A jeweller in Halifax sells a C$480.00 necklace and ships it with signature required. Six days later the customer tells her bank the parcel never arrived. The jeweller is sure it was signed for, but she cannot say by whom, when or where the proof lives. That gap is the whole story of a signature required chargeback: the strongest evidence in shipping exists, and most merchants have never opened it. This guide shows how signature proof works at Canada Post, what Shopify asks for and how to answer.
Quick answer: A signature required chargeback is a dispute on an order you shipped with a signature option, usually a claim that the parcel was never received. Your best proof is the carrier's confirmation PDF showing who signed and when. Canada Post keeps it online for 45 days after delivery, so download it early. Shopify wants tracking, proof of delivery and your messages to the customer. A signature on file does not win every case, but it moves the case in your favour.
This guide is for you if:
- You ship Shopify orders from Canada with a signature option, or you are thinking of adding one.
- A customer has disputed a signed for parcel, or says nobody signed.
- You want to know when signature is worth the cost and how to keep the proof.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, and the carrier details come from Canada Post's own pages, all listed at the end. Where a page does not say, this guide says so rather than guess.
TL;DR
- A signature records a personal hand off, with a name and a signature, which is the strongest delivery proof a carrier offers.
- Download the confirmation within 45 days of delivery. It is a PDF, and it goes offline after that.
- The shipper must choose the signature option when shipping. It is not added later.
- If nobody answered, a Delivery Notice Card sends the customer to the post office with photo ID, and the parcel is held 15 calendar days.
- Keep your own messages too. A signature proves delivery, not what the customer was promised.
Do this today
- Find your last 10 signature required orders and check you have the confirmation PDF for each.
- Download any confirmation that is within 45 days of delivery and not yet saved.
- Add the signer name and delivery date to each order's notes.
- Write a short rule for which orders get signature, by order value.
- Add a line to your shipping policy about signature and the Delivery Notice Card.
Signature required chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is 7 to 21 days with no extensions |
| 2. Find the confirmation | Canada Post Track, delivery details | It shows who signed and when |
| 3. Match the address | Compare to the order | A signature at the wrong address helps no one |
| 4. Find your messages | Order confirmation, shipping email | Context for the customer's claim |
| 5. Contact the customer | Ask who received it | Many cases end with a withdrawal |
| 6. Decide | Fight or concede | Refunds are not possible once a chargeback begins |
| 7. Build and file | Strongest proof first | The fee is not returned if you miss it |
What is a signature required chargeback?
Every signature required chargeback starts with an order you shipped with a signature option. The customer tells their bank that the parcel did not arrive, or that nobody in the household signed, or that the signature is not theirs. The signature option does not stop a dispute. It changes the evidence you can bring.
| What the customer says | What the signature file can show | Gap to watch |
|---|---|---|
| "It never arrived" | Name, signature and date of delivery | Signer may not be the customer |
| "I did not sign for that" | The signature as recorded | Handwriting is easy to dispute |
| "It was left at the door" | Whether signature was obtained | A no signature item can be safe dropped |
| "It went to the wrong address" | Delivery address and date | Address on file must match the order |
In a signature required chargeback, the reviewer looks at one thing first: is there direct proof that the parcel reached the address on the order? A signature gives you that. The rest of your file explains the sale and the signature required order.
How does Canada Post signature proof work?
Canada Post's signature option gives proof of a personal hand off. Canada Post records the receiver's printed name and written signature. The shipper must select the option at the time of shipping, so you cannot add it after the parcel has left.
According to Canada Post's page on signature and identity services, there is no charge for the signature option on Priority and Xpresspost Certified, and it is required for Additional Liability Coverage. If the receiver refuses to sign, the item is marked "SIGNATURE REFUSED". Signature items are not delivered to children.
| Detail | What Canada Post says |
|---|---|
| Who chooses it | The shipper, at the time of shipping |
| What is recorded | Name and signature of the person receiving the item |
| If the receiver refuses | Marked "SIGNATURE REFUSED" |
| If nobody answers | A Delivery Notice Card is left |
| Pickup of a held item | Photo ID that matches the address |
| Hard copy of signature | Available, cost not stated |
Canada Post's page does not list the signature default for every service, so check the options in your own shipping account before you assume a service includes signature.
