A Winnipeg store sells a C$54.99 monthly protein and greens subscription. A customer signs up on a promotion, takes the first tub and forgets about the second. When the second charge shows on her statement she does not remember agreeing to a recurring plan, so she calls the bank. The store has the signup page, the terms and a cancellation form she never used, but none of it is in one place when the notice arrives. Supplement chargebacks in Canada mix three difficult things: recurring billing, products that people consume and cannot always return, and health related claims that attract scrutiny from payment providers and regulators. This guide sorts them out. You will see what Shopify wants to see in each kind of dispute, what Health Canada says about labels and licences, and how to keep a file that wins the cases worth winning.
Quick answer: Supplement chargebacks mostly arrive as subscription canceled, product not received, product unacceptable or unrecognized charge disputes. Shopify's evidence lists ask for subscription terms and cancellation records, tracking and delivery proof, the listing and label as shown at purchase and your customer messages. Keep a dated copy of the signup page, the label with its licence number, the lot number shipped and every cancellation request with the date you processed it. If a buyer reports a reaction, put their wellbeing and a refund ahead of the dispute.
This guide is for you if:
- You sell vitamins, protein, greens, herbal products or other supplements on Shopify in Canada.
- You offer subscriptions and have been disputed on a second or later shipment.
- You want a file structure, a policy and a reply template that fit consumable goods.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, the licensing points come from Health Canada pages, and the delivery details come from Canada Post. This guide is not legal or regulatory advice, so check Health Canada and a qualified adviser for your own products. Where a page does not say, this guide says so rather than guess.
TL;DR
- Subscription disputes need the signup terms, the cancellation record and billing notices, which is what Shopify lists for a subscription canceled reason.
- Health Canada says licensed products show an 8 digit licence number, an NPN or DIN-HM, so photograph labels and record batches.
- Shopify Payments prohibits pseudo pharmaceuticals, meaning products with health claims that no regulator has verified, so watch your claims.
- If a buyer reports a reaction, refund and listen first. Do not fight a case about someone's health.
- Opened consumables are hard to take back, so state your return rule before the sale.
- Supplement chargebacks over recurring billing are the easiest kind to prevent.
Do this today
- Save a dated screenshot of every product page, label and subscription signup screen.
- Check that each label shows its licence number and that your product page matches the label.
- Make sure your cancellation route is as easy as your signup route.
- Add a renewal reminder email a few days before each subscription charge.
- Record the batch against every order.
Supplement chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is usually 7 to 21 days, with no extensions |
| 2. Sort by reason | Subscription, not received, unacceptable, unrecognized | Each reason has a different lead file |
| 3. Check the human side | Did the buyer report a health concern? | A health complaint changes the decision |
| 4. Pull billing proof | Signup terms, cancellation record, renewal emails | Shows what the buyer agreed to |
| 5. Pull product proof | Label, lot number, listing at purchase | Shows what was sold and shipped |
| 6. Decide | Fight, refund or concede | No refund is possible once a chargeback begins |
| 7. Build and file | Strongest proof first, labelled files | The fee is not returned if you miss the date |
Why do supplement chargebacks happen?
Supplements sit in a particular corner of e-commerce. Orders are frequent and modest in value, buyers are often on promotions, products are consumed rather than kept and outcomes are personal. That combination produces disputes for reasons that have little to do with fraud.
| Cause | What happens | Typical reason |
|---|---|---|
| Buyer forgets a recurring plan | A later charge looks unauthorized | Subscription canceled or fraudulent |
| Cancellation not processed in time | Buyer is charged after cancelling | Subscription canceled |
| Statement name differs from the brand | Buyer does not recognize the charge | Unrecognized or fraudulent |
| Parcel not received | Buyer says it never came | Product not received |
| Product disappoints | Taste, effect or texture not as hoped | Product unacceptable |
| Product arrives damaged or near expiry | Buyer wants a refund | Product unacceptable |
| Opened product returned late | Buyer wants money back | Credit not processed |
| Two similar orders on one statement | Buyer sees what looks like a duplicate | Duplicate |
Most of these causes are communication problems that show up as payment disputes. Clear terms, honest labels and an easy cancellation path prevent more supplement chargebacks than any evidence letter can win, and they cost less than answering supplement chargebacks one by one.
Which dispute reasons drive supplement chargebacks?
