A Barrie pet supply store wins a C$140 chargeback. The email says so, the admin says so, and the owner is pleased. Then the payout arrives and the maths feels off. The C$140 is back. The C$15 is not obviously back. Was it returned, is it coming, or was it never part of the deal? The Shopify chargeback fee refund is the part of a win that most owners never check, because the headline number is the order amount. This guide covers what Shopify says about the chargeback fee refund, where its pages agree and where they stop, how to trace the money line by line, what to do when it looks short and how the fee changes the decision to fight in the first place.
Quick answer: On a chargeback, Shopify takes the disputed amount plus a C$15 or US$15 fee from your next available payout. The fee comes back only if you win the chargeback. If you accept it or lose, the fee stays gone. An inquiry takes no fee up front. Shopify's own pages say the fee may be refunded depending on country or region and do not name Canada in one place, so check your balance and write to Shopify Support if a win looks short.
This guide is for you if:
- You sell on Shopify in Canada with Shopify Payments and have won, or expect to win, a chargeback.
- You want to know whether the C$15 fee returns, and how to check.
- You are weighing whether a small dispute is worth fighting once the fee is counted.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, listed at the end. Suggestions that are ours are marked as ours. This guide is general information and not legal advice, and where a source does not say, this guide says so rather than guess.
TL;DR
- A chargeback takes the order amount and the fee at once, from the next available payout.
- The fee is C$15 or US$15, and it is returned only on a win.
- Accepting a chargeback or losing means the fee is not returned.
- An inquiry costs nothing until it escalates.
- Check the win in your records, line by line, and write to Support if the fee is missing.
Do this today
- List every chargeback you won in the last 90 days.
- For each, find the amount and the fee in your payout records.
- Mark any win where the fee is not visibly back.
- Send one message to Shopify Support covering those cases.
- Start counting the fee in your fight-or-accept maths.
The Shopify chargeback fee refund process in one table
| Step | What happens | Who acts |
|---|---|---|
| 1. Dispute opens as a chargeback | The bank takes the amount; Shopify takes the fee | Bank, Shopify |
| 2. You file evidence | Before the due date, typically 7 to 21 days | You |
| 3. Review | Up to 75 days for a chargeback | Card network and bank |
| 4. Decision | Won or lost; final, no appeals | Card network and bank |
| 5. If won | The amount returns, and the fee returns | Shopify |
| 6. If lost or accepted | Neither returns | Nobody |
| 7. Your check | Trace both lines in your payout records | You |
What is the Shopify chargeback fee refund based on: the fee, and when is it taken?
The fee is taken at the same moment as the disputed amount. Shopify says a chargeback withdraws the amount and the fee immediately from your next available payout, and a chargeback is a different event from an inquiry, which takes nothing up front.
| Item | Chargeback | Inquiry |
|---|---|---|
| Disputed amount taken | Yes, right away | No |
| Fee taken | Yes, right away | No |
| Fee amount | C$15 or US$15 | None up front |
| Can escalate | Already escalated | Yes, to a chargeback |
The two amounts leave together, so a C$140 order costs C$155 out of your balance on day zero. Our fee guide covers the amount itself, and this guide covers the return.
Does the Shopify chargeback fee refund come back in Canadian or US dollars?
Shopify states the fee as C$15 or US$15, matching your payout currency. A Canadian store paid out in CAD sees C$15. A store paid out in USD sees US$15. Check the currency on your payout before you do any maths, because comparing a C$ order to a US$ fee leads to small errors that add up over a year.
When does a Shopify chargeback fee refund happen?
Only when you win the chargeback. On a win, the amount and the chargeback fee refund both land with you. If you lose, or you accept the chargeback, the fee is not returned. That rule appears on Shopify's chargeback process page, and it is the one a Canadian store should plan around.
| Outcome | Amount returned | Fee returned |
|---|---|---|
| You win | Yes | Yes |
| You lose | No | No |
| You accept the chargeback | No | No |
| Customer withdraws, bank reverses | Yes, once the bank processes it | Check the outcome; Shopify does not say |
| You win, customer disputes again | A new dispute, a new deadline | Each case follows its own outcome |
What does Shopify say about the chargeback fee refund on its other pages?
