A Kitchener store sells a C$1,150 three seat sofa. It ships in two boxes through a carrier, the buyer signs for the delivery without opening them and, a week later, writes that one leg is cracked and the fabric is marked. The store offers a replacement leg. The buyer wants the money back, and when the reply takes four days she calls her bank. Furniture chargebacks in Canada come with big numbers, bulky parcels and a long gap between "delivered" and "unboxed". That gap is where disputes grow. This guide shows what Shopify wants to see for large item orders, which Canada Post size limits and surcharges affect you, how to document delivery and damage, and how to decide whether to fight or settle.
Quick answer: Furniture chargebacks mostly arrive as product not received, product unacceptable (damaged or not as described) and credit not processed disputes. Shopify's lists ask for tracking and delivery confirmation, ideally signed or photographed, the listing at purchase, pre-shipment photos, customer messages and the return policy. For large items add the carrier's proof of delivery with any damage notes, photos of the packed goods and a written delivery inspection step. Settle genuine transit damage quickly and claim from the carrier, and keep your fights for cases where the paperwork is strong.
This guide is for you if:
- You sell sofas, tables, shelves, mattresses or other bulky goods on Shopify in Canada.
- You have been disputed over damage in transit, a late delivery or a made-to-order item.
- You want a delivery inspection routine, a damage process and a reply template for high value orders.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, the size, surcharge and claims details come from Canada Post's own pages and a customer notice, and statements about signature options come from a shipping plugin vendor's article that we label as such. Our sources do not cover freight carriers, so this guide gives no freight specific rules. Where a page does not say, this guide says so rather than guess.
TL;DR
- Canada Post calls an item oversize when a side passes 1 m or the second longest side passes 76 cm, and charges a surcharge.
- Parcel services cap at 2 m on a side, 3 m length plus girth and 30 kg, so many sofas need a different carrier.
- A Canada Post claim pays the lowest of three figures, and many services include only C$100, so insure large orders.
- Shopify recommends signature confirmation at delivery for high value orders.
- Settle real transit damage fast. Fight furniture chargebacks when the file is strong and the reason is delivery.
Do this today
- Write down which carrier and service each product size uses, and its size and weight limits.
- Add a delivery inspection step to your confirmation email and packing slip.
- Photograph packaging and goods before every large shipment.
- Check the insurance or declared value you buy on high value parcels.
- State lead times and your damage claim process on the product page.
Furniture chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is usually 7 to 21 days, with no extensions |
| 2. Sort by reason | Not received, damaged or described wrongly, refund | Each reason has a different lead file |
| 3. Pull delivery proof | Carrier proof of delivery, signature, notes | Direct proof comes first |
| 4. Pull condition proof | Packing photos, packaging, buyer photos | Shows state at shipping |
| 5. Check the claim route | Carrier claim or insurance | Recovers money if damage is real |
| 6. Decide | Fight, settle or concede | No refund is possible once a chargeback begins |
| 7. Build and file | Strongest proof first, labelled files | The fee is not returned if you miss the date |
Why are furniture chargebacks different?
Large items change the dispute in four ways. The value is high, so a lost case is costly. The goods are bulky, so shipping is harder and damage in transit is more likely. The buyer often cannot inspect the goods until days after delivery, and returns are expensive and awkward for both sides.
| Feature | Effect on disputes | What to do |
|---|---|---|
| High order value | One loss is expensive | Insure and require signature |
| Bulky goods | Damage and delay risk | Document packing, choose a suitable carrier |
| Late unboxing | Damage reported after the signature | Add a delivery inspection step |
| Expensive returns | Buyers resist paying return freight | State return costs before the sale |
| Made-to-order items | Long lead times, no resale | Set terms and dates in writing |
| Deliveries to condos and houses | Access and timing issues | Collect delivery notes at checkout |
The result is that furniture chargebacks are usually won on paperwork created at packing and delivery. A letter written weeks later cannot repair a missing photo, and most lost furniture chargebacks lacked one.
What are the usual reasons behind furniture chargebacks?
| Reason | What the buyer says | Typical cause |
|---|---|---|
| Product not received | "It never arrived" | Late freight, wrong address, parcel left outside |
| Product unacceptable | "It is damaged" or "not as described" | Transit damage, wrong colour, missing parts |
| Credit not processed | "I returned it and got no refund" | Return pickup not completed |
| Fraudulent | "I did not order this" | Stolen card, family member |
| Duplicate | "I was charged twice" | Deposit and balance mistaken for duplicates |
| Subscription canceled | Rare | Not usually relevant |
Shopify lists seven dispute reasons with their own evidence lists, and the first three above account for most of what furniture stores see.
