Supplement chargebacks: how UK Shopify stores handle health product disputes

ChargeFix guide cover with a shield icon: Supplement chargebacks: how UK Shopify stores handle health product disputes

A buyer opens a tub of your protein powder, tells you it "did nothing" and asks for a full refund. You say no. Eleven days later the bank writes, and the reason on the notice is "not as described". You have a delivery photo, an order and a product page that has changed twice since.

Supplement chargebacks are card disputes and inquiries over vitamins, protein, herbal products and other health products sold online, where the buyer says the product was not as described, did not work, was opened and unwanted, or never arrived. This guide shows UK Shopify merchants how to prevent supplement chargebacks, keep the records that decide them, answer each reason on the notice and handle the sensitive customer messages that come with health products, with templates, worked sums and a day-by-day plan.

The 30-second answer (TL;DR)

  • Supplement chargebacks usually come from the same four reasons as other goods: wrong description, not received, a refund the buyer has not seen and an unrecognised charge. Health products add two twists: "it did not work" complaints, and opened tubs you cannot resell.
  • Your product page is your main evidence in supplement chargebacks. Capture it with a date, keep the ingredient label photos and state plainly what the product is and is not. Avoid health claims you cannot support. The rules on claims were not covered in the sources we reviewed, so ask an adviser.
  • Keep batch and expiry records for every dispatch. A batch log, an expiry date and a photograph of the packed parcel answer many supplement chargebacks about condition and freshness.
  • UK rules give most distance buyers 14 days to cancel and a refund within 14 days of you getting the goods back or evidence of return. Exceptions for sealed goods that are unsealed were not verified in the extracts we reviewed, so check them before you refuse an opened-product return.
  • Customer messages about health can be sensitive. Include in a dispute response only what the reviewer needs, and leave out the rest.
  • Shopify gives you 7 to 21 days to respond, and the card review can take up to 75 days after you submit. Winning does not remove a dispute from your chargeback rate.
  • General information, not legal advice or medical advice. Where the sources we reviewed do not cover something, the post says so.

What causes supplement chargebacks?

Supplement chargebacks come from a mismatch between what the buyer expected and what arrived, from delivery problems and from refund friction. Health products add complaints about results, taste, side effects and opened tubs. Each needs its own evidence, so read the reason on the notice before you gather anything.

Most supplement chargebacks fit one of these patterns:

Cause What the buyer says What it looks like on the notice
Description "It is not what the page said" Not as described
Results "It did nothing" Often a description complaint, or a return and refund matter
Condition "It arrived damaged, leaking or out of date" Defective or damaged
Opened product "I tried it and do not want it" A return and refund matter
Delivery "It never arrived" Item not received
Refund "I sent it back and have no refund" Credit not processed
Unrecognised charge "I did not place this order" Fraud

The general process is in our Shopify chargebacks UK guide. This post covers what is different for health products.

A word on fairness. A buyer who says a supplement did not work is not making an accusation of fraud. They are describing their experience. Many supplements are bought on hope, and disappointment is common. Treat the first message as customer service, because most supplement chargebacks begin as a disappointed message. Do not argue about whether the product works in a dispute response. Stick to what you promised on the page and what you delivered.

How do you prevent supplement chargebacks with health claims and an ingredient label?

State what the product is, what it contains, how to take it, what you do not claim and how long it lasts. Show the ingredient label clearly. Avoid promises about outcomes that you cannot support. An honest page prevents disputes and gives you something dated to point to.

Prevention is the cheapest part of managing supplement chargebacks, and health product disputes ease when the page is honest. The product page does most of the work.

