How to respond to an incorrect account details dispute: find who made the error and prove the right account was charged

ChargeFix guide cover with a shield icon: How to respond to an incorrect account details dispute

Wrong account number. Wrong details. A bank says your payment was tied to the wrong account, and you are not sure whether the mistake was yours or the customer's.

To respond to an incorrect account details dispute, first work out who entered the details, and where. Then send the transaction record, payment checks, proof the customer entered them and their messages. If your team made the mistake, say so and fix it quickly.

This guide is for you if:

  • A dispute mentions incorrect or wrong account details and you are not sure what it means.
  • You take card or bank payments, and sometimes key details in by hand.
  • You want a simple routine that stops wrong-number errors turning into disputes.

The 30-second answer (TL;DR)

  • This is a data-error complaint, not a product complaint: the account or number on the payment is said to be wrong.
  • It is not one of Shopify's eight reasons. The card version most likely arrives as General.
  • There is no plain public definition, so use the nearby codes as a guide: Visa 12.4, Mastercard 4812, Amex P01 and P22.
  • Your first question is who typed the details: the customer, your team or a stored card.
  • Evidence that helps: the transaction record, payment checks, proof of entry and the customer's own confirmation.
  • If the slip was yours, admit it and fix it. Read back the last four digits on every phone order.

Do this today (10 minutes):

  1. Open the transaction and note the card brand and last four digits.
  2. Check whether the customer typed the details or your team did.
  3. Ask the customer to confirm the last four digits.

Their reply often settles the whole case.

From dispute to decision

Stage What happens Your move
Day 0: dispute lands The amount and fee come out of your balance Read the reason, the amount and the due date
Days 1 to 3 You work out whose error it was Pull the transaction record and the payment checks
Days 4 to 8 Gaps get filled Ask the customer, save the messages
Before the due date You respond or accept Submit a finished file early
After you respond The bank reviews, up to 75 days on Shopify Payments Keep your records and fix the cause

A quick story (illustration). Priya runs a tea shop and takes a few phone orders. She keys in a card, reads back nothing, and ships an A$190 order. Weeks later the bank questions the payment. The card belonged to the customer's partner, and the customer never meant to use it. Priya's file shows the order, the delivery and her call note, but not a read-back. She sends a kind message, the customer confirms the partner agreed, and the case closes. Next time she reads back the last four digits and the name on the card, and writes both on the order.

What does an incorrect account details dispute mean?

An incorrect account details dispute says the payment was tied to the wrong account, or to details that do not match a real account. It is a data-error complaint, not a product complaint. Nobody publishes a plain definition, but the card networks have codes that name the same error, and they show what a bank reviewer has in mind.

Stripe lists incorrect_account_details among its dispute reason values, beside fifteen others such as general, insufficient_funds and debit_not_authorized. It does not explain each one. Its categories page maps the closest card codes into its General category, and the table shows them.

Network Code Label on Stripe's page What it points at
Visa 12.4 Incorrect Account Number The account number on the transaction is wrong
Visa 12.7 Invalid Data The transaction data is invalid
Mastercard 4812 Account number not on file The account number does not match one on file
American Express P01 Unassigned Card Number The card number is not assigned to any account
American Express P22 Non-Matching Card Number The card number does not match the one on the original charge

These are descriptions of the labels, not network definitions. A wrong account number chargeback on a card would sit in this group. What matters for you is the pattern: all of these name an error in the data, not a complaint about the product. That shapes how you respond to an incorrect account details dispute from the first message.

Is an incorrect account details dispute one of Shopify's chargeback reasons?

No. Shopify's reasons page lists eight: Fraudulent, Unrecognised, Duplicate, Subscription cancelled, Product not received, Product unacceptable, Credit not processed and General. Incorrect account details is not among them. A card dispute about a wrong or missing account number most likely arrives under General.

I say "most likely" because Shopify does not publish its code mapping. Stripe's categories page puts all of the codes above into General, and Shopify defines General as a chargeback that "doesn't fit into one of the other categories". The two facts fit, but I have not seen Shopify say so. If your notice says General, read the details carefully. The guide on how to respond to a general dispute shows how to find the real claim.

The other place you might meet this reason is on the bank side, in a bank debit dispute. Stripe's Australian BECS Direct Debit page says the business must collect the account holder's name, the BSB and the account number, and that the customer accepts a service agreement. The page does not describe a dispute reason for a wrong BSB or account number, and Stripe says BECS Direct Debit disputes are final and cannot be appealed. If you see an incorrect account details dispute on a bank debit, or an account number not on file notice, treat it as a conversation with the customer first. The guide on the debit not authorised reason covers that case.