Shopify's "Chargebacks and inquiries" page says Shopify might return the fee, with the answer varying by country or region. It does not name Canada. The chargeback process page, which we read for earlier posts, sets out the win rule more plainly. We cannot reconcile the two beyond saying that the wording differs, so the safe approach is to treat the win rule as the plan and to verify each win in your own records.
How to hold two Shopify statements at once (adapt to your case)
Page A says: the fee is returned if you win.
Page B says: the fee might come back, varying by place,
and does not name Canada.
Working rule: expect the fee back on a win, then confirm it in your
payout records for each case. Write to Support if it is missing.
How do you trace a Shopify chargeback fee refund?
Trace a chargeback fee refund the way a bookkeeper would: find the debit, find the credit, compare. You need two things for each case, the day the amount and fee left and the day they came back.
Trace sheet (adapt to your case)
Case: order #[number], dispute [number]
Amount disputed: C$[amount]
Fee: C$15 (or US$15)
Debit found: [date], total C$[amount + 15]
Outcome: [won / lost / accepted] on [date]
Credit found: [date], amount C$[amount], fee C$[15]
Difference: debits minus credits = C$[0 if fully returned]
| Result | Reading | Next step |
|---|---|---|
| Difference is zero | Fully returned | Record it as won |
| Difference is C$15 | Amount back, fee not visible | Check again after the next payout, then write to Support |
| Difference is the amount plus C$15 | Nothing returned yet | Check the status and the date of the decision |
| Difference is more than C$15 | Something else is in the payout | Look for other debits, such as another dispute |
Shopify's pages do not say how many days after a decision the money returns, so we will not give a number. What we can say is that Shopify describes the chargeback as deducted from your next available payout, which means returns also flow through payouts, and a payout can lump several items together. Look at the payout detail, not only the total.
Where do you look for the chargeback fee refund in your records?
Look at the payout and transaction records in your Shopify admin for the dates around the decision. If you use a bookkeeping tool that imports payouts, search by the dispute number or the order number. If the line is not there, the fee has not shown up.
What is a worked Shopify chargeback fee refund example in C$?
Take three Ontario orders. The figures are invented to show the method.
| Case | Order | Fee | Out on day 0 | Outcome | Back to you |
|---|---|---|---|---|---|
| A, pet supplies | C$140.00 | C$15.00 | C$155.00 | Won | C$155.00 |
| B, candles | C$85.00 | C$15.00 | C$100.00 | Lost | C$0.00 |
| C, headphones | C$220.00 | C$15.00 | C$235.00 | Accepted | C$0.00 |
Month result (illustrative)
Out on day 0 = 155 + 100 + 235 = C$490.00
Back to you = 155 + 0 + 0 = C$155.00
Net cost = 490 - 155 = C$335.00
Of which fees = 15 + 15 + 15 = C$45.00 (only case A returns its fee)
Fee actually kept by the process = 30.00
Case A is the whole point of the Shopify chargeback fee refund. Winning returned C$155, not C$140. If the C$15 does not appear, the win is C$15 short, and over a year with a few wins the shortfall is real money.
Should the chargeback fee refund change whether you fight?
Yes, because the fee is a cost on every loss and a return on every win. Count it in both columns.
Fight or accept (illustrative figures)
Order = o, fee = f = 15, chance of winning = c (your own estimate)
If you fight:
Expected position = c x (o + f) + (1 - c) x 0
If you accept:
Position = 0
Break-even c is any c above zero, but your time has a cost:
Fight if c x (o + 15) > value of your time
Example: o = 60, time = 30 minutes at C$40/hour = C$20
c x 75 > 20 -> c > 0.27
| Order value | Total at stake (with fee) | Win chance needed to cover 30 minutes at C$40/hour |
|---|---|---|
| C$30 | C$45 | Above 44% |
| C$60 | C$75 | Above 27% |
| C$120 | C$135 | Above 15% |
| C$250 | C$265 | Above 8% |
The win chance is your own estimate, and we found no published Canadian win rates. The table shows a pattern: the fee makes small orders look better to fight than the order value alone suggests, because a win returns the fee too. Use the table as a guide, and swap in your own hourly value and your own win estimate.
What if you win and the chargeback fee refund is missing?
