Fashion returns disputes on Shopify: the dated trail Australian clothing sellers need

ChargeFix guide cover with a refund arrow icon: Fashion returns disputes on Shopify

A boutique in Melbourne sells dresses online. A customer orders two sizes, keeps one, posts the other back and waits. The parcel is slow, the refund is slower, and three weeks later the owner opens the dashboard to find a dispute marked "credit not processed" on an order they thought was closed. Fashion returns disputes are the most common kind of fight a clothing store has with its own customers' banks, because every sale carries a built-in chance of a return, and every return carries a chance of a gap between what the shop did and what the customer sees.

Fashion returns disputes are chargebacks that arise from returned, exchanged or unwanted clothing: the customer says they sent something back and have not been refunded, or says the item differed from its listing. On Shopify Payments they follow the normal dispute process, with the A$25 fee in Australia and a deadline of usually 7 to 21 days. This guide on fashion returns disputes covers the two reasons that matter most, "credit not processed" and "product unacceptable", the records that answer them, how to write a returns policy a bank can read, and what the ACCC says a returns policy can and cannot do.

This guide is for you if:

  • You sell clothing, shoes or accessories from an Australian Shopify store on Shopify Payments.
  • You have had disputes about returns, refunds, sizing or "not as described".
  • You want a returns routine that creates a record for every step, so a dispute is easy to answer.

Last updated: 22 October 2026. Written by the ChargeFix team. Reviewed against sources on 22 October 2026. General information, not legal or financial advice.

Disclosure. ChargeFix helps merchants answer Shopify Payments disputes, so I benefit when disputes need answering. Sources, read on 22 October 2026: Shopify's chargeback pages, the ACCC's page on business obligations for repair, replace and refund, and a law-firm summary of the ACCC's review of online returns policies. I did not read carrier returns terms or Australian bank refund timings, so I give no claims on them. The examples are made up and labelled.

The 30-second answer (TL;DR)

  • Most fashion returns disputes come under two Shopify reasons: credit not processed and product unacceptable. The card issuer decides, and the A$25 fee comes back only if you win.
  • The ACCC says a business cannot rely on store policies to deny a refund or replacement for faulty goods. A change-of-mind customer has no consumer guarantee right, but if you offer a change-of-mind policy you must follow it.
  • Wording the ACCC has flagged includes "sale items cannot be returned", a 30-day limit for faulty goods, non-refundable delivery on faulty goods and restocking fees on faulty returns.
  • Your best evidence is a dated trail: policy shown at checkout, return approved, return received, refund issued.
  • Issue refunds promptly and send the customer proof of the refund date.

Do this today (10 minutes):

  1. Open your last five returns and write the dates of request, receipt and refund.
  2. Check whether each refund date is in your admin and in an email to the customer.
  3. Mark every return where one of those three records is missing.

Where fashion returns disputes arise in the return chain

Stage What can go wrong The record that protects you
Sale Customer did not see the returns policy Policy shown at checkout, saved copy
Return request Request made by email or message and lost Dated thread and return approval
Return in transit Parcel lost or slow Return label tracking
Return received You hold the item but do not log it Receipt log with date and condition
Refund Refund slow or sent to the wrong card Refund record and email
Dispute Customer disputes before the refund lands A response built from all of the above

What are fashion returns disputes?

They are disputes where the cardholder's complaint is about what happened after the sale: a return that was sent back and not refunded, an exchange that went wrong, or an item that did not match the listing. Shopify lists dispute reasons as fraudulent, unrecognised, duplicate, subscription cancelled, product not received, product unacceptable, credit not processed and general. Two of those cover most returns trouble.

Shopify reason What the customer is saying Typical clothing case
Credit not processed I returned it and have not been refunded Return posted, refund slow or refused
Product unacceptable The item was not as described or faulty Wrong colour, poor fit claim, flaw, damage
Product not received It never arrived Order lost in post
Duplicate I was charged twice Exchange re-charged by mistake
General A complaint that fits no other box Mixed complaint

The chargeback page says the company that issued the cardholder's card reviews the evidence and Shopify is not involved in the decision. The disputed amount and fee leave your balance when a chargeback opens. In Australia the fee is A$25 and is returned only if you win.