Shopify's chargeback page lists seven categories of dispute reason, each with its own evidence. Four of them account for most supplement chargebacks in a Canadian store.
| Shopify reason | What it covers | Supplement example |
|---|---|---|
| Subscription canceled | Customer says they cancelled | Monthly vitamin box |
| Product not received | Goods did not arrive | Parcel left at the door |
| Product unacceptable | Not as described, damaged, defective | Tub arrived crushed or near expiry |
| Credit not processed | Refund promised but not seen | Return of unopened product |
| Duplicate charge | Charged twice | Authorization hold mistaken for a charge |
| Fraudulent transaction | Customer does not recognize the charge | Forgotten recurring plan |
The same page says Shopify Payments includes some evidence on its own: product details, customer name and email, billing and shipping addresses, IP address, fulfilment and tracking details, refunds and prior undisputed orders. Policies may be included too, depending on the dispute type. You add the subscription terms, the cancellation record and the label and lot records.
What does Shopify want to see in a subscription dispute?
For a subscription canceled reason, Shopify's list is specific: the subscription agreement, your cancellation policy, cancellation records (or proof that none exist), usage logs after the charge, billing notifications and customer communications. It adds that if the customer followed your cancellation process and was still charged, you should consider a refund.
| Shopify evidence item | Supplement application |
|---|---|
| Subscription agreement | Dated screenshot of the signup page with the price, the interval and the checkbox |
| Cancellation policy | The page the buyer saw, dated |
| Cancellation records, or proof none exist | Export of cancellation requests, or a note that none were received |
| Usage logs after the charge | Login, delivery and open records after the date in dispute |
| Billing notifications | Renewal reminder emails and receipts |
| Customer communications | Support emails and chat |
The most persuasive supplement file is a timeline. Sign up on this date, accepted these terms, received these renewal notices, never asked to cancel, received the parcel on this date. If the buyer did ask to cancel, your honest answer is a refund. Our subscription chargebacks guide covers terms and notices in detail.
How should a signup page read?
A signup page is evidence. If a promotion hides the recurring part, the buyer's claim of surprise looks reasonable.
Subscription signup wording (adapt to your store)
[ ] Yes, send me [product] every [30] days for C$[price] per shipment
plus applicable taxes and shipping. I understand I will be charged
on each shipment date until I cancel.
How to cancel: sign in at [web address] and select "Cancel
subscription", or reply to any order email. Cancel at least [3] days
before your next shipment date to skip that shipment.
First shipment: C$[price] today. Next charge: [date]. We email a
reminder [3] days before each charge.
Make the checkbox unticked by default, show the price and interval next to it and save a dated screenshot. If you offer a trial or a promotion price, state what the price becomes afterward. Our sources set no Canadian rule on subscription disclosure for supplements, so your own clear wording is your protection.
What does Health Canada say about labels and licences?
Health Canada's consumer page on natural health products bought online says licensed products carry an 8 digit natural product number (NPN) or homeopathic medicine number (DIN-HM) on the label. It adds that if a website does not show the number, buyers should ask the seller for it and check it against Health Canada's database. It also lists risks of online purchases, including unknown sources, expired or contaminated products, wrong or undisclosed ingredients, counterfeits and products not authorized for sale in Canada. That page was last modified in 2015, so read the current rules on Health Canada's site before relying on any detail.
| Label item | Why it matters in a dispute |
|---|---|
| NPN or DIN-HM on the label | Shows the product carries a licence number |
| Ingredient list and directions | Shows what the buyer was told |
| Lot number and best-before date | Ties the tub to your records |
| Warnings and interaction notes | Shows safe use information was supplied |
A reviewer deciding a product unacceptable case will care whether the label matches the listing. If your product page says one thing and the label another, fix it before you ship the next order.
Who needs a site licence and what is an NPN?
Health Canada's site licensing guidance says anyone who manufactures, packages, labels or imports a natural health product for sale in Canada needs a site licence. It says retailers that import products themselves are considered the importer. Distributors that do not import do not need a site licence but must follow good manufacturing practices. The page does not address online sellers directly, so an online seller that only resells products bought from licensed importers is not covered by what we read. The page also says the product licence holder must give Health Canada's natural and non-prescription health products directorate the names and addresses of each manufacturer, packager, labeller, importer and distributor.
| Question | What the Health Canada page says |
|---|---|
| Who needs a site licence? | Anyone who manufactures, packages, labels or imports an NHP for sale |
| Does a retailer that imports need one? | Yes, it is considered the importer |
| Does a distributor that does not import? | No, but it must follow good manufacturing practices |
| Are online sellers addressed? | Not directly |
| Where is the NPN rule? | Not explained on the site licensing page |
This guide is not regulatory advice. If you import or relabel products, check the licence rules with Health Canada, because a regulatory problem can turn into a payment problem quickly. Keep the supplier's licence documents in the same folder as your dispute files.
