You sold a C$39.00 desk lamp to a customer in Saskatoon. You never touched it. Your supplier packed it, a carrier you have never spoken to picked it up, and the tracking page has said "in transit" for 19 days. Now the customer has called her bank, a chargeback has landed in your Shopify admin, and the only person who can prove anything about that lamp is a supplier who may not answer email until Monday. This is the problem at the heart of dropshipping chargebacks: the evidence the card company wants lives in somebody else's system. The stores that win these disputes are the ones that arranged to get it before anything went wrong.
Quick answer: Dropshipping chargebacks follow the same Shopify rules as any other dispute, but you hold less of the proof. For product not received, Shopify asks for when you fulfilled the order, the buyer's billing details, and the shipping and tracking record. For product unacceptable, it asks for descriptions or pictures showing the item was as described. As a dropshipper you need your supplier to hand over order confirmations, shipment dates, tracking numbers and product photos on request. Without them, dropshipping chargebacks are often unwinnable and a refund should come early.
This guide is for you if:
- You run a Shopify store on Shopify Payments from Canada and fulfil orders through a supplier, a print-on-demand partner or a third party warehouse.
- Your orders take longer to arrive than a store with its own stock, and customers are starting to ask where they are.
- You want to know what to ask your supplier for, and when a refund is smarter than a fight.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center, listed at the end. Shopify's pages do not set separate rules for dropshipping, and this guide does not invent any.
TL;DR
- Shopify applies the same dispute reasons and evidence lists to every store. Dropshipping adds distance, not different rules.
- Your supplier is your evidence source. Ask for order confirmation, shipment date, tracking and photos before you need them.
- Promise delivery times that include supplier handling, transit and a buffer. Shopify's advice is accurate delivery estimates and contact on delay.
- Refund early on dropshipping chargebacks when tracking has stalled. At the inquiry stage a full refund blocks a chargeback. After a chargeback begins, you cannot refund.
- Watch your rate. Shopify can enrol a store at 1.5% over 90 days, with a 10% reserve, and dropshipping stores reach that line faster than most.
Do this today
- List your suppliers and, for each, whether you receive order confirmation, ship date and tracking by email or by feed.
- Check your delivery estimate on the product page against your slowest real orders from the last 60 days.
- Open any order with no tracking movement for 5 days and message the customer and the supplier today.
- Add your shop name and phone number to the packing slip or invoice your supplier prints, if the supplier allows it.
- For any open dispute, ask the supplier for the shipment record the same day.
Dropshipping chargebacks in Canada: the process in one table
| Step | What you do | Why |
|---|---|---|
| 1. Read the dispute | Reason, amount, order, due date | The window is 7 to 21 days with no extensions |
| 2. Check the order | Supplier order status, tracking, ship date | Tells you which story you are in |
| 3. Ask the supplier | Shipment record, photos, delivery scan | Your evidence lives with them |
| 4. Contact the customer | Give the status, offer a fix | Many cases end with a withdrawal |
| 5. Decide | Fight, refund (inquiry only) or concede | Refunds are not possible once a chargeback begins |
| 6. Build the response | Fulfillment, tracking, delivery, messages | Shopify's evidence order |
| 7. File | Before the due date | The fee is not returned if you miss it |
What makes dropshipping chargebacks different from other disputes?
Dropshipping chargebacks are the same disputes every Shopify store sees: product not received, product unacceptable, credit not processed, unrecognized charges. The difference lies in who holds the facts. A store with its own stock knows when it packed an order, what was in the box and who the courier was. A dropshipping store knows what its supplier tells it, and sometimes that is very little.