Why are fashion returns disputes so common in Australian clothing stores?

I found no Australian figure on fashion returns disputes, so this is reasoning, not data. Clothing sells on guesswork about fit. Customers order more than one size, expect to send some back, and judge you on how smoothly that goes. Each return is a small chain of events across a customer, a courier and your team, and any link can slip.

Cause How it turns into a dispute
Customer returns without asking You do not know a return is coming, so no refund is queued
Return takes weeks Customer gets impatient and calls the bank
Refund issued but customer not told Customer sees no money, disputes
Refund goes to the original card, which has changed Customer cannot find it
Policy refuses the return Customer says the item is not as described
Sizing complaint called a fault Dispute under product unacceptable

Notice that many of these are communication failures, not product failures. That is good news, because communication is something you can fix.

What does credit not processed mean for a clothing store?

The cardholder says they returned something and have not received a refund. To answer it you need to show one of three things: you refunded them, you were never sent the item, or your policy did not entitle them to a refund. Each needs different records.

Your position What to show Where to find it
Refund issued Refund record with date and amount Order page, refund entry
Item never received Return tracking showing no delivery, or no return request Carrier tracking, your inbox
Policy did not allow it Policy shown at purchase and the customer's request Saved policy, thread
Partial refund issued Breakdown of deductions and the reason Refund note, email

If you refunded, the single most useful exhibit is the dated refund entry in your Shopify admin, together with the email telling the customer. If you refunded after the dispute opened, say so plainly and attach the entry. Do not promise the customer that a late refund will close the dispute, because the card issuer decides.

What does product unacceptable mean for clothing?

The cardholder says the item differed from its listing or was faulty. For clothing this covers wrong colour, wrong item, damage, poor quality and fit complaints. The strongest evidence is a record of what you said and what you sent.

Claim Evidence that answers it
Wrong colour Listing photos with the colour name, order variant, packing photo
Wrong item Order contents, picking record, packing photo
Damaged Packing photo, courier condition notes, claim record
Poor quality Product description, material details, any inspection record
Wrong size sent Order variant against the package
Does not fit Size guide, measurements, policy on change-of-mind returns

Take photographs at packing for higher value items. A dated photo of the item in the bag beside the order slip takes seconds and can settle a "wrong item" claim.

What should a returns policy say so a bank can read it?

A reviewer at the card issuer has minutes, not hours, so write a policy whose key paragraph can be pasted into a response. But the ACCC sets limits on what the policy may say, and a policy that breaks them hurts you twice: it is illegal and it loses the argument.

What the ACCC says Meaning for your policy
Consumers with a major problem choose a refund or replacement Do not say the business chooses the remedy
A business must not deduct an amount from a refund for the consumer's use on a major problem No "wear and tear" deductions on faulty goods
Refunds should generally go back to the original payment method Say so
Change of mind carries no consumer guarantee right, but a change-of-mind policy must be followed Write it clearly and keep to it
Businesses must pay shipping or collection for large, heavy or hard-to-remove items, such as beds Do not make customers pay to return a faulty bulky item
Businesses must reimburse reasonable return costs on faulty goods No "customer pays return postage" for faults
Businesses must not tell consumers to take the problem to the manufacturer Do not say "contact the brand"
Policies cannot take away the right to a refund or replacement for faulty goods Include a line that your policy does not limit consumer rights

The ACCC reviewed more than 2,000 Australian retail websites in February 2025 and issued warning notices over potentially misleading return policies. A law-firm summary lists wording it flagged.