Do health claims affect your payment account?
Yes. Shopify's Payments eligibility page lists prohibited business categories, and one is pseudo pharmaceuticals, described as pharmaceuticals and other products that make health claims that are not verified by a local or national regulatory body. The page does not mention supplements by name, and it says the list is not exhaustive and varies by region. It links to the Canada prohibited businesses list in the Shopify Payments terms.
| Question | Answer |
|---|---|
| Are supplements named as prohibited? | No, not on the page we read |
| What is prohibited? | Products making health claims not verified by a regulator |
| Is the list complete? | No, it varies by region |
| What should you do? | Read the Canada terms and keep claims to what your licence allows |
Health claims also feed supplement chargebacks. A buyer who bought on the strength of a claim and was disappointed has a "not as described" argument. Keep product page claims the same as the label and your licence, and save dated copies. For a general look at how listings become evidence, read our guide to product not as described chargebacks.
What if a buyer says the product made them unwell?
Treat it as a person first and a payment second. Health Canada's page says side effects can be reported through MedEffect Canada. We are not medical advisers, so do not give medical advice, but do respond fast and kindly.
| Step | What to do |
|---|---|
| 1. Respond quickly | Reply the same day if you can |
| 2. Do not argue about the cause | You cannot judge it by email |
| 3. Offer a refund | If it is still an inquiry, a full refund blocks a chargeback |
| 4. Point to official reporting | Health Canada lists MedEffect Canada for side effects |
| 5. Record the batch | Pull the details for your own review |
| 6. Pause the subscription | Stop further charges while you talk |
Supplement chargebacks of this kind are about care first. A dispute in this situation is usually not worth fighting, even if the paperwork is perfect. A reviewer will not weigh your evidence against a safety concern, and a public fight over supplement chargebacks is a poor look. Concede, learn what you can from the lot record and tighten your process.
What evidence helps in supplement chargebacks?
Think in layers. Shopify's suggested order is direct proof, acknowledgment, policy, then context.
| Layer | Evidence | Why |
|---|---|---|
| Direct proof | Tracking and delivery confirmation as PDF | The parcel arrived |
| Direct proof | Refund record, if you refunded | A credit was issued |
| Direct proof | Cancellation log or proof none exists | Subscription facts |
| Acknowledgment | Customer emails, support tickets | The buyer engaged |
| Policy | Subscription terms and return policy, dated | The terms in force |
| Context | Label photo with licence number and lot number | What was shipped |
| Context | Listing at purchase | What was promised |
| Context | Earlier undisputed orders | An established customer |
For supplement chargebacks, keep each file under 2 MB, with 4 MB combined, in PDF, JPEG or PNG, one file per evidence type, with no links. Everything has to be readable without zooming or cropping.
How do you record labels and batches for supplement chargebacks?
Supplement chargebacks about expired or damaged goods are won or lost on batch records. When a buyer says the product was off, a record of the batch lets you show what you shipped.
| Record | How | When |
|---|---|---|
| Lot number | Add to the order notes or a fulfilment log | When you pack |
| Best-before date | Same log | When you pack |
| Label photo | One photo of the front and one of the label panel | Once per production batch |
| Pre-shipment photo | The packed parcel with the label visible | When you pack |
| Supplier documents | Licence copies and certificates of analysis if you hold them | When received |
Fulfilment log line (adapt to your system)
Order #[number] Date packed: [date] Packed by: [initials]
SKU: [code] Lot: [number] Best before: [month/year]
Label photo: [file name] Parcel photo: [file name]
Carrier: Canada Post [service] Tracking: [number]
Signature required: yes / no
A log like this takes thirty seconds per order and turns "it was expired" into a checkable fact. Check whether your fulfilment app or notes field can hold it, and keep one routine for every order.
How do you answer a supplement chargeback?
Lead with the file that answers the reason. Keep it short, number the files and write only what the files show.
Draft reply to a subscription dispute (adapt to your case)
Order #[number], placed [date] for C$[amount].
Summary
The customer subscribed on [date] and accepted our subscription terms,
which state a charge of C$[amount] every [30] days until cancelled. We
emailed a renewal reminder on [date], [3] days before the disputed
charge. Our records show no cancellation request before [charge date].
The parcel was delivered on [date] (Canada Post record attached).
1. Signup record
Dated screenshot of the signup page and the order confirmation (file 1).
2. Renewal notice
Reminder email sent on [date] (file 2).
3. Cancellation log
Export showing no request received before [date] (file 3).
