Electronics chargebacks: how UK Shopify stores protect high-value orders

ChargeFix guide cover with a shield icon: Electronics chargebacks: how UK Shopify stores protect high-value orders

A £620.00 laptop leaves your warehouse on Monday. On Thursday the cardholder tells their bank they never ordered it, and the parcel shows as "delivered". The bank takes the money back, you have no laptop and the notice gives you a few days to respond. At that price, one dispute can erase the profit from dozens of ordinary sales.

Electronics chargebacks are card disputes over phones, laptops, cameras, audio gear and other high-value items sold online, usually because the cardholder says they did not place the order, the parcel did not arrive, the item was faulty or the item was not as described. This guide shows UK Shopify merchants how to prevent electronics chargebacks, build the evidence that decides them, choose delivery proof that fits the order value and respond to each reason on the notice, with templates, worked sums and a day-by-day plan.

Last updated: 9 October 2026. Written by the ChargeFix team.

The 30-second answer (TL;DR)

  • Electronics chargebacks cost more per case than most disputes, so a small amount of extra care at dispatch pays back quickly. Record the serial number, photograph the packed item and choose delivery proof that matches the value.
  • The reasons behind electronics chargebacks are familiar: unrecognised charge, item not received, faulty, and not as described. Fraud claims are more common on high-value goods, so order checks and delivery to the verified address matter.
  • 3D Secure shifts liability for fraudulent chargebacks only, not for goods that never arrived or were faulty. A Visa fraud threshold of $7,500 a month can lose the shift.
  • A signature or photo on delivery is the strongest answer to item not received. Royal Mail captures a photo on delivery for Tracked 24 and Tracked 48 where no signature is needed. Signature options differ by carrier.
  • Faulty goods are a rights question as well as a dispute question. The rules on repair, replacement and refund for faulty goods were not covered in the sources we reviewed, so ask an adviser and answer fault claims quickly.
  • Shopify gives you 7 to 21 days to respond, and the card review can take up to 75 days after you submit. Winning does not remove a dispute from your chargeback rate.
  • General information, not legal advice. Where the sources we reviewed do not cover something, the post says so.

From dispute to decision

Stage What happens What you do What you keep
Order High-value order is placed Check the order against the card and address Order data, risk notes
Dispatch You pack and ship Record the serial number, photograph the item and box Serial log, packing photos
Delivery Parcel arrives or does not Use signature or photo proof, track it Carrier proof of delivery
Complaint Buyer says faulty, missing or wrong Reply the same day, offer a route Messages, offers
Return Item comes back Check the serial number, photograph it Dated inspection photos
Dispute notice Bank or Shopify tells you Note the reason and due date The notice
Response You submit evidence Answer the stated reason, strongest first Dated copy of the response

Why are electronics chargebacks different from other disputes?

Electronics chargebacks are different because the value is high, the goods are easy to resell and the reasons are often fraud or fault. One lost case can cost several hundred pounds plus the £10 fee, and thieves target high-value goods. Records at dispatch matter more than for cheaper stock.

Three features make high-value electronics chargebacks harder than most:

  1. The loss per case is large. A £620.00 sale lost, plus the £10 fee, plus the goods if they were never recovered.
  2. Fraud claims are more likely. Stolen card details are used for goods that are easy to resell.
  3. Fault claims are technical. A buyer may say a device does not turn on, and you must decide fast whether it is a fault, a setup problem or something else.
Cause What the buyer says What it looks like on the notice
Unrecognised charge "I did not place this order" Fraud
Delivery "It never arrived" Item not received
Fault "It does not work" Defective
Description "It is not the model I ordered" Not as described
Refund "I returned it and have no refund" Credit not processed
Missing parts "The charger was not in the box" Not as described or incomplete

The general process is in our Shopify chargebacks UK guide. This post concentrates on what changes when the order is worth hundreds of pounds.

A note on tone. A cardholder who says they did not place an order may be the victim of a stolen card. Do not accuse the person. Present the facts of the order: what was ordered, where it went and what proof you hold. The reviewer decides.

How do you check a high-value order, including the address check, before you ship it?

Compare the billing and shipping addresses, look at the card checks on the order, and hold unusual orders for a quick review. A short check on orders above a value you set costs minutes and can prevent a loss of hundreds of pounds. Write the rule down so everyone applies it.

Checking is the cheapest control in electronics chargebacks, and high-value order disputes fall when the order checks are written down. You are looking for signs that the order may not be what it seems.

