Amex Chargebacks in Canada: How to Respond on Shopify Payments

ChargeFix guide cover with a payment card icon: Amex Chargebacks in Canada: How to Respond on Shopify Payments

A Mississauga store that sells corporate gift baskets gets an email from Shopify about a C$640.00 dispute on an American Express card. The owner opens it, sees "inquiry" instead of "chargeback", and decides it can wait until the end of the month because nothing has been taken from the account. That is the most expensive mistake in Amex disputes. With American Express the inquiry is the case, and the way you answer it decides whether a chargeback follows. This guide explains how Amex chargebacks work for Canadian Shopify merchants, how they differ from Visa and Mastercard disputes and how to respond.

Quick answer: An Amex chargeback in Canada is a dispute on a payment made with an American Express card. American Express acts as issuer, acquirer and network, so one company both reviews the dispute and collects if you lose. It often starts as an inquiry, which takes no money. A sufficient, on time answer to the inquiry can stop a chargeback before it begins. Shopify says it cannot request early resolution for American Express disputes, so a withdrawal letter will not speed the case up.

This guide is for you if:

  • You sell on Shopify Payments in Canada and take American Express cards.
  • You have received a dispute on an Amex card and are not sure how it differs from a Visa one.
  • You want to treat inquiries as seriously as chargebacks without wasting time.

Disclosure: ChargeFix publishes this guide and sells an app that helps with Shopify Payments disputes. The Shopify rules come from Shopify's Help Center. The Amex process details come from a vendor article published in July 2026, which is US led and describes American Express rules in general terms, so check American Express's own merchant terms for the current rules that apply to you. Sources are listed at the end.

TL;DR

  • Amex acts as issuer, acquirer and network, and that shapes everything.
  • An inquiry moves no money. A sufficient, on time reply can mean no chargeback follows.
  • Early resolution is not on offer for Amex cases, so a bank letter will not shorten the process.
  • Amex quotes 20 days to respond, but on Shopify the date shown on the case rules, and it can fall anywhere from 7 to 21 days out.
  • Match your evidence to the specific complaint. A bare order confirmation proves a sale, not an answer.

Do this today

  1. Check that your payments settings accept American Express, and see how Shopify labels those disputes.
  2. Set a rule: every inquiry gets an answer within two days.
  3. Pull the last three Amex disputes and note the reason and outcome.
  4. Add Amex cases to your weekly dispute review.
  5. Save a template for each common reason.

Amex chargebacks in Canada: the process in one table

Step What you do Why
1. Read the case Inquiry or chargeback, reason, amount, due date The due date is the only clock that counts
2. Respond fast Treat an inquiry as the main event A sufficient reply can stop a chargeback
3. Match the reason Delivery, authorization, refund or description Evidence must fit the complaint
4. Contact the customer Ask for a fix or a confirmation Many cases end here
5. Decide Fight, refund or concede No refund is possible once a chargeback begins
6. Build and file Strongest proof first The fee is not returned if you miss the date
7. Wait The decision is final Do not expect early resolution

What is an Amex chargeback?

An Amex chargeback is a dispute filed by an American Express Card Member over a charge on their card. Like other card disputes, it can be about a parcel that never arrived, a charge they do not recognize, a refund that never posted or a product that did not match its description.

What sets it apart is who runs the process. With Visa and Mastercard, a cardholder deals with their bank, the bank sends the dispute through the network, and your processor passes it to you. American Express is the issuer of the card, the processor and the network. One company handles the cardholder, the dispute and the collection from you.

Feature Visa and Mastercard American Express
Who issues the card A bank American Express
Who runs the network Visa or Mastercard American Express
Who reviews the dispute The issuing bank, under network rules American Express
Early warning systems Outside networks exist Built into its own inquiry process
Published detail on how evidence is weighed More Less

A vendor article from July 2026 makes these points, and the structure is well known. The practical meaning is that you are dealing with one company, so a polished, complete reply matters, and a late or thin one hurts more.

What does Shopify say about Amex disputes?

Shopify's page on resolving a chargeback says that Shopify cannot request early resolution for American Express disputes or for Visa disputes with a Fraudulent reason code. For those disputes, a letter from the bank will not speed up the process. On other disputes, if the customer agrees to withdraw, they can ask their bank for an official withdrawal letter on letterhead, which can take 30 to 90 days.

The same page tells you how to submit evidence: PDF, JPEG or PNG files, up to 2 MB each and 4 MB combined, one file per evidence type, no links, formatted so they can be viewed without zooming or cropping. Shopify's suggested order for evidence is direct proof, acknowledgment, policy and context.