Page element What to include Why it helps
Ingredient label A clear photo of the label, with the full list Shows exactly what was sold
Serving and dose Suggested use as printed on the pack Avoids claims you cannot back
What it is Plain description: "protein powder, 30 servings" Stops content complaints
What it is not "Not a medicine. Not intended to diagnose, treat or cure." Sets realistic expectation
Allergens Clear allergen statement Prevents condition and safety complaints
Shelf life Typical best-before range on dispatch Prevents expiry disputes
Delivery and returns Link to your policy, including opened tubs Shows the terms

On health claims, be careful. The rules on what you can say about a supplement's effects were not covered in the sources we reviewed, so we do not set out what is allowed. Ask an adviser or check regulator guidance before you publish a claim. A claim that is not supportable is a risk in its own right, and it also makes a description dispute easy for the buyer to win.

Use this checklist when you publish or update a supplement page:

  • Is the ingredient label photo clear and current?
  • Is the suggested use as printed on the pack?
  • Is the allergen statement visible?
  • Are the health claims ones you can support?
  • Does the page say what the product is not?
  • Is the typical shelf life stated?
  • Does the page link to your returns policy, including opened goods?
  • Have I saved a dated capture of the page?

The dated capture matters most. Pages change, labels change and formulas change. If a buyer says the page promised something, a dated capture of the page as it was on the order date settles the question in seconds. Without it you are relying on memory.

What batch records should you keep for every supplement dispatch?

Keep a batch or lot number, the expiry or best-before date, the date packed, a photo of the packed parcel and the carrier proof of delivery. Together these answer questions about freshness, condition and what was sent. Record them at dispatch, not when the dispute arrives.

A batch log is the item most merchants lack when supplement chargebacks arrive. Keep it simple, in a spreadsheet or in the order notes.

Record What to capture Why it matters
Batch or lot number The number printed on the pack Links the order to a production run
Expiry or best-before The date on the pack Answers "it was out of date"
Packed date and packer Date and initials Shows who handled it
Packing photo The pack and label before sealing Shows condition at dispatch
Weight or count Number of units, weight if relevant Answers "something was missing"
Carrier and tracking Service and number Links to delivery proof
Delivery proof Photo or signature Answers item not received

Here is a short dispatch note you can copy into your order timeline:

DISPATCH RECORD
Order: [NUMBER]
Items: [PRODUCT, FLAVOUR, SIZE, QUANTITY]
Batch / lot: [NUMBER]
Best before: [DATE]
Packed: [DATE] by [NAME]
Packing photo saved: [YES / NO]
Carrier and service: [NAME / SERVICE]
Tracking: [NUMBER]

This takes under a minute per order if it is part of your pack routine, and it makes supplement chargebacks far easier to answer. It also helps if you ever need to recall a batch, a matter outside this post. Recall and reporting duties for supplements were not covered in the sources we reviewed, so ask an adviser what applies to you.

Delivery proof matters too. Royal Mail captures a photo on delivery for Tracked 24 and Tracked 48 where no signature is needed. Evri offers a Digital Signature add-on, at 60p when we checked, and the price may change. We have not verified DPD's proof options. Our guide to proof of delivery for Shopify chargebacks explains what each kind of proof shows.

What evidence answers a not as described reason in supplement chargebacks?

Match the pack to the reason, because supplement chargebacks differ by reason. Not as described needs the dated page and label. Item not received needs delivery proof. Credit not processed needs the refund record. Condition and expiry need the batch log and packing photo. Put the strongest exhibit first and keep the story short.

Shopify's help centre says Shopify Payments auto-fills order, addresses, tracking, IP, refund records, order history and previous disputes on the response form. Screenshots are preferred, labelled, strongest first. The supplement-specific proof is yours to add.

Reason on the notice Strongest evidence Supporting evidence
Not as described Dated product page, ingredient label photo Order confirmation, messages, packing photo
Condition or expiry Batch log, best-before date, packing photo Carrier damage notes, buyer photos
Item not received Carrier proof of delivery to the order address Tracking emails
Credit not processed Refund confirmation with date and amount Return tracking, policy
Fraud Order data, AVS and IP details, 3D Secure result Delivery proof, order history

Here is a template summary for a not as described dispute on a supplement:

Order [NUMBER], £[AMOUNT], placed [DATE], paid by [CARD TYPE].