Signal Why it matters Suggested action
Billing and shipping addresses differ Common in gifts, also in stolen-card orders Check the order and contact the buyer if unsure
Address check (AVS) fails The card's billing address does not match Hold and check
New customer, large order, express shipping A pattern that deserves a look Hold for a quick review
Several orders in a short time on one card Possible card testing or reselling Hold and check
Free email address with an odd name Weak signal on its own Treat as one signal among others
Request to change the address after ordering Common in fraud, also in genuine moves Verify before changing

Shopify's help centre says Shopify Payments auto-fills order, addresses, tracking, IP, refund records, order history and previous disputes on the response form. So much of this data is already on file when a dispute arrives. We did not review how Shopify's fraud analysis scores orders or which checks it shows, so use the information your payment provider displays on the order and ask your provider what it offers.

Use this checklist for orders above your threshold:

  • Do the billing and shipping addresses match, or is there a clear reason they do not?
  • Did the address check pass?
  • Is this a new customer with a first large order?
  • Is express delivery requested?
  • Have I looked at the order history for this card or email?
  • If unsure, have I contacted the buyer at the email on the order?
  • Have I noted my decision and the time?

Contacting the buyer is a fair step. A genuine customer will usually reply within a day. Do not accuse. Say: "Before we dispatch, we check some larger orders. Please confirm the delivery address and the name on the card." If the buyer does not reply, you can cancel and refund. Keep the messages.

What does 3D Secure do for electronics chargebacks?

3D Secure shifts liability for fraudulent chargebacks only. If the cardholder authenticated the payment and later says they did not place the order, liability can move to the card issuer. It does not help with goods not received, faults or not as described. A Visa fraud threshold of $7,500 a month can lose the shift.

This is the extra step where a buyer confirms a card payment with their bank. For electronics chargebacks that claim fraud, it can be the strongest protection you have. For other reasons it does nothing.

Reason Does the extra step help? What does
Fraud (did not order) Can shift liability The 3D Secure result, order data
Item not received No Signature or photo proof
Faulty No Serial number, packing photo, messages
Not as described No Dated page capture, order record
Credit not processed No Refund record

Do not rely on the shift alone. A Visa fraud threshold of $7,500 a month can lose the liability shift, and the Merchant Risk Council reports a VAMP threshold of 1.5% from 1 April 2026. We did not review exactly how a threshold breach changes protection, so ask your payment provider. The practical lesson is to keep your overall dispute volume low, because 3D Secure only helps stores that stay inside the limits.

If your payment provider shows the authentication result on the order, screenshot it for every high-value sale. It belongs in a fraud response as exhibit one.

Which delivery proof fits a high-value parcel?

For high-value parcels, use a service that gives a signature or a photo at the door, and keep the proof. A tracking number shows a parcel moved. A signature or photo shows where it ended up. Choose by value: the higher the order, the stronger the proof.

Item not received is the dispute that good delivery proof wins, and it is the costliest of the electronics chargebacks. The proof options vary by carrier.

Proof What it shows Notes
Tracking scan to the address The parcel was delivered to a location Weakest if the buyer says it never arrived
Photo on delivery A photo of the parcel at the address Royal Mail captures a photo on delivery for Tracked 24 and Tracked 48 where no signature is needed
Digital signature A signature or name from the recipient Evri offers a Digital Signature add-on, at 60p when we checked, and the price may change
Signature by named recipient The buyer or their household signed Check the options with your carrier
DPD proof options Not verified We have not verified DPD's proof options

Our guide to proof of delivery for Shopify chargebacks explains what each kind of proof shows and what to attach.

A signature has costs. Buyers who are out cannot receive the parcel and may have to rearrange delivery or collect it. That can lower conversion and raise complaints. Set a value threshold, for example signature for orders above £250.00, and say so at checkout so the buyer expects it. The threshold is your choice, not a rule.

A delivery to the address on the order is the baseline. If the buyer asks you to change the address after the order, be cautious. A changed address with no verification is a weak position in a fraud dispute.

What should a dispatch record include for electronics chargebacks?

Record the serial number or IMEI, photograph the item in its box with the serial visible, photograph the sealed parcel with the label, and log the carrier and tracking number. These records answer fault, not as described and missing parts claims, and they show you sent the right item.

A dispatch record is the single most useful habit for electronics chargebacks and high-value order disputes. It takes a minute per order.