Shopify says What it means for Amex
Cannot request early resolution for Amex disputes Plan to go the full length of the process
A withdrawal letter will not speed these up Do not wait for one; file your evidence
No refunds once a chargeback has begun Refund during the inquiry if you are going to
Files: PDF, JPEG or PNG, 2 MB each, 4 MB combined Save evidence in clean files
Evidence order: direct proof, acknowledgment, policy, context Lead with what proves the point

Shopify's pages mention American Express disputes, so Amex payments reach Shopify Payments merchants in your market. Check the card types your own settings accept, since options can differ by store and region.

Why does the inquiry stage matter so much?

According to the vendor article, American Express first tries to resolve the case with the Card Member. If it cannot, it asks you for help through an inquiry. An inquiry moves no money. If your reply is sufficient and on time, no chargeback follows.

If your reply is missing or weak, a chargeback can follow. The article describes codes for those outcomes, including R13 for no reply, R03 for an insufficient reply and M01 where the reply authorized the debit. An upfront chargeback, in which American Express may debit your account first, can also occur, and an upfront chargeback is the one case where money leaves before you answer.

Stage Money moves? What you do
Inquiry No Reply fully and on time; refund if warranted
Chargeback after a weak reply Yes Respond with new evidence if allowed
Upfront chargeback Yes, debited first Respond fast; an upfront chargeback is reversed only if you win

On Shopify the case shows a due date. The article notes that American Express quotes 20 days to respond but does not say which date the 20 days runs from, and that Shopify's admin due date can be 7 to 21 days because the processor must forward your packet. So the date on the case is the only date to trust. Once it passes, Shopify says you cannot submit further evidence.

The rule: answer an Amex inquiry as if it were a chargeback. It is your best chance to stop one.

What should you do about an upfront chargeback?

An upfront chargeback is the form most likely to surprise a merchant. The vendor article says American Express may debit your account up front, which means the money is gone before you reply. The fee and the debit follow Shopify's usual rules, so check your balance and your payout page when an Amex case lands.

Step What to do
1 Open the case and confirm whether it is an inquiry or a chargeback
2 Check the amount debited against the order
3 Pull the matching proof the same day
4 Reply by the due date on the case
5 Note the outcome for your records

If you see an upfront chargeback, do not assume the matter is closed. Respond with evidence as you would for any chargeback. If you win, the amount returns to you according to Shopify's process. If you lose, the decision is final.

Keep a small reserve for disputes. A merchant with a C$300.00 payout and a C$640.00 Amex case should expect a negative balance, so read our guide to negative balances after a chargeback.

How do Amex disputes compare in time and deadlines?

The vendor article says cardholders generally have 120 days from the transaction date to dispute and are limited to two disputes per charge in most cases. Shopify's own timeline for card disputes says you have 7 to 21 days to respond with no extensions, and the card company decides up to 75 days after you submit, with the decision final. We did not find a separate Shopify timeline for Amex.

Timeline item Source Detail
Cardholder filing window Vendor article Generally 120 days from the transaction
Disputes per charge Vendor article Usually two
Amex quoted response time Vendor article 20 days
Shopify response window Shopify 7 to 21 days, no extensions
Decision time Shopify Up to 75 days after submission, final

Use the shortest window to plan. If the case says 7 days, you have 7 days, whatever American Express quotes in general.

What if the Amex dispute claims card not present fraud?

Card not present fraud is a claim that someone used the card details to buy online without the Card Member's permission. For this reason, the vendor article describes what American Express looks for: a prior undisputed ecommerce transaction with the same payment credential in the past 12 months, plus at least two matching data elements, such as device ID, IP address or confirmation email.

Matching element Where you find it on Shopify Why it helps
Same card used before Order history for the customer Shows continued use
IP address Order details Same area as earlier orders
Confirmation email The address that received your receipts Same inbox as before
Delivery address Past orders Goods go to the same place
Customer reply Your inbox Direct acknowledgment

On Shopify you cannot cite an Amex code, but you can list the earlier orders: date, amount, shipping address and whether any were disputed. Add the IP address and country for the disputed order, and any reply from the customer. That mirrors what the article says American Express wants to see.

If there is no history and no contact, the case is weak. Concede early and fix your checks for next time.

Which evidence works for Amex disputes?