Who made the error behind an incorrect account details dispute?

Start with one plain question: who typed, read out or stored the details? Nearly every case fits one of six everyday scenarios. Find yours in the table, send what the third column says, and copy the line in the fourth into your cover note. This is the triage step for any incorrect account details dispute, including a wrong account number chargeback or an account number not on file notice.

Scenario What happened What to send One line for your cover note
1. Customer typed it wrong A typo in the card number, or in the BSB and account number Checkout record, confirmation email with the last four digits, any customer reply "The customer entered the details at checkout on [date] and was sent a confirmation showing the last four digits."
2. Your team keyed it in A phone or email order with card details entered manually Call note, the correction or refund record, a short honest explanation "Our team entered the details on the customer's call. One digit was misread. We refunded A$[amount] on [date]."
3. A stored card went stale The card was reissued, closed or replaced since the customer saved it The earlier order where the customer saved the card, the wording they agreed to "The customer saved this card on [date] for future orders and has since been sent a new card."
4. Someone else's card The account holder is a partner or parent, not the person who ordered Name on the payment, order contact, delivery address, the customer's message "The cardholder is [relationship] of the customer, who confirmed the purchase on [date]."
5. Second attempt after a failure The first payment failed and a second card or retry worked Order timeline showing both attempts, the payment checks for the successful one "The first attempt failed on [date]. The second, from [card ending], succeeded and was confirmed to the customer."
6. Duplicate or garbled record A system glitch created a wrong or double entry The clean record, the refund log if money moved twice "A duplicate entry was created in error. We refunded the extra A$[amount] on [date]."

Scenario 2 is the one most merchants do not want to hear. If card details entered manually by your team are wrong, the error is yours. A bank reviewer will see it quickly, and an honest line is better than a defence that falls apart. Scenario 1 is the most common online, but a wrong card number usually fails at checkout, so it rarely turns into a dispute at all. When it does, a stored detail has usually changed or the customer has a second card and forgot.

Scenarios 4 and 5 are the sneaky ones. Both look like an error but are really a memory problem: the cardholder or the customer cannot place the payment. For those, the customer's own words are your best exhibit, so ask for them early.

How do you find the real claim behind an incorrect account details dispute?

Read the notice, then check the transaction, the order and the inbox, then ask the customer. The notice may show the amount and a reason code. The transaction record shows what was charged and what the checks said. The inbox shows whether the customer raised a problem before the bank did.

Work through these five checks in order.

1. Read the notice. Note the amount, the date of the original payment, the payment method, any network code and the due date. Save a screenshot.

2. Open the transaction. Look at the last four digits, the card brand, the billing name and the payment checks. Shopify's fraud analysis lists the address check and the security code check among its indicators, so look at what they said at the time.

3. Check how the details were entered. Were they card details entered manually by your team, or did the customer type them at your checkout? This is the question the whole case turns on. For a checkout order, your records can show the customer completed the payment. For an order with card details entered manually, you will need the call or email record.

4. Look for a replacement or a retry. Did the first attempt fail and a second succeed? Was a stored card used? A failed first attempt followed by a successful second one is normal, but it explains why a customer might later say the wrong account was charged.

5. Check the inbox. Search the customer's email and the order number. Did they write in about the payment, the card or the amount? A message you never saw is a common cause of a dispute the customer thought was a quick fix.

If these checks do not tell you the story, ask the customer. The template later in this guide does that gently.

What should you do in the first 48 hours of an incorrect account details dispute?

Read the notice, find the transaction, check how the details were entered and write to the customer. Do not issue a refund before you know whether the money has already gone back, and do not argue by email. In two days, your aim in an incorrect account details dispute is to learn whose error it was and to start the file.

Here is a day-by-day plan for an incorrect account details dispute on a Shopify Payments order. The dispute lands on Thursday 3 December 2026, with a due date of Thursday 17 December 2026. Your own due date will be on the notice, and Shopify says the window is usually 7 to 21 days. Because of the end-of-year closures, the plan submits well early.

Date Task Output
Thu 3 Dec Read the notice. Check balance. Note the amount, reason and due date. One-line note
Fri 4 Dec Open the transaction. Save the payment checks and the last four digits. Transaction exhibit
Mon 7 Dec Find out how the details were entered. Send the customer a short message. Message sent and saved
Tue 8 Dec Read any reply. Check the inbox for an earlier complaint. Cause identified
Wed 9 Dec Decide: fight, fix and fight, or accept. Draft the cover note. Draft v1
Thu 10 Dec Read it cold, as a reviewer who knows nothing. Fill gaps. File v2
Fri 11 Dec Submit, four business days before the due date. Confirmation saved

Shopify Payments sends your response on the due date even if you add nothing. A half-built file at the deadline still goes out, so finish it early.