Record What to capture Why it matters
Serial number or IMEI The number from the device or box Links this unit to this order
Model and variant Colour, storage, region Answers "not the model I ordered"
Packing photo Item, accessories and box contents Answers "something was missing"
Seal photo Sealed box or tamper seal Shows condition at dispatch
Parcel photo The label and outer packaging Shows what was sent
Carrier and tracking Service and number Links to delivery proof
Packed date and packer Date and initials Shows who handled it

Here is a short record you can copy into the order timeline:

DISPATCH RECORD
Order: [NUMBER]
Item: [MODEL, VARIANT]
Serial / IMEI: [NUMBER]
Accessories included: [LIST]
Box sealed: [YES / NO]
Packing photos saved: [YES / NO]
Packed: [DATE] by [NAME]
Carrier and service: [NAME / SERVICE]
Tracking: [NUMBER]
Delivery proof: [SIGNATURE / PHOTO / SCAN]

For items worth hundreds of pounds, some stores film a short clip of packing, showing the serial and the box contents. Whether a card reviewer will watch a video was not covered in the sources we reviewed, and Shopify's help centre says screenshots are preferred. A clip is still useful to you in a conversation with a buyer or a carrier. For the response, take still frames with the serial visible and label them.

What evidence answers each reason in electronics chargebacks?

Match the pack to the reason in electronics chargebacks. Fraud needs the order data and the 3D Secure result. Item not received needs signature or photo proof. Faulty and not as described need the serial number and the packing photos. Credit not processed needs the refund record. Put the strongest exhibit first.

Reason on the notice Strongest evidence Supporting evidence
Fraud 3D Secure result, delivery to the verified address AVS and IP details, order history, messages
Item not received Signature or photo proof at the order address Tracking emails, address on the order
Defective Serial number, packing photo, messages offering repair or replacement Return inspection photos
Not as described Dated product page, model and variant on the order Packing photo showing the model
Credit not processed Refund confirmation with date and amount Return tracking, policy

Shopify's help centre says screenshots are preferred, labelled, strongest first. Here is a template summary for an item not received dispute on a high-value order:

Order [NUMBER], £[AMOUNT], placed [DATE], paid by [CARD TYPE].

Reason shown: item not received.

The order was dispatched on [DATE] with [CARRIER AND SERVICE], tracking [NUMBER] (exhibit 1). The carrier recorded delivery on [DATE] at [TIME] to the address on the order, with [SIGNATURE FROM [NAME] / A PHOTOGRAPH OF THE PARCEL AT THE DOOR] (exhibit 2). The delivery address matches the shipping address entered at checkout (exhibit 3). [The payment was authenticated with 3D Secure (exhibit 4).]

The serial number of the item sent was [NUMBER] (exhibit 5). The cardholder did not contact us about delivery before the dispute.

Keep electronics chargebacks responses to what the exhibits show. Do not guess what happened after delivery, and do not comment on the cardholder.

What should you do about faulty goods claims on a device?

Reply the same day, ask for a short description and photos or video, and offer a route quickly: a troubleshooting step, a repair, a replacement or a refund. Do not ignore the message. A fast, fair response keeps most fault claims away from the bank.

Faulty goods are a legal question as well as a dispute question, and a major share of electronics chargebacks come from fault complaints. The rules on repair, replacement and refund for faulty goods were not covered in the sources we reviewed, so we do not set out the buyer's remedies. Ask an adviser what applies, and do not tell a buyer that a manufacturer's warranty is their only right.

A simple process keeps you on the right side of the buyer and the reviewer:

  1. Reply within one working day, with an apology if it is warranted and a clear next step.
  2. Ask for a description, the serial number, and a short photo or clip of the fault.
  3. Offer simple troubleshooting where it makes sense, without making it a barrier.
  4. Offer a route: repair, replacement or refund, with a date.
  5. Send a prepaid return label if you will take the item back, and say who pays.
  6. Inspect the return the day it arrives, check the serial number and photograph it.
  7. Refund or replace promptly and tell the buyer the date.

Here is a reply template:

Hi [FIRST NAME],

Thank you for telling us, and I am sorry the [ITEM] is not working.

To help us sort this quickly, please reply with the serial number and a short photo or video of the fault. If you prefer, we can arrange a return straight away: I will email a prepaid label and, once the item reaches us, we will [REPLACE / REFUND] it within [NUMBER] working days.

[YOUR NAME]
[STORE NAME]

When the item comes back, check the serial number against your dispatch record. A mismatch is rare, but if it happens, do not accuse the buyer. State the difference and ask for an explanation, and take advice before you decide.

What about personal data on returned devices?