Match evidence to the specific complaint. The vendor article makes this point strongly: an order confirmation alone proves a purchase, not an answer to the dispute.

Complaint Evidence to lead with
Goods not received Proof of delivery with the delivery date and full shipping address
Not recognized or not authorized Receipts, billing statement name, customer communication, prior undisputed orders
Refund not received A refund record dated before the dispute, or policy and customer acknowledgment
Not as described Product page at time of sale, photos, policy, customer messages
Duplicate Two separate orders, different items or dates

For goods not received, the article says proof of delivery should include the delivery date and full shipping address; for digital goods, American Express accepts matching IP or email data, or proof the Card Member accessed the site after the purchase. For card not present fraud, it describes a prior undisputed ecommerce transaction with the same payment credential within the past 12 months, plus at least two matching data elements, such as device ID, IP address or confirmation email.

On Shopify you fill in Shopify's form, not an American Express form, so use these as a description of the history that helps. Shopify Payments pulls in some data on its own, including product details, billing and shipping addresses, the IP address, shipping and tracking information, previous undisputed orders and relevant policies. You add the delivery PDF, the customer messages and any notes.

What about American Express's security code policy?

The vendor article says American Express changed its policy in April 2024 so that merchants are no longer liable for fraud disputes on approved transactions where the card identification number, the CID, did not match. If that applies to your case, it may be a reason to mention the CID result in your reply. We did not find Shopify guidance on how to use this, and American Express's own terms are the authority, so treat the point as something to raise with your processor rather than something to rely on.

Check What to do
CID result on the order Note it in the order record
AVS result Note it too
Anything unusual Contact the customer before shipping

For more on the checks, see our guide to AVS and CVV checks on Shopify in Canada.

How do you keep track of Amex cases?

A simple log keeps Amex cases from slipping. American Express quotes 20 days to respond, Shopify may show less, and the two clocks cause confusion when several cases are open at once.

Field Why it matters
Case type Inquiry or chargeback
Reason Decides the evidence
Due date on the case The only date that counts
Amount and order Ties the case to the sale
Reply sent on Proof you answered on time
Outcome Feeds your quarterly review

A shared sheet with those columns takes ten minutes to set up. Check it every morning during a busy season, and mark any case with less than three days left in red.

How do you respond to an Amex inquiry?

Speed and clarity decide an inquiry. Treat the due date as the date for the first draft.

  1. Read the reason. Is it delivery, authorization, refund or description?
  2. Pull the matching proof. Delivery PDF, receipt, refund record or product page.
  3. Contact the customer. A kind message sometimes ends it.
  4. Consider a refund. If the customer has a point, a full refund on an inquiry stops the case.
  5. Reply on time. Use the evidence form, files within the limits.
Message to an Amex cardholder during an inquiry

Subject: Your order #[number]

Hi [first name],

I see there is a question on your American Express card about order
#[number] for C$[amount]. Canada Post's record shows delivery on [date] to
[address]. If anything is wrong, please reply today and I will fix it. If
the parcel is missing I will refund you or reship it.

Your statement shows this charge as [statement name], and my number is
[phone number].

[Name], [store]

If the customer replies "all fine", save it as a PDF. It may help, and you can mention it in your response. If they ask for a refund, give it while the case is an inquiry. After a chargeback begins, Shopify does not allow it.

How do you write the response to an Amex chargeback?

Lead with the proof that answers the complaint.

Draft reply to an Amex chargeback for goods not received

Order #[number], placed [date] for C$[amount].

Summary
The Card Member disputes non delivery. Canada Post's record shows delivery
on [date] to [full address], which matches the shipping address on the
order. We contacted the customer on [date] and received [summary].

1. Delivery record

2. Order and address

3. Customer communication

4. Policy

Write only what the files show. An Amex reviewer reads the file once, so a short, honest letter with clear exhibits beats a long one with gaps.

Is it worth fighting? A worked example in C$

Take the Mississauga order of C$640.00, disputed as goods not received, with a delivery record on file.

Case A: inquiry answered on time with delivery proof

Disputed amount = A = C$640.00
Fee                        = F = C$15.00 if a chargeback follows (returned only on a win)
Your time = T = 1 hour, call it C$30
Chance the inquiry closes = c = 0.60 (illustrative)

If it closes: cost = C$30, no fee, no chargeback.
If it becomes a chargeback (0.40): fight, win chance 0.50 (illustrative)
   Expected loss = 0.40 x [0.50 x (640 + 15)] + 30 = 0.40 x 327.50 + 30 = C$161.00

Now the same order where the inquiry was ignored.

