A customer orders on Monday, hears nothing for ten days and files a dispute. Your parcel was on its way the whole time. Which email would have stopped it?
Shipping emails that prevent disputes tell the customer three things at the right time: what they bought, when it will arrive and how to reach you. Send an order confirmation at once, a shipping email with tracking, a delay notice when plans change and a delivery follow-up. Each is a cheap record that also helps in a dispute.
This guide is for you if:
- You run an Australian Shopify store and have had a "product not received" or "unrecognised" dispute.
- Your order confirmation and shipping emails are still the default ones, or you have never read them as a customer.
- You want copy-ready wording that is calm, clear and honest.

The 30-second answer (TL;DR)
- Most avoidable disputes start with silence. A customer who does not know where an order is will ask the bank, not you.
- Shopify's prevention guidance lists receipts at payment, accurate delivery estimates, tracking and delivery confirmation, contacting customers about delays and easy contact details.
- Send five emails: order confirmation, shipping with tracking, delay notice when needed, delivery follow-up and refund confirmation.
- Every email should repeat your store name, the order number and a support contact.
- The emails you send are also evidence. Shopify lists customer communication among the proof that supports a response.
- Keep a copy of each email template and when it was in use, so you can show what the customer was told.
Do this today (10 minutes):
- Place a test order and read your order confirmation as a customer would.
- Check that the shipping email has a working tracking link and a delivery estimate.
- Write down the one thing a nervous customer would still not know.
The templates later in this guide fill most gaps you will find.
From dispute to decision
| Stage | What the customer needs to hear | Your email |
|---|---|---|
| Order placed | "We have it, here is what you bought" | Order confirmation |
| Packed and sent | "It is on its way, here is the tracking" | Shipping email |
| Running late | "Here is what changed and what happens next" | Delay notice |
| Delivered | "It should be with you, tell us if not" | Delivery follow-up |
| Refund or replacement | "It is sorted, here is when" | Refund confirmation |
Why do order confirmation and shipping emails prevent disputes?
Order confirmation and shipping emails prevent disputes because they answer the questions a worried customer would otherwise take to their bank. Where is my order? What did I buy? Who do I ask? If your emails answer these before the customer asks, the dispute never starts.
Shopify's help pages say customers are expected to contact the merchant before they dispute. That only works if the customer knows how. A confirmation email with a support contact, and a shipping email with a tracking link, gives them a first step that is easier than calling the bank.
The Shopify prevention page lists the habits that help: give customers receipts at payment, ship quickly, set accurate delivery estimates, provide tracking and delivery confirmation, contact customers if there is a delay, make your contact details easy to find and keep a clear return policy. Most of those are things you say in an email. So the emails are not decoration. They are a prevention system.
They are also a record. Shopify lists customer communication among the evidence that supports a response, along with tracking and fulfilment details. An email that said "arrives by Friday 20 November" and a tracking page that shows delivery on Thursday 19 November make a tidy, believable story.
A quick story (illustration). Hannah sells ceramics from Hobart. A customer in Darwin orders a A$150 vase on Monday 9 November 2026. The default confirmation says "Your order is confirmed" and nothing else. The parcel is delayed in transit. After ten days of silence, the customer assumes the store has vanished and files a Product not received dispute. Hannah loses A$150 plus the A$25 fee, even though the vase arrives two days later. A delivery estimate in the confirmation and a delay notice on day six would have cost her ten minutes and kept the sale.
What should an order confirmation email say?
Order confirmation emails are the first of your shipping emails in the customer's mind, because they start the story.
An order confirmation email should say what was bought, what was paid, when it will arrive, how the charge will appear on the statement and how to get help. It is the receipt and the first promise, and it is the email customers search for most often.
Here is the full list for your order emails, in the order a customer looks for it.
| Item | Why it matters |
|---|---|
| Store name and order number | Lets the customer match the order to the charge |
| Items, quantities and photos | Shows exactly what was bought |
| Total, shipping and tax | Matches the amount on the statement |
| Delivery estimate | Sets the expectation you will be judged on |
| Billing descriptor line | Connects the statement to your store |
| Delivery address | Lets the customer catch an error early |
| Return policy summary and link | Shows the terms agreed at purchase |
| Support contact | Gives the first call a place to go |
I could not verify which of these fields Shopify's default notification templates already include, or exactly how much you can edit, so open your own templates and check. Whatever you find, the goal is the same: a customer can answer every question above by reading one email.