Which Canada Post size limits and surcharges shape furniture chargebacks?
Canada Post's page on size and weight restrictions lists limits for parcels sent by Priority, Xpresspost, Expedited Parcel and Regular Parcel. Each side can be up to 2 m, length plus girth up to 3 m and weight up to 30 kg. An item is oversize if any dimension exceeds 1 m or the second longest side exceeds 76 cm, and oversize items attract a surcharge. Items beyond the maximums are out-of-spec, attract a larger surcharge and may be refused, returned or delivered at Canada Post's discretion with extra fees.
| Measure | Canada Post figure |
|---|---|
| Maximum side | 2 m (78.7 in) |
| Maximum length plus girth | 3 m (118 in) |
| Maximum weight | 30 kg (66 lb) |
| Oversize if any dimension exceeds | 1 m (39.4 in) |
| Oversize if second longest side is over | 76 cm (30 in) |
| Out-of-spec | Anything beyond the maximums |
A Canada Post customer notice posted on 2 September 2026 raises two surcharges during the peak period from 2 November 2026 to 10 January 2027. The oversize and unpackaged surcharge goes to C$30 from C$21, and the out-of-spec surcharge goes to C$400 from C$300. The notice also says that during the peak period late delivery claims on three domestic services need an arrival two or more business days after the delivery standard.
| Surcharge | Before peak | During peak |
|---|---|---|
| Oversize and unpackaged | C$21 | C$30 |
| Out-of-spec | C$300 | C$400 |
A flat packed bookshelf may fit the parcel rules, while a sofa usually does not. If you use other carriers, check their own size rules and proof of delivery practices, because our sources do not cover them.
What does Canada Post say about claims and cover?
For parcels that are lost or damaged, Canada Post's claims page sets the mechanics. Only the sender receives claim payment. Domestic claims must start within 90 days of shipping, once the item is past its expected delivery date. Many services include C$100 of base coverage, and compensation is the lowest of the item value, the insurance bought or the included coverage. A shipping plugin vendor's article adds that merchants can set an insured value when they create the label and that prohibited and restricted items are never insured.
| Question | Answer | Source |
|---|---|---|
| Who is paid on a claim? | The sender | Canada Post |
| How long to start a domestic claim? | Within 90 days of shipping | Canada Post |
| What is base coverage on many services? | C$100 | Canada Post |
| What decides the payment? | The lowest of item value, insurance bought and included coverage | Canada Post |
| Can you set an insured value? | Yes, when creating the label | Vendor article |
The sum is simple and sobering. A C$1,150 sofa shipped with C$100 of base coverage recovers at most C$100 from the carrier unless you bought more insurance. Read the cover before you ship and buy what the order needs.
What does Shopify say about furniture chargebacks for product not received?
For physical goods, Shopify asks for tracking information, delivery confirmation (ideally signed or photographed), proof the address matched checkout and carrier delivery notifications. Its recommendation for high value orders is to require signature confirmation at delivery.
A vendor article from PluginHive (last modified June 2026) describes Signature Required as the option where the package is handed directly to someone at the delivery address. Not every Canada Post service supports signature confirmation, and signature and insurance add to cost. The article gives no prices.
| Shopify evidence | Furniture application |
|---|---|
| Tracking information | Download the tracking PDF on delivery day |
| Delivery confirmation, signed or photographed | Signature plus a delivery photo where the carrier takes one |
| Proof the address matched checkout | Screenshot of the order address |
| Carrier delivery notifications | Save emails and notice card records |
| Signature for high value orders | Make it your rule for every large item |
Canada Post's delivery options page says that for items without signature, safe drop is at Canada Post's discretion, and for items with signature a card is left if nobody is there and the item is held for 15 calendar days before it is returned. A condominium concierge may sign under a Letter of Authorization. For large items, record the delivery address type at checkout so you know whether building access or a concierge is involved.
How do you handle damage that leads to furniture chargebacks?
Because the buyer often unboxes days later, the signature on the carrier's screen proves delivery, not condition, which is why damage drives so many furniture chargebacks. Treat damage claims calmly and quickly.
| Step | What to do | Why |
|---|---|---|
| 1. Ask for photos | Packaging, label, damage, close ups | A dated record |
| 2. Check your packing photos | Compare condition at shipping | Shows what left you |
| 3. Offer a fix | Replacement part, repair, partial refund or full refund | Speed saves a dispute |
| 4. Open a carrier claim | Within the carrier's deadline | Recovers money |
| 5. Email the buyer the plan | Date and next steps | Acknowledgment |
Message to a buyer who reports damage (adapt to your case)
Subject: Your order #[number], let's fix this
Hi [first name],
I'm sorry the [item] arrived damaged. To sort it out quickly, could you
send photos of (1) the outside of the box and label, (2) the damaged part
up close and (3) the item as a whole? Please keep the packaging.
