A Saskatoon store that sells maple syrup gift sets ships a C$88.00 box to a woman in Fredericton. The buyer is her son, who lives in Calgary and ordered it for her birthday. Three weeks later his wife reviews the card statement, does not recognize the store name and disputes the charge as unauthorized. The mother has the syrup, the son forgot to mention it, and the store now faces a fraud dispute on a perfectly honest order. That is the shape of most gift order chargebacks, and of many gift order disputes: a real sale, a real delivery, and a cardholder who is not the person who knows about it. This guide shows how to record gift intent, what evidence settles these cases and when to refund instead of fight.
Quick answer: A gift order chargeback is a dispute on an order where the buyer and the recipient are different people. The usual causes are a cardholder who does not recognize a gift purchase, a recipient who never got the parcel, or a family member who disputes the charge. Record gift intent at checkout, confirm the delivery address with the buyer before shipping high value orders, and keep delivery proof. In a dispute, the buyer's own confirmation and the delivery record are the strongest pieces.
This guide is for you if:
- You sell gifts, hampers, jewellery, flowers or anything people buy for someone else.
- A dispute landed on an order shipped to a name different from the cardholder's.
- You want checkout wording and a response plan that treats gift orders fairly.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, the Canada Post details come from Canada Post's own pages and the customs figure comes from a secondary summary of CBSA rules, all listed at the end. Where a page does not say, this guide says so rather than guess.
TL;DR
- Gifts make billing and shipping details differ on purpose, so they look like fraud even when they are not.
- A gift option at checkout, with a gift message field, records intent on the day of the order.
- Contact the buyer, not the recipient, because the buyer holds the card.
- The recipient's acknowledgment and the delivery record both help, but the cardholder's confirmation matters most.
- Keep the packing slip free of prices, and keep a separate buyer receipt.
Do this today
- Add a gift checkbox and a note field at checkout if you do not have them.
- Check what the slip in the box shows: no prices, the note and the buyer's name only if the buyer wants it.
- Write a one line "gift order" note template for staff.
- Draft a short email to the buyer to confirm the delivery address on gifts above your threshold.
- Save a dated screenshot of your gift checkout flow.
Gift order chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is 7 to 21 days with no extensions |
| 2. Find the gift signals | Gift checkbox, message, different names | They show intent from the day of the order |
| 3. Contact the buyer | Ask them to confirm the purchase | The buyer holds the card |
| 4. Pull delivery proof | Tracking and signature record | The recipient got the goods |
| 5. Ask the recipient, if you can | A short thank you or a confirmation | Acknowledgment from the receiving end |
| 6. Decide | Fight or concede | No refund is possible once a chargeback begins |
| 7. Build and file | Strongest proof first | The fee is not returned if you miss the date |
Why do gift order chargebacks happen?
A gift order breaks the usual pattern. The person paying is not the person receiving, so billing and shipping names differ, the surprise is part of the point and the card statement may be seen by someone who was never told.
| Cause | What happens | Dispute reason |
|---|---|---|
| Partner sees an unfamiliar charge | They assume fraud | Fraudulent or unrecognized |
| Buyer forgets the purchase | Statement name looks odd | Unrecognized |
| Recipient never gets the parcel | Buyer is told it did not arrive | Product not received |
| Recipient dislikes the gift | Buyer wants money back after the return window | Product unacceptable or general |
| Gift sent to the wrong address | Parcel goes to a stranger | Product not received |
| Real fraud dressed up as a gift | Thief ships to a drop address | Fraudulent |
The last row matters for every gift order chargeback. A stolen card used to "send a gift" is a real pattern. So a gift order chargeback needs the same care as any fraud case, plus the extra context that makes honest gifts easy to explain.
What does Shopify say that applies to gift order disputes?
Shopify has no page on gifts, so the guidance comes from its general rules. Its page on preventing chargebacks says to investigate suspicious orders before you fulfill them, to consider shipping only orders that pass an AVS check for goods going to Canada, the US or the UK, and to reach out to the customer before sending goods to an address that fails the check. It also says to send receipts at payment and to use your store or domain name as the billing statement text.