Shopify makes no separate list of evidence for dropshipping. Its prevention advice is general: ship as soon as possible after you collect payment, give accurate shipping and delivery estimates or share tracking, contact the customer if shipping is delayed, and use tracking and delivery confirmation when you can. A dropshipper can follow all of that, but only through the supplier.
| Question the reviewer asks | Own stock | Dropshipping |
|---|---|---|
| When was it shipped? | You know | The supplier knows |
| What was in the box? | You packed it | The supplier packed it |
| Who carried it? | You chose the carrier | Often the supplier chose |
| Did it arrive? | You see the carrier record | You see whatever tracking exists |
| Does it match the listing? | You inspected stock | You may never have seen it |
The right-hand column is why dropshipping chargebacks reward preparation. Every cell in that column can be answered if the supplier gives you the records, and none of it can be answered if they do not.
Where do dropshipping chargebacks come from?
Most disputes trace back to a handful of causes, and each has a different fix.
| Cause | What the customer says | The usual fix |
|---|---|---|
| Long transit | "It has been three weeks" | Honest delivery estimates with a buffer |
| Stalled tracking | "The tracker has not moved" | Early contact, refund or reship |
| No tracking at all | "I have nothing to follow" | Insist on tracked shipping |
| Wrong or substituted item | "This is not what I ordered" | Supplier checks and photos |
| Quality below the listing | "It looks nothing like the photo" | Order samples, write accurate listings |
| Sender name mismatch | "I do not know this sender" | Branded packing slip and shipping email |
| Supplier cancels after payment | "You took my money and sent nothing" | Backup suppliers, early refund |
| Return to an overseas address | "I cannot send it back" | A local return plan |
Notice how many dropshipping chargebacks start with communication, not evidence. A customer who knows where the parcel is, and who has someone to write to, is less likely to call the bank than one who is left to guess.
What evidence can you get from a supplier for dropshipping chargebacks?
Start with what Shopify wants, then work backwards to what the supplier must provide. For product not received, Shopify asks for proof of delivery from before the chargeback: fulfillment date and time, billing information, and shipping and tracking details. Shopify also adds a PDF of fulfillment events on its own.
| Evidence | What it shows | What to ask the supplier for |
|---|---|---|
| Fulfillment date and time | You shipped on a given day | Ship confirmation with a date, ideally sent automatically |
| Shipping and tracking | The carrier and the route | Tracking number and carrier name on every order |
| Delivery proof | That it arrived | A delivered scan or delivery confirmation |
| Product photos | That the item matched the listing | Photos of the actual item as packed, for high value orders |
| Packing record | What was in the box | A packing list or order picture |
| Supplier order confirmation | That the order was placed with them | The confirmation email with your order number |
Ask for these supplier records in writing before you sign up with a supplier, and put them in your own checklist.
Supplier records checklist (send before you start, review each quarter)
Supplier: ______________________ Contact: ______________________
For every order, we receive automatically:
[ ] Order confirmation with our order number
[ ] Ship confirmation with date and time
[ ] Tracking number and carrier name
[ ] Delivery scan or confirmation when available
On request within 1 business day:
[ ] Photo of the packed item
[ ] Packing list
[ ] Proof of the shipping address used
[ ] Name and contact of the person who answers disputes
Typical handling time: ______ days
Typical transit time: ______ to ______ days to Canada
Return policy and address: ______________________
If a supplier cannot provide these, treat that as a risk and price it in. A supplier who cannot give you a ship date is a supplier you will lose disputes over.
Remember that files must be PDF, JPEG or PNG, up to 2 MB each and 4 MB combined, with one file per evidence type and no links. A link to a tracking page proves nothing. Save the supplier's confirmation and the tracking history as PDFs on the day you receive them.
How do delivery promises prevent dropshipping chargebacks?
Most dropshipping chargebacks are born on the product page. A store that says "ships in 5 to 7 days" and delivers in 25 has created a dispute by promising what it could not do.
Shopify's advice is to give accurate shipping and delivery estimates. For a dropshipper, an accurate estimate has three parts: supplier handling time, transit time and a buffer for delays.