Subject: Your [Store name] order #[number] is confirmed
Hi [first name],
Thanks for your order. Here is what happens next.
WHAT YOU ORDERED
[Item, quantity, price]
Total paid: A$[amount] (includes A$[shipping] shipping)
WHEN IT WILL ARRIVE
We will pack your order within [x] business days. Estimated
delivery: [date range] to [suburb, state].
YOUR CARD STATEMENT
This charge will appear as "[descriptor]".
NEED HELP?
Reply to this email or call [number], [hours]. We will answer
within [x] business day(s).
RETURNS
[One-line summary]. Full policy: [link]
[Store name]
Keep the subject line plain. A customer searching their inbox for the order number or the store name should find it in a second.
What should shipping emails say?
Shipping emails should say that the order has left you, who is carrying it, how to track it and when it is expected to arrive. A good shipping email replaces the "where is it?" question with a link, and the best shipping emails do it in three lines.
| Item | Why it matters |
|---|---|
| "Your order has shipped" in the subject | The customer knows at a glance |
| Carrier name | Shows who has the parcel |
| Tracking link and number | Lets the customer check without asking |
| Delivery estimate, updated | Resets expectations to the real date |
| Items in this shipment | Avoids confusion in split orders |
| Address, with a prompt to check it | Catches mistakes before delivery |
| Support contact | Gives a place to go if tracking stalls |
If an order ships in more than one parcel, say so. A customer who receives half an order and has not been told to expect a second parcel is a typical source of "not received" and "not as described" disputes.

Subject: Your [Store name] order #[number] has shipped
Hi [first name],
Good news: your order is on its way.
CARRIER: [name]
TRACKING: [number] [tracking link]
ESTIMATED DELIVERY: [date range]
SENT TO: [address]
In this parcel: [items]
[If split: "The rest of your order will follow in a second
parcel. We will email you its tracking separately."]
Please check the address above. If anything is wrong,
reply today and we will try to fix it before it arrives.
Questions? Reply here or call [number].
[Store name]
The reminder to check the address is not decoration. A wrong address caught on the day of dispatch is a reroute. Caught after a missed delivery, it is a dispute.
What is the best email timeline from order to delivery?
The best email timeline is five messages, each tied to a moment when the customer wonders what is happening. You do not need to flood their inbox with order emails. You need to be there when they look.
| Moment | When to send | |
|---|---|---|
| Order placed | Order confirmation | Immediately |
| Packed and handed over | Shipping email with tracking | Same day as dispatch |
| Past the delivery estimate, or stalled | Delay notice | As soon as you know |
| Tracking shows delivered | Delivery follow-up | Within a day |
| Refund or replacement agreed | Refund confirmation | Immediately |
A day-by-day example
Take an order placed on Monday 9 November 2026 with a delivery estimate of Friday 20 November.
| Day | Date | What happens | |
|---|---|---|---|
| Monday | 9 Nov | Order placed | Order confirmation |
| Wednesday | 11 Nov | Packed and handed to the carrier | Shipping email with tracking |
| Wednesday | 18 Nov | Tracking has not moved for three days | Delay notice |
| Friday | 20 Nov | Promised date, parcel still in transit | Update with new estimate |
| Tuesday | 24 Nov | Tracking shows delivered | Delivery follow-up |
Sending the delay notice on Wednesday 18 November, two days before the promised date, is the key move. The customer hears it from you first, and your inbox now holds a dated record that you told them.
How do you write a delay notice that calms a customer?
A delay notice should say what happened, the new estimate, what you are doing and how to reach you, in four to six plain sentences. Do not apologise three times and do not hide behind the carrier. Customers forgive delays more easily than silence.
DELAY NOTICE TEMPLATE (illustration)
Subject: An update on your [Store name] order #[number]
Hi [first name],
Your order has been delayed. The carrier's tracking shows it
has not moved since [date]. We are sorry about that.
NEW ESTIMATE: [date range]
TRACKING: [link]
WHAT WE ARE DOING: [we have contacted the carrier / we will
send a replacement if it has not arrived by [date]]
If you would rather cancel and have a full refund, reply to
this email and we will do it today.
[Name], [Store name], [phone]
The last line matters. An easy exit often keeps the sale and always keeps the dispute out of the bank. A customer who knows they can get a refund by replying has no reason to call anyone else.
What a delay notice is worth
Illustration 1: the cost of one silent delay. A customer's A$150 order is late. With no email, they dispute on day 12. If you lose, you are out A$150 plus the A$25 fee, so A$175, and you spend perhaps 60 minutes on the response at A$40 an hour, so A$40 more. Total: A$215.