Should you contact the customer, and what should you say?

Yes. In an incorrect account details dispute, the customer is the quickest route to the facts, because only they know which account they meant to use. Keep the message short, kind and specific. Ask them to confirm the last four digits and the name on the account, and offer a clear fix.

Subject: Your payment of A$[amount] on [date] - can we check the details?

Hi [first name],

Your bank has questioned the payment of A$[amount] for order #[number]
on [date]. I would like to make sure the right account was used.

Our records show a payment from a [card brand / bank account] ending in
[last four digits] in the name of [name on the payment]. Does that match
the account you meant to use?

If not, I can [refund / cancel and retake the payment] as soon as you
confirm. If it does match, please let me know whether anything else
looks wrong. I am here [days and hours].

Thanks,
[Name]
[Store name]

Notice that the message shows only the last four digits. Never write a full card number or a full account number in an email. A reply that confirms "yes, that is my card" is some of the best evidence you can hold in an incorrect account details dispute, and one that says "no, that is not mine" tells you the case is not worth fighting.

If the customer does not reply, follow up once after three business days, then work from the records. A silent customer does not prove the details were right, so build the file on the transaction record, not on silence.

What evidence should you send for an incorrect account details dispute?

To respond to an incorrect account details dispute, send the records that show the right account was charged: the transaction with its last four digits, the payment checks, proof that the customer entered the details, the order and the delivery. Lead with the transaction, then the entry method, then the order, then the messages.

The scenario table earlier in this guide already says what to send for each situation. As a rule, lead with the transaction record, then the proof of how the details were entered, then the order and delivery, then the messages.

Shopify's evidence guidance for General also lists product details, fulfilment date and time, billing information, IP address and country, customer communications and tracking. Use only what answers the question. If the incorrect account details dispute is about an account number, the product details matter less than the payment record.

Shopify's own page on responding tells you to rank evidence by strength, from direct records such as signed delivery or refund records, to customer acknowledgement, to policy documents, to context such as order records and verification results. A customer acknowledging "that is my card" sits in the second tier and is very strong here. Label every exhibit and use screenshots, not links.

The cover note below keeps the facts in date order and admits any gap.

RESPONSE TO DISPUTE: Order #[number]

Summary
On [date], [name on the payment] paid A$[amount] for [product(s)]. The dispute
cites incorrect account details. We believe the payment was made from the
account the customer entered and intended to use.

Facts, in date order
1. [Date, time]: Order placed. Payment from [brand] ending [last four].
Billing name [name]. Payment checks: [address check], [security code check],
[3D Secure if used]. (Exhibit 1)
2. [Date, time]: Details entered by the customer at checkout [or: by our
team on the customer's call on [date]]. (Exhibit 2)
3. [Date, time]: Confirmation emailed to [email]. (Exhibit 3)
4. [Date, time]: Order delivered. (Exhibit 4)
5. [Date, time]: Customer asked to confirm the account. [Reply.] (Exhibit 5)

What the records do and do not show
The records show [what is proven]. They do not show [honest gap].

Request
We ask that the payment be upheld as valid.

What does a strong file look like next to a weak one?

Reviewers read many files in a day, and yours competes for the same two minutes of attention. The ones that win are short, dated and calm. The ones that lose are long on opinion and short on records. Here is the same incorrect account details dispute written both ways, with an invented customer for illustration.

The weak file for an incorrect account details dispute:

The customer is wrong. We charged the card they gave us. This is a valid
sale and the customer is trying to get free goods. Please reject the
dispute. Screenshot attached.

The strong file to respond to an incorrect account details dispute:

Summary
On 4 November 2026, Sam Lee paid A$310 for order #1042. The dispute cites
incorrect account details.

Facts, in date order
1. 4 Nov, 10:12: Order placed at checkout. Visa ending 4242, billing name
Sam Lee. Address check passed, security code check passed. (Exhibit 1)
2. 4 Nov, 10:13: Confirmation emailed to sam@example.com showing the last
   four digits. (Exhibit 2)
3. 7 Nov, 14:20: Delivered to the shipping address. (Exhibit 3)
4. 4 Dec, 09:05: We asked the customer to confirm the account. Reply on
4 Dec: "Yes, that is my card." (Exhibit 4)

What the records do and do not show
They show the customer entered the details and confirmed the card. They do not
explain why the bank recorded an account issue.

