Fashion Chargebacks in Canada: How to Win Returns Disputes on Shopify

ChargeFix guide cover with a refund arrow icon: Fashion Chargebacks in Canada: How to Win Returns Disputes on Shopify

A Toronto label sells a C$189 wool coat online. A customer in Edmonton orders it in a medium, decides it runs large and posts it back three weeks after the return window closed. The store declines the refund, citing its policy. Two weeks later a dispute arrives: credit not processed. The customer's return tracking shows the parcel delivered to the store. The store's policy page says 14 days. The checkout footer said something else on the day of the order, and nobody saved a copy. Fashion chargebacks in Canada rarely start with fraud. They start with fit, timing and a return that went wrong somewhere between the customer's door and your warehouse. This guide shows how to set your Shopify return rules so they survive a dispute, how to record each return, and how to answer the three disputes fashion stores see most.

Quick answer: Fashion chargebacks are mostly credit not processed, product unacceptable and product not received disputes tied to returns, fit and delivery. Shopify's evidence lists ask for the refund record, the return policy, return tracking, the listing at purchase, pre-shipment photos and customer messages. Set your return window, return shipping and final sale items in Shopify's return rules before the season starts, because changes apply to future orders only, and log every return the day it arrives, with photos and a refund date.

This guide is for you if:

  • You sell clothing, shoes or accessories on Shopify in Canada.
  • You have faced fashion chargebacks over a return you thought you handled, or over a size and fit complaint.
  • You want return rules, a return log and a reply template that hold up with a reviewer.

Last updated: 23 October 2026

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, and the provincial consumer rights come from the Quebec consumer protection office and an Ontario legal education page, both listed at the end. Where a page does not say, this guide says so rather than guess.

TL;DR

  • Most fashion disputes are about returns, fit and delivery, which map to three Shopify reasons.
  • Shopify lets you set a return window, return shipping, restocking fees and no-return items, though new rules reach only later orders.
  • Shopify's credit not processed list asks for the refund record, your refund policy, customer messages, return tracking and statements.
  • A fit complaint is answered with the size chart and the listing at purchase, not with an opinion.
  • If you owe a refund, issue it from the admin before the dispute becomes a chargeback.

Do this today

  1. Open Settings, then Policies, and check your return window, starting point and return shipping rule.
  2. Put fashion clearance and swimwear in a no-return collection if that is your rule.
  3. Save a dated screenshot of your size chart, policy page and a product page.
  4. Start a return log with the date received, condition and refund date.
  5. Set a rule: refund within a fixed number of business days of receiving a return.

Fashion chargebacks in Canada: the process in one table

Step What you do Why
1. Read the dispute Reason, amount, order, due date The window is usually 7 to 21 days, with no extensions
2. Find the return story Did the buyer return it? When? How? Most fashion disputes turn on this
3. Pull the refund record Admin refund or proof none is owed Direct proof for credit not processed
4. Pull return tracking Carrier record of the return parcel Shows when you received it
5. Pull the listing and size chart Dated PDF as shown at purchase Answers fit and description claims
6. Decide Fight, refund or concede No refund is possible once a chargeback begins
7. Build and file Strongest proof first, labelled files Shopify submits on the due date with whatever it has

Why do fashion chargebacks happen?

Clothing is the category where the buyer cannot judge the product until it arrives, which is why fashion chargebacks are so tied to returns. Size, colour, fabric and fit are all discovered at home. That pushes return rates up, and every return is a chance for a refund to go missing or a policy to be misread.

Cause What happens Typical reason
Item does not fit Buyer returns it late or without notice Credit not processed or product unacceptable
Return sent, refund not seen Buyer sees no credit on the statement Credit not processed
Colour or fabric differs from the photos Buyer says it is not as described Product unacceptable
Item arrived damaged or marked Buyer wants money back Product unacceptable
Return window misunderstood Buyer returns after the window Credit not processed
Parcel not received Buyer says it never came Product not received
Worn item returned Store refuses the refund Credit not processed
Gift received, not wanted Recipient and buyer differ Fraudulent or unrecognized

Notice how many rows are really about timing and communication. A clear return window, a quick refund and a good record of the return solve more fashion chargebacks than any evidence letter can.