For a missing chargeback fee refund, write to Shopify Support once, with the case numbers and your trace. Shopify tells merchants to contact Support if a status looks wrong after the due date. A missing fee on a win is a similar matter, though we found no page that names it, so frame it as a question.
Message to Shopify Support (adapt to your case)
Subject: Chargeback fee after a win, dispute [number], order #[number]
Dispute [number] on order #[number] (C$[amount]) was won on [date].
Our payout records show the disputed amount of C$[amount] returned on
[date], but we cannot find the return of the C$15 chargeback fee
charged on [date].
Could you confirm whether the fee was returned, and if so on which
payout? Our trace is attached.
| Do | Do not |
|---|---|
| Send one message listing every affected case | Send one message per case |
| Quote the dispute and order numbers | Write "my fee is missing" with no case |
| Attach the trace | Ask Support to find it for you |
| Keep your tone factual | Accuse anyone |
Is there a chargeback fee refund question on an inquiry?
No fee is taken up front on an inquiry. Per Shopify, an inquiry withdraws neither the amount nor a fee at the start. If an inquiry escalates into a chargeback, the amount and the fee are taken at that point. A full refund ends an inquiry, and our inquiry versus chargeback guide shows how to decide.
| Stage | Money moves? |
|---|---|
| Inquiry opens | No |
| Inquiry escalates | Yes: amount and fee |
| Full refund during an inquiry | The inquiry ends; you refund the customer |
| Chargeback open | A refund is not possible |
Is a chargeback fee refund possible under the network dispute resolution program?
Shopify also has a program that resolves some disputes automatically, before they become formal chargebacks. Shopify's chargebacks page says these disputes are resolved with funds reimbursed to the customer and no evidence window. Shopify calls it the Network Dispute Resolution Program and says the outcome is final, with no option to contest. A fee applies to each case, and for Canada Shopify's page lists C$15 or US$15, following the payout currency of the order. Because there is no evidence submission, there is no win to earn a fee back, and the page we read describes no return of the fee. Treat that fee as a cost and check the order details page, where Shopify says it appears. Our program guide covers it in full.
| Path | Evidence window | Fee back? |
|---|---|---|
| Standard chargeback | Yes, typically 7 to 21 days | On a win |
| Automatically resolved dispute | No | We found nothing saying so |
If an automatically resolved dispute shows up in your records, treat it as closed. There is no response to file and no decision to wait for, so the useful work is upstream: find the cause and prevent the next one. Shopify says a 90 day rate of 1.5% or higher can lead to enrolment in the program with a 10% payout reserve, which is another reason to keep your dispute count low.
What happens to the chargeback fee refund when a customer withdraws?
Whether a chargeback fee refund follows a withdrawal is a gap in Shopify's pages. If a customer asks the bank to cancel a chargeback and the bank reverses it, the amount comes back after the bank processes the withdrawal. Shopify does not say whether the fee comes back in that case. Check the outcome in your records after the refund lands, and include the case in your Support message if the fee is missing. Our withdrawal letter guide covers the timeline and the document you need.
How do you keep a Shopify chargeback fee refund ledger?
A running ledger turns a vague hope into a number. One row per dispute is enough, and ten minutes a month keeps it current. Each row should show what left, what returned and what is still outstanding.
| Column | What goes in it |
|---|---|
| Dispute and order | The two numbers, so Support can find it |
| Opened | The day the amount and fee left |
| Out | Amount plus C$15 |
| Decision | Won, lost or accepted, with the date |
| Back | What actually returned |
| Gap | Out minus back, for wins only |
| Chased | The date you wrote to Support, if you did |
Monthly ledger check (adapt to your case)
For each row marked Won:
Gap = Out - Back
If Gap = 0 -> done
If Gap = 15 -> wait one payout, then add to the Support list
If Gap = Out -> check the decision date; the return may be pending
If Gap is any other -> look for other debits in the same payout
At month end: send one Support message for all rows still showing a gap.
| Month | Wins | Gap rows | Total gap |
|---|---|---|---|
| Example, March | 4 | 1 | C$15.00 |
| Example, April | 2 | 0 | C$0.00 |
| Example, May | 5 | 2 | C$30.00 |
The figures in the table are invented to show the layout. The habit is the point: a gap of C$15 is easy to miss in one month and easy to find in a ledger.