For a fraudulent dispute, Shopify's evidence guidance lists fulfillment date and time, billing information, the IP address and country, and shipping and tracking. If the customer agrees the charge is valid, include their statement. For product not received, it lists shipping and tracking, proof of delivery and communication with the customer. Shopify's suggested order for evidence is direct proof, acknowledgment, policy and context.
| Shopify guidance | How it fits a gift |
|---|---|
| Send receipts at payment | The buyer gets a record in their inbox |
| Billing statement text | The cardholder recognizes the charge |
| Contact the customer before shipping to a failed address | Ask the buyer to confirm the gift address |
| Customer statement that the charge is valid | The strongest sentence in a gift dispute |
| Proof of delivery | Shows the recipient got it |
None of this is gift specific. The work is to apply it with care, because a gift makes every field look different.
How do you prevent gift order chargebacks at checkout?
The best defence against gift order chargebacks is a record made on the day of the order. A gift checkbox and a message field cost nothing and turn a puzzle into a plain fact.
| Element | Why it matters |
|---|---|
| "This is a gift" checkbox | Shows intent, timestamped |
| Gift message field | The buyer's own words, in the order |
| Recipient name field | Ties the shipping name to the sale |
| Phone number | Lets you reach the buyer quickly |
| Hidden prices on the packing slip | Keeps the surprise intact |
| Separate buyer receipt | The buyer keeps the proof of purchase |
Gift checkout wording (adapt to your setup)
[ ] This is a gift. Hide prices on the packing slip.
Gift message (optional): ______________________________
Recipient's name: ___________________ Recipient's phone (optional): __________
We email your receipt to you, not to the recipient. If we need to confirm
the delivery address, we will email you first.
Check what your theme and plan allow, because gift order chargebacks are easier to answer when the gift record exists. Some stores add the gift option with a theme setting, others with an app or order notes. Whatever you use, test it by placing a test gift order and checking that the gift fields show on the order.
What belongs on the packing slip and the buyer receipt?
Gifts need two documents with different jobs. The packing slip goes in the box. The receipt goes to the buyer.
| Document | Goes to | Contents |
|---|---|---|
| Packing slip | The recipient | Items, the buyer's note, no prices, return instructions if you want them |
| Order confirmation | The buyer | Items, total in C$, statement name, delivery address, phone number |
| Gift receipt, if you offer one | The recipient | Item list and an exchange or store credit option, no price. A gift receipt is separate from the packing slip |
A gift receipt means a receipt for the recipient with no price on it, and a gift receipt should name the shop and the item. It lets them exchange without learning what was paid. A gift receipt also tells you who is entitled to a return, which matters in a dispute where the recipient wants money back and the buyer holds the card.
State your gift return policy in plain words, including whether a gift receipt is needed. Who can return? To whom is the refund or credit given? What is the window? Nothing we read sets a Canadian rule on returns of gifts, so your policy is your own, and the clearer it is the fewer arguments follow.
Who should you contact first on a gift order dispute?
The buyer. They hold the card, and they are the one who can confirm the purchase or withdraw a dispute. Shopify's advice to write to the customer when an address fails the AVS check points the same way.
Message to the buyer about a gift delivery
Subject: Quick check on your gift order #[number]
Hi [first name],
Thanks for your gift order. I want to make sure it arrives smoothly. Could
you confirm the delivery address for [recipient name] and let me know if
you would like a gift message printed on the packing slip?
Your card statement will show this charge as [statement name], and my
number is [phone number].
[Name], [store]
Contacting the recipient can spoil a surprise or cause confusion. If you must, keep it short and neutral. A better route is to ask the buyer to tell the recipient.
What evidence helps in a gift order chargeback?