Delivery estimate worksheet
Slowest real orders in the last 60 days
Order Paid Delivered Days
#____ ______ ______ __
#____ ______ ______ __
#____ ______ ______ __
Supplier handling (typical, worst case): __ days, __ days
Transit to Canada (typical, worst case): __ days, __ days
Buffer for delays: __ days
Promise on the product page: ____ to ____ days
(Use the worst case plus the buffer for the upper number.)
Use your own slowest orders, not the supplier's best case. If your slowest recent order took 24 days, a promise of 7 to 14 days is a dispute waiting to happen. A promise of 12 to 28 days sounds less attractive, but it is one you can keep, and a customer who knows the range is not surprised.
Say the range in four places: the product page, the cart, the checkout and the confirmation email. Save a dated copy of each, since those pages are the evidence that the customer was told. If delivery estimates differ by product, set them per product.
What do you do when tracking stalls on a dropshipped order?
A stalled parcel is the most common start of dropshipping chargebacks. The customer sees no movement for a week and starts to worry. Act on the fifth day without movement, not the fifteenth.
| Days without movement | What to do |
|---|---|
| 3 | Check the tracking page and the supplier's status |
| 5 | Message the supplier and the customer |
| 8 | Ask the supplier for a carrier trace or a reshipment |
| 12 | Offer the customer a refund or a reship, whichever they prefer |
| 15 or more | Treat as lost. Refund and claim from the supplier |
These are rules of thumb you can adjust, not requirements.
Message to the customer when tracking stalls
Subject: Update on your order #[number]
Hi [first name],
I checked on your order #[number] today. The last scan was on [date] at
[location]. I have asked our supplier to contact the carrier and I will
write to you again by [date].
If it has not moved by then, I will either send a replacement or refund
C$[amount] to your original payment card, whichever you prefer.
[Name], [store], [phone number]
Two cautions. Do not promise a reshipment you cannot get from the supplier. And do not wait for the customer to ask. The earlier the message, the more likely a customer takes the offer instead of calling the bank.
If the dispute is still an inquiry, a full refund ends it. Shopify says a full refund on an inquiry blocks a chargeback and a partial refund does not. If it has already become a chargeback, you cannot refund, and the options narrow to fighting with whatever tracking proves, conceding, or asking the customer to withdraw.
How do packing slips and sender names cause dropshipping disputes?
Customers pay attention to what arrives, and dropshipping chargebacks often follow a box that looks like it came from someone else. A box that shows a factory name, a foreign return address or an invoice with another company's brand can make the customer wonder whether the order came from you at all. The next step is a statement they do not recognize.
| Where the name shows | Common problem | Fix |
|---|---|---|
| Parcel label | Supplier or warehouse name | Ask for your shop name as the sender, if the supplier offers it |
| Packing slip | Supplier branding | Use a blank or branded slip with your contact details |
| Shipping email | Sent by the carrier or supplier only | Send your own email with the tracking link |
| Statement | A name customers never saw | Set your customer billing statement name to your shop name |
| Return address | An overseas warehouse | Offer a local return plan |
Shopify's prevention page recommends using your store name or domain name as the billing statement text. For a dropshipper, that matters double, since nothing in the box may carry your name. Our guide to unrecognized charge chargebacks shows the settings.
Whatever the supplier prints, send your own email at fulfillment with the shop name, the order number, the items and the tracking link. That email becomes dated evidence that the customer was told who the seller was.
What if the product is not what the customer expected?
When you have never handled the product, "not as described" dropshipping disputes are hard to answer. Shopify's evidence for product unacceptable adds the fulfillment record, billing details, shipping and tracking, and product descriptions or pictures showing the item was as described. It also asks for evidence the customer did not try to return the item before the chargeback, or that you sent a replacement.
For a dropshipper, the practical steps come earlier.
- Order a sample. Buy one of any product you plan to sell, and photograph it yourself. Your own photos are better evidence than a supplier's catalogue image.
- Write the listing from the real item. Size, material and colour should match the sample, not the catalogue.