Reason shown: not as described.

The product page on the order date described the item as [PRODUCT, SIZE], with the ingredient label and suggested use as printed on the pack (exhibit 1, page captured [DATE]). The order confirmation lists [FLAVOUR / SIZE] (exhibit 2).

The item came from batch [NUMBER], best before [DATE], packed on [DATE] (exhibit 3), and was delivered on [DATE] to the address on the order (exhibit 4). The buyer contacted us on [DATE] to say [SUMMARY]. We replied on [DATE] and offered [REFUND / RETURN / REPLACEMENT] (exhibit 5).

Keep claims in supplement chargebacks to what the exhibits show. Do not argue about whether the product works, and do not make comments about the buyer. If the buyer's complaint is about results, say what the page said, what was delivered and what you offered.

What should you do about "it did not work" complaints?

Reply kindly and promptly, say what your policy offers and keep your response to the facts of the order. A product that did not give the hoped-for result is not usually a defect, so do not treat it as a refusal case by default. Decide your policy in advance and apply it evenly.

This is the most delicate message in supplement chargebacks and health product disputes. The buyer is disappointed, perhaps embarrassed, and may be reaching the end of a long hope. A harsh reply creates a dispute that a kind one would not.

You have three honest routes, and you should choose one before the first complaint arrives:

  1. A money-back guarantee within a stated window. Write the window, the condition and the process on the page and in the confirmation. A guarantee is a promise, so keep it.
  2. A return policy that follows UK rules. Most distance buyers have 14 days to cancel. Opened goods may be treated differently. The exceptions were not verified in the extracts we reviewed, so ask an adviser.
  3. Goodwill decisions case by case. Flexible but unpredictable, and harder to defend if two buyers are treated differently.

Here is a reply template for a "did not work" message:

Hi [FIRST NAME],

Thank you for telling us, and I am sorry it has not worked as you hoped.

[If a guarantee applies:] Our [NUMBER]-day guarantee covers this. To start your refund, [STEPS]. We refund within [NUMBER] working days of receiving the product back.

[If not:] Our returns policy allows returns within [NUMBER] days of delivery for unopened items. Because this one has been opened, I can offer [OPTION]. If you would like to talk it through, reply and I will help.

[YOUR NAME]
[STORE NAME]

If the buyer mentions a side effect or a health concern, do not give medical advice. Say that you are sorry to hear it, suggest they speak to a pharmacist or doctor, and record the message. Whether you have a duty to report an adverse reaction was not covered in the sources we reviewed, so ask an adviser. Never use the buyer's health details in a dispute response unless the reviewer needs them to decide.

Can you refuse to refund an opened supplement?

Sometimes, but do not assume. UK rules give most distance buyers 14 days to cancel, and there are exceptions for certain goods. We did not verify how the exceptions apply to opened supplements, so check with an adviser. State your position in your policy before the order, not after the complaint.

This is where merchants most often go wrong in supplement chargebacks and supplement returns. They write "no refunds on opened products" in the footer and treat it as law. It may not be. The Consumer Contracts Regulations 2013 give most distance buyers a 14-day cancellation right, with a refund within 14 days of getting the goods back or evidence of return. The buyer pays return costs only if told beforehand. The rules on sealed goods that are unsealed after delivery were not verified in the extracts we reviewed.

Situation Safe position Risk
Unopened, within 14 days Refund on return Low
Opened, within 14 days, no seal exception verified Ask an adviser before refusing Medium to high
Opened, outside your window Apply your stated policy fairly Medium
Faulty or wrong item Refund or replace Low if handled quickly
Opened and the buyer reports a reaction Offer a refund, do not argue, record the message Handle with care

An opened-product policy that you cannot defend is a dispute waiting to happen. A card reviewer sees a buyer who asked for a refund and a merchant who refused on a footer line. If your policy is clear, dated and visible before the order, it helps. If it surprised the buyer, it hurts.