Think in layers, from the buyer outward. Evidence for a gift order chargeback works like a ladder.
| Layer | Evidence | Why |
|---|---|---|
| The buyer | Confirmation email reply, phone note, receipt | The cardholder is tied to the purchase |
| The gift | Gift checkbox, buyer's note, recipient name | Intent recorded on the day |
| The delivery | Tracking, signature record, delivery photo if available | The recipient got the goods |
| The recipient | A thank you note, a reply to your email | Acknowledgment from the receiving end |
| The history | Earlier orders by the same buyer | The buyer is known to you |
Shopify Payments fills in some of this on its own, such as product details, billing and shipping addresses, and shipping and tracking information. You add the gift fields, the messages and the delivery record.
In a gift order dispute, a reviewer's first question is simple: does the cardholder know about this purchase? If the buyer confirmed it, the rest is background. If nobody ever spoke to them, the gift fields and the recipient's acknowledgment carry more weight.
How do you answer a gift order chargeback?
Lead with the gift. Then show delivery and any confirmation.
Draft reply to a gift order chargeback (adapt to your case)
Order #[number], placed [date] for C$[amount].
Summary
The order was placed as a gift. At checkout the buyer ticked "This is a
gift", entered a gift message and named the recipient, [recipient name].
The billing address is in [city, province] and the order shipped to
[city, province] for the recipient. The goods were delivered on [date],
signed for by [name] (Canada Post record attached).
1. Order and gift details

2. Buyer confirmation
[Date]: we emailed the order's address to confirm the delivery; the
buyer replied [summary] (file 2).
3. Delivery record

4. History
Earlier undisputed orders by the same buyer, if any (file 4).
Write only what the files show. If the buyer did not reply, do not say they confirmed. State the gift fields and the delivery, and let them speak.
What if the recipient says they never got it?
Sometimes the recipient and the buyer disagree about delivery. Start with the carrier record.
| Situation | What the record may show | Next step |
|---|---|---|
| Delivered, signed by someone else | A name and signature | Ask who signed; condo staff may sign |
| Delivered, left at the door | Safe drop at the carrier's discretion | Ask the recipient to check neighbours |
| Notice card left | Parcel held at a post office | Tell the buyer; the recipient needs the card and photo ID |
| No delivery scan | Parcel may be lost | Treat it as a lost parcel and refund early |
Canada Post's delivery options page says that for items with signature, an attempt is made at the door and a card is left if nobody is there, and that the item is held for 15 calendar days before it is returned to the sender. For items without signature, safe drop is at Canada Post's discretion. A gift to a busy recipient may sit at a post office, and the buyer may never hear, which is how a gift order dispute starts.
If you ship a gift order without signature, the recipient may not be home to receive it, and the parcel may be left somewhere. For high value gifts, consider signature and tell the buyer. See our guide to signature required orders.
What if the recipient wants a return and the buyer holds the card?
This is the conflict gift sellers meet most. The recipient does not want the item and wants money back, but they did not pay.
| Option | How it works | Risk |
|---|---|---|
| Store credit to the recipient | Credit goes to the recipient | The buyer may have wanted a refund |
| Refund to the original card | Money returns to the buyer | The recipient never sees it |
| Exchange | Swap for another item | Fewest complications |
| No return on gifts | Your policy says so | Disputes may follow |
State your rule before the sale; most gift order disputes about returns start from silence. A common approach is exchange or store credit for recipients and a refund to the card only on the buyer's request. Whatever you choose, put it in the policy and repeat it in the buyer's confirmation email.
If the buyer asks for a refund and you agree, do it quickly. Shopify says you can refund while a case is an inquiry, that a full refund on an inquiry blocks a chargeback and that you cannot refund once a chargeback has begun. A refund after the chargeback begins is not possible, so speed matters here.
Is it worth fighting? A worked example in C$
Take the Saskatoon syrup box. It was C$88.00. The buyer's partner disputed it as unauthorized. The store had the gift checkbox, the message, the recipient's name and a delivery record signed by the mother.
Case A: gift fields on the order, delivery signed, no buyer reply
Disputed amount = A = C$88.00
Fee = F = C$15.00 (returned only on a win)
Your time = T = 45 minutes, call it C$22
Chance of winning = c = 0.45 (illustrative)
Concede: A + F = C$103.00
Fight: (1 minus c) x 103 + 22 = 0.55 x 103 + 22 = C$78.65
78.65 < 103.00, so fight.