Where do you find the proof for a signature required chargeback?
Canada Post keeps the record online for 45 days after your package is delivered. To get it, open Track, enter the tracking number, open the delivery details and follow the confirmation link. You enter the destination postal code and complete a verification step. The result is a PDF.
Where a signature was taken but the file is missing from Track, Canada Post's page says to contact them for access.
Signature proof checklist (one per signature required order)
Order #: ________ Tracking number: ______________________
Delivered date: ____________ Signer name on record: ____________
Delivery address matches order? [ ] yes [ ] no
Confirmation PDF saved? [ ] yes File name: ______________
Saved within 45 days of delivery? [ ] yes [ ] no
The 45 days matters more than anything else on this page. A merchant who learns about it on day 50 has lost the file. Download the confirmation when the parcel is delivered, not when the dispute arrives. For more on the record itself, see our guide to Canada Post proof of delivery.
What does Shopify say to submit for a signature required chargeback?
Shopify has no page for signatures, so the guidance comes from the reason on the dispute. For product not received, Shopify lists shipping and tracking, proof of delivery and any communication with the customer. Shopify suggests an evidence order: direct proof, then acknowledgment, then policy, then context.
| Order | Evidence | Signature example |
|---|---|---|
| Direct proof | Delivery confirmation | Canada Post PDF with signer and date |
| Acknowledgment | The customer's own words | A message saying they got it, or the signer is their partner |
| Policy | Shipping policy | A line saying orders over C$150.00 need signature |
| Context | Order timeline | Confirmation email, shipping email, tracking page |
Files must be PDF, JPEG or PNG, up to 2 MB each and 4 MB combined, with one file per evidence type and no links. A link to the tracking page proves nothing. Save the confirmation as a PDF. Shopify sends saved data automatically on the due date, so file before then.
When is a signature required chargeback risk worth paying to prevent?
Signature costs money or slows delivery, and it raises the chance a parcel is held at a post office when nobody is home. The question is whether the dispute risk justifies it.
| Order value | Common approach | Why |
|---|---|---|
| Under C$75.00 | No signature | Cost and friction outweigh the risk |
| C$75.00 to C$200.00 | Signature on repeat risk, such as new customers | Balanced |
| Over C$200.00 | Signature required | One lost case costs more than the option |
| Jewellery, electronics | Signature required | High value, easy to resell |
Work out your own line with a rough sum. If signature adds C$3.00 a parcel and your dispute rate on unsigned parcels of that value is 1%, the break even loss per dispute is C$300.00. Your numbers will differ. We found no Canadian win rate for signature disputes, so use your own history.
Signature worth-it sum
Extra cost per parcel = s = C$3.00
Dispute rate without signature = d = 0.01
Cost of one lost dispute = L = order value + C$15.00 fee
Signature pays when: s < d x L
Example (order C$480.00): d x L = 0.01 x 495 = C$4.95 > C$3.00, so use signature
Example (order C$60.00): d x L = 0.01 x 75 = C$0.75 < C$3.00, so skip it
This ignores the customer who abandons checkout when told someone must be home. If your sales drop, count that too.
What if nobody answered the door on a signature required order?
When nobody answers a signature item, a Delivery Notice Card is left. Canada Post's delivery options page says the card shows the item is available for pickup at a nearby post office. It is held for 15 calendar days and then returned to sender, and a Final Notice Card is sent after 5 calendar days if the item has not been collected. To pick it up, the addressee brings the card and government issued photo ID.
For your dispute, this changes the story. The customer says nothing arrived. Your tracking says a card was left and the parcel waited at the post office. That is not a non delivery. It is a collection the customer did not make.
| Tracking event | What it means for you |
|---|---|
| Delivered, signed | Direct proof, strongest evidence |
| Notice card left | Customer was told to collect, evidence of attempt |
| Final notice | A second reminder, also evidence |
| Returned to sender | Parcel back in your hands; refund or reship |
| Signature refused | Customer declined; evidence for you, but check the story |
If the parcel came back to you, do not file the signature required chargeback as if it was delivered. Refund or reship, and tell the customer. If the customer then disputes, you hold a returned parcel record and a refund, which is a different case.