Consider the cost of arguing. A £35.00 tub refused, a dispute opened, an hour of your time at £25.00 and a possible loss of £35.00 plus a £10.00 fee. A goodwill refund costs £35.00 without the fee, the time or the mark on your chargeback rate. Many merchants decide a clear goodwill line is cheaper than a policy fight. Our post on used or worn goods returns covers how to explain a deduction or partial refund.

How do you keep health information out of dispute evidence?

Include only what the reviewer needs to decide. A buyer's message about their health may not be needed to show the product was delivered or as described. Summarise the relevant point in your own words, or attach only the part that matters, and redact the rest.

Health products attract sensitive messages, and supplement chargebacks often include them. A buyer may mention a condition, a medicine or a symptom while asking for a refund. That information is personal, and it may be more sensitive than ordinary order data.

Practical steps for health product disputes:

  1. Read the message before you attach it. Ask: does the reviewer need this to answer the reason?
  2. If the message includes health details that do not help, summarise instead: "The buyer told us the product had not given the result they hoped for."
  3. If you must attach the message, redact the health details with a solid fill and keep the redacted version.
  4. Store dispute packs in a folder with limited access, not in a shared inbox.
  5. Keep health-related messages no longer than you need.

How data protection rules treat health information was not covered in the sources we reviewed. Our guide to GDPR and sharing customer data in disputes explains the practical approach: share what answers the reason, redact the rest and tell customers in your privacy notice. Ask a data protection adviser whether health-related messages need extra care in your case.

What about subscriptions and repeat orders for supplements?

Repeat orders add a second layer to supplement chargebacks: "I did not know it would renew", "I cancelled" and "I did not order this month". Make the renewal clear before the first payment, send reminders, cancel promptly and keep the records. Subscription disputes are covered in our subscription boxes post.

Supplements are often sold on subscription, because buyers take them daily, and recurring payments widen supplement chargebacks. That brings a second set of reasons to the notice, including recurring payment complaints. Keep these basics in place:

  • The checkout states the price, the frequency and how to cancel.
  • The buyer agrees to renewal in a clear step, with a record of the agreement.
  • A reminder goes out before each renewal.
  • Cancellations are processed on the day they are received, with a written confirmation.
  • You keep the agreement, the reminders and the cancellation record for each subscriber.

We cover the full process in our subscription box chargebacks guide. The rule of thumb is the same: a buyer who understood what they agreed to rarely disputes it.

Which reasons do banks look at in supplement chargebacks?

In supplement chargebacks, banks and card companies read the reason on the notice and the evidence you attach to it. A clear answer to the stated reason, supported by dated documents, usually does better than a long account. They are not judging your product. They are checking whether the order was as sold and delivered.

We did not review the internal procedures of card companies or issuers, so this is a practical reading from Shopify's help centre and the general chargeback process described by UK Finance and MoneyHelper.

What a reviewer likely checks What helps you
Was the item described accurately? Dated page capture, label photo
Was it delivered? Carrier proof of delivery
Did the buyer try to resolve it with you? Messages showing your replies and offers
Was a refund promised or made? Refund confirmation, policy
Is the evidence clear and dated? Labelled exhibits, strongest first

MoneyHelper describes chargeback as a voluntary card-scheme arrangement, usually claimed within 120 days. UK Finance describes the time limit as counted from the transaction or the expected delivery. A supplement dispute can therefore arrive months after the order, when the batch has sold out and the page has changed. Your records must make sense to someone who was not there.

Shopify's help centre says you have 7 to 21 days to respond, and nothing can be added after the due date. If you submit nothing, Shopify's tools prepare a response. We did not verify whether a submitted response can be edited, so check completeness before you submit.

Quick rules for supplement chargebacks

Keep these near your desk. They sum up how to handle supplement chargebacks with a short, repeatable routine.