Request
We ask that the payment be upheld as valid.

Why the second one wins:

  • It names dates, times and last four digits, so every claim can be checked.
  • It uses the customer's own confirmation, the strongest kind of evidence.
  • It admits what the records do not show, which makes the rest easier to trust.
  • It never accuses anyone, so the reviewer has nothing to argue with.

What does an incorrect account details dispute cost, and is it worth fighting?

An incorrect account details dispute on a card takes the amount plus the A$25 Shopify Payments fee at once. If you win, both come back. If you lose, both are gone, and for a physical order so are the goods and postage. The decision depends on how strong the record is and what your time is worth.

Both sums below are illustrations with assumed numbers, not benchmarks.

Illustration 1: a clean transaction and a clear record in an incorrect account details dispute. A customer pays A$310 for an order. The goods cost you A$140 and postage was A$12. The dispute cites incorrect account details for the full A$310, with the A$25 fee.

Outcome Result
Win You keep A$310 and the A$25 fee comes back. After A$140 goods and A$12 postage: A$158 profit
Lose A$310 and A$25 gone. After A$140 goods and A$12 postage: loss of A$177
Accept at once The same as losing: loss of A$177

The gap is A$335. If the file takes 90 minutes, which at A$40 an hour is A$60, you break even at a win chance of about 18 percent (A$60 divided by A$335). With a clean transaction record that low a bar is easy to clear, so fight.

Illustration 2: the cost of hand-keyed errors. A small shop takes about 20 phone orders a month and keys the card details by hand. Suppose two a month contain a typo that later becomes a dispute, at an average order of A$280 and the A$25 fee. If both are lost, that is 2 x (A$280 + A$25) = A$610 a month. A second person reading the last four digits back to the customer adds about one minute per order. Twenty minutes a month at A$40 an hour is under A$14.

Option Monthly cost
Do nothing Up to A$610 exposed
Read back the last four digits About A$14 of time

The numbers are made up to show the shape of an incorrect account details dispute that starts with a typo. The shape is real: a read-back check is far cheaper than a lost dispute. Shopify also says winning does not remove a dispute from your chargeback rate, so even a won incorrect account details dispute counts against you. Prevention beats defence.

How do you stop a wrong account number chargeback before it starts?

Let the customer enter their own details, show them the last four digits back, and confirm before you charge. That is the cheapest way to avoid a wrong account number chargeback. Avoid taking card details by phone or email if you can. Where you must have card details entered manually, read them back and record the call. The checklist below turns that into a routine that prevents the next incorrect account details dispute.

PAYMENT DETAILS CHECKLIST

[ ] Customer enters card or bank details themselves at checkout where possible
[ ] Last four digits shown or read back before payment is taken
[ ] BSB and account number repeated back for any bank payment
[ ] Name on the payment matches the order name, or the difference is noted
[ ] Details taken by phone or email are never written in plain text notes
[ ] A confirmation email goes out at once, showing the last four digits only
[ ] Stored cards: consent recorded with the date and what was agreed
[ ] A retry after a failed payment is noted on the order
[ ] A second person checks any manually entered payment above A$[amount]
[ ] Customer gets a clear way to say "that is not my account" in one reply
Set-up item Why it helps How to check it
Customer enters details The error, if any, is not yours Test an order from your own phone
Last-four read-back Catches typos on the spot Run a test call and time it
Confirmation email with last four Gives the customer a chance to object early Open the last email you sent
Stored card consent Shows the customer agreed to keep the card Screenshot the wording
Retry notes Explains two attempts on one order Add a note whenever you retake a payment
Two-person check for large manual orders Cuts the biggest losses Set a dollar threshold

Be careful with what you record. Card numbers should never sit in order notes or emails, and the safest approach is to avoid holding them at all. If you take details by hand, ask your payment provider what you may store and for how long.

What is different for Australian merchants?

General information, not legal advice.

Fees and process

The chargeback fee on Shopify Payments in Australia is A$25, returned if you win. The response window is usually 7 to 21 days and the card company's review can take up to 75 days after you submit. If your balance is short, Shopify debits your bank account and tries again after 3 business days.

