At 9:40 on a Thursday night, a customer in Ottawa sends your support chat a short message: "Can you cancel my order? I ordered the wrong size." Nobody reads the chat until Friday at 10. By then the order shipped at 8:00 am, because the warehouse works from the order list, not from the chat. The customer sees a shipping email for something she cancelled, and she is angry. She does not reply. She disputes the charge, and you have a cancelled order chargeback to answer with a timeline that depends on three different clocks: when she asked, when you shipped and when you refunded. Whoever has the cleaner timeline tends to look right.
Quick answer: A cancelled order chargeback is a dispute where the customer says they cancelled an order and were still charged. There is no single Shopify reason for a cancelled order chargeback. It usually arrives as credit not processed, subscription canceled, product not received or general. Shopify's rule is to contact the customer first, then submit evidence that matches the reason: proof of any refund issued before the chargeback, your cancellation policy and when the customer was told about it, and the related emails. If you owed the refund, you cannot refund after a chargeback begins, so accept it.
This guide is for you if:
- You sell on Shopify Payments from Canada and customers ask to cancel orders by email, chat, phone or social messages.
- You cancel orders yourself when stock runs out or a payment looks wrong, and want to be sure the money goes back.
- You want to know what to save so a cancelled order chargeback becomes a clear timeline instead of an argument.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, listed at the end. Where nothing is published for Canada, this guide says so rather than guess.
TL;DR
- The dispute reason shows how the customer felt, not what happened. Start with the order timeline: request, shipment, refund.
- If the customer asked to cancel before you shipped and you shipped anyway, you probably owe a refund. Concede early.
- If you cancelled the order yourself, check that a refund record exists. A cancelled status is not proof that money went back.
- Your policy only helps if the customer saw it before paying. Save dated copies.
- Refund at the inquiry stage. Once a chargeback begins, Shopify does not allow one.
Do this today
- Open the dispute and note the due date, the amount and the order number.
- Open the order and write down three times: the order time, the cancellation request time and the shipment time.
- Search your email, chat and social messages for the customer's request, and save each as PDF with the date visible.
- Check for a refund record on the order, and save a screenshot of it.
- Decide whether you owe a refund. If you do and it is still an inquiry, send it today.
Cancelled order chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is 7 to 21 days with no extensions |
| 2. Build the timeline | Order, cancellation request, shipment, refund | The order of events decides the case |
| 3. Find the request | Email, chat, phone notes, social messages | Without it you cannot show when you were told |
| 4. Contact the customer | State the timeline and offer a fix | Many cases end with a withdrawal |
| 5. Decide | Fight, refund (inquiry only) or concede | Refunds are not possible once a chargeback begins |
| 6. Build the response | Policy, timeline, messages, refund record | Strongest proof first |
| 7. File | Before the due date | The fee is not returned if you miss it |
What is a cancelled order chargeback?
A cancelled order chargeback is a dispute on an order the customer says was cancelled. The phrase is a description, not a reason code. The bank asks the cardholder to choose a reason, and the cardholder picks whichever fits the feeling. So these arrive under several different labels.
| Reason label | What the customer is saying | What you will need |
|---|---|---|
| Credit not processed | "I cancelled and got no refund" | Refund record, or proof none was owed |
| Subscription canceled | "I cancelled my plan and was charged again" | Cancellation policy and the activity record |
| Product not received | "I cancelled it, so why would I get it?" | Fulfillment and delivery records, plus the timeline |
| General | "I do not know, I cancelled this" | The full timeline and messages |
| Duplicate | "I cancelled one and got charged for the replacement" | Receipts for each order |
Because the label varies, the response to a cancelled order chargeback must follow the facts, not the label. Read the customer's story, check the timeline and answer the real question: was the order cancelled in time, and if so, was the money returned?
What does Shopify say to submit for a cancelled order dispute in Canada?
Shopify has no page called cancelled orders, so the guidance comes from the reasons it does list. For credit not processed, it says you cannot refund after a chargeback has begun, but you can on an inquiry, and it asks for proof that you issued the refund before the chargeback or that the customer was not entitled to one, along with your refund and return policies, when the customer was told about them and any related emails. For subscription canceled, it asks for the cancellation policy, cancellation emails or notices, and when and where the policy was shown to the customer; if you charged after cancellation, you must accept.
