guide |
| Lost parcel decisions | Refund versus fight | Lost parcel guide |
Should the cost of a chargeback decide which tool you buy?
Yes. A tool is worth its price if it reduces the cost of a chargeback per case by more than it costs per case. Our insurance versus app guide and hiring a VA guide show how to compare.
Tool break-even (illustrative figures)
Cases a month = n = 6
Your cost per lost case = L = C$245
Share of cases the tool turns from loss to win = w = 0.15 (illustrative)
Tool cost per month = t = C$X
Monthly saving = n x w x L = 6 x 0.15 x 245 = C$220.50
The tool pays for itself if t < C$220.50.
The 15% is a guess for the example, and we found no published Canadian data on how much any tool improves outcomes. Replace it with your own results.
How does ChargeFix help with the cost of a chargeback?
ChargeFix works on the part of the cost you can change: the loss rate on cases worth fighting.
- Dispute fetched. ChargeFix fetches the chargeback when it opens, so the amount, fee and due date are on one list.
- Records read. It reads the order, tracking, refund and message data.
- Evidence scored. It flags what is present and what is missing, with a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a delivery, a message or a policy your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, and it cannot recover costs outside the dispute. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What dated plan will cut the cost of a chargeback?
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Pull your last three lost chargebacks | List made |
| Day 1 | Fill the calculator with real numbers | Three totals |
| Day 2 | Find the largest line | Line named |
| Day 3 | Pick one lever from the table | Lever chosen |
| Day 7 | Make the change | Done |
| Day 30 | Count new disputes of that reason | Number noted |
| Day 60 | Recompute the average cost | Compared |
| Day 90 | Decide whether to keep the lever | Decision logged |
What is different about the cost of a chargeback in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | Fixed per chargeback, returned only on a win | Cost cases in your payout currency |
| Response window | Typically 7 to 21 days | Plan for the shortest |
| Review | Up to 75 days | Plan cash for the long end |
| Shipping | Parcels cross large distances; rural delivery costs more | See the rural delivery guide |
| Cross-border | US buyers may use cards issued there | See the cross-border guide |
| Duties and brokerage | Customers dispute surprise fees | See the duties guide |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days and decides in writing within 45 days | Raise a complaint with your processor first |
| Oversight | The Financial Consumer Agency of Canada supervises the Code of Conduct but does not decide individual disputes | A complaint does not move a due date |
| Shopify Protect | US stores only | It does not cover Canadian stores |
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days, per its complaint handling terms. A complaint does not change a due date.
What are the 10 mistakes to avoid when working out the cost of a chargeback?
- Counting only the fee. The order and your costs come first.
- Ignoring ad spend. It is often the second largest line.
- Forgetting your time. Thirty to sixty minutes a case adds up.
- Using a rough guess. Use real invoices.
- Treating a win as free. The time is still spent.
- Treating accepting as free. The fee stays gone.
- Skipping small orders. The fee weighs most on them.
- Not tracking the rate. Wins still count in monitoring.
- Buying a tool without a break-even. Compare cost per case.
- Never updating the numbers. Redo them each quarter.
Frequently asked questions
What is the cost of a chargeback in Canada?
The visible cost is the disputed amount plus the Shopify fee, both taken from your next payout. The fee returns only on a win. The hidden cost includes product, shipping, payment processing, ad spend and your time, so a lost C$120 order can cost C$200 or more once you count them.
Does Shopify charge a fee for a chargeback in Canada?
Yes. Shopify takes a chargeback fee of C$15 or US$15, matching your payout currency, together with the disputed amount when a chargeback opens. An inquiry takes neither at the start. The fee is returned only if you win the chargeback, and it stays gone if you lose or accept.
How do I calculate the cost of a chargeback for my store?
Add the order amount, the Shopify fee, your product cost, outbound shipping, payment processing, the ad spend per order and the value of your time. Use real invoices for each line. Then compare the total with what you would hold if you had won, so you can decide whether to fight, accept or prevent.
Is the cost of a chargeback lower if I accept it?
Accepting saves your time but not the fee, because the fee is returned only on a win. If your evidence is thin, accepting can cost less than a fight you will lose. If you hold direct proof such as a delivery record, fighting usually wins back the amount and the fee.
How long does the cost of a chargeback tie up my money?
Shopify says a chargeback review takes up to 75 days, and the amount and fee are taken from your next available payout at the start. On a win they return. On a loss they do not. Plan your cash for the long end of the range, not the average.
Does the cost of a chargeback reach beyond the money?
They can. Shopify says disputes count toward the rate it monitors, that winning does not remove a chargeback from the rate, and that a rate of 1.5% or higher over 90 days can lead to enrolment in its network dispute resolution program with a 10% payout reserve.
Is the cost of a chargeback higher on small or large orders?
A large one costs more in dollars, but a small one costs more in proportion. The C$15 fee is half of a C$30 order and about 3% of a C$500 order. Hidden costs such as time are the same on both, so small disputes are rarely too small to matter.
How do I reduce the cost of chargebacks over a year?
Cut the number of disputes and the loss rate on those that happen. Clear order and shipping emails, delivery proof, a recognizable billing descriptor and early refunds when fair all reduce volume. A well built evidence file reduces the loss rate. Start with whichever reason shows up most in your records.
Is there a cost of a chargeback that I have won?
It costs your time, which we value at 30 to 60 minutes a case in our examples. The order amount and the fee return on a win, so the money cost is small. The rate effect remains, because Shopify says wins still count in its monitoring rate.
How does ChargeFix help with the cost of a chargeback?
ChargeFix fetches the dispute, reads your order and tracking data, scores the evidence and drafts the letter from verified facts, so you fight cases you can win and cut the time per case. It cannot promise a win or recover costs outside the dispute. In Manual mode, the default, you review and file each response.