- Keep the listing version. Save a dated PDF of the page whenever you change it.
- Ask for packing photos on high value orders. A photo of the item as packed can settle a "wrong item" claim.
- Offer a fix first. Shopify's evidence list rewards a replacement offered before the chargeback.
Our guide to product not as described chargebacks covers the evidence in more detail. The short version is that the reviewer needs to see what the customer was promised and what you sent, and as a dropshipper you must have arranged both before the dispute.
How do returns work, and how do they lead to dropshipping chargebacks?
Returns are where dropshipping margins disappear, and dropshipping chargebacks multiply. The customer may need to send an item back to an address in another country, the supplier may not accept returns, and you still owe the refund. If you do not refund promptly, you can end up with a credit not processed chargeback on top.
| Return setup | Risk | Practical approach |
|---|---|---|
| Supplier accepts returns | Slow processing | Agree turnaround times in writing |
| Supplier refuses returns | You eat the cost | Offer a refund without return on low value items |
| Return to an overseas address | Cost and delay for the customer | Skip the return, or refund partly, as your policy states |
| Return to your own address | Extra handling | Use it for high value items |
For low value items, a refund without a return is often cheaper than the cost of arranging one. State the rule in your return policy and show it at checkout, since policy documentation is the third item in Shopify's suggested evidence order. Our guide to credit not processed chargebacks covers the refund proof you will want to keep.
Shopify's prevention advice is to issue refunds as soon as possible, since unprocessed credits lead to credit not processed chargebacks. Do not wait for the supplier to refund you before you refund the customer.
Is it worth fighting dropshipping chargebacks? A worked example in C$
Dropshipping margins are thin, and the C$15 or US$15 fee on dropshipping chargebacks is not. That changes the arithmetic.
Take the Saskatoon lamp. It sold for C$39.00. Your cost with the supplier was C$21.00 and shipping was included. The tracking has not moved for 19 days.
Case A: stalled tracking, no delivery scan (fill in)
Disputed amount = A = C$39.00
Goods and shipping spent = G = C$21.00 (already paid to the supplier)
Fee = F = C$15.00 (returned only on a win)
Time to respond = T = 1 hour, call it C$30
Chance of winning = c = 0.10 (no delivery record)
Concede: loss = A + F + G = C$75.00 (goods are gone either way)
Fight: (1 minus c) x (A + F + G) + T = 0.90 x 75 + 30 = 67.50 + 30 = C$97.50
97.50 > 75.00, so concede. If it is still an inquiry, refund C$39.00 and skip the fee.
Now a case where the supplier sent a delivered scan.
Case B: delivery scan and customer acknowledgment (fill in)
Chance of winning = c = 0.75
Fight: 0.25 x 75 + 30 = 18.75 + 30 = C$48.75
48.75 < 75.00, so fight.
The same product, two answers in dropshipping chargebacks. The difference is one scan. That is the argument for getting supplier records every time: a delivered scan can turn a C$97.50 problem into a C$48.75 one.
On orders under about C$40, the fee plus your time can exceed the profit even when you win. Decide in advance which order values are worth a fight and which you will refund at the first complaint.
Why do dropshipping chargebacks threaten your account?
A high rate can matter more than any single case. Shopify's network dispute resolution program can enrol a store whose rate, including automatically resolved disputes, is 1.5% or higher over 90 days, with a minimum volume exclusion for smaller stores. The consequences described in Shopify's pages include a 10% reserve applied to payouts, and an exit once the rate stays under 1.00% for 30 consecutive days. Visa's excessive threshold is 1.5% from April 2026 in the US, Canada, the EU and Asia Pacific, according to chargeback.io.
Dropshipping stores can reach these lines faster, because slow shipping and stalled tracking tend to produce more disputes than local stock does. Winning does not help: Shopify counts a resolved dispute toward your rate, and the bank can dispute a won case again.