Which return rules help prevent fashion chargebacks?

Shopify's page on return rules and return policy lists the settings. They live in Settings, then Policies, under Return and cancellation rules.

Setting Options Why it matters for fashion
Return window 14 days, 30 days, 90 days, unlimited or custom days Pick one that fits your garment types
Starting from Item's delivery or delivery of last item in order Starting from delivery protects slow parcels
Extend for weekends or holidays On or off Rolls the window to the next business day
Return shipping Free, flat rate per return or customer-purchased label Say who pays before the sale
Restocking fee A percentage, deducted manually when you refund Not deducted automatically
Final sale items Specific collections or products Swimwear, underwear, clearance
Return window override By collection or product Shortest window wins when several apply
Cancellation rules No cancellations, until fulfilled, 15 minutes, 1 hour or 24 hours Decide how late buyers can cancel

Two details matter in a dispute. Changes apply only to future orders, so an order placed last week keeps last week's rules. And "return fees aren't automatically deducted from refunds", so if you charge a restocking fee you must deduct it yourself, then record that you did.

How do you write a return policy that cuts fashion chargebacks?

Shopify's page says you open Return and refund policy in the Written policies section of Settings, Policies, and either type your policy or insert a template. The template is available only in English for English-language checkouts and does not include your configured return rules. Once saved, the policy appears in the checkout footer, and Shopify suggests adding a link to your store menu.

Because the written policy and the structured rules are separate, make them agree. Read them side by side.

Return policy (adapt to your store)

You can return unworn, unwashed items with tags attached within [30] days
of delivery. Start a return at [web address] or email [address].

Return shipping: [free / flat C$X deducted from your refund / you buy
the label]. Restocking fee: [none / X percent on non-defective returns].

Final sale: swimwear, underwear, earrings and items marked "final sale"
cannot be returned. We list them at checkout.

Refunds: we refund to the original payment method within [3] business days
of receiving your return and email you when it is done. Your bank may take
additional time to show the credit.

Exchanges: reply with the size you want; we ship when we receive the return.

State whatever you actually do. Our guide to late return window chargebacks covers disputes over dates, and the credit not processed guide covers refunds.

What does Shopify say about credit not processed?

For this reason, Shopify's list is specific: the refund transaction record, a bank or processor statement, your refund policy, customer communications and return tracking. It also says that if you do owe a refund, you should issue it from the Shopify admin, even though you may still lose the chargeback.

Shopify evidence for credit not processed Fashion application
Refund transaction record Screenshot or PDF of the refund in the admin, with the date
Bank or processor statement Payout or refund line, if you have one
Refund policy The policy as shown at checkout, dated
Customer communications Emails about the return and the refund
Return tracking Carrier record showing when the return arrived

The most common pattern in fashion chargebacks is a refund that was issued but not noticed. The buyer looks at the statement before the credit appears and calls the bank. Send a refund confirmation email the day you refund, with the amount, the date and the card it went to. In a dispute that email is acknowledgment, and it is often what makes the buyer withdraw. We found no source for how long a bank takes to show a refund, so this guide states none.

How do you answer a credit not processed dispute?

Lead with the refund record if you refunded, or with the policy and the return record if you did not owe one.

Draft reply to a credit not processed dispute (adapt to your case)

Order #[number], placed [date] for C$[amount].

Summary
The customer returned the item on [date] under our [30] day return
window, counted from delivery on [date]. We received the return on
[date] (carrier record attached) and refunded C$[amount] to the original
card on [date] (admin record attached). We emailed the customer on [date]
to confirm the refund.