Shopify's prevention page adds the habits that stop these cases: issue refunds as soon as possible, cancel subscriptions when requested, confirm the cancellation, and state your cancellation policy.
| Evidence | What it shows | Where to find it |
|---|---|---|
| Order timeline | Time of order, edits, fulfillment and refund | Shopify admin |
| Cancellation request | When and how the customer asked | Email, chat export, call note |
| Policy page | The rules that applied | Saved with the date |
| Checkout screenshot | The customer saw the policy | Checkout flow screenshot |
| Refund record | Money returned, amount and time | Order timeline |
| Customer messages | What was said before and after | Email, saved as PDF |
Files must be PDF, JPEG or PNG, up to 2 MB each and 4 MB combined, with one file per evidence type and no links. A link to your policy proves nothing. Save the page, dated, as a PDF.
Who cancelled, and was it shipped? The four-way sort for a cancelled order chargeback
Every cancelled order chargeback falls into one of four cells. Sort yours before you do anything else, because each cell has a different best move.
| Not shipped when cancellation was asked | Already shipped when cancellation was asked | |
|---|---|---|
| Customer asked to cancel | You owe a refund. Concede or refund at the inquiry stage | Policy decides. Show it was visible and apply it, offer a return |
| You cancelled the order | You owe a refund. Check it was issued | Rare. You must have recalled the parcel or refunded; check the record |
The top left cell causes the most grief in any cancelled order chargeback. The customer asked in time and the order shipped anyway. If that happened, the facts are against you, and the honest and cheapest move is to refund while it is an inquiry. A false claim that the request came too late will fall apart as soon as the reviewer sees the message with its timestamp.
The top right cell is where your cancellation policy matters. A clear rule such as "orders can be cancelled until they ship; once shipped, you can return the item for a refund under our return policy" gives you something to show. A policy that is silent leaves you with arguments.
How do you build the timeline for a cancelled order chargeback?
The timeline is the centre of your response. Three clocks matter: when the customer asked, when you shipped and when you refunded. Write them down in plain order.
Cancellation timeline (one page per dispute)
Order #: ________ Total: C$________ Paid: ____________ (date, time)
1. Customer's cancellation request
Channel: [ ] email [ ] chat [ ] phone [ ] social [ ] other
Date and time: ____________ Saved as: file ___
2. Our reply to the request
Date and time: ____________ Said: ______________ File ___
3. Fulfillment
Fulfilled: ____________ Carrier / tracking: ____________
4. Refund (if any)
Refund issued: ____________ Amount: C$________ File ___
5. Delivery (if shipped)
Delivered: ____________ File ___
Policy shown at checkout: [ ] yes [ ] no File ___
Fill it in from records, not from memory. If the customer's request has no timestamp, such as a note someone made after a phone call, mark it as unconfirmed and do not build the case on it.
Then compare the timestamps. If the request came before fulfillment, the fault sits with your process, not the customer. If fulfillment came first, your case rests on the policy. If a refund record shows a date before the dispute, the case may already be answered, and the response is simply the refund proof and the customer's messages.
What if the customer cancelled after you shipped, and a cancelled order chargeback follows?
Many cancelled order chargebacks start with a request that arrives after an order has already left. Shopify gives no rule for how to treat them; that comes down to your policy and fairness.
A fair approach has three parts. State the rule in your policy: orders can be cancelled until they ship; after that, the return policy applies. Show it at checkout. And when it happens, answer the customer kindly and offer the return route.
Message to a customer who asks to cancel after shipping
Subject: Your order #[number]
Hi [first name],
Thank you for letting me know. Your order shipped on [date], so I can no
longer cancel it before it arrives. Here is what I can do:
1. When it arrives, return it under our return policy and I will refund
C$[amount] on receipt. A prepaid label is attached.
2. If you would like to refuse delivery, tell me and I will watch for it
coming back.
Our policy, which was shown at checkout, is here: [policy text in the
message].
[Name], [store], [phone number]
Paste the policy text into the message instead of linking to it. A customer cannot ignore the words in the email, and you have a dated record of what they were told.
If the customer says the parcel arrived but they refuse to return it because they cancelled, you are in policy territory. Keep calm and keep copies. Shopify's product unacceptable guidance asks for evidence that the customer did not try to return an item before the chargeback, or that you offered a replacement. A written return offer that went unanswered supports your side.