How do signature required orders differ from orders with no signature?
Many of your orders will ship without signature, and the rules differ. Per Canada Post, an item without signature may be delivered to the door, and if nobody is available and the item is too large for the receptacle it may be safe dropped or a card left. Safe drop is at Canada Post's discretion.
Because safe drop is discretionary, a no signature parcel can be left where the customer does not expect it. That is the main reason high value orders deserve a signature. For items under your threshold, accept the risk and keep your tracking and messages.
If you use Canada Post's flexible delivery options, such as Leave at Door, a photo is taken when the item is safe dropped and the addressee can view it in their Canada Post account. We do not know whether the shipper can access that photo, so check your service's options before you rely on it.
How do you answer "I did not sign" in a signature required chargeback?
This claim is common. The signer may be a partner, a neighbour, a concierge or a courier who misread the form. Your job is to show the parcel reached the address, not to prove the customer personally signed.
- Open the confirmation and read the signer name.
- Compare the delivery address to the order's shipping address.
- Ask the customer who lives at the address and whether someone else may have signed.
- For a condominium, note that the building's concierge or security may sign under the building's agreement.
- Save the customer's reply.
Canada Post's page on condominiums says a security guard or concierge may sign for the resident under the condominium agreement and a Letter of Authorization. If your customer lives in a building like that, the signature may not be theirs and still be valid.
Message to a customer who says they did not sign
Subject: Your order #[number]
Hi [first name],
Canada Post's record shows your parcel was delivered on [date] to
[address on record] and signed for by [name on record]. Do you know
this person, or does your building have a concierge or front desk
that accepts parcels?
If the parcel is missing, please reply today. I will help you trace
it with Canada Post. Your statement shows this charge as
[statement name], and my number is [phone number].
[Name], [store]
The reply may end the case. A partner says "oh yes, my husband signed", or a concierge confirms they have it. Either one is acknowledgment you can file.
Is it worth fighting? A worked example in C$
Take the Halifax necklace. It cost C$480.00. Canada Post's confirmation shows delivery on 14 October to the address on the order, signed by someone named "J. Roy". The customer says she never signed.
Case A: signed confirmation on file, address matches
Disputed amount = A = C$480.00
Fee = F = C$15.00 (returned only on a win)
Time to respond = T = 1 hour, call it C$30
Chance of winning = c = 0.60 (signature and address match)
Concede: loss = A + F = C$495.00
Fight: (1 minus c) x (A + F) + T = 0.40 x 495 + 30 = 198 + 30 = C$228.00
228.00 < 495.00, so fight.
Now the same order, but you did not save the confirmation and it is now day 52.
Case B: no confirmation saved, 45 days passed
Chance of winning = c = 0.15 (tracking only, no signature file)
Concede: loss = A + F = C$495.00
Fight: 0.85 x 495 + 30 = 420.75 + 30 = C$450.75
450.75 < 495.00, so a fight is still cheaper on paper, but weak. Contact Canada Post now.
In case B, Canada Post's page points you to its contact channel when a signature exists but is not online. That may recover the proof. The numbers for c here are illustrative, not a Canadian statistic. We found no win rate for signature disputes.
How do you write the response to a signature required chargeback?
Lead with the signature and the date, then the rest.
Draft reply to a signature required chargeback (adapt to your case)
Order #[number], placed [date] for C$[amount].
Summary
The customer disputes non delivery. Canada Post's delivery confirmation
shows delivery on [date] to [address], signed for by [name]. The address
matches the shipping address on the order.
1. Delivery confirmation

2. Order and address
Order confirmation and shipping address (file 2).
3. Customer communication
[Date]: we asked who may have signed. [Date]: customer replied

4. Policy
Our shipping policy states that orders over C$[amount] need

Write only what the files show. If the signer name differs from the customer's, say so and explain what you asked them. An honest short letter beats a confident one with a gap.