With a delay notice, suppose the customer waits and the parcel arrives. You spent ten minutes writing and sending the notice, so A$7 of time. If the customer asks for a refund instead, you refund A$150, and you keep the A$25 fee and the dispute off your rate. Even the worst case is better than the lost dispute.
| Path | What it costs |
|---|---|
| Silent delay, dispute, loss | A$150 order + A$25 fee + about A$40 time = A$215 |
| Delay notice, customer waits | About A$7 in time |
| Delay notice, customer asks for a refund | A$150 refund + about A$7 time = A$157 |
These numbers are an illustration. The shape holds for most stores: telling the customer early costs a few minutes, and silence costs the order, the fee and the lost time.
How should you write the subject lines of shipping emails?
Write subject lines that a customer can find months later, with the store name, a plain statement and the order number. Clever subject lines look good in a campaign and fail in a dispute, because nobody can search for them.
| Weak subject | Better subject | |
|---|---|---|
| Order confirmation | Thanks for shopping with us! | Your Hannah's Ceramics order #1043 is confirmed |
| Shipping email | It's on its way! | Your order #1043 has shipped: tracking inside |
| Delay notice | Quick update | An update on your order #1043 |
| Delivery follow-up | How did we do? | Your order #1043 shows as delivered |
| Refund confirmation | Sorry to see you go | Your refund for order #1043 |
Plain subjects help in two ways. They survive an inbox search, and they work as labels when you screenshot them for a response. Your shipping emails and order emails should look like the records they are.
Keep the sender name steady too. A customer who sees "Hannah's Ceramics" in the inbox on Monday and "Orders Team" on Wednesday may think the second email is spam. Pick one name, use it in every email template and match it to the name on your billing descriptor.
What should shipping emails say for remote and international orders?
For remote and international orders, shipping emails should give a longer, honest estimate by region, name any handover between carriers and say what the customer may be asked to pay or do on arrival. Distance is where silence hurts most, because a customer in a remote town or another country has more days to worry.
Give a range, not a date, and explain what could change it. For overseas orders, mention customs and say that the local carrier will take over. If you cannot promise a date, say when you will next update. A message such as "your parcel is with the overseas carrier; we will email you again on Friday 20 November" turns a long wait into a plan.
Think about the time it takes a customer to lose patience. Stripe says card disputes can typically be filed for about 120 days, and Pay Advantage advises keeping records for 12 to 18 months. A parcel that takes four weeks leaves plenty of time for a customer to give up and dispute, so the middle of the journey is where your emails earn their keep.
Illustration 2: a remote order, with and without a mid-journey email. A customer in regional Western Australia orders A$220 of homewares. The parcel takes 18 days. With one mid-journey shipping email at day 8, saying where it is and when to expect it, the customer waits. Without it, suppose the customer disputes at day 14. You risk A$220 plus the A$25 fee, so A$245, against five minutes spent writing one email. The figures are an illustration, but the proportion is typical.
What should a delivery follow-up say?
A delivery follow-up should confirm that the parcel shows as delivered, invite the customer to report a problem and point them to your support contact. It catches the "I never got it" case while you can still fix it cheaply, and it creates a record that you asked.
DELIVERY FOLLOW-UP TEMPLATE (illustration)
Subject: Your [Store name] order #[number] shows as delivered
Hi [first name],
The carrier shows your order as delivered on [date] to
[address, as shown in tracking].
If it hasn't arrived, or something isn't right, reply here
and we will sort it out. Please check with neighbours and
household members first, as parcels are sometimes left in a
safe place.
[Name], [Store name], [phone]
If a customer replies "I did not get it," act the same day. Check the carrier's proof, contact the carrier and decide whether to resend or refund. A customer who gets an answer in hours rarely calls the bank.
If they do not reply, you still have a dated email showing that you asked, which sits well beside the tracking page.
What should a refund confirmation say?
A refund confirmation should say the amount, the date, how long the money usually takes to appear and which charge it relates to. Credit not processed disputes often start when a customer has been promised a refund and cannot see it.
REFUND CONFIRMATION TEMPLATE (illustration)
Subject: Your refund for order #[number]
Hi [first name],
We have refunded A$[amount] to the card you used, on [date].
Your bank may take [x] business days to show it, and it may
appear as "[descriptor]" with a minus sign.