Dispute rate check (monthly)
Orders in the last 90 days: ______
Disputes and inquiries in the last 90 days: ______
Rate: disputes / orders x 100 = ______ %
Above 1.0%? [ ] yes [ ] no (watch line)
Above 1.5%? [ ] yes [ ] no (Shopify program line)
Top cause this month: ______________
Supplier behind most of them: ______________
If one supplier is behind most of your dropshipping chargebacks, the answer is usually to change supplier or to stop selling that product, not to write better responses.
How do you write the response to a dropshipping chargeback?
Lead with the delivery facts, then the order and the communication. Keep it short and in order.

How does ChargeFix help with dropshipping chargebacks?
Dropshipping chargebacks depend on records that sit partly in your store and partly with your supplier. ChargeFix reads what is in your store. ChargeFix is built for Shopify Payments disputes.
- Dispute fetched. ChargeFix fetches the chargeback when it opens.
- Records read. It reads the order, addresses, tracking and delivery status as they appear in your store.
- Evidence scored. It flags what is missing, such as a delivery scan, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
- Letter from facts. The response is drafted only from verified facts, so it will not claim a delivery the records do not show.
- Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm, and its default rule covers product not received with delivery confirmed. Everything else is saved as a draft.
ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it cannot create a supplier record that does not exist. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.
What does a dated plan for a dropshipping chargeback look like?
This plan assumes the shortest window, 7 days.
| Day | What you do | Done when |
|---|---|---|
| Day 0 | Dispute opens. Note amount, order and due date. | You know the deadline |
| Day 1 | Ask the supplier for the ship record, tracking and photos | Request sent and dated |
| Day 2 | Contact the customer with the status and an offer | Message sent and saved |
| Day 3 | Decide: fight, refund (inquiry only) or concede | Decision written down |
| Day 4 | Draft the response, strongest proof first | Every claim points to a file |
| Day 5 | Check file sizes and readability | Under 2 MB each, 4 MB total |
| Day 6 | File the response | Confirmation shows in admin |
| Day 7 | Spare day | Nothing left to do |
| Up to 75 days later | Decision arrives | Record the supplier and cause |
If the supplier has not replied by Day 3, assume you will not get the record and decide on what you hold. If the customer agrees on Day 2, ask them to request a withdrawal from their bank. The letter must be on bank letterhead, show the case number and confirm the charge and the cancellation. A statement screenshot is not enough, and withdrawals can take 30 to 90 days.
What is different about dropshipping chargebacks in Canada?
| Topic | What applies in Canada | What to do |
|---|---|---|
| Fee | C$15 or US$15 by payout currency | Cost each case in your payout currency |
| Response window | 7 to 21 days, no extensions | Plan for the shortest |
| Card company decision | Up to 75 days after you submit, and final | Do not expect a quick answer |
| Shopify Protect | US stores only, fraud and unrecognized reasons only | It does not cover this reason |
| Last mile | Canada Post and other carriers deliver in Canada | Save the delivery confirmation when it exists |
| Complaints | Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days | Raise a complaint with your processor first |
Canada Post records. If your supplier hands the parcel to Canada Post for delivery, the delivery confirmation sits in Canada Post's Track tool as a PDF, online for 45 days after delivery. Ask the supplier for the tracking number early, and save the PDF as soon as it exists. Our guide to Canada Post proof of delivery has the steps.
Borders and customs. If your supplier ships from outside Canada, customs handling can slow a parcel. The pages we used do not set customs or duty rules for dropshipped goods, so this guide does not state any. Tell customers in your delivery estimate that parcels from abroad may take longer, and check the rules with your carrier or a customs broker.
Provincial rules. Consumer protection law differs across provinces and may affect how you word delivery promises and refunds. The sources we used set no provincial rule for dropshipping, so ask your provincial consumer office or a lawyer if your terms rely on a legal position.
Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.
What are the 10 mistakes to avoid with dropshipping disputes in Canada?
- Promising delivery the supplier cannot meet. Use your slowest real orders, plus a buffer.