1. Refund record
Admin refund record dated [date] (file 1).

2. Return tracking
Carrier tracking showing the return delivered on [date] (file 2).

3. Customer messages
Refund confirmation email and any replies (file 3).

4. Policy
Return policy as shown at checkout on [order date] (file 4).

If you did not refund because the return broke the policy, say which rule, show the date evidence and attach the policy. Write only what the files show. A reviewer will not accept "the item was worn" without a photo and a dated note.

What if the item came back worn or damaged?

Your policy says unworn, tags attached. The parcel arrives with a perfume smell and a stain. A refund refusal leads to a dispute, so the evidence you gather on arrival decides the case. These are the fashion chargebacks that cost the most time.

Step What to do Why
1. Photograph on opening Parcel, item, tags, any marks Dated condition record
2. Note the date and who opened it Short entry in the return log Establishes the timeline
3. Email the customer the same day State what you found and your policy Acknowledgment
4. Offer an option Partial refund, store credit or return of the item Shows good faith
5. Keep the policy dated Screenshot as of the order date Terms in force

A partial refund does not block a chargeback, according to Shopify, whereas refunding the whole amount during an inquiry does. If you offer a partial refund, make it clear in writing and record the customer's reply. If the buyer accepts, the dispute usually ends. If not, you hold the file.

What does Shopify say about product unacceptable?

For fit, colour and description complaints, Shopify's list for product unacceptable includes the listing as it appeared at purchase, order and fulfilment records, pre-shipment photos, quality control records, customer communications, the return policy and support ticket history. It adds that it can help to show the customer never contacted you, if true, and to describe your resolution process.

Shopify item Fashion application
Listing at purchase Dated PDF with the size chart, fabric and care details
Order and fulfilment records Order page and packing record
Pre-shipment photos Photo of the exact garment packed, tags visible
Quality control records Checklist for stitching, stains, zips
Customer communications Emails and chat
Return policy Policy shown at checkout
Support ticket history Any earlier contact

A buyer who writes "it runs large" is stating an opinion about fit. Answer it with facts: the size chart, the measurements, the model details and the garment's actual measurements if you have them. Our product not as described guide has more on listing wording.

How do you write size information that survives a dispute?

Size is the single biggest source of fashion returns, so size information is your best defence against fashion chargebacks.

Element What to include
Size chart Body measurements in centimetres and inches for each size
Garment measurements Flat measurements for key points such as chest, waist, length
Model details Height, size worn and fit notes
Fit note "Runs large, size down" if it is true
Fabric and stretch Composition and whether it stretches
Photos Natural light, plus a note that screens vary
Fit block for a product page (adapt to your catalogue)

Model is [height] and wears size [S].
Fit: [relaxed / true to size / runs small]. If between sizes, we suggest
[sizing up / sizing down].

Size Chest (cm) Waist (cm) Length (cm)
S [ ] [ ] [ ]
M [ ] [ ] [ ]
L [ ] [ ] [ ]

Fabric: [composition]. Care: [instructions].
Colours can vary by screen. Items marked non-returnable cannot be returned.

Save a dated PDF of the page when you publish it and again when you change it. A reviewer can compare what the page promised with what you shipped.

How should you handle non-returnable fashion items?

Shopify's final sale settings work by collection or by product. You cannot mix products and collections, and bundles cannot be final sale. The shortest return window applies if an item falls under several overrides.

Item Suggested handling
Swimwear and underwear No-return collection, stated on the product page and at checkout
Clearance Final sale or a short override window
Custom or altered items No returns, with written approval
Gifts Normal window, exchange or credit option
Bundles Cannot be final sale in Shopify, so use separate listings

A new rule reaches only later orders, so set these before the season. Whatever your rule, show it where the buyer sees it before paying. Our sources set no Canadian rule on non-returnable clothing, so your policy is your own, and your best protection against fashion chargebacks is clarity.

What evidence helps in fashion chargebacks overall?

Think in layers. Shopify's suggested order is direct proof, acknowledgment, policy, then context.