4. Delivery proof
Canada Post tracking and delivery confirmation PDF (file 4).
5. Policy
Subscription and return terms as shown at signup (file 5).
Never write that no cancellation was received unless the log shows it. If the buyer did ask to cancel and you charged anyway, refund. Shopify says that when a customer followed your cancellation process and was still charged, a refund is worth considering.
Is it worth fighting? A worked example in C$
Take one of the supplement chargebacks from the opening, the Winnipeg subscription charge of C$54.99. Case A: signed terms, a reminder email, no cancellation request and a delivered parcel. Case B: the customer emailed a cancellation request ten days before the charge, and nobody processed it.
Case A: terms accepted, reminder sent, no cancellation, delivered
Disputed amount = A = C$54.99
Fee = F = C$15.00 (returned only on a win)
Your time = T = 30 minutes, call it C$15
Chance of winning = c = 0.55 (illustrative)
Concede: A + F = C$69.99
Fight: (1 minus c) x 69.99 + 15 = 0.45 x 69.99 + 15 = C$46.50
46.50 < 69.99, so fight.
Case B: cancellation request ignored
Chance of winning = c = 0.05 (illustrative)
Fight: 0.95 x 69.99 + 15 = C$81.49
81.49 > 69.99, so refund and fix the process.
The win chances are illustrative, not Canadian statistics. We found no published Canadian win rate for supplement disputes, so use your own history. For low value subscription charges, your time is the biggest cost, which is a reason to refund honest mistakes quickly and keep the file ready for the ones worth fighting.
Which supplement disputes are worth fighting?
| Case | Likely strength | Move |
|---|---|---|
| Clear terms, reminder sent, no cancellation, delivered | Strong | Fight, lead with terms and reminder |
| Buyer used the product after the charge, per delivery and login records | Reasonable | Fight, show usage records |
| Parcel signed for, buyer says not received | Reasonable | Fight, lead with the signature |
| Cancellation request on file, charge went through | Not a fight | Refund and fix the process |
| Buyer reports a health reaction | Not a fight | Refund, record the lot, respond with care |
| Product arrived damaged, photos exist | Weak for you | Refund or replace, claim from the carrier |
| No delivery scan | Weak | Refund early |
If you owe the money, issue the refund from the admin. Shopify says you can refund while a case is an inquiry and that a full refund on an inquiry blocks a chargeback. After a chargeback begins, no refund is possible.
How should you handle returns of opened supplements?
Consumables are awkward. A returned tub cannot always be resold, so many stores restrict returns on opened product. If you do, say so before the sale.
| Policy choice | Effect |
|---|---|
| Unopened returns accepted within a window | Clear and fair for sealed goods |
| Opened product final sale | Fewer returns, more arguments if not stated |
| Satisfaction guarantee on first order | Draws customers, needs a clear limit |
| Refund without return for small orders | Fast, often cheaper than a dispute |
Return rules shape supplement chargebacks more than almost any other policy. Shopify's return rules let you mark final sale items by collection or product and set a return window from delivery. Changes apply to future orders only, and restocking fees are not deducted automatically. The written return policy appears in the checkout footer once saved. Our sources set no Canadian rule on returns of opened consumables, so your policy is your own. Our credit not processed guide covers what happens when a refund is promised and not seen.
How does ChargeFix help with supplement chargebacks?
Supplement chargebacks are a records problem with a deadline. The signup page, the cancellation log, the lot record and the tracking data live in different places. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, addresses, fulfilment and tracking data and the refund history.
- Evidence scored. It flags what is present and what is missing, such as no tracking or no prior orders, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a reminder email your records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not contact your customers. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a supplement chargeback look like?
This plan for supplement chargebacks assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Open the order, check reason, read support messages for any health concern | Concern ruled in or out |
| Day 2 | Pull signup screenshot, renewal email and cancellation log | Billing proof ready |
| Day 3 | Pull tracking PDF, label photo and lot record | Delivery and product proof ready |
| Day 4 | Decide: fight, refund or concede | Decision written down |
| Day 5 | Draft the response, strongest proof first | Every claim points to a file |
| Day 6 | Check file sizes and readability, then file | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Note what mattered |
If the buyer agrees the charge was theirs, ask them to request a withdrawal through their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for American Express disputes or Visa disputes with a Fraudulent reason code, so file your evidence without waiting.
How do you prepare before the next supplement chargeback?
- Rewrite the signup page. Price, interval, checkbox and a cancellation route in plain view.
- Send renewal reminders. A few days before each charge.
- Make cancelling easy. One click or one email.