Flagged wording or practice Why it is a problem
"Sale items cannot be returned, exchanged or refunded" Faulty sale goods must still be remedied
"Items that have been opened and used cannot be exchanged or refunded" Faulty goods are often opened
"Made to order products cannot be returned" Faulty made-to-order goods are covered
A 30-day notice window for faulty or damaged goods Rights are not limited to a short window
Treating the manufacturer's warranty as the only remedy The seller's obligations remain
Non-refundable delivery fees on faulty goods Reasonable costs must be reimbursed
Restocking fees on faulty returns Not allowed for faulty goods

The same summary reports Koala Living paying A$56,340 in infringement notices in November 2024 for saying remedies were limited to 72 hours or the manufacturer's warranty, and Mazda paying A$11.5 million for misrepresenting remedies. The point for a clothing store is practical: write a short, plain policy, put change-of-mind limits in a section labelled as such, and add a line saying faulty goods are handled under Australian consumer law.

How do you show the policy was visible at the time of sale?

Policies change, and fashion returns disputes often arrive months later. If a customer disputes in March, a reviewer wants the policy that applied in January. Keep dated copies, and show where the customer saw it.

Where the policy appeared How to prove it
Checkout page Dated screenshot of the checkout with the policy link
Product page Dated screenshot
Order confirmation email The sent email, which you can attach
Policy page itself Dated copy, saved when you change it

The confirmation email is the best of these because it is a record sent to the customer on the day. Put the returns window and process in it.

Returns policy shown at purchase

The returns policy in force on 3 September 2026, when the order was
placed, is attached. It was linked from the checkout page and from
the order confirmation sent to the customer at 11:42 that day.

How do you build a return trail that answers disputes?

Treat every return as a small case file with four dated entries, because fashion returns disputes are won on dates. If you can show all four, a credit-not-processed dispute is usually easy to answer. If one is missing, you know exactly where to look.

Entry What to record Tool
1. Request Date, reason, items, size or colour wanted Email thread or returns form
2. Approval Date, label or instructions sent Email to the customer
3. Receipt Date received, condition, items counted Receipt log
4. Refund Date, amount, method Shopify refund entry and email

A simple return log in a spreadsheet works for fashion returns disputes:

Return log
Order | Request date | Approved | Received | Condition | Refund date | Amount
#9120 | 2 Oct | 2 Oct | 14 Oct | unworn, tags on | 15 Oct | A$129.00
#9133 | 4 Oct | 4 Oct | not yet | n/a | n/a | n/a

The second row is the one to watch. A return approved and not yet received is a dispute waiting to happen if the customer loses patience. Message the customer on a set day, say day 14, with the tracking status.

What should you do about slow refunds?

The gap between receipt and refund is where most fashion returns disputes breed. Decide on a service level and keep to it.

Policy Result
Refund within 2 working days of receipt Few disputes, but needs daily checking
Refund within 7 days Common, and workable with a weekly routine
Refund when "processed" with no date Disputes, because the customer has no date to hold you to

Whatever you choose, email the customer the day you refund, with the amount, the card it went back to and the date. The ACCC says refunds should generally go back to the original payment method unless both sides agree otherwise. Tell the customer to check with their bank if the money has not appeared after the period you state.

Subject: Your refund of A$129.00 for order #9120

Hi Mia, we received your return on 14 October and have refunded
A$129.00 to the card you paid with, today, 15 October. Banks can
take a few working days to show it. If it has not appeared by
22 October, reply to this email and we will help you chase it.

That email is also evidence. Attach it to any later dispute.

How should you handle exchanges so they do not become disputes?

Exchanges are the quiet source of duplicate charges and fashion returns disputes. If you refund and re-charge, the customer sees two lines on their statement. If you create a new order without a clear note, they may dispute the second.

Exchange method Risk Fix
Refund then new order Two statement lines, timing gap Tell the customer in advance, with dates
Edit the order Cleaner for the customer Record the change in the timeline
Ship the new size before the return arrives Risk of a double loss Charge only if policy says so, and say so
Store credit Customer cannot dispute credit they accepted Record that they agreed

Write the exchange terms down in your policy and repeat them in the email that confirms the exchange.

What should you send in response to fashion returns disputes?

Build fashion returns disputes responses in the order a reviewer reads. Open with the answer, then back it with dated exhibits.