Now the same order after the buyer emails you and says he placed it.
Case B: buyer confirms the purchase in writing
Chance of winning = c = 0.70 (illustrative)
Fight: 0.30 x 103 + 22 = C$52.90
Even better: ask the buyer to tell his bank. If a withdrawal letter comes,
the case ends with no decision needed. The letter takes 30 to 90 days.
The probabilities are illustrative, not Canadian statistics. We found no Canadian win rate for gift order disputes, so use your own history. The pattern is what matters: gift fields plus delivery give a fair chance, and the buyer's word makes it much better.
Which gift order disputes are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Buyer confirmed in writing, delivered | Strong | Fight, lead with the confirmation |
| Gift fields on the order, delivered and signed, buyer silent | Reasonable | Fight, lead with the gift record |
| Buyer is a repeat customer, gift to a known address | Reasonable to strong | Fight, list the history |
| No gift fields, different names, no contact | Weak | Fight only if value justifies it |
| Recipient says it never arrived, no delivery scan | Weak | Refund early |
| Shipped to a forwarder or hotel as a "gift" | Weak | Concede or accept the risk |
A gift order chargeback is strongest when the buyer's own words, the gift fields and the delivery record agree. It is weakest when it looks like a stranger's order sent to a stranger's address.
How do you tell real gift order disputes from fraud?
Thieves use the "gift" story, so look at the whole order.
| Signal | Likely real | Likely fraud |
|---|---|---|
| History | Repeat buyer | First order |
| Value | Normal for gifts in your store | Much higher |
| Message text | Personal and specific | Blank or generic |
| Recipient name | A real name related to the buyer | Unrelated or clearly made up |
| Address | House or apartment | Forwarder, hotel or storage |
| AVS | Match | No match |
| Shipping | Standard | Rush |
| Looks like a person | Throwaway string |
Two or three bad signals together are reason to email the buyer before shipping. For the full approach, see our guides to billing and shipping address mismatches and AVS and CVV checks.
What about gifts shipped across the border?
A gift crossing the border adds a layer. Into Canada, the ParcelsApp summary of CBSA rules reports a C$60 exemption for qualifying gifts sent by family or friends abroad. That is for personal gifts, not for a store's sales. The summary also says a commercial purchase does not become a gift because a form says so. So a store should not mark its parcels as gifts to avoid duties. Out of Canada, postal shipments to the US valued under US$800 need duties prepaid, according to Canada Post.
| Direction | What to remember |
|---|---|
| Into Canada | The C$60 gift exemption is for personal gifts, not retail orders |
| Out of Canada to the US | Duties must be prepaid for postal shipments under US$800 |
| Either way | Tell the buyer about duties before they pay |

How does ChargeFix help with gift order chargebacks?
Gift order chargebacks depend on records spread across your order, your inbox and your carrier. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, the billing and shipping addresses, the fulfillment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no gift fields on the order, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a buyer confirmation your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not contact your buyer or recipient. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a gift order chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Pull the order, gift fields and addresses | Gift signals listed |
| Day 2 | Email the buyer to confirm the purchase | Message sent and saved |
| Day 3 | Pull the tracking and signature PDF | Delivery shown |
| Day 4 | Decide: fight or concede | Decision written down |
| Day 5 | Draft the response, strongest proof first | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Note what mattered |
If the buyer agrees the charge was theirs, ask them to request a withdrawal from their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for Visa disputes with a Fraudulent reason code or for American Express disputes, so file your evidence without waiting.
How do you prepare for gift order chargebacks before the next gift season?
Gift order chargebacks cluster around holidays and birthdays, so prepare ahead.
- Add the gift fields and test them with a real order.
- Write the gift return rule and put it in the policy and the confirmation.
- Print packing slips without prices for gift orders.
- Set a hold threshold for first time gift orders above a set value.
- Save delivery proof early. The Canada Post confirmation goes offline 45 days after delivery.