- No tracking on an order. Without tracking, you have nothing to submit.
- Waiting for the customer to ask. Message them on the fifth day without movement.
- Never getting supplier records in writing. Evidence you do not hold cannot be filed.
- Fighting a lost parcel. Without a delivery scan the chance is low. Refund and claim from the supplier.
- Refunding after the chargeback began. Shopify does not allow it.
- Selling a product you never sampled. You cannot defend a listing you have not checked.
- Leaving your name off the shipment. Customers dispute senders they do not recognize.
- Missing the window. There are no extensions, and the fee is not refunded.
- Ignoring the rate of dropshipping chargebacks. Shopify can enrol a store at 1.5% over 90 days, and one supplier often causes most of it.
Frequently asked questions
Are dropshipping chargebacks handled differently by Shopify?
No. Shopify uses the same dispute reasons and evidence lists for every store, and its pages set no separate rules for dropshipping. The difference is practical. You rely on your supplier for fulfillment date, tracking and photos, so you must arrange to receive them before a dispute arrives.
What evidence do I need for a product not received dropshipping dispute?
Shopify asks for proof of delivery from before the chargeback: the fulfillment record, billing details and the shipping and tracking record. A dropshipper needs the supplier's ship confirmation, tracking number and a delivered scan. Add the delivery estimate shown at checkout and any customer messages, saved as PDF.
Should I refund when tracking stalls?
Often yes, and early. If tracking has not moved for about 12 days and the supplier cannot trace it, offer a reship or a refund. At the inquiry stage a full refund blocks a chargeback, while after a chargeback begins you cannot refund. The fee on a chargeback is not returned unless you win.
What delivery time should I promise?
One you can keep. Use your slowest real orders from the last 60 days, plus the supplier's worst case handling and a buffer. A wider range such as 12 to 28 days is less attractive than 7 to 14, but a missed promise is what turns waiting customers into disputes.
Can I win dropshipping chargebacks without a tracking number?
It is unlikely. Without a tracking number or a delivery scan, you have little to show that the order arrived. Refund early at the inquiry stage. If it has become a chargeback, weigh a concession against the cost of the fee and your time using the simple fight or fold sum.
How do I stop customers disputing a sender they do not recognize?
Set your customer billing statement name to your shop name, send your own shipping email with the tracking link, and ask the supplier to use your name or a blank packing slip. Shopify recommends using your store or domain name as the billing text.
What happens if my dropshipping chargebacks push my rate too high?
Shopify can enrol a store in its network dispute resolution program at 1.5% or higher over 90 days, including automatically resolved disputes. Its pages describe a 10% reserve on payouts and an exit once the rate stays under 1.00% for 30 consecutive days. Winning a dispute does not lower the count.
Does Shopify Protect cover dropshipping orders?
Shopify Protect is US only and covers fraud and unrecognized reasons only, so it would not cover a product not received dispute for a Canadian store in any case. Confirm your own eligibility in your Shopify admin and keep your own evidence routine ready.
How should I handle returns for dropshipped products?
State the return rule at checkout and in your policy. For low value items, a refund without a return is often cheaper than arranging a return to an overseas address. Refund promptly, since unprocessed credits lead to credit not processed chargebacks, and do not wait for the supplier to refund you first.
How does ChargeFix help with dropshipping disputes?
ChargeFix reads the order, addresses, tracking and delivery status in your store, flags what is missing, scores the evidence and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above. It cannot promise a win.
Start free trial with ChargeFix
You now have a supplier records checklist, a delivery estimate worksheet and a response template for dropshipping chargebacks. What most stores lack is the time to chase every record before the deadline. ChargeFix reads your Shopify order data, shows what is missing, writes the letter from verified facts and leaves the filing to you in Manual mode, with Auto mode there for the cases your own rules cover.
The free plan includes 2 filings every month, and every paid plan starts with a 14 day free trial. There is no cut of what you win, and no contract.