Response summary

The customer ordered a dress (order #9120) on 3 September 2026 and
requested a return on 2 October 2026, within the 30 day window in
our policy. The return was received on 14 October 2026 and a full
refund of A$129.00 was issued on 15 October 2026. The customer was
emailed the same day. The dispute was opened on 12 October 2026,
before the return was received.
[attach: policy, return request, approval, receipt log, refund entry,
refund email]

Notice what the example does: it states the dates plainly, does not blame the customer and lets the attachments carry the case. Attach only what the story needs.

Exhibit Order of importance
Refund entry and email 1
Return tracking or receipt log 2
Policy shown at purchase 3
Customer thread 4
Order page 5

If the dispute is about a return you never received, say so and attach the carrier's tracking and your inbox search showing no request. Do not guess.

How do you handle a customer who disputes before returning?

Some fashion returns disputes are filed first, and the return never comes. Shopify's list of reasons includes credit-not-processed, but if you hold no returned item, your position is that no credit is due. The evidence is your own record: no return request, no label, no receipt.

Situation What to attach
No return request on file A statement and an inbox search showing none
Return approved but never posted Approval email and tracking showing no scan
Customer posted to a wrong address Your return address as given and their tracking
Customer says they returned but gave no tracking Policy requiring a tracked return and the thread

This is why a tracked return label is worth the cost for higher priced items. It turns a "he said, she said" into a scan.

How do fashion returns disputes differ by price band, and what do they cost?

A dispute on a A$40 top is a different decision from a dispute on a A$400 coat. The fee is the same A$25, but the exposure is not.

Order value The sums Suggested stance
A$40 Lose A$65 total, plus the item Answer if you hold a clean refund record, else weigh time
A$150 Lose A$175 Answer in most cases
A$400 Lose A$425 Always answer, with full exhibits

These are made up and your margins will differ. The principle is to match effort to exposure, and to pay close attention to repeat disputers.

Which fashion returns disputes are worth the most attention?

Not every fashion returns dispute deserves the same effort. Sort them before you start, and spend your time where the record is strongest or the exposure is largest.

Group Typical fashion returns disputes What to do first
Refund already issued Customer disputes before the money lands Attach the refund entry and refund email
Return in transit Customer disputes while the parcel is on its way Attach tracking and the approval thread
Return never sent Customer disputes without posting anything Attach the policy and a record of no request
Item claim Wrong colour, flaw or fit complaint Attach the listing, packing photo and thread
Repeat disputer Same customer has opened fashion returns disputes before Attach the full history and answer firmly

Fashion returns disputes in the first group are the cheapest to win, because you hold the refund record. Fashion returns disputes in the last group deserve a note on the customer's record, since a pattern is worth pointing out to the reviewer.

Review your fashion returns disputes once a month using the same table. After three months you will see which group your store produces most, and that tells you where to fix the process. If most fashion returns disputes sit in the first group, your refunds are late or unannounced. If they sit in the third, your policy is not reaching the customer.

How does your return log feed every dispute response?

The return log is the source for most exhibits. Keep it current and every dispute becomes a lookup, not an investigation. Each Monday, spend ten minutes updating the return log: mark items received, issue pending refunds and message customers whose parcels have not arrived by day 14.

The refund email is the other half. Send a refund email on the day of each refund, and store a copy against the order. When a dispute arrives, the return log gives you the dates and the refund email gives you the customer's own copy. Together they answer most credit-not-processed claims in a few lines.

What is a dated plan to cut fashion returns disputes?

This plan starts on Monday 26 October 2026 and finishes in January 2027, ahead of the post-Christmas returns wave.

Date Task Output
Mon 26 Oct Audit your last five returns for the four dated entries A list of gaps
Tue 27 Oct to Fri 30 Oct Rewrite the returns policy in plain paragraphs A policy a reviewer can read
Mon 2 Nov to Fri 6 Nov Add the policy summary to the order confirmation Updated template
Mon 9 Nov to Fri 13 Nov Set up the return log and the day-14 message A working routine
Mon 16 Nov to Thu 26 Nov Set a refund service level and the refund email A tested email
Fri 27 Nov Black Friday: pack photos for items over A$150 Photo habit
Sat 26 Dec Boxing Day: expect a returns wave, check the log daily Daily log review
Mon 4 Jan to Fri 29 Jan 2027 Answer post-Christmas disputes with the new trail Responses filed in time

What is different for Australian merchants?