  1. Keep your product page honest, with the ingredient label visible, and capture it with a date.
  2. Avoid health claims you cannot support, and ask an adviser when you are unsure.
  3. Record the batch, best-before date and a packing photo for every dispatch.
  4. Decide your "did not work" policy before the first complaint, and apply it evenly.
  5. Do not treat "no refunds on opened products" as law. Check it, and state it before the order.
  6. Refund quickly and email the buyer the date and amount.
  7. Keep health details out of dispute packs unless the reviewer needs them.
  8. Log every dispute, including wins, because winning does not remove it from your chargeback rate.

How much do supplement chargebacks cost? Two worked examples

Supplement chargebacks cost the lost sale, the £10 fee when you lose, your time and a place in your chargeback rate. Better records cut the loss in health product disputes. The two examples below use invented numbers, so run them with your own.

Both examples are illustrations with invented numbers. The arithmetic is checked.

Example 1: batch records and a dated page. A store has 12 disputes a year at an average order of £42.00. Without records it wins 4 and loses 8. With a dated page capture, a batch log and a packing photo it wins 8 and loses 4. A lost case costs the £42.00 sale and the £10.00 fee. Time is valued at £25.00 an hour, at 1 hour a dispute without records and 0.75 hours with.

Item Without records With records
Disputes a year 12 12
Cases lost 8 4
Cost per lost case £52.00 £52.00
Loss from lost cases 8 × £52.00 = £416.00 4 × £52.00 = £208.00
Time cost 12 × 1.00 × £25.00 = £300.00 12 × 0.75 × £25.00 = £225.00
Total a year £716.00 £433.00

The records save £283.00 a year on these invented numbers. They also keep you further from your chargeback threshold.

Example 2: headroom against a chargeback rate. Visa's fraud threshold of $7,500 a month and the VAMP threshold of 1.5% from 1 April 2026, reported by the Merchant Risk Council, show that rates matter. How the scheme measures the rate was not covered in the sources we reviewed, so this example uses a simple version: disputes divided by transactions. A store has 800 transactions in a month.

Item Calculation Result
Threshold in disputes 800 × 1.5% 12 disputes
Current disputes 7 7
Current rate 7 ÷ 800 0.875%
Headroom 12 minus 7 5 disputes
Rate with 9 disputes 9 ÷ 800 1.125%

On this simple measure, the store has headroom for 5 more disputes before 12. It is not a prediction. Use your own transaction counts and check how your provider measures the rate. Winning does not remove a dispute from the rate, which is why preventing supplement chargebacks matters more than winning them.

Day-by-day plan: set up a supplement chargebacks routine in a week

You can have a sound routine for supplement chargebacks in a week, an hour or two a day. The plan covers the page, the batch log, the policy, the sensitive-message rule and the templates.

Day Task Output
Day 1 Audit your top five product pages against the checklist A list of gaps
Day 2 Fix the claims, add the label photos and allergen statements Updated pages
Day 3 Capture each page with a date and save it A page archive
Day 4 Start the batch and dispatch record, with a packing photo step A dispatch template
Day 5 Write the "did not work" policy and the reply template A policy and a reply
Day 6 Write the rule for health details in dispute packs A one-page rule
Day 7 Test the routine with an old order from start to finish A tested routine

Our chargeback SOP for small teams shows how to give each step an owner and a backup. Add the dispatch record and the health-detail rule to it, so they happen even when the usual person is away.

What's different for UK merchants

This section is general information, not legal advice or medical advice.

  • Cancellation: the Consumer Contracts Regulations 2013 give most distance buyers 14 days to cancel, with a refund due within 14 days of getting the goods back or evidence of return.
  • Return costs: the buyer pays return costs only if you told them beforehand.
  • Exceptions: the rules for sealed goods that are unsealed were not verified in the extracts we reviewed. Ask an adviser before you refuse an opened-product return.
  • Health claims and supplement rules: not covered in the sources we reviewed. Ask an adviser or check regulator guidance before you publish claims.
  • Supplement chargebacks: MoneyHelper describes chargeback as a voluntary card-scheme arrangement, usually claimed within 120 days.
  • Section 75: for credit card purchases between £100 and £30,000, the card company is jointly liable with the merchant. UK Finance gives a six-year time limit, so keep records for longer than you think.
  • Fees: on supplement chargebacks Shopify's UK fee for card chargebacks is £10, charged by your bank and returned if you win.
  • Shopify Protect: it covers eligible US stores on Shop Pay orders and does not cover UK stores, so supplement chargebacks fall on your own evidence.
  • Chargeback rate: winning does not remove a dispute from the rate. Visa's fraud threshold of $7,500 a month can lose the liability shift, and the Merchant Risk Council reports a VAMP threshold of 1.5% from 1 April 2026.
  • Weekends and bank holidays: we did not verify how they affect due dates. Respond early.