Why is a Shopify chargeback fee refund so easy to miss?
Three reasons recur. The return arrives inside a payout that also holds ordinary sales, so it hides in a total. The amount and the fee may return on different days. And owners check the order amount, because that is the number in the dispute email, and never look at the fee line. A ledger solves all three.
How do you record a Shopify chargeback fee refund in your books?
Ask your accountant, because treatment depends on your setup and this guide is not tax advice. Our own suggestion for tracking is simple: record the fee as a cost when it is charged, and record the return as a credit when it lands, so that a win nets to zero and a loss leaves the fee as a cost.
| Event | Suggested entry |
|---|---|
| Chargeback opens | Held amount and fee recorded separately from sales |
| Win | Release the held amount; credit the returned fee |
| Loss | Write off the held amount; keep the fee as a cost |
| Accept | Same as a loss |
We did not find a CRA page that addresses chargeback fees or reversals specifically, so this layout is a bookkeeping habit and not a tax ruling.
How does the chargeback fee refund affect your cash while you wait?
On day zero, the amount and the fee leave. If the review runs up to 75 days, they stay out that long. Count the fee in the cash you set aside, because it does not come back until the decision, and only then on a win.
Cash held by fees alone (illustrative figures)
Open chargebacks = 6
Fee each = C$15
Fees held = 6 x 15 = C$90
If the average order is C$130:
Orders held = 6 x 130 = C$780
Total held = 780 + 90 = C$870
| Open chargebacks | Fees held | Orders held at C$130 | Total held |
|---|---|---|---|
| 2 | C$30 | C$260 | C$290 |
| 4 | C$60 | C$520 | C$580 |
| 6 | C$90 | C$780 | C$870 |
| 10 | C$150 | C$1,300 | C$1,450 |
Fees are a small slice of the total, but they are the only slice that stays gone on a loss when the order itself is a lost sale. Our negative balance guide covers what happens if the held total exceeds your balance.
What can you do to lose fewer fees?
You cannot get a fee back on a loss, so the lever is the number of losses. Three habits help most.
| Habit | Why it protects the fee |
|---|---|
| File evidence on every case worth fighting | A win returns the fee |
| Refund an inquiry you do not want to fight | A full refund closes it, so no fee is taken |
| Fix the cause of repeat reasons | Fewer disputes means fewer fees |
Our evidence template guide shows how to build a file quickly, and our order confirmation guide covers the cheapest ways to prevent disputes.
How should you explain a Shopify chargeback fee refund to your team or your accountant?
Keep the explanation short and factual, because most of the confusion comes from mixing three different events. A chargeback takes two amounts. A win returns both. A loss or an accepted chargeback returns neither. Put those three sentences at the top of your month end notes and the rest follows.
| Question from your accountant | Plain answer |
|---|---|
| Why is there a C$15 debit? | Shopify's chargeback fee, taken when the chargeback opened |
| Why did it come back? | The chargeback was won |
| Why did it not come back? | It was lost or accepted, or the return is still pending |
| Is it part of sales? | No, it is a cost that is credited back on a win |
Add the dispute number to every line so anyone can match a debit to a credit months later.
How does ChargeFix help with a Shopify chargeback fee refund?
ChargeFix cannot move Shopify's money, and it cannot change who gets a chargeback fee refund. What it does is reduce the chance that the fee is spent on a case you could have won.
- Dispute fetched. ChargeFix fetches the chargeback when it opens, so the amount, fee and due date are on one list.
- Records read. It reads the order, tracking, refund and message data.
- Evidence scored. It flags what is present and what is missing, with a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so a win does not rest on claims your records cannot back.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for the Shopify chargeback fee refund look like?
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Chargeback opens; note the amount, fee and due date | Written down |
| Day 1 to 3 | Build the evidence file | Files collected |
| Day 4 | Check file sizes | Within limits |
| Day 5 | File | Confirmation in admin |
| Up to day 75 | Wait for the decision | Decision received |
| Decision day | Log the outcome | Logged |
| Decision day plus the next payout | Trace the amount and the fee | Both lines found |
| If missing | Write to Support with the trace | Message sent |
| Month end | Reconcile all wins and fees | Tracker updated |
Our deadline guide covers the first days, and our decision time guide covers the wait.