Which signature required chargeback cases are worth fighting?
Not every signature required chargeback deserves the same effort. Sort the case first.
| Case | Likely strength | Move |
|---|---|---|
| Signed, address matches, customer admits someone lives there | Strong | Fight, lead with the confirmation |
| Signed, address matches, customer denies everything | Reasonable | Fight, add your message to the customer |
| Signed, address differs from the order | Weak | Check for a typo or a redirect before you file |
| Notice card left, parcel returned to you | Weak as delivery | Refund or reship, then answer with that record |
| No signature file, past 45 days | Weak | Contact Canada Post, then decide |
A signature required chargeback is strongest when the facts line up: address, date and signer all agree with the order. It is weakest when your only proof is a tracking status that says delivered with no name attached.
How do you handle a signature required chargeback on a gift?
Gifts add a wrinkle. The buyer paid, but the receiver signed. The buyer may truly know nothing about the delivery, and the receiver has no idea who paid.
- Check whether the order notes mark the item as a gift.
- Compare the billing and shipping names. They will differ.
- Contact the buyer first, since they hold the card.
- Ask the buyer to confirm with the receiver that the parcel arrived.
- Save any reply that confirms it.
In a gift signature required chargeback, the receiver's signature is real proof of delivery to the address the buyer chose. The buyer chose the address, so the address on the order is part of your evidence. Say this plainly in the letter.
How should you word signature required orders in your shipping policy?
A short, specific policy line helps both customers and reviewers. It also reduces signature required chargebacks, because customers who know a signature is needed plan to be home.
Shipping policy line for signature required orders
Orders over C$[amount] ship with signature required. Someone aged 18 or
over must sign. If nobody is home, Canada Post leaves a Delivery Notice
Card and holds the parcel at a nearby post office for 15 calendar days.
Take the card and a government issued photo ID to the counter. We cannot
reship a parcel that is returned to us until we hear from you.
Save this policy as a dated PDF each time you change it. If a customer disputes and says they were never told a signature was needed, the dated policy and the checkout screenshot answer that. Put the same line in the order confirmation, so it exists in an email the customer received.
What should you check on every signature required order before shipping?
A short check at the packing bench prevents most problems.
| Check | Why |
|---|---|
| Signature option selected on the label | It cannot be added later |
| Shipping address matches the order | A mismatch undermines the signature required proof |
| Apartment or unit number present | A missing unit causes failed delivery |
| Customer phone number on the label | Helps the carrier reach the receiver |
| Tracking number saved to the order | You need it to fetch the PDF |
A signature required order with a wrong unit number is the classic way to lose a good case. The signer is real, the delivery is real, and the address is wrong.
How does ChargeFix help with signature required chargebacks?
These disputes depend on documents your store and Canada Post already hold. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, the fulfillment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no delivery confirmation, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a signature the records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm, and its default rule covers product not received with delivery confirmed.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it cannot recover a confirmation that has gone offline. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a signature required chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Download the confirmation PDF. Match the address. | File saved and checked |
| Day 2 | Contact the customer: who may have signed? | Message sent and saved |
| Day 3 | Decide: fight or concede | Decision written down |
| Day 4 | Draft the response, strongest proof first | Every claim points to a file |
| Day 5 | Check file sizes and readability | Under 2 MB each, 4 MB total |
| Day 6 | File the response | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Record the cause for your signature rule |
If the customer accepts that someone signed for the parcel, ask them to request a withdrawal from their bank. The letter must be on bank letterhead, show the case number and confirm the charge and the cancellation. A statement screenshot is not enough, and withdrawals can take 30 to 90 days, so do not wait for one before you file.
How do you prepare before the next signature required chargeback?
The best time to build the file is at delivery. A small routine does it.
- Download the PDF on delivery day. Set a reminder, or use a weekly sweep of delivered signature required orders.
- Rename the file. Use the order number and the tracking number so you can find it.
- Note the signer on the order. A line in the order notes saves a lookup.