BSB and account number

Australian bank payments use a BSB and account number. Stripe's BECS page says the business must collect the account holder's name, the BSB and the account number, and that the customer accepts a service agreement. A typo in either number is a plain data error, and a wrong account number chargeback or a failed bank debit dispute can follow, so a read-back of both, and an email showing the last four digits only, are sensible habits. I could not verify what Australian banks do when a BSB and account number do not match the name.

Time limits and records

State consumer bodies say chargeback time limits commonly run from 45 to 120 days depending on the card provider, and the ACCC notes that time limits may apply when you sell online. I carried the range from earlier research and could not re-open the Consumer Affairs Victoria page. Pay Advantage, an Australian payments provider, advises keeping records for 12 to 18 months, and that the cardholder name should match your invoice.

Banks and rules

Pay Advantage says chargebacks in Australia are governed by the ePayments Code, administered by ASIC. I could not verify how that code treats wrong-account or misdirected payments, so if a customer says money went to the wrong account, treat it as a matter for the banks and get advice.

What I could not verify: a written definition of the incorrect account details reason, how Shopify Payments maps network codes to its reasons, how an Australian bank would treat a wrong BSB, and what share of these disputes merchants win.

What are the common mistakes when you respond to an incorrect account details dispute?

  • Sending a product-focused file for a dispute that is about a payment detail.
  • Hiding that card details were entered manually by your team, when the record shows it.
  • Treating a wrong account number chargeback as fraud, when it is usually a data slip.
  • Writing a full card number or account number in an email or note.
  • Skipping the read-back of the last four digits on phone orders.
  • Ignoring the bank debit dispute version of the same reason when you take payments by BSB and account number.
  • Assuming a failed first attempt and a successful second one is obvious to a reviewer.
  • Arguing with the customer instead of asking them to confirm the account.
  • Refunding before checking whether the bank has already returned the money.
  • Waiting for the due date, when Shopify Payments sends whatever is on file.
  • Treating a win as a reset, when the dispute still counts toward your chargeback rate.

Frequently asked questions

What does an incorrect account details dispute mean?

It points at an error in the account or number used for the payment. Stripe lists incorrect_account_details as a dispute reason value but gives no written definition in the pages I opened. The closest card codes are Visa 12.4 Incorrect Account Number and Mastercard 4812, labelled account number not on file.

Is an incorrect account details dispute a Shopify chargeback reason?

No. Shopify lists eight reasons, and this is not one of them. A card dispute about a wrong or missing account number most likely arrives as General because Shopify does not publish its code mapping. Read the notice details before you decide how to respond.

How do I respond to an incorrect account details dispute?

Find out who made the error, then send the transaction record with the last four digits, the payment checks, proof of how the details were entered, the order, and the customer's messages. Admit any error on your side and show the fix. Submit early, since Shopify Payments files on the due date, even for an incorrect account details dispute.

What evidence proves the right account was charged?

The transaction record with brand and last four digits, the address and security code checks, proof the customer entered the details at checkout, a confirmation email, and a customer reply confirming the account. Delivery records help to show the order was real. Label each exhibit and use screenshots, not links.

What if card details were entered manually by my team?

Then the error may be yours, and a wrong account number chargeback can follow. Say so plainly, show the correction or refund, and describe how you will stop it happening again. A reviewer is more likely to respect a clear admission than a weak defence. Read back the last four digits on every phone order from now on.

Can a wrong BSB and account number cause a bank debit dispute?

It can cause a failed or misdirected payment and a bank debit dispute. Stripe says BECS Direct Debit needs the name, BSB and account number, and that these disputes are final and cannot be appealed. Read both numbers back and send a confirmation showing the last four digits.

How long do I have to respond to this kind of dispute?

On Shopify Payments the window is usually 7 to 21 days, shown as a due date on the notice. Shopify Payments sends your response on that date even if you added nothing, so plan to submit at least two business days early. Allow extra time around public holidays.

Should I refund while the dispute is open?

Shopify says you can refund from your admin if you owe one, that you might still lose the chargeback, and that a refund shows good service. Check with your payment provider first to avoid paying the customer twice, and keep a dated record of any refund you issue.

Does winning an incorrect account details dispute remove it from my chargeback rate?

No. Shopify says the chargeback rate is based on disputes filed, not outcomes, so a won dispute still counts. You get the amount and the A$25 fee back if you win. Prevention, such as customers entering their own details and a read-back check, stops the dispute from being filed at all.

How long should I keep payment records?

Pay Advantage suggests 12 to 18 months for transaction and customer records. Keep the order, payment checks, confirmation email and customer messages that long. Do not keep full card numbers, and ask your payment provider what you may store, since disputes can arrive weeks after the order.