Layer Evidence Why
Direct proof Refund record, if refunded The credit was issued
Direct proof Return and delivery tracking When items moved
Acknowledgment Customer emails, support tickets The buyer engaged
Policy Return policy and rule screenshot, dated The terms in force
Context Listing at purchase with size chart What was promised
Context Photos of the returned item on arrival Condition
Context Earlier orders by the same buyer An established customer

Shopify Payments includes some of this on its own when available: product details, customer name and email, billing and shipping addresses, IP address, fulfilment and tracking details, refunds and prior undisputed orders. You add the return log, the photos and the dated policy. File each item as PDF, JPEG or PNG, under 2 MB per file and 4 MB combined, with no links.

How do you keep a return log?

A return log is the simplest defence against fashion chargebacks that a fashion store can build. One line per return, filled in on the day.

Return log line (adapt to your system)

Order #[number] Return opened: [date] Label type: [free / paid]
Return carrier: [name] Tracking: [number] Received: [date]
Condition: [unworn, tags / worn / damaged / wrong item] Photos: [file]
Decision: [full refund / partial / exchange / store credit / declined]
Refund issued: [date], C$[amount] Customer emailed: [date]
Restocking fee deducted: [yes C$X / no]

Keep the log in a shared sheet or your helpdesk. When a dispute arrives, you are copying lines into a file, not reconstructing a story. Our chargeback audit guide shows how to review the log monthly.

What do Quebec and Ontario say about cancelling online purchases?

Two sources give a picture of provincial rights, and both apply only in particular situations. The Quebec consumer protection office says a consumer may cancel a distance purchase when goods are not received (delivery must happen within 30 days of the agreed date), when the contract was not sent within 15 days, or within 7 days of receiving the contract or the item if required information was missing. The merchant then has 15 days to reimburse, and the merchant covers reasonable return fees. If the merchant does not refund, the consumer can file a chargeback request within 60 days after the refusal.

A legal education page for Ontario, last modified in January 2025, describes a seven day cancellation right after receiving a copy of the agreement if required information was missing, a 30 day right for internet orders where the copy or information was missing and no deadline where the seller is more than 30 days late. The seller has 15 days after the cancellation notice to refund.

Province Situation Right Source
Quebec Information missing Cancel within 7 days of receipt Consumer protection office
Quebec Goods not received Cancel; delivery due within 30 days Consumer protection office
Quebec After cancellation Merchant refunds within 15 days Consumer protection office
Ontario Required information missing Cancel within 7 days after receiving the agreement Legal education page
Ontario Internet order, copy not received Cancel within 30 days Legal education page
Ontario Seller more than 30 days late Cancel with no deadline Legal education page

Neither source describes a general right to return clothing that does not fit. The takeaway is narrower: show required information clearly before purchase, deliver on time and refund quickly after a valid cancellation. This is not legal advice. For other provinces we found no source, so we state none.

Is it worth fighting? A worked example in C$

Take the Toronto coat at C$189.00. Case A: the buyer returned the coat on day 44 of a 30 day window. The store logged the return, did not refund, and has the policy, the delivery date and an email to the buyer on the day it arrived. Case B: the buyer returned it on day 12, the store received it, but nobody issued the refund.

Case A: return outside the window, documented, policy clear

Disputed amount = A = C$189.00
Fee                        = F = C$15.00 (returned only on a win)
Your time = T = 45 minutes, call it C$22
Chance of winning = c = 0.55 (illustrative)

Concede: A + F = C$204.00
Fight: (1 minus c) x 204 + 22 = 0.45 x 204 + 22 = C$113.80

113.80 < 204.00, so fight.
Case B: return in time, store received it, refund never issued

Chance of winning = c = 0.03 (illustrative)

Fight: 0.97 x 204 + 22 = C$219.88

219.88 > 204.00, so refund now (if still an inquiry) and fix the process.