What if you cancelled the order yourself and a cancelled order chargeback arrives?
Merchants cancel orders for good reasons, yet a cancelled order chargeback can still follow: stock ran out, a payment looked risky, an address failed a check. The risk is that the customer is left with a charge and no refund. A cancelled status in your admin tells you what you did. It does not tell the customer's bank that money came back.
After any cancellation you perform, do three things on the same day.
- Check for a refund record. Open the order and confirm a refund exists, with an amount and a time.
- Tell the customer. Send an email saying the order is cancelled, the amount refunded and the card it went to.
- Say when to expect it. Banks differ on how fast they show a refund, so avoid promising a date. Say it can take a few business days and give a way to reach you.
Message to a customer whose order you cancelled
Subject: Order #[number] cancelled and refunded
Hi [first name],
I have cancelled order #[number] because [one honest sentence]. A full
refund of C$[amount] was issued today, [date], to the card you paid with.
Depending on your bank it can take a few business days to appear. It
will show as a credit from [statement name].
I am sorry for the inconvenience. If the refund has not shown after
[number] business days, reply and I will look into it that day.
[Name], [store], [phone number]
Shopify's prevention page is blunt on the point: issue refunds as soon as possible, since unprocessed credits lead to credit not processed chargebacks. A cancelled order with no refund is one of the most avoidable disputes on the list. Our guide to credit not processed chargebacks shows the refund proof to keep.
What about partial cancellations and edited orders?
Orders with several items add complexity to a cancelled order chargeback. A customer cancels one of three items. You edit the order and refund part of it. The customer sees a smaller credit than the order total and files a dispute for the rest.
| Situation | What the customer sees | What to show |
|---|---|---|
| One item cancelled before shipping | A partial credit | The edit log and the item-level refund |
| One item out of stock, cancelled by you | A partial credit | Your message explaining and the refund |
| Whole order cancelled after one parcel shipped | A credit for the cancelled part only | Shipment record for the part that left |
| Customer cancelled, you refunded less because of a fee | A credit lower than the order | The policy that allowed the fee, shown at checkout |
On an inquiry, Shopify says refunding in full blocks a chargeback, while a partial refund does not. So when a customer disputes after a partial credit, the dispute can proceed even though you refunded something. The answer is to explain the amount: what was cancelled, what was refunded and what the customer kept.
Where possible, send one email per change. "I have removed the scarf from your order and refunded C$34.00; the other two items are on their way" leaves no doubt.
Is it worth fighting a cancelled order chargeback? A worked example in C$
Say the Ottawa customer paid C$112.00. She asked to cancel at 9:40 pm; you shipped at 8:00 am the next morning; she disputes six days later.
Case A: cancellation asked before shipping, shipped anyway (fill in)
Disputed amount = A = C$112.00
Fee = F = C$15.00 (returned only on a win)
Time to respond = T = 1 hour, call it C$30
Chance of winning = c = 0.10 (the message predates fulfillment)
Concede: loss = A + F = C$127.00 (you also get the parcel back if it returns)
Fight: (1 minus c) x (A + F) + T = 0.90 x 127 + 30 = 114.30 + 30 = C$144.30
144.30 > 127.00, so concede. At the inquiry stage, refund C$112.00 and skip the fee.
Now a case where the customer asked after delivery, and your policy was clear.
Case B: cancellation asked after delivery, policy shown at checkout
Chance of winning = c = 0.60 (policy visible, return offered, unanswered)
Concede: loss = A + F = C$127.00
Fight: 0.40 x 127 + 30 = 50.80 + 30 = C$80.80
80.80 < 127.00, so fight, and make the return offer first.
The formula is the same; the timeline is different. Your estimate of c in a cancelled order chargeback should come from the timestamps, and nothing else.
How do you write the response to a cancelled order chargeback?
Lead with the timeline, then the policy, then the messages. Keep it short.
Draft reply to a cancelled order chargeback (adapt to your case)

How do you log cancellation requests from chat, phone and social messages?