What is different about the Shopify chargeback fee refund in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 | Check your payout currency |
| Return | On a win, per the chargeback process page | Verify each win in your records |
| Wording | Another page says the return may vary by place | Do not rely on one sentence |
| Response window | Typically 7 to 21 days | Plan for the shortest |
| Review | Up to 75 days | Plan cash for the long end |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
| Oversight | The Financial Consumer Agency of Canada supervises the Code of Conduct but does not decide individual disputes | A complaint does not move a due date |
| Shopify Protect | US stores only | It does not cover Canadian stores |
Two currencies. Many Canadian stores sell in CAD and USD. If your payout is in CAD, the fee shows in dollars, and a sale in another currency is converted. Match the currency on both lines before you compare them.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. A complaint about a fee does not change a due date or a decision.
What are the 10 mistakes to avoid when a chargeback fee refund is due?
- Ignoring the fee in your maths. It is a cost on every loss.
- Assuming it always comes back. It comes back on a win only.
- Accepting a chargeback and expecting the fee back. Accepting means it stays gone.
- Checking only the total payout. Look at the detail lines.
- Mixing C$ and US$. Match the currencies.
- Waiting a year to reconcile. Check wins within one month.
- Sending Support five messages. Send one with all cases.
- Refunding an open chargeback. Shopify does not allow it.
- Treating the fee as lost forever. On a win, it should return.
- Not logging outcomes. You need them for the next decision.
Frequently asked questions
Is the Shopify chargeback fee refund automatic if I win?
Yes, on a win Shopify returns the disputed amount and the chargeback fee, according to its chargeback process page. Another Shopify page says the return may vary by place. Because the wording differs, trace each win in your payout records and write to Support if the fee is missing.
How much is the Shopify chargeback fee, and what is its refund?
Shopify states the fee as C$15 or US$15, which follows your payout currency. It is taken together with the disputed amount from your next available payout when a chargeback opens. An inquiry takes no fee up front, and a fee is taken only if the inquiry escalates to a chargeback.
Do I get a chargeback fee refund if I lose a chargeback?
No. The fee is returned only on a win. If you lose, or you accept the chargeback, the amount and the fee both stay gone. That is why the fee belongs in your fight-or-accept maths, as a cost on every loss and a return on every win.
Is the fee charged on an inquiry?
No. Per Shopify, an inquiry withdraws neither the amount nor a fee at the start. If the inquiry escalates into a chargeback, both are taken then. A full refund ends an inquiry, so you may avoid the fee by refunding an inquiry you do not want to fight.
How long does a Shopify chargeback fee refund take?
Shopify does not give a number of days for returns, and we will not guess. A chargeback is deducted from your next available payout, and returns appear in payouts too. Check the payout detail after the decision, give it one more payout cycle, and only then write to Support, with the dispute number and your trace attached.
What if I win but the chargeback fee refund is missing?
Trace both lines, the debit on the day the dispute opened and the credit after the decision. If the amount is back and the C$15 is not, write one message to Shopify Support with the dispute numbers, order numbers and your trace, and ask whether the fee was returned and on which payout.
Does a customer withdrawing a dispute return the fee?
Shopify's pages do not say. If the customer asks the bank to cancel and the bank reverses the chargeback, the amount comes back once the bank processes it, which Shopify gives as 5 to 10 business days after resolution. Check your records for the fee and include it in a Support message if it is missing.
Is the chargeback fee refund worth chasing on a small order?
Often yes, because a win returns the fee as well as the order. On a C$60 order, a 30 minute effort valued at C$40 an hour breaks even at about a 27% win chance. These are our illustrative figures, and we found no published Canadian win rates, so use your own estimate.
Does a chargeback fee refund change my chargeback rate?
The fee itself does not, but the dispute does. Shopify's chargeback monitoring page says winning a chargeback does not remove it from your rate, so a dispute you win still counts. That is why prevention matters even for cases you fight successfully.
How does ChargeFix help with a Shopify chargeback fee refund?
ChargeFix cannot move Shopify's money, but it fetches the dispute, reads your order and tracking data, scores the evidence and drafts the letter from verified facts, so you fight cases you can win and see the fee in your maths. In Manual mode, the default, you review and file each response.