The win chances are illustrative, not Canadian statistics. We found no published Canadian win rate for fashion disputes, so use your own history. The pattern is what matters: when you did not owe the refund and can prove it, fight. When you owed it and missed it, refund fast, because Shopify says you can refund while a case is an inquiry, and a full refund on an inquiry blocks a chargeback.

Which fashion chargebacks are worth fighting?

Case Likely strength Move
Return outside the window, policy shown, dates logged Reasonable to strong Fight, lead with dates and policy
Refund issued and shown in the admin Strong Fight, lead with the refund record
Fit complaint, size chart and measurements on the listing Reasonable Fight, lead with the listing PDF
Return received, no refund issued Not a fight Refund now
Item worn, photos and notes made on arrival Reasonable Fight, offer a partial refund first
No delivery scan on the original order Weak Refund early
Customer says they cancelled and the order shipped Mixed Check cancellation rules and timing

If the case is borderline, count your time as well as the money. A fashion order under C$60 with a weak file is often cheaper to refund than to fight, and small fashion chargebacks add up fast.

How does ChargeFix help with fashion chargebacks?

Fashion chargebacks are a records problem with a deadline. The refund, the return tracking, the listing and the policy live in different places. ChargeFix is built for Shopify Payments disputes.

  1. Dispute fetched. ChargeFix fetches the chargeback when it opens.
  2. Records read. It reads the order, addresses, fulfilment and tracking data and the refund history.
  3. Evidence scored. It flags what is present and what is missing, such as no refund record or no prior orders, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
  4. Letter from facts. The response is drafted only from verified facts, so it will not claim a refund your records do not show.
  5. Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.

ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it does not contact your customers. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.

What does a dated plan for a fashion chargeback look like?

This plan assumes the shortest window, 7 days.

Day What you do Done when
Day 0 Dispute opens. Note amount, order and due date. You know the deadline
Day 1 Open the order and return log, note reason Return story written down
Day 2 Pull the refund record and return tracking Direct proof ready
Day 3 Pull listing PDF, size chart, photos and policy screenshot Context ready
Day 4 Decide: fight, refund or concede Decision written down
Day 5 Draft the response, strongest proof first Every claim points to a file
Day 6 Check file sizes and readability, then file Confirmation shows in admin
Day 7 Spare day Nothing left to do
Up to 75 days later Decision arrives Note what mattered

If the buyer agrees the charge was valid, ask them to request a withdrawal through their bank. The letter must be on bank letterhead and can take 30 to 90 days. Shopify cannot request early resolution for American Express disputes or Visa disputes with a Fraudulent reason code, so file your evidence without waiting.

How do you prepare for the next season of fashion chargebacks?

  1. Set return rules. Window, start point, shipping, restocking fee and final sale.
  2. Match the written policy. Read it beside the rules.
  3. Add fit blocks. Size chart, model details and fit notes on every product.
  4. Start the return log. One line per return, same day.
  5. Set a refund deadline. Refund within a fixed number of business days of receiving a return.
  6. Download delivery proof. The Canada Post confirmation is online for 45 days.
Habit Time Effect
Return rule setup 1 hour once Clear terms for every future order
Fit block 10 minutes per product Answers fit claims
Return log 2 minutes per return A ready timeline
Monthly review 30 minutes Patterns by product and size

What is different about fashion chargebacks in Canada?

Topic What applies in Canada What to do
Fee C$15 or US$15 by payout currency Cost each case in your payout currency
Response window 7 to 21 days, no extensions Plan for the shortest
Card company decision Up to 75 days after you submit, and final Do not expect a quick answer
Delivery proof Canada Post confirmation online for 45 days after delivery Download it early
Shopify Protect US stores only It does not cover Canadian stores
Complaints Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days Raise a complaint with your processor first

Duties. Buyers abroad may owe duties on clothing. Into Canada, a third party summary of CBSA rules reports a C$20 duty and tax free threshold for mail and non-US courier, and Canada Post charges a C$9.95 handling fee on assessed mail. Tell buyers before they pay, because duty surprises add to fashion chargebacks on cross-border orders. Our duties and brokerage fee guide covers it.