Common mistakes in supplement chargebacks

  1. Making supplement chargebacks easy to lose by publishing health claims you cannot support, which makes a description case easy for the buyer.
  2. Failing to capture the product page and label with a date.
  3. Not recording batch and best-before details at dispatch.
  4. Treating "no refunds on opened products" as law without checking.
  5. Replying to a "did not work" message with an argument instead of a route.
  6. Attaching a buyer's health details to a dispute pack when the reviewer does not need them.
  7. Letting subscription renewals surprise the buyer and add to supplement chargebacks.
  8. Refunding without emailing the buyer the date and the amount.

FAQ

What are supplement chargebacks?

Supplement chargebacks are card disputes and inquiries over vitamins, protein, herbal products and other health products, usually because the buyer says the item was wrong or different from the page, did not arrive, was out of date or has not been refunded. Match your evidence to the reason on the notice.

How do I stop supplement chargebacks?

Keep your product page honest, show the ingredient label, avoid health claims you cannot support and capture the page with a date. Record the batch, best-before date and a packing photo at dispatch, reply kindly to complaints and refund quickly with an email giving the date and amount.

Can I refuse a refund on an opened supplement?

Do not assume you can. UK rules give most distance buyers 14 days to cancel, and the exceptions for sealed goods that are unsealed were not verified in the extracts we reviewed. Ask an adviser, and state your policy before the order. A clear, visible policy helps if a dispute follows.

What evidence wins a not as described dispute on a supplement?

A dated capture of the product page, the ingredient label photo, the order confirmation, the batch log, a packing photo, delivery proof and your messages with the buyer. Answer the stated reason in the first lines and put the strongest exhibit first. Keep the account short and factual.

What if a buyer says the supplement did not work?

Reply kindly, say what your policy or guarantee offers and keep to the facts of the order. A disappointing result is not usually a defect, but a harsh reply creates a dispute. Decide your route before the first complaint and apply it evenly to every buyer.

What if a buyer reports a side effect?

Do not give medical advice. Say you are sorry to hear it, suggest they speak to a pharmacist or doctor and record the message. Whether you have a duty to report was not covered in the sources we reviewed, so ask an adviser. Keep health details out of dispute packs unless needed.

Should I include a buyer's health details in a dispute response?

Only if the reviewer needs them to decide. Usually they do not. Summarise the point in your own words, or redact the health details with a solid fill. Store the pack in a restricted folder. Our GDPR post explains the practical approach to sharing customer data in disputes.

How long do I have to refund a supplement return?

Under the Consumer Contracts Regulations 2013, most distance buyers must be refunded within 14 days of you getting the goods back or evidence of return. Many stores promise sooner. A refund sent late is a common cause of a credit not processed dispute.

Do supplement chargebacks count against my chargeback rate?

Yes. Winning does not remove a dispute from the rate. Visa's fraud threshold of $7,500 a month can lose the liability shift, and the Merchant Risk Council reports a VAMP threshold of 1.5% from 1 April 2026. Prevention protects both your margin and your standing.

Does Shopify Protect cover supplement chargebacks in the UK?

No. Shopify Protect is for eligible US stores on Shop Pay orders and does not cover UK stores. Shopify's help centre says Shopify is not liable for chargebacks, so you respond with evidence. Your protection is your page, your records and your process.