- Put the rule in your shipping policy. "Orders over C$200.00 ship with signature required. If no one is home, a notice card sends you to the post office, where photo ID is needed."
- Tell the customer at checkout. A customer who knows a signature is needed will plan to be home.
A sweep takes minutes each week. A missed file can cost a case worth hundreds.
What is different about signature required chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery confirmation | Online 45 days after delivery | Download early |
| Shopify Protect | US stores only, fraud and unrecognized reasons only | It does not cover non delivery |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Rural addresses. For rural delivery, a door attempt is made only if the door is within 500 m of the line of travel. Otherwise a card goes in the mail receptacle. A signature order to a rural address may therefore turn into a pickup, so warn rural customers.
Quebec. If you sell to Quebec customers, write the shipping email and the policy in a language they read. A notice a customer cannot read is weak evidence that they were told.
Proof of age. Canada Post offers Proof of Age for items for sale to people 18, 19 or 21 and over, for a fee, to Solutions for Small Business cardholders and commercial shippers using an approved electronic shipping system. The shipper must select the correct age. If you sell age restricted goods, this is a separate option from ordinary signature.
Consumer law. Consumer protection law differs by province. The sources we used set no Canadian rule on proof of delivery for online orders, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with a signature required chargeback?
- Forgetting the 45 days. The confirmation goes offline. Download it at delivery.
- Assuming every service includes signature. Check the option on each label.
- Not matching the address. A signature at the wrong address proves little.
- Treating the signer as the customer. Ask who signed before you accuse.
- Ignoring the Delivery Notice Card. A card left is evidence of attempt.
- Filing as delivered when the parcel returned. Refund or reship instead.
- Skipping the customer message. Acknowledgment can end the case.
- Attaching links. Links are not allowed. Save pages as PDF.
- Refunding after the chargeback began. Shopify does not allow it.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What does a signature required chargeback prove?
It is a dispute on an order shipped with signature. Canada Post records who received the item, which is direct proof of delivery. It does not prove the customer personally signed, so match the address and ask who may have signed.
How long is Canada Post delivery confirmation available?
The record stays online for 45 days after your package is delivered. It is a PDF you open from Track using the tracking number and destination postal code. If the signature was taken but the file does not show, contact Canada Post and ask for access.
Can I add signature required after the parcel has shipped?
No. Canada Post's page says the shipper must select the signature option at the time of shipping, so it cannot be bolted on after the parcel leaves. Decide on your rule before you print the label, and check which options your service includes, because defaults differ by service and order value.
What does Shopify want for a non delivery dispute?
Shopify lists shipping and tracking, proof of delivery and your communication with the customer. Its suggested order is direct proof, then acknowledgment, policy and context. Save each item as a PDF, JPEG or PNG within the size limits, with no links.
What if nobody was home for a signature order?
Canada Post leaves a card that sends the addressee to a nearby post office. The item is held for 15 calendar days and then returned to sender. A Final Notice Card follows after 5 calendar days. Pickup needs the card and government issued photo ID.
What if the customer says they did not sign?
Check the signer name and delivery address on the confirmation, then ask the customer who lives there. A partner, neighbour or building concierge may have signed. Canada Post says a concierge may sign for a resident in a condominium under a Letter of Authorization.
Is signature required worth it on low value orders?
Usually not. Signature adds cost and can lead to held parcels. Compare the extra cost per parcel with your dispute rate times the loss from one lost case. High value items such as jewellery and electronics are where signature pays.
Can I refund after a chargeback has started?
No. Shopify says you cannot refund once a chargeback has begun. You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. After that, the route is a withdrawal letter from the customer's bank, which can take 30 to 90 days.
Are there Canadian rules on proof of delivery?
We found no source that sets a Canadian rule on proof of delivery for ordinary online orders, so we state none. Consumer protection law differs by province. Ask your provincial consumer office or a lawyer before you rely on absolute delivery terms in your policy.
How does ChargeFix help with signature required chargebacks?
ChargeFix reads the order, fulfillment, tracking and refund data, flags a missing delivery confirmation and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above. It cannot promise a win.