Once I have them I can offer [a replacement part / a replacement / a
refund]. I will reply within one business day of receiving the photos.
[Name], [store], [phone number]
A dated message like this is acknowledgment in a later dispute. If you fix the problem, the dispute rarely starts. If it starts anyway, your timeline shows you acted.
What does Shopify say about furniture chargebacks over damaged goods?
For damaged or not as described goods, Shopify's list includes the listing as it appeared at purchase, order and fulfilment records, pre-shipment photos, quality control records, customer communications, the return policy and support ticket history. It adds that it can help to show the customer never contacted you, if true, and to describe your resolution process.
| Shopify item | Furniture application |
|---|---|
| Listing at purchase | Dated PDF with dimensions, materials, colour notes |
| Order and fulfilment records | Order page, pick and pack record |
| Pre-shipment photos | Goods and packaging before closing the box |
| Quality control records | Checklist for scratches, hardware count, fabric |
| Customer communications | Emails and chat, including damage reports |
| Return policy | Policy as shown at checkout |
| Support ticket history | Any earlier contact |
Be honest with yourself about what this evidence can do for furniture chargebacks. Pre-shipment photos show the goods were fine when they left you. They do not answer a buyer's photos of damage on arrival. In a transit damage case the stronger move is usually to resolve it with the buyer and claim from the carrier.
How should you photograph large items to defend furniture chargebacks?
A packing routine takes five minutes and answers three dispute types.
| Photo | What it shows |
|---|---|
| The finished item on the floor | Condition, colour and finish |
| Close ups of corners, legs and fabric | No pre-existing damage |
| Hardware bag and parts laid out | Nothing missing |
| The item in its packaging before sealing | Protection used |
| The sealed box with label and order number | Correct destination and contents |
| Weight and dimension marks | Matches the carrier record |
Name each file with the order number and date. Keep file sizes small, because Shopify accepts PDF, JPEG or PNG, with 2 MB per file and 4 MB combined, one file per evidence type and no links. Combine photos into a single labelled PDF.
How should made-to-order furniture be handled?
Made-to-order pieces take weeks, cannot be resold and produce timing-related furniture chargebacks. Treat them like a pre-order.
| Practice | Why it helps |
|---|---|
| State the lead time as a range at checkout | The buyer sees it before paying |
| Send a production update at a midpoint | Acknowledgment on file |
| Send a ship date email | Sets the delivery expectation |
| Get written approval of fabric and finish | Answers "not what I wanted" |
| Put made-to-order items in a no-return collection | Shopify lets you set final sale items by collection or product |
Shopify's return rules apply changes to future orders only, so set the final sale collection before you sell the piece. Our guide to pre-order and backorder chargebacks covers lead time wording in detail.
How do you set return rules that prevent furniture chargebacks?
Returning a sofa is a project. Shopify's return rules let you choose free return shipping, a flat rate fee per return or a customer-purchased label, a restocking fee as a percentage, a return window from delivery and final sale items by collection or product.
| Rule | Furniture choice to consider |
|---|---|
| Return window | A shorter window for large items, counted from delivery |
| Return shipping | Flat fee deducted from the refund, or customer pays |
| Restocking fee | A stated percentage on non-defective returns, deducted manually |
| Final sale | Made-to-order and clearance pieces |
| Condition | Unused, in original packaging |
Restocking fees are not deducted automatically, so deduct the fee yourself and record it. The written policy shows in the checkout footer once saved, and Shopify's template does not include your configured return rules, so make the two agree. We found no Canadian rule on returns of bulky goods in our sources, so your policy is your own.
How do you spot fraud on large orders?
Large orders attract fraud, and fraud accounts for some furniture chargebacks too. Shopify tells merchants to investigate suspicious orders before fulfilling and, for goods going to Canada, the US or the UK, to consider shipping only orders that pass an AVS check.
| Signal | Lower risk | Higher risk |
|---|---|---|
| History | Repeat buyer | First order, high value |
| Address | Home address, matches billing | Forwarder, storage unit, hotel |
| Shipping | Standard freight or parcel | Rush, "send to my mover" |
| Contact | Replies, gives delivery notes | Silent |
| AVS | Match | No match |
| Looks like a person | Random characters |
Two or three higher risk signals are a reason to email the buyer before you ship. Our guides to AVS and CVV checks and to billing and shipping address matches cover the checks.