Case B: inquiry missed, chargeback follows

Disputed amount = A = C$640.00
Fee                        = F = C$15.00
Chance of winning later = c = 0.20 (illustrative)

Concede: A + F = C$655.00
Fight: 0.80 x 655 + 30 = 524 + 30 = C$554.00

The probabilities are illustrative, not Canadian statistics. We found no Canadian win rate for Amex disputes, so use your own history. The pattern is clear: answering the inquiry well is cheaper than fighting the chargeback later.

Which Amex disputes are worth fighting?

Case Likely strength Move
Delivery proof matches address, customer silent Reasonable Answer the inquiry fully
Customer confirms receipt in writing Strong Lead with the message
Fraud claim, prior undisputed orders with matching IP or email Reasonable List the history
Fraud claim, first order, no contact Weak Fight only if value justifies it
Refund already issued before the dispute Strong Show the refund record
Goods never delivered Not a fight Refund early

An Amex chargeback is strongest when you answer the inquiry with evidence that fits the reason. It is weakest when the first real reply comes after the chargeback.

What should you do about Amex card refund disputes?

When the claim is that a refund never arrived, the vendor article says the only accepted response for codes such as R03 and M01 is proof that an offsetting credit was already processed. On Shopify, that means a refund record dated before the dispute, with the amount and date visible.

Situation What to show
You refunded before the dispute The refund record with date and amount
No refund was due Policy, customer acknowledgment, order details
Refund pending at the bank The refund record and a note on bank timing

We did not verify how long a refund takes to appear on an American Express statement, so do not promise a date. Tell the customer to check with American Express if they do not see the credit after a few business days, and send them the refund record.

How does an Amex dispute differ for Canadian merchants?

Most of the process is the same across markets. What changes for you is the setup around it.

Topic What applies in Canada What to do
Fee C$15 or US$15 by payout currency Cost each case in your payout currency
Response window 7 to 21 days, no extensions Plan for the shortest
Card company decision Up to 75 days after you submit, and final Do not expect a quick answer
Early resolution Not available for Amex disputes File evidence without waiting for a letter
Delivery proof Canada Post confirmation online for 45 days after delivery Download it early
Shopify Protect US stores only, fraud and unrecognized reasons only It does not cover Canadian stores
Complaints Shopify Payments (Canada) acknowledges within 5 business days, decides in writing within 45 days Raise a complaint with your processor first

Corporate cards. Many Amex Card Members in Canada are business buyers, so disputes can involve an accounts payable team that did not place the order. Keep the buyer's name and any purchase order details, and ask for a reply from the person who ordered.

Quebec. If you sell to Quebec customers, send your messages in a language they read. A message a customer cannot read is weak evidence that you tried to resolve the problem.

Consumer law. Consumer protection law differs by province. The sources we used set no Canadian rule on Amex disputes beyond Shopify's own process, so this guide states none.

Where to complain. Shopify Payments (Canada) acknowledges a complaint within 5 business days and gives a final written decision within 45 days. The Financial Consumer Agency of Canada supervises the Code of Conduct for the Credit and Debit Card Industry in Canada but does not decide individual disputes.

How does ChargeFix help with Amex chargebacks?

Amex cases need quick, matched answers. ChargeFix is built for Shopify Payments disputes.

  1. Dispute fetched. ChargeFix fetches the chargeback or inquiry when it opens.
  2. Records read. It reads the order, the addresses, the fulfillment and tracking data and the refund history.
  3. Evidence scored. It flags what is present and what is missing, such as no delivery record, and gives a plain verdict: worth fighting, improve the evidence first or weak evidence.
  4. Letter from facts. The response is drafted only from verified facts, so it will not claim proof your records do not show.
  5. Your choice of mode. ChargeFix prepares each response in Manual mode, which is the default. You review and file it, or let Auto mode handle them. Auto mode is on Starter plans and above, off until you turn it on and confirm.

ChargeFix handles Shopify Payments disputes only. It cannot promise a win, because the card company decides, and it cannot speed up an American Express case. It stores minimal data: case ID, amount, reason, status, dates and shop settings. The free plan includes 2 filings a month, and every paid plan starts with a 14 day free trial.

What does a dated plan for an Amex chargeback look like?

This plan assumes the shortest window, 7 days.