A returned phone, laptop or tablet may hold the previous owner's data. Do not browse it. Tell the buyer to reset the device before sending it back where possible, and set a rule for what staff do if a device arrives unlocked or with data on it. Ask an adviser how data protection rules apply.

Returned electronics are a privacy risk, and electronics chargebacks sometimes begin with a return. The personal data on a device is not yours to view, and a dispute pack should never include it. The rules on handling data found on returned devices were not covered in the sources we reviewed, so this section is practical guidance, not a legal opinion.

  • Tell buyers in your returns page to reset devices and sign out of accounts before returning them.
  • Do not open personal files or photos on a returned device.
  • If a device arrives unlocked with data visible, stop, close it and tell the buyer.
  • Follow your own written rule for resetting returned stock.
  • Never include screenshots from inside a returned device in a dispute pack.

Our guide to GDPR and sharing customer data in disputes explains how to keep dispute packs limited to what a reviewer needs.

How much do electronics chargebacks cost? Two worked examples

Electronics chargebacks cost the lost sale, the £10 fee when you lose, the goods if not recovered and your time. Signature proof and order checks cost little by comparison. The examples below use invented numbers, so run them with your own.

Both examples are illustrations with invented numbers. The arithmetic is checked.

Example 1: signature on delivery for high-value parcels. A store sends 300 orders a year with an average value of £380.00. Without signature proof, item not received disputes run at 6 a year, and half are lost. With signature proof, they fall to 2 a year, with the same loss rate. A lost case costs the £380.00 sale and the £10.00 fee. The signature add-on costs 60p a parcel. Time is left out to keep the sums simple.

Item Without signature With signature
Disputes a year 6 2
Cases lost (half) 3 1
Cost per lost case £390.00 £390.00
Loss from lost cases 3 × £390.00 = £1,170.00 1 × £390.00 = £390.00
Add-on cost £0.00 300 × £0.60 = £180.00
Total a year £1,170.00 £570.00

Signature proof saves £600.00 a year on these invented numbers. The sums ignore lost conversions from buyers who dislike signing, so test it.

Example 2: a review step on large orders. A store receives 25 orders a month above £500. A manual check takes 15 minutes each, with time valued at £25.00 an hour. One prevented fraud dispute on a £620.00 order saves the sale and the £10.00 fee.

Item Calculation Result
Review time a month 25 × 15 minutes 375 minutes, or 6.25 hours
Review cost a month 6.25 × £25.00 £156.25
Saving per prevented dispute £620.00 + £10.00 £630.00
Break-even £156.25 ÷ £630.00 0.25 disputes a month

On these numbers the review pays for itself if it prevents one dispute every four months. That is an assumption. If you have not been hit, you may not value it. Keep a log of orders you held, cancelled or found genuine, so you can see what the review does.

Quick rules for electronics chargebacks

Keep these near your desk. They sum up how to run electronics chargebacks and high-value order disputes with a short routine.

  1. Set a value threshold for order checks and write it down, so electronics chargebacks are met with the same rule every time.
  2. Compare addresses and read the address check result before you ship a large order.
  3. Record the serial number or IMEI and take a packing photo for every dispatch.
  4. Use signature or photo proof above your threshold, and tell buyers at checkout.
  5. Do not change a delivery address after the order without verifying it.
  6. Reply to fault messages the same day and offer a dated route.
  7. Do not accuse. Present the facts of the order and let the reviewer decide.
  8. Log every dispute, including wins, because winning does not remove it from your chargeback rate.
If the notice says First action
Fraud Pull the authentication result, address match and order data
Item not received Pull the signature or photo proof
Defective Pull the serial number, packing photo and your messages
Not as described Pull the dated page and the model on the order
Credit not processed Pull the refund record

Day-by-day plan: set up order checks and an electronics chargebacks routine in a week

You can have a sound routine for electronics chargebacks in a week, an hour or two a day. The plan covers order checks, dispatch records, delivery proof, fault handling and the response templates.

Day Task Output
Day 1 Set a value threshold for order checks and signature A written rule
Day 2 Write the order check checklist and the buyer contact message Checklist and template
Day 3 Create the dispatch record and packing photo routine A dispatch template
Day 4 Choose delivery services and proof for high-value orders A delivery rule
Day 5 Write the fault reply and the return inspection steps Two templates
Day 6 Write the response templates for fraud, item not received and fault Three templates
Day 7 Test the routine on an old order from start to finish A tested routine

Our chargeback SOP for small teams shows how to give each step an owner and a backup. Add the dispatch record and order check to it, so they happen even when the usual person is away.