What evidence helps in furniture chargebacks overall?
Think in layers. Shopify's suggested order is direct proof, acknowledgment, policy, then context.
| Layer | Evidence | Why |
|---|---|---|
| Direct proof | Carrier proof of delivery, signature, delivery photo | The goods reached the address |
| Direct proof | Refund record, if refunded | The credit was issued |
| Acknowledgment | Buyer emails, damage reports, your replies | Shows engagement and your response |
| Policy | Return and shipping policy, dated | The terms in force |
| Context | Listing PDF and packing photos | What was promised and shipped |
| Context | Earlier orders by the same buyer | An established customer |
Shopify Payments includes some evidence on its own when available: product details, customer name and email, billing and shipping addresses, IP address, fulfilment and tracking details, refunds and prior undisputed orders. You add the proof of delivery, the photos and the messages.
How do you answer a furniture chargeback?
Lead with the file that answers the reason, keep it short and write only what the files show.
Draft reply to a furniture chargeback (adapt to your case)

Summary
We shipped [item] on [date] by [carrier and service]. The carrier

If the buyer reported damage and you offered a fix, say so and show the date. If the buyer refused a reasonable fix, show that too. Never claim a delivery inspection step occurred unless a file shows it.
Is it worth fighting? A worked example in C$
Take the Kitchener sofa at C$1,150.00. Case A: the buyer says it never arrived, but the carrier shows a signed delivery with a photo. Case B: the buyer says it arrived damaged, sends photos, and the store has packing photos and an offer of a replacement leg that the buyer refused.
Case A: signed delivery with photo, address matches
Disputed amount = A = C$1,150.00
Fee = F = C$15.00 (returned only on a win)
Your time = T = 60 minutes, call it C$30
Chance of winning = c = 0.70 (illustrative)
Concede: A + F = C$1,165.00
Fight: (1 minus c) x 1,165 + 30 = 0.30 x 1,165 + 30 = C$379.50
379.50 < 1,165.00, so fight.
Case B: transit damage, buyer photos, replacement part refused
Chance of winning = c = 0.25 (illustrative)
Fight: 0.75 x 1,165 + 30 = C$903.75
903.75 < 1,165.00, so fight is still cheaper in expectation, but
a refund plus a carrier claim may cost less. If the carrier claim
recovers C$100 of base coverage: refund 1,150 minus 100 = C$1,050.
The win chances are illustrative, not Canadian statistics. We found no published Canadian win rate for furniture disputes, so use your own history. The structure is the lesson: delivery disputes with a clean record are worth fighting, and transit damage is often better settled quickly, with a claim to recover what you can.
Which furniture chargebacks are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Signed delivery with photo, address matches, buyer silent | Strong | Fight, lead with proof of delivery |
| Delivered, safe drop recorded, repeat buyer | Reasonable | Fight, show history |
| Not received, tracking shows no delivery | Weak | Refund early, claim from the carrier |
| Transit damage with buyer photos | Weak | Settle, claim from the carrier |
| Made-to-order item, written approval and terms on file | Reasonable | Fight, lead with approval and dates |
| Return picked up, refund not issued | Not a fight | Refund now |
| First order, rush, forwarder address, no contact | Weak | Fight only if value justifies |
If you owe the refund, issue it from the admin. Shopify says you can refund while a case is an inquiry, and a full refund on an inquiry blocks a chargeback. After a chargeback begins, no refund is possible.
How does ChargeFix help with furniture chargebacks?
Furniture chargebacks mean heavy paperwork on high value orders. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, addresses, fulfilment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no signature or no delivery scan, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim an inspection step your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not contact your buyers or your carrier. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a furniture chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Open the order, note reason, read all customer messages | Story written down |
| Day 2 | Pull carrier proof of delivery and any damage notes | Delivery shown |
| Day 3 | Pull packing photos, listing PDF and policy screenshot | Condition and terms ready |
| Day 4 | Decide: fight, settle or concede, and open a carrier claim if damage is real | Decision written down |
| Day 5 | Draft the response, strongest proof first | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Note what mattered |
If the buyer agrees the charge was valid, ask them to request a withdrawal through their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for American Express disputes or Visa disputes with a Fraudulent reason code, so file your evidence without waiting.
How do you prepare for the next wave of furniture chargebacks?