- Record lots. Every order, every time.
- Match claims to labels. Check each product page against its label.
- Download delivery proof. The Canada Post confirmation is online for 45 days.
| Habit | Time | Effect |
|---|---|---|
| Signup page rewrite | 1 hour once | Fewer surprise charges |
| Renewal reminder | 1 hour once | Acknowledgment on file |
| Lot logging | 30 seconds per order | Checkable batch facts |
| Monthly dispute log | 30 minutes | Patterns by product |
Our chargeback audit guide shows how to turn the log into a short fix list for supplement chargebacks, and our guide to unrecognized charges covers the statement name that supplement brands often get wrong.
What is different about supplement chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Delivery proof | Canada Post confirmation online for 45 days after delivery | Download it early |
| Shopify Protect | US stores only | It does not cover Canadian stores |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Licences. A Canadian natural health product needs a product licence and the label should show its number. If you import or relabel, a site licence may apply. Check with Health Canada, because this guide is not regulatory advice.
Cross-border. If you ship to the US, Canada Post says postal shipments under US$800 need prepaid duties and a Declaration ID, since the US de minimis exemption was suspended on 29 August 2025. Whether US rules limit the supplements you sell was not part of our research, so we state none. Our cross-border guide explains the duty options. Health Canada also notes that products imported into Canada may not be allowed unless they meet import guidelines.
Quebec. If you sell to Quebec buyers, remember that French language rules apply to websites and product information. Our Quebec guide covers what we found.
Consumer law. Consumer protection law differs by province. We found no source that sets a Canadian rule for supplement subscriptions, so this guide states none.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with supplement chargebacks?
- Hiding the recurring part of an offer. The buyer's surprise will look reasonable in supplement chargebacks.
- Making cancellation harder than signup. Shopify says to consider a refund when a buyer followed your process.
- Fighting a health complaint. Refund and respond with care.
- No lot records. You cannot prove what you shipped.
- Product page claims that differ from the label. Fix the mismatch.
- Ignoring the statement name. Buyers do not recognize the charge.
- No renewal reminders. You lose acknowledgment.
- Refunding after the chargeback began. Shopify does not allow it.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What are supplement chargebacks?
They are card disputes on orders for vitamins, protein, herbal products and similar goods. The usual reasons are subscription canceled, product not received, product unacceptable and unrecognized charges. Subscriptions and statement names cause many of them, so clear terms and reminders matter most.
What evidence wins a subscription dispute?
Shopify lists the subscription agreement, your cancellation policy, cancellation records or proof none exist, usage logs after the charge, billing notifications and customer communications. A dated signup screenshot, a renewal reminder and an export showing no cancellation request make the strongest file.
Do I need to show the NPN on my product page?
Health Canada says a licensed natural health product shows an 8 digit NPN or DIN-HM, and that buyers should ask the seller for the number if a website leaves it out. Check Health Canada's current requirements for your own products.
Can supplements be a problem for Shopify Payments?
Shopify Payments prohibits pseudo pharmaceuticals, which means products with health claims that no regulator has verified. The eligibility page does not name supplements and says its list is not exhaustive, so read the Canada terms and keep your claims within your licence.
What should I do if a buyer says a supplement made them unwell?
Respond quickly, do not argue about the cause, offer a refund and pause any subscription. Health Canada points people to MedEffect Canada for reporting side effects. Record the lot number for your own review. These cases are rarely worth fighting.
Can I refuse returns of opened supplements?
You can set a final sale or unopened only rule if you state it clearly before the sale. Shopify lets you mark final sale items by collection or product, and changes apply to future orders only. No Canadian rule on opened consumables turned up in our research, so your policy is your own.
Can I refund after a supplement dispute opens?
You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. Once a chargeback begins, Shopify does not allow a refund. The buyer can ask their bank for a withdrawal letter, which can take 30 to 90 days.
Is it worth fighting small supplement chargebacks?
Compare the cost of conceding, the amount plus the C$15 fee, with the expected cost of fighting, including your time. For small subscription charges with a clean file, fighting often pays. For honest cancellation mistakes, refund quickly. Use your own win history.
Are there Canadian rules for supplement subscriptions?
We found no source that sets a Canadian rule for supplement subscriptions or returns, so we state none. Consumer protection law differs by province. Clear terms, reminders and an easy cancellation route are your best protection, and Shopify Payments (Canada) handles complaints.
How does ChargeFix help with supplement chargebacks?
ChargeFix reads the order, addresses, tracking and refund data, flags missing proof and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.
Start free trial with ChargeFix