The dispute fee on Shopify Payments in Australia is A$25, returned only if you win. Shopify Protect is limited to US stores on Shopify's own page, and it covers fraud rather than returns anyway, so fashion returns disputes are yours to answer. Shopify's help pages say payouts in Australia can fail if the bank account cannot accept withdrawals, which matters if disputes push your balance negative.

What to settle with a lawyer: the final wording of your returns policy and any exclusions, and which of your items could be treated as faulty or not as described when a customer complains. Carrier returns terms and bank refund timings vary, so check them with your carrier and your bank.

What are the common mistakes with fashion returns disputes?

  1. No dated trail for fashion returns disputes. If you cannot show request, approval, receipt and refund, you cannot answer credit not processed.
  2. Refunding without telling the customer. The customer sees nothing and disputes.
  3. A policy nobody can find. Show it at checkout and in the confirmation.
  4. Vague refund timing. "Processed soon" gives the customer no date.
  5. Untracked returns. A tracked label turns a claim into a scan.
  6. Calling a fit complaint a fault. It invites a product unacceptable dispute.
  7. Skipping packing photos on expensive items. A dated photo settles wrong-item claims.
  8. Messy exchanges. Two statement lines confuse customers.
  9. Submitting before the response is complete. Shopify says early submission locks your edits.
  10. Missing the deadline. After it passes, only Shopify's automatic evidence goes in.

Frequently asked questions

What is the most common reason for fashion returns disputes?

I found no Australian data, but the credit-not-processed reason and the product unacceptable reason are the two Shopify reasons that fit returns best. Many of them come from slow or unannounced refunds rather than bad products, so a clear refund routine and prompt emails help more than most stores expect.

Does a late refund end a credit not processed dispute?

Not necessarily. The card issuer decides, and Shopify's pages do not say a late refund ends a dispute. Issue the refund promptly, email the customer proof, and include both in your response. Do not promise the customer that the dispute will close because of it.

How long should I take to refund a return?

Pick a service level you can keep, such as within 7 days of receipt, state it in your policy and meet it. A stated date gives the customer something to hold you to and gives a reviewer something to check. A vague promise does neither.

What proof do I need that the policy was shown at purchase?

A dated copy of the policy and a record of where it appeared, such as a checkout screenshot or the order confirmation email you sent. The sent email is the strongest, because it was delivered to the customer on the day. Save a copy each time you change the policy.

What do lost fashion returns disputes cost in Australia?

The disputed amount and a A$25 fee leave your balance when the chargeback opens, and the fee returns only if you win. On a A$129 dress you are out A$154 at once, and you may also be out the item if it was never returned.

Can I refuse a return that does not fit the policy?

For change of mind, the ACCC says the customer has no right to a repair, replacement or refund under the consumer guarantees, but a change-of-mind policy you offer must be followed. For faulty goods you cannot refuse: the ACCC says it is illegal to rely on store policies that deny those rights.

Should I use tracked return labels?

For higher priced items, yes. A tracked label shows whether the parcel was sent and received, which answers "I returned it" with a scan. For low priced items, weigh the label cost against the exposure. Whatever you choose, state who pays for return postage in your policy.

How do I stop exchanges creating duplicate disputes?

Tell the customer in advance how the exchange will appear on their statement, with dates, and record it in the order timeline. Prefer editing the order or using store credit where the customer agrees. Avoid refunding and re-charging without a message explaining it.

What should my response to fashion returns disputes lead with?

Lead with the answer in two or three sentences and dated facts: the order date, the return request, the receipt and the refund. Then attach the refund entry, the refund email, the tracking or receipt log and the policy. Keep it short and let the attachments carry the case.

Should I fight every one of my fashion returns disputes?

No. Fight when you hold a dated refund or a clear policy and the amount justifies your time. Concede quickly when you have not refunded something you owe. A weak response takes time and cannot be changed once Shopify has filed it, so weigh the A$25 fee against your time.