Every cancelled order chargeback in this guide turns on a timestamp, and timestamps go missing where requests arrive through several channels. A customer who writes in a chat widget, replies to a shipping email and then sends a direct message has made three requests in three places. Only one of them may reach the person who decides whether to ship.
| Channel | Where the record lives | The weak point |
|---|---|---|
| Your inbox, with a date and time | Sent to a personal address and not shared | |
| Chat widget | The chat tool's history | History expires or no one exports it |
| Phone | Whoever answered | A note with no time, written later |
| Social message | The platform's inbox | Checked once a day, at best |
| Reply to a shipping email | A no-reply mailbox | Nobody reads it |
The fix is dull and effective: pick one place where every request must end up, and give one person the job of copying requests into it. A shared inbox, a helpdesk ticket or even a simple spreadsheet will do, as long as each line has the order number, the channel, the time received and the time you replied.
Cancellation request log (one line per request)
Received Channel Order # Customer asked for Replied Shipped? Refund issued
2026-10-22 21:40 chat 1042 cancel, wrong size 10-23 10:05 yes 08:00 no
2026-10-22 22:15 email 1043 cancel, changed mind 10-23 09:10 no 10-23 09:30
A log like this does two jobs. It tells the warehouse which orders to hold, and in a dispute it becomes the first exhibit of a cancelled order chargeback. In the first row above, the log shows the failure plainly: the request was received before the order shipped and the reply came after. You would then know to refund the customer at once, before the case reaches the bank.
What if the customer cancelled and then reordered?
A common twist is the customer who cancels a first order and places a second order for a different size or colour. On the statement they may see two charges, or a charge and a refund that has not posted yet, and a dispute can follow on either one. In your admin there are two orders, each with its own timeline.
Treat this as two stories joined by one message. Show the first order, the customer's note and the refund. Show the second order as a separate purchase. And explain in one sentence how they relate: "Order 1042 was cancelled at the customer's request on 22 October and refunded the same day. Order 1043 is a new order for a different size." If a duplicate charge is the real complaint, our guide to duplicate charge chargebacks covers the audit.
How do you prevent cancelled order chargebacks?
Most cancelled order chargebacks come from slow or scattered handling. A few habits close the gaps.
| Step | Why it helps |
|---|---|
| One inbox for cancellation requests | Nothing is lost in chat or social messages |
| A short hold before fulfillment | Gives customers a window to cancel |
| A visible cancellation cutoff on the product page and at checkout | The customer knows the rule |
| A same-day reply to every request | A timestamp on your side |
| Check the refund record after every cancel | A cancelled status alone proves nothing |
| Email the customer after every cancel or refund | Dated acknowledgment |
| Show the statement name in every email | Fewer unrecognized charge disputes |
A hold before fulfillment is a trade-off. A short hold, such as a few hours, catches the late-night cancel but delays shipping. Shopify's advice is to ship as soon as possible after payment, so choose a hold that fits your product and your promise.
Preventing a cancelled order chargeback also protects your rate. Visa's excessive threshold is 1.5% from April 2026 in the US, Canada, the EU and Asia Pacific, according to chargeback.io, and Shopify can enrol a store in its network dispute resolution program at 1.5% over 90 days. Shopify counts a resolved dispute toward the rate, and the bank can dispute a won case again, so winning does not erase the mark.
How does ChargeFix help with cancelled order chargebacks?
Timing decides a cancelled order chargeback, and your store already holds most of the timestamps. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, the fulfillment time, the refund history and any tracking from your store.
- Evidence scored. It compares the order, fulfillment and refund times, flags a refund that is missing, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a cancellation request came late if the records show otherwise.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm, and its default rule covers product not received with delivery confirmed. Each cancelled order chargeback is saved as a draft.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it cannot find a customer message that was never saved. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a cancelled order chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Build the timeline from the order and your messages | Timeline filled in |
| Day 2 | Contact the customer with the timeline and an offer | Message sent and saved |
| Day 3 | Decide: fight, refund (inquiry only) or concede | Decision written down |
| Day 4 | Draft the response, strongest proof first | Every claim points to a file |
| Day 5 | Check file sizes and readability | Under 2 MB each, 4 MB total |
| Day 6 | File the response | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Record the cause for your next review |
If the customer agrees on Day 2, ask them to request a withdrawal from their bank. The letter must be on bank letterhead, show the case number and confirm the charge and the cancellation. A statement screenshot is not enough, and withdrawals can take 30 to 90 days.