If you don't see it by [date], reply here and we will help.
[Name], [Store name]
I could not verify exactly how long Australian banks take to show a refund, so I have left the number for you to fill in from your own experience. One related note from Stripe's documentation: once a dispute is open, you cannot refund the same payment outside the dispute process, so refund before the customer files if you plan to refund at all.
Which email lines belong in every message?
Four lines belong in every email: your store name, the order number, the support contact and a one-line summary of what happens next. Put them in the header or footer of every template so you do not have to remember.
| Line | Example |
|---|---|
| Store name | Hannah's Ceramics |
| Order number | Order #1043 |
| Support contact | Reply here or call 03 5555 0000, Monday to Friday |
| What happens next | We will email you when it ships |
The support contact is the most important one. If a customer has to hunt for it, they will find the bank's number first. Make the support contact visible, give it a response time, and keep that promise.
Two more lines help in the right stores. A return policy summary tells the customer what they agreed to. And a billing descriptor line connects the statement to your name. The guide on clear billing descriptors covers the second one in detail.
How do you set up your email templates in an afternoon?
You set up your shipping emails and other templates by reading the default ones, filling the gaps from the checklist and saving a dated copy. Plan about an hour per template, and test each on a real order.
EMAIL TEMPLATE CHECKLIST
[ ] Store name and order number in every email
[ ] Order confirmation: items, total, estimate, descriptor, contact
[ ] Shipping email: carrier, tracking link, updated estimate
[ ] Delay notice written and saved, ready to send
[ ] Delivery follow-up written and saved
[ ] Refund confirmation written and saved
[ ] Return policy summary in the confirmation
[ ] Test order placed, every email read on a phone
[ ] Dated copy of each email saved to the evidence folder
Read each email on your phone. Most customers do. A tracking link that is buried or a table that breaks on a small screen defeats the purpose.
I could not verify how many of these emails Shopify sends automatically and which you must create yourself, such as the delay notice. Check your own notification settings and, if a message is missing, send it by hand or with your support inbox.
Save a dated copy of every template. When a dispute arrives, you want to show exactly what the customer was told at the time of purchase, not what your templates say a year later.
How do your emails help when a dispute arrives?
Your shipping emails and order confirmation emails help by showing the card company what the customer was told and when. Shopify lists customer communication among the evidence that supports a response, and the pattern is clear for the common reasons.
| Dispute reason | Emails that help |
|---|---|
| Product not received | Shipping email with tracking and estimate, delivery follow-up, any delay notice |
| Unrecognised | Order confirmation with the descriptor line, shipping emails to the billing address |
| Product unacceptable | Order confirmation with item details and return policy, support replies |
| Credit not processed | Refund confirmation with date and amount |
| Subscription cancelled | Renewal reminders, cancellation reply |
| Duplicate | Two separate order confirmations with different items |
Label each email, use screenshots rather than links, and keep the dates visible. The response should read like a short story: the customer ordered on this date, was told this, received this and was offered this help.
A dated plan for the response
A dispute is filed on Wednesday 2 December 2026, with a due date of Wednesday 16 December 2026 (14 days, within the usual 7 to 21).
| Day | Date | Action |
|---|---|---|
| Wednesday | 2 Dec | Alert arrives. Find the order and every email sent |
| Thursday | 3 Dec | Screenshot emails, tracking and delivery proof |
| Monday | 7 Dec | Draft the response, lead with the email timeline |
| Wednesday | 9 Dec | Second read, fill gaps |
| Friday | 11 Dec | Submit, save a copy |
| Wednesday | 16 Dec | Due date, nothing left to do |
Shopify says it submits your response on the due date even if you added nothing, and Pay Advantage says missing the deadline almost always means a loss. So the screenshots on Thursday matter more than the polish on Monday.
How do you check that your emails are working?
You check your shipping emails by reading your disputes. Count how many disputes, by reason, came from orders where the customer had no tracking, no estimate or no reply, and see whether that number falls after you fix the emails.
| Question | Where to look |
|---|---|
| Are "not received" disputes falling? | Your dispute list by reason |
| Do customers reply to the contact line? | Your inbox |
| Do they say they did not get a tracking email? | Support replies |
| Are delay notices going out in time? | A weekly check of stalled tracking |
Once a week, scan your open orders for tracking that has not moved. Those are the customers who need a delay notice today. A twenty-minute weekly check is worth more than a perfect template.
Remember that Shopify measures the chargeback rate by disputes filed, not by outcomes. A won dispute still counts, so good shipping emails matter even when you are good at fighting.