- Review last season's disputes. Which ones had no gift record?
| Habit | Time | Effect |
|---|---|---|
| Gift fields | 30 minutes once | Intent recorded |
| Return rule | 20 minutes | Fewer arguments |
| Hold threshold | 20 minutes | Fewer risky shipments |
| Post season review | 1 hour | Better rules next year |
What is different about gift order chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery proof | Canada Post confirmation online for 45 days after delivery | Download it early |
| Shopify Protect | US stores only, fraud and unrecognized reasons only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Condos and concierges. Canada Post's page on condominiums says a security guard or concierge may sign for the resident under the condominium agreement and a Letter of Authorization. A gift to a condo may be signed for by building staff, and the delivery is still valid.
Quebec. If you sell to Quebec buyers, send the confirmation and gift wording in a language they read. A buyer who cannot read the checkout note is not strongly tied to it.
Privacy. A gift order holds the buyer's information and the recipient's. Share only what the recipient needs, which is usually the gift message and the item list. Do not put the buyer's email, phone or price on the packing slip unless the buyer asks.
Consumer law. Consumer protection law differs by province. Our sources set no rule for Canada on gift returns, or on how a merchant must treat a gift order dispute, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with gift order chargebacks?
- No gift option at checkout. You lose the easiest proof of intent.
- Prices on the slip in the box. It spoils the surprise and invites returns.
- Contacting the recipient first. The buyer holds the card.
- No buyer receipt. The buyer cannot recognize the charge later.
- Silence on gift returns. Disputes follow.
- Ignoring a first order shipped to a forwarder. Ask before you ship.
- Writing "the buyer confirmed" with no proof. Reviewers see through it.
- Refunding after the chargeback began. Shopify does not allow it.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What is a gift order chargeback?
It is a card dispute on an order where the buyer and the recipient are different people. The cardholder may not recognize the charge, a family member may dispute it, or the recipient may not have received the parcel. The reason on the dispute is usually fraudulent, unrecognized or product not received.
How do I show that an order was a gift?
Add a gift checkbox, a note field and a recipient name field at checkout, and save a dated screenshot of the flow. The order then carries the buyer's own record of intent. Also keep the buyer's email confirmation and the delivery record.
Should I contact the buyer or the recipient?
The buyer, because they hold the card and can confirm the purchase or withdraw a dispute. Contacting the recipient can spoil a surprise or cause confusion. If you must write to the recipient, keep it short and neutral, and tell the buyer.
What evidence helps most in a gift dispute?
The cardholder's own confirmation is strongest. After that, the gift fields on the order, the delivery and signature record, an acknowledgment from the recipient and the buyer's history with your store. Shopify suggests ordering evidence as direct proof, acknowledgment, policy and context.
Can a recipient get a refund on a gift?
That depends on your policy, because we found no Canadian rule on gift returns. Many stores offer exchange or store credit to the recipient and a refund to the original card only on the buyer's request. State the rule before the sale.
Can I refund after a gift dispute opens?
No. Shopify says you cannot refund once a chargeback has begun. You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. After that, the buyer can ask their bank for a withdrawal letter, which can take 30 to 90 days.
How do I spot fraud labelled as a gift?
Look at the whole order. A first order with a high value, a blank note, a rush request, a forwarder address and a failed AVS check is a pattern. Shopify says to investigate suspicious orders before you fulfill them and to contact the customer first.
Are gifts exempt from duties?
The ParcelsApp summary of CBSA rules reports a C$60 exemption for qualifying gifts sent by family or friends abroad. It is for personal gifts, not retail sales, and a commercial purchase does not become a gift because a form says so. Check CBSA for current rules.
Are there Canadian rules for gift order disputes?
We found no source that sets a rule for Canada on gift returns, or on how a merchant must treat a gift order dispute, so we state none. Consumer protection law differs by province. Put your gift policy in writing and ask an adviser if you need certainty.
How does ChargeFix help with gift order chargebacks?
ChargeFix reads the order, addresses, tracking and refund data, flags missing gift fields or buyer confirmation and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.
Start free trial with ChargeFix