What is different about cancelled order chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Shopify Protect | US stores only, fraud and unrecognized reasons only | It does not cover this reason |
| Consumer rules | Differ by province | Check yours before relying on a legal position |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Provincial cancellation rules. Some provinces have consumer protection rules on cancelling certain kinds of purchases, and they differ across Ontario, British Columbia, Alberta and Quebec. The sources we used do not set a cancellation right for ordinary online orders, so this guide does not state one. If you sell services, deposits or custom goods, ask your provincial consumer office or a lawyer before you write cancellation terms.
Quebec. If you sell to Quebec customers, write the policy and the confirmation emails in a language they read. A policy a customer cannot read is weak evidence that they were told.
Taxes. A refund should return the tax charged on the cancelled part. The sources we used do not set tax rules for cancelled orders, so confirm yours with your accountant, and make sure the refund amount matches what the customer paid.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with a cancelled order chargeback in Canada?
- Losing the request. A cancellation sent through chat and never logged cannot be shown.
- Shipping after a cancel request. If you saw it in time, the refund is owed.
- Treating a cancelled status as a refund. Check the refund record.
- Showing a policy the customer never saw. Save a dated checkout screenshot.
- Relying on memory for times. Build the cancelled order timeline from records.
- Not telling the customer after a cancel. Send an email with the amount and the card.
- Refunding after the chargeback began. Shopify does not allow it.
- Arguing a policy that is silent. A rule that is not written cannot be cited.
- Attaching links. Links are not allowed. Save pages as PDF.
- Missing the window. There are no extensions, and the fee is not refunded.
Frequently asked questions
What is a cancelled order chargeback?
This is a dispute on an order the customer says they cancelled. There is no single Shopify reason for it, so it arrives as credit not processed, subscription canceled, product not received or general. Shopify advises contacting the customer first, then submitting proof of any refund and your cancellation policy.
What does Shopify want as evidence for a cancelled order?
Shopify names a refund issued before the chargeback, or proof none was owed, plus your refund and return policies, the date the customer was told and related emails. For subscriptions it asks for the cancellation policy and notices. Save everything as PDF, JPEG or PNG.
What if the customer asked to cancel before I shipped?
Then the facts are against you, and the cheapest move is to refund while it is still an inquiry. Shopify says a full refund on an inquiry blocks a chargeback. After a chargeback begins you cannot refund, so accept it, and fix how cancellation requests reach the warehouse.
Can I refuse a cancellation after shipping and still win a cancelled order chargeback?
Your policy decides, and Shopify sets no rule. State it clearly: cancel until shipping, return afterwards. Show it at checkout, paste it into your reply, and offer a prepaid return. A policy the customer saw is useful evidence, while a rule first mentioned in a dispute is weak.
Is a cancelled status enough to prove a refund?
No. A cancelled status tells you what you did in the admin, not that money returned to the customer. Open the order and look for a refund record with an amount and a time, then email the customer the amount, the card and the date. Shopify advises issuing refunds as soon as possible.
Can I refund a cancelled order after a chargeback starts?
No. Shopify says you cannot refund once a chargeback has begun. You can refund while it is an inquiry. After a chargeback, the route is a withdrawal letter from the customer's bank on letterhead, which can take 30 to 90 days.
What if the customer cancelled by chat and I have no record?
Without a record you cannot show when you were told. Search your chat export, email and social inbox, and save any message with its date. If you find nothing, build the case on the policy and the order timeline, and set up one inbox for requests so it does not happen again.
Does a partial refund stop a cancelled order chargeback?
No. Shopify says a full refund on an inquiry blocks a chargeback, while a partial refund does not. If you refunded only part of an order, explain what was cancelled, what was refunded and what the customer kept, and show the policy that supports any deduction.
Are there Canadian rules on cancelling online orders?
Provincial consumer protection rules differ, and the sources we used set no cancellation right for ordinary online orders, so we state none. If you sell services, deposits or custom goods, ask your provincial consumer office or a lawyer before you write terms that rely on a legal position.
How does ChargeFix help with a cancelled order chargeback?
ChargeFix reads the order, fulfillment time and refund history, compares the times, flags a missing refund and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above. It cannot promise a win.