Quebec. If you sell to Quebec buyers, remember that French language rules apply to websites and contracts, including return policies. Our Quebec guide covers what we found.

Consumer law. Consumer protection law differs by province. We found no source that sets a general Canadian right to return clothing, so this guide states none.

Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.

What are the 10 mistakes to avoid with fashion chargebacks?

  1. Changing return rules after the order. An order keeps the rules it was placed under.
  2. Policy and rules that disagree. Read them side by side.
  3. Slow refunds. Fashion chargebacks for credit not processed follow.
  4. No return log. You cannot show when the return arrived.
  5. No photos on arrival. A worn item claim needs a dated record.
  6. Vague size information. The buyer's reading wins.
  7. Forgetting the restocking fee is manual. Deduct it and record it.
  8. Refunding after the chargeback began. Shopify does not allow it.
  9. Attaching links. Links are not allowed. Save pages as PDF.
  10. Missing the window. There are no extensions, and the fee is not refunded.

Frequently asked questions

What are fashion chargebacks?

They are card disputes on clothing, shoes and accessories orders. The usual Shopify reasons are credit not processed, product unacceptable and a parcel that never arrived. Most come from returns, fit complaints and delivery problems, so return rules, size information and quick refunds prevent the most.

What evidence wins a credit not processed dispute?

Shopify lists the refund transaction record, a bank or processor statement, your refund policy, customer communications and return tracking. If you owe a refund, issue it from the admin. Lead with the refund record and the dated policy, and add the return tracking.

Can I charge a restocking fee?

Shopify lets you set a restocking fee as a percentage in the return rules, but fees are not deducted automatically, so you must deduct the fee yourself when you create the refund. State the fee before the sale and record the deduction.

How do I handle a size and fit complaint?

Answer with the size chart, garment measurements, model details and the dated listing PDF. Shopify's product unacceptable list asks for the listing at purchase, pre-shipment photos and quality control records. A fit opinion is not a defect, but a clear page shows what was promised.

Can I refuse returns of items I mark non-returnable?

Yes, if you mark them final sale by collection or product in Shopify and state the rule before the sale. Bundles cannot be marked this way, and new rules reach later orders only. Our sources set no Canadian rule here, so your policy is your own.

Can I refund after a fashion dispute opens?

You can refund while it is an inquiry, and refunding in full at that stage blocks a chargeback. A partial refund does not. Once a chargeback begins, Shopify does not allow a refund, and the buyer can ask their bank for a withdrawal letter, which can take 30 to 90 days.

Do Canadians have a right to return clothing bought online?

The sources we read describe cancellation rights in Quebec and Ontario only in particular situations, such as missing information or late delivery, and neither describes a general right to return clothing that does not fit. We found no source for other provinces. Publish a clear policy and ask an adviser if you need certainty.

Is it worth fighting small fashion chargebacks?

Compare the cost of conceding, the amount plus the C$15 fee, with the expected cost of fighting, including your time. On a small order with a weak file, a refund may be cheaper. On a larger order with a dated policy and a return log, fighting usually pays. Use your own win history.

How long should I take to refund a return?

Set your own deadline and state it in the policy, such as three business days from receipt. We found no Canadian rule or bank timing source, so this guide states none. Email the buyer the day you refund with the amount and date, so the statement does not surprise them.

How does ChargeFix help with fashion chargebacks?

ChargeFix reads the order, addresses, tracking and refund data, flags missing proof and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above.

Start free trial with ChargeFix

You now have return rules to set, a return log, a fit block and a reply template. What most fashion stores lack is the time to find the refund record, the return tracking and the dated policy before the deadline. ChargeFix reads your Shopify order data, shows what is missing, writes the letter from verified facts and leaves the filing to you in Manual mode, with Auto mode there for the cases your own rules cover.

The free plan includes 2 filings every month, and every paid plan starts with a 14 day free trial. There is no cut of what you win, and no contract.