Day What you do Done when
Day 0 Case opens. Note type, reason, amount and due date. You know the deadline
Day 1 Read the reason; pull the matching proof Core file saved
Day 2 Contact the customer; consider a refund if it is an inquiry Message sent and saved
Day 3 Pull the tracking PDF and policy PDF Files saved
Day 4 Decide: fight, refund or concede Decision written down
Day 5 Draft the response, strongest proof first Every claim points to a file
Day 6 Check file sizes and readability, then file Confirmation shows in admin
Day 7 Spare day Nothing left to do
Up to 75 days later Decision arrives Note what mattered

Early resolution is off the table here, so do not wait for a withdrawal letter. File first, and keep any letter as extra support.

How do you prepare before the next Amex dispute?

  1. Know your Amex volume. Check how many of your orders use American Express.
  2. Set an inquiry rule. Two day reply, no exceptions.
  3. Keep a template per reason. Delivery, fraud, refund, description.
  4. Save delivery proof early. The Canada Post record goes offline after 45 days.
  5. Log customer contact. Dated messages are acknowledgment.
  6. Review quarterly. Which Amex disputes closed at inquiry, and why?
Habit Time Effect
Two day inquiry rule 0 Fewer chargebacks
Reason templates 1 hour once Faster replies
Early delivery downloads 5 minutes each Proof on hand
Quarterly review 1 hour Better rules

What are the 10 mistakes to avoid with Amex chargebacks?

  1. Ignoring an inquiry because no money moved. It is the best moment to win.
  2. Waiting for a withdrawal letter. It will not shorten an Amex case.
  3. Sending an order confirmation alone. Match the proof to the reason.
  4. Using Amex's quoted 20 days. Use the date on the case.
  5. Missing delivery details. Include the date and full shipping address.
  6. Skipping the customer. A message can close the case.
  7. Promising a refund date. Banks vary.
  8. Refunding after the chargeback began. Shopify does not allow it.
  9. Attaching links. Links are not allowed. Save pages as PDF.
  10. Missing the window. There are no extensions, and the fee is not refunded.

Frequently asked questions

What is an Amex chargeback?

It is a dispute filed by an American Express Card Member over a charge on their card. American Express is both issuer and network, so one company reviews the dispute and collects if you lose. It often starts as an inquiry, which takes no money.

How is an Amex dispute different from Visa or Mastercard?

American Express plays the roles of issuer, acquirer and network at once, so there is no separate issuing bank. A vendor article also says Amex builds its early step into its own inquiry process and publishes less about how it weighs evidence than Visa and Mastercard do.

Does Shopify offer early resolution on Amex disputes?

No. Shopify's resolution page says it cannot ask for early resolution on American Express disputes, or on Visa disputes that carry a Fraudulent code. Customers can still withdraw, but the letter does not shorten the case, so file by the due date.

How long do I have to respond to an Amex dispute?

Use the due date on the case in Shopify, which can be 7 to 21 days with no extensions. A vendor article says American Express quotes 20 days, but it does not say which date that runs from. After the date passes, you cannot submit more evidence.

Should I answer an Amex inquiry?

Yes, fully and on time. An inquiry moves no money, and a vendor article says a sufficient, on time reply means no chargeback follows. A missing or weak reply can lead to a chargeback, so treat the inquiry as your best chance and send your strongest proof.

Can I refund an Amex dispute?

You can refund while it is an inquiry, and a full refund on an inquiry blocks a chargeback. Shopify does not allow a refund once a chargeback has begun. If the customer has a fair point, refund early, tell them in writing and keep the refund record.

What evidence works for goods not received on Amex?

Proof of delivery with the delivery date and the full shipping address, according to a vendor article. Add the order confirmation, your messages with the customer and your shipping policy. Shopify's suggested order is direct proof, acknowledgment, policy and context.

Does the Amex security code policy protect me from fraud disputes?

A vendor article says American Express changed its policy in April 2024 so that merchants are no longer liable for fraud disputes on approved transactions with a CID mismatch. We did not find Shopify guidance on it, so raise it with your processor and check American Express's terms.

Are there Canadian rules specific to Amex disputes?

We found no source that sets a Canadian rule on Amex disputes beyond Shopify's own process and American Express's terms, so we state none. Ask your processor or American Express for the current merchant terms if you need them, and keep a dated copy.

How does ChargeFix help with Amex chargebacks?

ChargeFix reads the order, addresses, tracking and refund data, flags missing proof and drafts the letter from verified facts. In Manual mode, the default, you check each draft and file it yourself. Auto mode is on Starter plans and above. It cannot speed up an American Express case.