- Map carriers to sizes. Which products fit parcel limits and which need another carrier.
- Insure to value. Do not rely on C$100 base coverage.
- Add an inspection step. Ask the buyer to check and photograph within a set number of days.
- Run the packing photo routine. Five minutes per order.
- State lead times and return costs. On the product page and in the confirmation.
- Download delivery proof. The Canada Post confirmation is online for 45 days.
| Habit | Time | Effect |
|---|---|---|
| Carrier and size map | 1 hour once | Right carrier for each product |
| Packing photos | 5 minutes per order | Condition on file |
| Inspection wording | 30 minutes once | Damage reported early |
| Monthly dispute log | 30 minutes | Patterns by product and carrier |
Our chargeback audit guide shows how to turn the log into a short fix list.
What is different about furniture chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery proof | Canada Post confirmation online for 45 days after delivery | Download it early |
| Shopify Protect | US stores only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Cross-border. For parcels to the US, Canada Post says postal shipments under US$800 need prepaid duties and a Declaration ID, since the US de minimis exemption was suspended on 29 August 2025. The FAQ we read covers shipments under US$800, and many furniture orders exceed that, so ask your carrier what applies. Our cross-border guide explains the options.
Condos and concierges. Canada Post's page on condominiums says a security guard or concierge may sign for the resident under the condominium agreement and a Letter of Authorization. Record the building details on large orders.
Quebec. If you sell to Quebec buyers, remember that French language rules apply to websites and contracts. Our Quebec guide covers what we found.
Consumer law. Consumer protection law differs by province. We found no source that sets a Canadian rule for furniture delivery inspection or returns, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with furniture chargebacks?
- Shipping a large item with only C$100 of cover. Furniture chargebacks cost more when the carrier pays little.
- No signature rule on high value orders. Shopify recommends signature confirmation.
- Ignoring size limits. Out-of-spec items attract large surcharges and may be refused.
- No packing photos. You cannot show condition at shipping.
- Slow replies to damage reports. The bank hears first.
- Vague lead times. Timing disputes follow.
- Writing claims without files. Every sentence needs a file behind it.
- Refunding after the chargeback began. Shopify does not allow it.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What are furniture chargebacks?
They are card disputes on orders for furniture and other bulky goods. The usual reasons are product not received, product unacceptable (damage or description) and credit not processed. They cost more than most because of order value, and they depend on proof of delivery and condition.
What Canada Post size limits matter for furniture?
Canada Post parcel services allow up to 2 m on a side, 3 m length plus girth and 30 kg. Items with a side over 1 m or a second longest side over 76 cm are oversize and attract a surcharge, and items beyond the maximums are out-of-spec. Many sofas will not fit.
How much does Canada Post pay on a damaged parcel?
Only the sender receives claim payment, and compensation is the lowest of the item value, the insurance bought or the included coverage. Many services include C$100 of base coverage. Domestic claims must start within 90 days of shipping, once the item is past its expected delivery date.
Should I require signature on large orders?
Shopify recommends signature confirmation at delivery for high value orders. Canada Post may leave items without signature in a safe place at its discretion, which weakens your delivery proof. Not every service supports signature, so check the service you use before you promise it.
What if a buyer says the furniture arrived damaged?
Ask for photos of the packaging, label and damage, compare them with your packing photos, offer a fix quickly and open a carrier claim if the damage is real. A dated message is acknowledgment later. Genuine transit damage is usually better settled than fought.
Can I refund after a furniture dispute opens?
You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. Once a chargeback begins, Shopify does not allow a refund. The buyer can ask their bank for a withdrawal letter, which can take 30 to 90 days.
How do I handle made-to-order furniture?
State the lead time as a range, send progress updates, get written approval of fabric and finish and put the item in a no-return collection before you sell it. Shopify applies return rule changes to future orders only. Our pre-order guide covers wording.
Is it worth fighting furniture chargebacks?
Compare the cost of conceding, the amount plus the C$15 fee, with the expected cost of fighting, including your time. With a signed delivery and photos, fighting usually pays. For genuine transit damage, a refund and a carrier claim may cost less. Use your own history.
Are there Canadian rules for furniture returns or delivery inspection?
We found no source that sets a Canadian rule for furniture returns or delivery inspection, so we state none. Consumer protection law differs by province. Your published policy and the Shopify return rules you set are what a reviewer reads.
How does ChargeFix help with furniture chargebacks?
ChargeFix reads the order, addresses, tracking and refund data, flags missing proof such as a signature, and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.