What's different for UK merchants

This section is general information, not legal advice.

  • Cancellation: the Consumer Contracts Regulations 2013 give most distance buyers 14 days to cancel, with a refund due within 14 days of getting the goods back or evidence of return. The buyer pays return costs only if told beforehand, and risk passes to the buyer on delivery.
  • Faulty goods: remedies for faults were not covered in the sources we reviewed. Ask an adviser.
  • Electronics chargebacks: MoneyHelper describes chargeback as a voluntary card-scheme arrangement, usually claimed within 120 days.
  • Section 75: for credit card purchases between £100 and £30,000, the card company is jointly liable with the merchant. UK Finance gives a six-year time limit, which is relevant to higher-priced electronics.
  • Fees: on electronics chargebacks Shopify's UK fee for card chargebacks is £10, charged by your bank and returned if you win.
  • Authentication: 3D Secure shifts liability for fraudulent chargebacks only. Visa's fraud threshold of $7,500 a month can lose the shift.
  • Chargeback rate: winning does not remove a dispute from the rate. The Merchant Risk Council reports a VAMP threshold of 1.5% from 1 April 2026.
  • Shopify Protect: it covers eligible US stores on Shop Pay orders and does not cover UK stores.
  • Weekends and bank holidays: we did not verify how they affect due dates. Respond early.

Common mistakes in electronics chargebacks

  1. Letting electronics chargebacks run up losses by shipping a high-value order with only a tracking scan as proof.
  2. Not recording the serial number or IMEI at dispatch.
  3. Changing the delivery address after the order without verification.
  4. Relying on the authentication step for item not received or fault disputes, where it does not help.
  5. Ignoring a fault message for days, so it reaches the bank first.
  6. Accusing a cardholder of fraud instead of presenting the facts of the order.
  7. Opening or keeping data from a returned device.
  8. Refunding without emailing the buyer the date and the amount.

FAQ

What are electronics chargebacks?

Electronics chargebacks are card disputes over phones, laptops, cameras and other high-value items, usually because the cardholder says they did not order, the parcel did not arrive, the item is faulty or the item is not as described. Match your evidence to the reason on the notice.

How do I reduce electronics chargebacks?

Check large orders before dispatch, record the serial number, photograph the packed item, use signature or photo proof for high-value parcels and reply to fault messages the same day. Refund quickly and email the buyer the date and amount. Keep a dated copy of everything.

Does 3D Secure protect me on electronics chargebacks?

Only for fraud claims. It shifts liability for fraudulent chargebacks, but it does not help with item not received, faults or not as described. A Visa fraud threshold of $7,500 a month can lose the liability shift, so keep your overall dispute volume low.

What proof of delivery is best for high-value items?

A signature or a photo at the delivery address, plus the tracking record. Royal Mail captures a photo on delivery for Tracked 24 and Tracked 48 where no signature is needed. Evri offers a Digital Signature add-on at 60p when we checked. We have not verified DPD's proof options.

Should I ask for a signature on every parcel?

Not necessarily. A signature protects you but can annoy buyers who are out, so set a value threshold such as £250.00 and tell buyers at checkout. Test the effect on conversion. The threshold is a business choice, not a rule.

What if a buyer says the device is faulty?

Reply the same day, ask for the serial number and a photo or video of the fault, and offer a route with a date: repair, replacement or refund. The rules on faulty goods were not covered in the sources we reviewed, so ask an adviser. Inspect the return on arrival.

What evidence wins an item not received dispute on a laptop?

Signature or photo proof at the order address, tracking, the matching shipping address, the serial number and your dispatch photos. Answer the stated reason in the first lines and put the strongest exhibit first. Keep the account factual and do not comment on the cardholder.

Should I contact a buyer before shipping a large order?

Yes, if the order shows warning signs such as mismatched addresses, a failed address check or a first large order with express shipping. Ask politely for confirmation of the address and name on the card. Keep the messages. If there is no reply, you can cancel and refund.

Do electronics chargebacks count against my chargeback rate?

Yes. Winning does not remove a dispute from the rate, so every case counts even when you win it. The Merchant Risk Council reports a VAMP threshold of 1.5% from 1 April 2026. Preventing disputes protects both your margin and your standing with your payment provider.

Does Shopify Protect cover electronics chargebacks in the UK?

No. Shopify Protect is for eligible US stores on Shop Pay orders and does not cover UK stores. Shopify's help centre says Shopify is not liable for chargebacks, so you respond with evidence. Your protection is your order checks, your dispatch records and your delivery proof.