What is different for Australian merchants?
General information, not legal advice.
Fees and timing
On Shopify Payments in Australia, the chargeback fee is A$25, returned if you win. You usually have 7 to 21 days to respond, and the card company's review can take up to 75 days after you submit. The emails you send in the first days are what you will rely on later.
Records and time limits
Pay Advantage, an Australian payments provider, advises keeping records for 12 to 18 months and tailoring evidence to the dispute. The ACCC notes that time limits may apply when consumers raise problems with online purchases. Keep your order emails and tracking records for at least that long.
Distance and delivery times
Australian delivery times vary a lot by postcode, so a single nationwide estimate can mislead. If you ship to remote areas or overseas, give a range by region and update it when you know more. Stripe says card disputes can typically be filed for about 120 days, so a very long delivery time is a risk worth planning around.
Card costs
The NAB page I read says surcharging on debit, prepaid and credit cards ends from 1 October 2026, with lower interchange caps on foreign-issued cards from 1 April 2027. These affect your card costs, not your dispute process.
What I could not verify: which notification emails Shopify sends by default and which fields you can edit, how long Australian banks take to show refunds, how Australian consumer law applies to delivery delays on your products, and a published win rate for not-received disputes.
What are the common mistakes with shipping emails?
- Sending only the default order confirmation and no shipping emails at dispatch.
- Giving a delivery estimate that the carrier cannot meet.
- Burying the tracking link, or sending a link that does not work.
- Staying silent when tracking stalls.
- Leaving the contact line out, or answering it days later.
- Not saying when an order ships in more than one parcel.
- Failing to save dated copies of the shipping emails and other templates.
- Promising a refund without a confirmation email.
- Assuming a won dispute removes it from your chargeback rate.
Frequently asked questions
Which shipping emails help prevent disputes the most?
The order confirmation and the shipping email do most of the work, because they answer the questions customers ask first: what did I buy, and where is it? A delay notice and a delivery follow-up add the most when something goes wrong. Add a refund confirmation whenever you refund, so the customer can see it.
What should a shipping email include?
State that the order has shipped, name the carrier, give a working tracking link and number, show an updated delivery estimate and list the items in the parcel. Remind the customer to check the address and give a contact line. If an order ships in several parcels, say so, to avoid not-received claims.
How soon should I send a delay notice?
As soon as you know. Send it when tracking stalls or the promised date is at risk, ideally before the customer has to ask. A notice two days before the promised date is worth far more than an apology after it. Give a new estimate and an easy way to cancel or contact you.
Do shipping emails count as evidence in a dispute?
They can. Shopify lists customer communication, tracking and fulfilment details among the evidence that supports a response. An email with the tracking link and estimate, plus a delivery scan, tells a clear story. Take screenshots rather than sending links, label them and keep the dates visible.
Should I include my return policy in the order confirmation email?
Yes, at least a one-line summary with a link. It shows the terms the customer agreed to at purchase, and it answers the question many customers have before they think of a dispute. Shopify's prevention guidance recommends a clear return policy. Save a dated copy of the policy as well.
How do I stop customers saying they never got a tracking email?
Make the shipping emails obvious, keep the sender name recognisable and mention the order number in the subject. Include the tracking on the order status page too. When a customer says they never got it, resend it and ask them to check junk mail. Keep a log that shows the email was sent.
Can an email template reduce unrecognised charge disputes?
Yes. Add a line to the confirmation and shipping emails that states how the charge will appear on the statement, using the same words as your billing descriptor. A customer who searches their inbox for the strange name will find your email in seconds and call you before the bank.
How long should I keep order and shipping emails?
Pay Advantage advises keeping records for 12 to 18 months. Stripe says card disputes can typically be filed for about 120 days, and some payment methods allow longer. Keep the order emails, tracking records and a dated copy of each template for at least that long, filed by order number.
What if the customer says the parcel was delivered but never arrived?
Check the tracking scan and the address, then reply the same day. Contact the carrier, ask the customer to check neighbours and household members, and decide whether to resend or refund. If a dispute follows, send the delivery scan, the address match and your emails, which show you responded quickly.
Does winning a dispute lower my chargeback rate?
No. Shopify says the chargeback rate is based on the disputes filed, not on the outcomes, so a won dispute still counts. You get the amount and the A$25 fee back, but the filing remains on your rate. Good shipping emails that prevent the dispute are the only way to protect it.
